iOffice is a modular web-based facilities management solution that touts tablet and smartphone compatibility. It offers integrated applications such as Space Management, Move Management, and Lease Administration; each can be implemented as a standalone solution, or within a suite.

OpenSpace is a native mobile room reservation application that gives workers the capability to reserve space via smartphone, desktop, or tablet. While many companies use Outlook to create meetings or invitations, this system doesn’t actually reserve space, assets, or service. With OpenSpace, users can easily book space, invite guests using calendar functions, coordinate services like AV equipment, and get turn-by-turn directions to the space. It also offers reporting capabilities, so team members can easily see how their space is being utilized and much more. However, for users currently on the Outlook platform, iOffice offers a full Exchange integration.

iOffice is typically recommended to companies over one hundred employees in many industries, including banking, healthcare, manufacturing, and real estate. They serve over 1200 enterprises globally, including Home Depot and BMC Software.

iOffice is more like a partner than a vendor. The solution is simple on the user end but still provides enormous detail and reporting functions. Everything I was looking for in a CAFM solution.

Recommendations

Cost is a key driver for this product offering. Learning curve was fast and the modules were easy to navigate. Real-time data is key to running a high churn organization for space management and forecasting.

Love how user friendly this software is. The look and feel of working in this software is very easy and fun to interact with.

Nothing really to say here. Because every time I do have an issue, they are quick to respond and fix.

Recommendations

If you don't like what you see at first. COME BACK! I found out that they are always updating their modules to what customers have suggested. So therefore the module I skipped is one I'm back checking out. :)

That employee data is sent to iOffice so there is no manual entry. It also give employees real time data regarding where employees sit and locations of conference rooms.

The space module can be really slow to load. iOffice has been great to work with but sometimes they don't always know the latest updates about their tool.

Recommendations

Get IT and HR involved from the beginning. They'll be incredibly helpful getting the data into the tool.

I enjoy the product's ease of use. I like that it's modern and intuitive, and I like that you don't have to be very technical to use it. I like the reporting features. I like that it integrates well with other systems that we may have in place, and I really enjoy that the system is highly configurable.
iOffice as a vendor is also great. Their staff knows the product, and it shows. They provide training during the implementation process so you can test run your system and make quick corrections prior to the rollout.

To be honest, I'm having a hard time trying to think about something I don't like about the system.

Recommendations

Make sure that your data is scrubbed clean before you turn it over to the vendor. Freeze moves during the space and move management portion. Make sure that your CAD drawings are up to date. Take the time needed to think about how you would catalog your ticketing system. Do your due diligence so that the end result is what you expect.
