QuickBooks Online is a Web-based accounting solution that caters to accountants and small businesses. It helps with bank reconciliation, tracking expenses, drafting invoices and monitoring financial reports.

The software enables users to download and reconcile credit card transactions. It also helps in organizing weekly timesheets and bank deposits, and enables users to take photos of bills and track expenses on a regular basis.

Invoices can be generated with custom templates, which can have company branded logos and desired fields. Since QuickBooks Online is Web-based, files can be shared with members across the team and also synced for simultaneous use.

Financial reports such as profit and loss, balance sheet and cash flow statements can be monitored from anywhere. Security features can be implemented by setting permission levels for each individual.

QuickBooks Online also allows data to be imported from other applications such as Paypal, American Express and Square.

Quick books online is an excellent accounting software that makes accounting easy and manageable. It is very easy to get help from the support team that is very knowledgeable. I find it very useful for the diverse businesses that I perform bookkeeping and accounting services.

This is a great product if you have a small business with simple accounting. Once you need detailed reports or be able to easily find certain transactions then you may want to move up to a more in-depth software.

Pros

Easy to set up and train yourself.

Cons

At times I feel like I "lost" a transaction or I duplicated transactions without realizing it, until later. The desktop version is better but having the online capability is very nice.

I can see it would be great for some types of business but not all

Pros

Can get to it anywhere and the ability to see if my invoice has been viewed is an awesome option to have. I love how easy it links to my bank accounts.

Cons

Not able to really do job costing with ease. Can't do direct deposit for vendors which has created a lot of issues for me in my business. I wish there was a side menu on the left like a desktop that shows the last few windows you were in so you could easily go between two places. ie if I am the bank rec and need to jump to the register I have to save for later open the register which requires going home then clicking on it then to go back to reconcile is easier but still not as easy as the desktop. Direct Deposit is HUGE for us for vendors so this may be a deal breaker to move me back to the desktop.

I am a relatively new user of Quickbooks online. Up until 2017, we contracted with a bookkeeping service to manager our account. I can't say enough about the value of accessing our account information anytime we need to and how invaluable it is to be able to talk to our accountant over the phone while viewing our account online.

I love QuickBooks Online (Plus). It's well designed to meet my needs as a consultant. The Phone App is excellent and easy.
In Australia, the QBO version includes a 10 Employee payroll.

Advice to Others

Give it a go. Move from your existing method with Spreadsheet, Xero, MYOB or Reckon accounts.
QuickBooks is so easy.

I have used QuickBooks since the 80's and have enjoyed vast improvements over the years. I switched to the online version in order to be able to access my data remotely. This was a huge mistake. The reports and functionality of the online version are not in the same league as the desktop version.

Pros

The only pro, in my opinion, is remote access.

Cons

We have two users access the online version of QB. We have different printers. Each time one of us prints cheques, we have to realign the print settings. Of course, we usually forget, so have many wasted cheques. We are signing in with our own logins, so one would think the printer settings would be assigned to the login - not the data file.

You can not pull reports and then customize them with the different variables you are looking for.

You cannot import historical payroll data. Like I said, I've used this since the 80's - that's lots of years of data to lose!

If a cheque is written on the wrong bank account, you can not move the cheque- a huge issue if a payroll cheque was entered into the incorrect account and you don't realize it until you reconcile the bank account. I tried the product for three months and have now reentered three months work into the desktop version to go back to it.

Advice to Others

If you are not an accounting person and are starting out with a new small business, this program will probably work for you. If you are used to QB desktop or Sage products - steer clear!

It struggles in a lot of areas if you are not a simple small business. We are a nonprofit that owns two subsidiaries, so QBO can be annoying to use in terms of features and functionality.

Pros

Cheap and easy to set up.

Cons

Lack of features and functionality for nonprofits.

Advice to Others

when I start the business, people recommended QuickBooks to me, and I have been using it for almost 2 years. I must say I really like it.
I currently use QB payroll and QB online, and it can help me to manage my business already, and it is easy to use.
In QB payroll, we can direct deposit salary for each employee, also it can pay all the taxes automatically, generate report automatically, send reminder to me when I have to pay employee, and all the records are in QB, I say it saved me a lot of CPA money and saved a lot of trouble of calculation etc...

