QuickBooks Online is a web-based accounting solution that caters to individual accountants and small businesses. The solution helps with bank reconciliation, tracking expenses, drafting invoices and monitoring financial reports, among others.

QuickBooks Online enables users to download and reconcile credit card transactions. The solution also allows businesses to organize weekly timesheets and track bank deposits. Users can take photos of bills and submit them as expense proofs or share with the concerned stakeholders.

QuickBooks solution offers customizable templates that can be branded with the business logo and desired field to generate invoices, bills and reports. The solution also helps to generate various financial reports such as profit and loss, balance sheet, cash flow statements and more. Businesses can implement setting permission levels for different individuals to ensure secure accessibility of financial data as per the business role.

QuickBooks Online also allows importing data from integrated applications such as Paypal, American Express and Square. Other features include creating recruiting invoices, sending payment receipts online, configuring rules for payment reminders and tracking receivables.

Great Product Sans Time Tracking Feature

I love how we can access it online anywhere and any time. I love the invoicing to clients and how they can pay online. The payroll function works nicely as well. Overall it is pretty user friendly and super great as long as you aren't using the time tracking feature for employees.

Cons

The time tracking feature is awful. Our employees use it to log their time daily and the data just - poof- goes missing! We have called customer service nothing short of 20 times on this issue and they are not helpful. It is a very frustrating issue, so we are having to buy another 3rd party service to track time and import it into quickbooks. Frustrating as it is sold as part of the package.

A great program if you use every single aspect of it. If you only want a check register and payroll functions with 1099 and W-2 capability maybe shop around... I am :)

Pros

Quickbooks Online is a very powerful and through accounting and payroll program and has excellent technical support. They start you out at a reduced rate to see if the program will suit your needs.

Cons

Quickbooks Online is a package deal. You can not just buy parts of it. So if you do not need all of the package you still have to pay for all of it. I have also found that Quickbooks goes up on their price by about $10/month every time they make an update to their programs. This has happened 2x in the past 9 months in my case and I find that to be unacceptable.

Once set up properly, it's just a matter of inputting the information in each week to create the paycheck, then in the same area, make & record your payroll taxes too. Love that I don't have to go to multiple other websites to make all the payments. I can even e-file my 941,940, W-s's & W-3 reports online in the same payroll area!

Cons

Still have to go to L & I website to make payment & cannot file 1099's online (yet?). It would be nice to be able to fix errors in payroll when using the Accountant's copy too.

It is mostly set up for you in the beginning. This is a great system to get you started, but we quickly wanted to change to something that was more built for churches. QBO was easy to learn the basics. Quick start.

Cons

Not made for churches. Even the non-profit quickbooks is basically the same. There is not really a way to keep track of ministry funds with out having to manipulate the system and by the time that is done it would have been easier to go with a system built for churches that tracks funds, attendance and giving all in one.

utilizing the active and unactive employess application was a bit confusing at first, but customer service was able to help understand. The POS system has a 2% gross processing fee, we ended up utilizing a cheaper alternative.

I highly recommend QBO as a solution for small businesses. I also suggest integrating with Hubdoc (document management and vendor invoice entry) and Plooto (online payment system).

Pros

Ease of use, integration with time-saving 3rd-party apps, accessibility (online, phone), constantly being improved, visually appealing interface, no infrastructure costs (servers, IT support, etc).

Cons

Overall good software, one of the only ones for good book keeping but it is costly.

Pros

I like that you can easily import transactions from the bank and it will automatically label them. Using the accounts and reports are easy as well.

Cons

The price seems to be high for small businesses, would be nice if it was based on some sort transaction or dollar amount. I've also had some issues where it has double imported transactions from the bank and can be timely when trying to find where the balances doe not reconcile.

Good for a small business person that needs a way to easily manage books, but a growing company shouldn't use this product because it can't scale with you. Removing users was a pain and there is no online support other than a chat room. They have rested on their laurels with this product and I would not likely recommend it to most users

Pros

Availability in an online format gives you accessibility anywhere. It's relatively easy to set up and most bookkeepers and CPAs are familiar with the product.

Cons

Lacks all of the features and not nearly as robust as the desktop version. As a result we have had to sync the product periodically so that our bookkeeper can perform monthly reconciliations. Lack of support and new releases really amount to a "new look" not new features.

