Workfront (formerly AtTask) is a cloud-based project management solution that helps teams prioritize, route, manage and report on their work. It is suitable for businesses of any size and industry including IT, architecture and accounting.

Users can access a library of standard reports, or they can customize reports to meet their specific needs. Workfront offers tools to help visualize the work lifecycle, so users can maintain project schedules and budgets. Users can drag and drop tasks to assign them to team members, shift assignments and organize workflows through the visual interface.

Communication tools allow employees, account managers and executives to collaborate, assign work, track deadlines, check status updates, deliver work and manage reviews and approvals. Resource management tools allow managers to assign tasks, track performance and allocate resources. Methodologies such as Agile, Waterfall and others can be implemented with Workfront.

Pros

Unlimited customization and personalization of every feature – including custom fields for reports, and projects. Able to streamline all work and communication between departments onto one platform, as well as eliminates unnecessary emails. You can update colleagues about a task or project on the platform instead of via a face to face meeting, phone call, or email. The Workfront team guides you to build out the program and is available if you need advice about the best way to structure the program for your needs. I also love that the program is cloud based and available on a mobile app - so it's accessible virtually anywhere! You can also use the program to collaborate with people outside of your company - e.g. share documents for 3rd party review or update a client on their project progress.

Cons

You need to purchase a minimum # of licenses in order to use the software so this can be expensive. Since the program is so customizable, expect the build out of the program to take a lot of time as you need to insert all of the information into the program.

I liked the ability to collaborate with different people within the organization. If I were working on a project it becomes very hard to assign different tasks to different people. Workfront allow me to collaborate with different people within my team and assign tasks and responsibilities.

Cons

The dashboard looks daunting. The user interface has a learning curve associated with it and takes time to get used to. Though once understood the UI is fairly easy to navigate.

User management helps with permission levels

Powerful project management software

I used Workfront for two years and was continually amazed at how feature rich it was. The Very extensive backend to manage resources, evaluate budget usage, forecast completion timelines, etc. However, it wasn't the easiest to use... mainly because there was so much functionality it was hard to get your head around it all. However, while I was using it they released a "team home" product that allowed you to give certain "light users" a frontend that had less functionality but everything most basic users need. This was a great decision of theirs as it truly helped with user adoption.

Pros

Very powerful software! Rich gantt charts, resource/capacity planning, etc.

Cons

Sometimes too hard to use because of how to feature rich it is.

Advice to Others

If you're a power user and have a dedicated project management team, then this is the software for you!

This product is excellent for those who have worked with Salesforce. The product generates those same reports and material that you become accustomed through Salesforce. Additionally, it is great for document retention. The dashboards are also incredible feature. Once again, it is definitely a Salesforce type platform, so it may take time to get used to, but these are great features.

I used to use it to track projects I was working on at a marketing agency. I also used it for keeping track of my time. I used it around the time it was transitioning from AtTask to Workfront. The transition brought some good changes but I still think more can be done. The user interface wasn't very sexy. We constantly had issues with replying from emails and having them show up on the task/project.

Pros

Managing my time sheet was pretty easy to do. I liked being able to customize my notifications.

Cons

The default settings for notifications was annoying. I believe they were all checked which meant I got an email every single time anything about the project was changed. I think the user interface can use a facelift.

Advice to Others

It's a good product for tracking projects but I'm sure there could be something better out there.

This is truly an enterprise level of project management tool. The feature sets covers the whole life cycle of the project management, from roles responsibility, planning, scheduling to task level management. The user interface is rich and easy to use once you are used to it. The collaboration functions are nicely designed and works very well.

The price is quite higher than other project management tools. The learning curve is bit steep if you want to use it efficiently.

Recommendations

Start with the trial and get familiar with the UI. Use the more advanced features, like APIs, only after you have a good understanding of how the system works.

Everything we needed from PM software.

Pros

Easy access, web-based intuitive interface that flows with a project manager's thought process. It allows tracking of issues, updates, and time spent- not to mention staffing and Gantt charts. There is nothing missing from this PM tracking software from my standpoint.