In QB online, I use it set up the customer, tracking inventory quantity, manage profit, and loss, balance sheet, review business reports. I basically use it every single day.

when I first get started, I do have questions, and QB customer service is always helpful. They are creditably friendly and helpful. I get a lot of training from them, it is such a good experience to talk to customer service team, and every time they know the answer to the question. I don't have to call help line too much anymore as I am getting used to the QB

Overall, QB is a great software for start-up companies. It can save you a lot of time and money, and well manage the business

Pros

1. easy to use, pretty straight forward
2. The QB on-line version covers pretty much everything except the inventory control ( bin locations)
3. Linked with our bank, we can do reconcile easily at QB
4. QB payroll is easy to set up, once set up, just click buttons to get things done
5. Great customer service, I enjoyed every agent I speak with, and thanks for all their help

Cons

1. The iPhone APP seems not so strong, I can't check my inventory quantity, nor my cost. But sometimes when I am traveling, it is easier if I can get this info from my phone
2. There are some actions can't be undone, but it is understandable

Advice to Others

If you are looking for a software to manage a start up business, I would recommend QB. Just make sure spend some time play with the software when you first start using it, and maybe get a basic training from somebody.

QB Online is great when you need access anytime, anyplace. Easy and simple to use, but lacks more complex functions such as inventory and job costing. Would like to see updates on this in the future. It's great for multiple users without having to pay the exorbitant user license fees.

My experience with Quickbooks online is good so far. It's pretty easy to use. I like the reports feature and the fact that it syncs with my bank.

Pros

Well known software that integrates with most applications. It's online so it's accessible from anywhere. My bank transactions and field service app accounts are automatically merged into Quickbooks online which saves a lot of time on adding these entries manually.

Cons

Because it's online I sometimes worry about data breaches and backup reliability. Payroll services are at an additional cost.

Advice to Others

I would advice others to use Quickbooks Online due to the convenience factor. The software is reliable and the price is pretty affordable.

I move everything to the cloud, and it best fits my requirements since it has integrated with many applications, be it Timesheets, HR or CRM.

Pros

1. It does not have multi-hourly rates nor does it take hours for Independent Contracts (1099).

Having used desktop for the first month of business, I tried the 30 day free trial of Quickbooks online, and haven't turned back since. I found online easier to use, with ease I could run payroll, put in expenses and payments, and print off tax forms and reports.

Pros

Profit and tax reports.
Payroll is easy to use.
Fairly easy to use.
Online, can do payroll and expenses from anywhere.

Cons

Had to use customer support to answer some of my questions.

Advice to Others

Vastly superior to the desktop version, fairly easy to use from day 1, easy payroll and report generating for tax season.

Recommendations

The best feature of Quickbooks Online is the accessibility by multiple people that don't work in the same office. It works well when my client wants to do most of their accounting and only needs some help from my office.

Likes Least

I don't like that entering transactions, journal entries, moving between screens and reports, etc is slower than the desktop version. We prefer using the desktop version in my office because of the speed but if accessibility is needed by our clients we will gladly use the online version. It also gets bogged down sometimes when downloading/syncing a lot of transactions. Usually in the thousands range. A lot of small businesses wouldn't be affected by this however.

Recommendations

If you need accessibility any time and any where the online version might be best for you. But if you regularly work in an office or use a remote desktop control software then the desktop version of quickbooks may be a better fit.

The program is very useful and has a ton of great features but it was very difficult to set up. We had to manually enter in all of our previous financial data even though we were transferring from QB Pro. That didn't really make a lot of sense. But after the difficult set up process, we really like the management of our financials.

Lack of data transfer. Considering we were transferring from the same program (QB Pro), there should be an easy data transfer system. There definitely is not. It was quite an ordeal.

Recommendations

Automate most processes so not much upkeep like installed QB version. Really like all the graphs and tables. Give me immediate expense and income amounts. Set up auto-invoicing to manage payments.

Cannot do payroll for independent contractors through QB online. Needs a solution immediately.

The quick turnaround of setting up an online account and being able to use on the tablet or smartphone is the big advantage this version has over its desktop counterparts. From my experience, small startups benefit greatly from this quick turnaround.

Likes Least

This is really a one-person gig meant for mom-and-pop shops. It is not the most ideal solution for accountants who work remotely and want to manage clients books. From an external accountant's POV, The GL is not as "clean" as the desktop versions and it is very hard to police. The inability to set up posting rules and workflows will cause major inefficiencies.

The stock reports also are nowhere near as deep as its desktop counterparts.

Recommendations

Highly recommended for mom and pops, not so much for external accountants. If Quickbooks is what is preferred by your clients, opt for a desktop version and VPN in. I've had a hard time making lot of adjusting entries and work extensively with the GL. From my experience, the desktop version is quicker and "snappier" and much easier to clean up data made by bookkeeper.