Fine except payroll and reports

I feel that the support staff have been placed in a bad position because the software is still so buggy. They should not have released payroll until it was ready and the sales team needs to better set expectations. The support staff can only do so much with buggy software. In addition, the engineering team needs to be properly staffed to resolve critical bugs in a reasonable time frame. Over 1 month is unacceptable for a severe bug that is preventing use of the payroll module for more than one customer. I was torn between giving the software 2 or 3 stars because of the pros above but I think they should understand that they can't push out poor quality, incomplete modules to try to compete in the online market and not properly set expectations. There are good alternatives at this point.

Pros

Cons

Payroll is a disaster and payroll reports are really bad. I noticed that most reviews on here do not mention payroll and I'm sure that's because many don't have this functionality enabled. I feel that QBO is trying to push users toward their full service payroll service by not focusing their attention on this module. It is an absolute mess. First of all, there is no integration between QBDT and QBO payroll modules. The data does not transfer from one to the other well at all. What does transfer is very incomplete or incorrect data. The manual data entry required is tedious and very bug-filled so it doesn't work correctly and requires chat or call-ins to the support line to complete. The functionality does not allow for customization of the posting of deductions and causes a lot of manual follow-up work from payroll that is completely unnecessary and which didn't exist in QBDT. In addition, they have many more bugs once in "operation" and some are severe and some are minor but annoying. The severe make it so that I have not actually been able to run payroll in QBO yet though we switched on 5/19/17. I had to run two payrolls in QBDT so far and then manually reproduce them in QBO. That is pretty severe in my opinion but still no resolution from their team. I did get them to credit me the fees for the month. Others such as the Total Pay column being nonsensical and not matching the total of the Gross Wages plus other compensation are just really annoying. The fact that you can't customize payroll reports AT ALL is maddening.

In addition to the above, there is an extremely annoying issue for nonprofits. If you select Nonprofit 501c3 as the type, you have to use "Pledges" as your terminology. You can't use "Invoices". I have worked around this by selecting Other/Not Sure as my type but it requires me to change it back whenever I set up a new employee in order to allow designating them as exempt from FUTA. So far, it seems to hold the exemption when switching it back to "Other". However, since I haven't been able to run a real payroll run yet, we will see. Many nonprofits don't utilize pledges and though you can customize the forms to read Invoice in the email, you can't change the language appearing on the Sales module and attached pdf invoices auto-name as Pledge #X when sending to customers.

Mobility is great. Loading time is good. Accessing my accounts from mobile, desktop or tablet has been seamless.

Cons

I have been using Quickbooks Online for 5 years and overall I am pleased. There are some features that you have to get used to after using the desktop version, but it does what I need for my small business and pulling a report is quick and simple.

Pros

Quickbooks online is user-friendly compared to some other bookkeeping software and has all the features I need to run my business. I love that I am able to access it anywhere with internet access.

Cons

Cons

There are many things that I could mention in the cons, many of which don't seem major, but combine into a more disappointing experience than you get from the desktop version. For example, the '-' character is not interchangeable with the '/' when typing dates. Also, any sort of drop-down box that one might expect, such as a search of customers, vendors, payment types, accounts..., don't seem to do the search locally. So instead of having the options come up immediately, one has to wait for the server to give the appropriate options before selecting. Reporting is much more limited in this version compared to their other options and exporting data is not as simple for both the standard Excel export or if you have drifted into their QuickBooks odbc exporting.

The access you get to do accounting remotely or access files when in meetings is amazing. I like the cloud set up and think it is a promising future. The chart of accounts once set is easy but a bit clunky to set up.

Cons

Don't rely on Intuit to help with anything except collect your payments. The help desk is no longer qualified to answer basic accounting procedures that are software related but accounting speak. I found it frustrating to call a help desk who can offer no support except troubleshooting login and internet connectivity.

I like the fact that it's online, but there are some quirks that I wish they would fix. I like that you can link to bank accounts easily.

Cons

The overall site navigation when trying to input payments or bills into your account is sometimes hard to figure out. I wish there was an easier way to use the platform as everytime I use it I feel like I am re-learning the software.