Cons

It is complicated, but so is Project Management. You can ramp this software up to detail the many choices, decisions and processes involved, but you may intimidate new team members with it.

You really need a workshop to implement it in your company. It's a complex software and not intuitiv in using. Some features are still missing like restore a wrong deleted task but they are working on it.

Having a singe route for the marketing operations team (our internal agency) to take in work has created more structured, more consistent intake so work can be assessed more easily. It has completely stopped requests getting stuck in peoples email inboxes or sent to the wrong person.

We now also have greater visibility of projects and requests. Can asses the type and volume of work so we can schedule resources easier and plan for future recruitment better.

Pros

It has broad functionality and follow typical project management flows and tools such as agile and different project views.

It is rich enough to run complex projects and you can simplify it to make it easier to use for users that have no or limited project management experience.

The system administrator can do most, if not all, configuration so you keep control of the system in-house without needing consultancy.

I particularly like that you can report on all fields in the system, even against custom forms, so if you have a non-standard project need you can report on it.

Cons

Out of the box there are no templates or workflows, which means you start from scratch. There would be nice to have had some basic flows to start with.

Some of my colleagues in the marketing team found the broad functionality, needing to access different screens to do different work, quite intimidating. This can be solved with custom dashboards, but as a project management tool designed for marketers (who don't usually have project management training) having an out of the box 'simplified view' would be good.

Pros

Personally, reporting is the most useful for me. I run reports daily to glean information for resourcing and future project planning. For our editors, the project plans are vital to manage 100s of tasks in one place and assign work to their team members.

Cons

It can be slow and temperamental at times. Dragging and dropping tasks is a no-no! You never know where it will end up! It is largely intuitive but I have found that it is only by trial and error that I have learned how to ask for what I want to see in reports. Not always immediately obvious. Updates can affect reports also and render them useless / not working as they were before the update.

Pros

Very high communication capabilities: very advanced tools for designing and customizing dahsboards.
Strong capabilities in defining customized forms (custom data)
Vey advanced API interface (we used them to interface Workfront with 4 different products)
Powerful setup capabilities which are really great.
The product is very felxible and can match any kinds of project types.

Cons

The learning curve is quite high if you want to take benefit of all the powerful capabilities.
The product has currently two GANTT charts (a legacy one which has an advanced graphical designer built in Flash with no evolution, and a new one in HTML). The new one is simple and promising but needs further graphical enhancements. There are on-going implementations.

Easy to use and intuitive. great customer support and immediate response if I have a problem. This is then followed up with emails. all in all, I am very happy with this software and support.

Cons

hard to find something I don't like, but error messages don't explain well enough what I have done wrong!! this is common with software, so is not an isolated problem, but is frustrating. Ideally it would code the error but then tell you how to put it right.

Ability to quickly show the executives current state of projects. Can customise Workfront to many different applications

Pros

Great flexibility with Custom Data, API seems to work well and is quick, Reporting can allow us to access data quickly

Cons

No apps on reporting. iPad app is bad. Technical support can be difficult to escalate issues. No Web Hooks, no automated workflow options. Resource planning doesn't work for teams rather than job roles

Visibility, accountability and realtime project status

Pros

It provides a user friendly way of obtaining project visibility and also drives accountability across delivery teams. I was responsible for lobbying for Workfront within our business and this has shown clear benefit and results.

Cons

Reporting could be more user friendly; would be great if dashboard views could be replicated as reports that could be distributed as PDF's for example. Being able to cut and splice project data would be a powerful sell to key stakeholders.

It has increased the visibility of projects across the firm. Also, allows us to gather our monthly status reports via the tool.

Pros

its a collaboration tool for project management with the possibility of resource capacity planning.

Cons

Current report functionalities do not provide adequate flexibility. With limited resources I'm the only admin and I'm not technical but it would be good to be able to do some basic API myself. Difficult to reconfigure the tool following structure changes/a lot of resource changes.
