QuickBooks Online is a Web-based accounting solution that caters to accountants and small businesses. It helps with bank reconciliation, tracking expenses, drafting invoices and monitoring financial reports.

The software enables users to download and reconcile credit card transactions. It also helps in organizing weekly timesheets and bank deposits, and enables users to take photos of bills and track expenses on a regular basis.

Invoices can be generated with custom templates, which can have company branded logos and desired fields. Since QuickBooks Online is Web-based, files can be shared with members across the team and also synced for simultaneous use.

Financial reports such as profit and loss, balance sheet and cash flow statements can be monitored from anywhere. Security features can be implemented by setting permission levels for each individual.

QuickBooks Online also allows data to be imported from other applications such as Paypal, American Express and Square.

Speed is great - multiple users permitted. Able to have multiple companies which meets our needs.

Cannot search while in a process like entering payments. Have to get out of the payment and go back in once information is obtained.

Recommendations

Be sure and ask lots of questions about the functions you use most often. You are limited to certain views of information and the ability to change them is limited.

The best feature of Quickbooks Online is the accessibility by multiple people that don't work in the same office. It works well when my client wants to do most of their accounting and only needs some help from my office.

Likes Least

I don't like that entering transactions, journal entries, moving between screens and reports, etc is slower than the desktop version. We prefer using the desktop version in my office because of the speed but if accessibility is needed by our clients we will gladly use the online version. It also gets bogged down sometimes when downloading/syncing a lot of transactions. Usually in the thousands range. A lot of small businesses wouldn't be affected by this however.

Recommendations

If you need accessibility any time and any where the online version might be best for you. But if you regularly work in an office or use a remote desktop control software then the desktop version of quickbooks may be a better fit.

The program is very useful and has a ton of great features but it was very difficult to set up. We had to manually enter in all of our previous financial data even though we were transferring from QB Pro. That didn't really make a lot of sense. But after the difficult set up process, we really like the management of our financials.

Lack of data transfer. Considering we were transferring from the same program (QB Pro), there should be an easy data transfer system. There definitely is not. It was quite an ordeal.

Automate most processes so not much upkeep like installed QB version. Really like all the graphs and tables. Give me immediate expense and income amounts. Set up auto-invoicing to manage payments.

Cannot do payroll for independent contractors through QB online. Needs a solution immediately.

The quick turnaround of setting up an online account and being able to use on the tablet or smartphone is the big advantage this version has over its desktop counterparts. From my experience, small startups benefit greatly from this quick turnaround.

Likes Least

This is really a one-person gig meant for mom-and-pop shops. It is not the most ideal solution for accountants who work remotely and want to manage clients books. From an external accountant's POV, The GL is not as "clean" as the desktop versions and it is very hard to police. The inability to set up posting rules and workflows will cause major inefficiencies.

The stock reports also are nowhere near as deep as its desktop counterparts.

Recommendations

Highly recommended for mom and pops, not so much for external accountants. If Quickbooks is what is preferred by your clients, opt for a desktop version and VPN in. I've had a hard time making lot of adjusting entries and work extensively with the GL. From my experience, the desktop version is quicker and "snappier" and much easier to clean up data made by bookkeeper.

Not well thought out. Confusing, inaccurate and way too much time spent with tech support.

Recommendations

Don't assume that because you like the desktop software that you will like the cloud-based product. It's a whole new ballgame.

The QBS Pro Online software is much more difficult to use than the desktop software. I used to have the construction version of qbs in desktop and absolutely loved it, but I can't say the same for the online version.

Recommendations

Make features more easily noticeable on the online system. For example, the item list is difficult to find. Also, the customization on the online version is not very user friendly.

I like the Cloud based part of the software. You can use it on the go or if a computer crashes you don't lose all of your Company File.

It goes without saying that having access to one's clients' books online is most convenient and it seems that the industry trend is to make accounting and bookkeeping services cloud based. This saves a lot of space on the computer and everything is always backed up and up to date. The customer services is very convenient being available 24/7 and the agents are fairly knowledgeable about the product and how to resolve problems that arise during the course of cleaning up and reconciling. One important tool is the option to attach documents and exchange them with your clients directly withing Quick Books keeping them safe and secure.

Compared to other versions of Quick Books, there are certain limitations in that transactions can become easily duplicated while classifying transactions and reconciling bank accounts therefore that would be one of the first things to examine when the books don't balance. There are certain business types such as home health care businesses that often need to track clients' bank accounts in addition to the company books. Quick Books treats all of them as company bank accounts and is unable to track them separately.

Recommendations

If you have a relatively uncommon business type such as the one I mentioned above, then a careful scrutiny of the limitations of Quick Books is needed to evaluate its suitability for the business.

I like keeping the customer's information and the employee's information all on the same software. I like how easy it is to access the software and program from all computers. We use the online version, and this helps with the nature of our business.

I do not like that the invoice and estimate template can not be edited. I also do not like that there is not a mass-delete button. I also do not like how you can not easily delete employees and all transactions tied to them.

Recommendations

I have used the Intuit family of products for many years, both personally and professionally, and was a QB ProAdvisor at one time. The Intuit software has always been much more user-friendly, and from a financial end user perspective, superior to that of the competitors. The interface and reports are modern, and not old DOS based looking, like many custom software can be. I like that errors can be easily fixed, and the audit trail in the online version is very useful from a management and internal security perspective. I do like that we can log in from anywhere, at anytime and have the information readily available, without having to use a third party software.

The QB Online version is a completely different interface, and has a long way to go to reach the quality and end-user ease of use, that Pro and Enterprise has long offered to customers. I have found QB Online to be riddled with issues, which has been extremely frustrating at times. I have called support many times, only to be told that this is still in a BETA version, and that there were no current solutions to the problems I was having. The interface is quite often slow and unstable, dropping changes and causing information entered to disappear. We are continually having it freeze up on us, where we have to shut it down, which does not save our work, and then re-enter the information.

Recommendations

Be honest and specific. Let the Vendor know why it is, or is not, working for your industry.

Quickbooks is the industry standard and the price is hard to beat.

Of course accounting is still hard to do for non accountants so many of our clients can get about 90% correct with QB, but struggle to get the final 10% right.

Recommendations

Just go with Quickbooks, there are some free solutions out there, but if you ever need any help (and you will need help) there are far more people who know Quickbooks than any other accounting software.

I use Quickbooks to keep track of hours on projects worked at the office. What I like best about it is that it allows you to look at the overall hours worked, dating back to when you want.

I'm not fond of how if you forget to save, then you lose your data you entered. Even though I haven't used it, I have heard throughout the office that invoicing through Quickbooks is a little difficult.

Recommendations

It's a simple to use software, and worth a shot. It allows you to keep track of hours nicely as well as jot down comments on each week. I like that quickbooks allows you to copy over the last weeks time sheet; it saves time as a lot of us are working on the same projects for months.