I like the fact that my accounting software is attached to my bank account so I can know exactly how much money I have in the bank. With the ability to accept credit cards I can know who's card was declined and who has paid their bill. And the best part I can do it from anywhere there's an internet connection.

Cons

The most difficult part about this software is remembering how to set up recurring transactions using a sales receipt.

For starters Intuit does not manage the online version, in fact it is not the same software by any means! after spending hours and hours switching over to the online version from our mac version we found that many desktop features were not available and they are not to concerned about making them available in the future i.e.; progressive invoicing!!! very disappointed.

I use QuickBooks for charting expenses, and keeping track of my budget form my small business. I like that I can automatically update my banking info after logging in. I also appreciate the charts and other visuals.

Pros

Ease of use when first starting to use the software. I also like that my banking information is uploaded.

Cons

Categorizing items, such as vendors vs. customers, and also going in to check that items downloaded are in the correct categories is not as intuitive as I would like.

We've been using the online version of QuickBooks to do the same basic accounting and reporting for several years. The prices have gone up but we haven't seen any real improvements. Changing over to another platform would take time and effort, and I'm just not feeling like doing it. Otherwise I'd dump QB in a heartbeat.

Pros

Well understood by accounting professionals

Cons

Recently they changed the user interface. Takes more effort to find the things I use than the old version. Just a bunch of software engineers trying to justify their overpaid existence IMHO.

Advice to Others

Try out some of the other platforms first. Make sure you really need Quickbooks before committing to it. For many small businesses it's overkill and more recently introduced accounting platforms offer everything you need for less $'s.

I save time and money keeping the books. I know exactly what is going on at any time.

Pros

I enjoy the ease of use and being able to update, code and balance daily. Reporting features are great and easy to use. Online support is pretty helpful if you get the right person. I am able to have all bank accounts in one place. Reconciliation is a cinch with this software.

Cons

It's not super intuitive so you will need an accountant to help set up complex transactions. Sometimes, they make changes and you don't know about it until it occurs - maybe I didn't read the email...

Not for experienced quickbooks desktop users. This is more for beginners and nonaccountants.

I do not find that for me there are any benefits.

Pros

The ability to access it from anywhere is the strongest most valuable part of this software. Customer support via the chat option is remarkable. 95% of the time you can chat with customer support and solve your issues or ask questions and be able to move on quickly.

Cons

QBO is not accountant friendly, the ability to modify transactions is very limited. The reports that you are use to accessing in the desktop version is much different with the online version. With newest changes they have made to QBO I feel like if is even harder to find what I need to do my job as an accountant/bookkeeper. I sincerely dread working with clients that have online versions of QB. In fact in most recent cases I have set up desktop version for me to use and left the QBO for the client to use. Which is time consuming and costly to the clients.

Quickbooks online works great! But you have to pay for each additional company which makes it expensive. I would recommend that you double check if there is a better option out there.

Pros

Works great, looks nice.
Awesome on your phone.

Cons

Pricing is not the best. They don't give great discounts.
Support is ok, not great support. But ok support.

Advice to Others

If you have more than 1 company that could pose a problem.

The ability to track my expenses

Pros

This is such an easy way for me to keep track of my business expenses throughout the year so I highly recommend it to business owners

Cons

I wish there was a way to automate more of my financial data son I don't have to personally input certain information that can't be pulled from my banking data.

Most CPA's and Bookkeepers either use this software or are familiar with this software. So we were easily able transfer data from one CPA to another CPA.

Pros

It's online, easy to access, my Bookkeeper can easily access the information along with me. I also like that I can transfer data from a USB thumb drive or send to my Dropbox file and can access anywhere.

Cons

Pricey for what I get. I don't feel there should be a monthly access at that high rate. Not really user friendly if it's your first time using an accounting software

It has made my task easier and I am able to complete my work at a faster rate thanks to the easiness of the reports that I am able to retrieve from QB.

Pros

I love the easiness to create the reports that I need such as Pay Bills or Unpaid Bills. It is also amazing that I am able to review past years so that I know what the projected finances will be for upcoming years. The reports really help to keep an eye on things and have helped to increase or savings.

Easy to use. The online version synchs across all of my devices and synchs with all of my financial accounts.

Cons

Internet access required to work on accounting file. This can be tough because I travel and sometimes internet is not available.
