Maintenance Connection Software


 

Maintenance Connection is a cloud-based software system for maintenance management. It is suitable for businesses of all sizes in general facilities management, healthcare, manufacturing, government, utilities, warehouses, energy development, travel agencies and other specialized industries. On-premise hosting is also available.

Users can manage lifecycles of assets, track and manage maintenance costs, keep updated on possible equipment failures and allocate resources. Integration capabilities include enterprise resource planning (ERP) software and computer aided facility management (CAFM) software.

The homepage for each user can be configured according to their role in the organization. Work assignments, requests and other current objectives that need immediate attention are highlighted in red. A customizable calendar depicts employee work schedules and how they relate to one another. The My Matrix feature displays work order information using an editable matrix. Maintenance Connection runs on the Microsoft SQL Server Relational Database Engine.

limited usefulness with Ipads

Our technicians use Ipads to access the program, and they are very limited in what they can see and do. When work orders are in a complete status, they are not easily accessible form the ipads, which limits the information the next shift has to see what has been done. The work orders only have a very small text line so it is awkward to type in and to see detailed notes or reports from the Ipads. Since the techs cannot access the information, the reports tend to be very brief and lack details that could help other techs if the same problem comes up again. The company wants to save money on the number of computer logins, so techs do not have regular access to see the work orders on a computer, and the program works differently between the Ipad and computer so they cannot use the computer efficiently when they do manage to get access through one. I have tech level access, but still receive automated reports which can be helpful to see what is going on; I do not see what flexibility there is with creating new reports or using the program to track specific techs or shifts.

Pros

It is helpful in tracking work that needs to be done. It makes assigning projects to specific technicians easy, and tracking how long it takes to complete projects.

Cons

Tablet program is awkward and very limited use when used on its own.

Advice to Others

Consider how you will be using the program. Computer access for anyone that needs to create, respond, and complete work orders is critical since the tablet functions are not conducive to detailed reports. MC express helps, but that can be a bit awkward as well.

I am a very tech kind of guy and I really like it when I find a software that is viewable on multiple devices. With this software I was able to see what was going on with my properties on my phone. It is also nice being able to see who has paid and who has not in one place.

As the software analyst for Facilities and Services, my first task was to upgrade the current system to a web version. The upgrade went fairly well until we moved to paperless, which included ipads for technicians. We found many limitations that were put on the software and I was forced to make work arounds in order to operate. After a year of frustration and complaints not only by our department but, by users putting in requests, I was given the task of researching other software vendors. We looked at many of the top ten facilities management software packages. Some vendors even came on campus to demo their product. The minute we looked at maintenance connection, we were sold. Here are some of the key points that we found different about maintenance connection. First thing that caught my attention was the fact that there are demo's and how to's on you tube. They are out there for everyone to see. It's not a secret. This told me they are open and not one of those companies that wants you to pay them just to show you functionality. The next selling point was the fact that the requestor can put in a request from any device. They can log into the requestor on their cell phone, ipad, chrome book.... There is not extra module to buy for that. Once I found these items, I set up a demo with them. The person that did the demo was amazing. He wasn't just a salesman, he knew the software and could answer questions about it. This is something I had never seen before. When he demo'd the calendar function (you can assign techs on a calendar), the maintenance manager got very excited. When he showed how easy it was to change a field name just by right clicking on it. I shed a tear. I couldn't help it. I was in front of all my coworkers and didn't want to show emotion but, I was overwhelmed by just how easy everything is. This software is a system admin dream. Six of us went to the user conference this week and all six of us came back with very happy faces and so much excitement. I could go on and on about how wonderful this software is. If you have struggled with your facilities management software, just look up maintenance connection on you tube. If that doesn't convince you, let them demo the software for you. You will be truly amazed!!!!!

GIS viewer lacks functionality. Integration with ESRI is lacking. Maintenance Connection is constantly working to improve their product and they are working on improving the GIS functionality.

Recommendations

We use this product for tracking information on water and sewer utility assets including pipes, valves, manholes, fire hydrants, pump stations, sewer lift stations, and buildings. Before using this product, or any other maintenance tracking software, you need to now your needs and your work processes. Make an effort to try not to duplicate bad processes. Take advantage of the tools available to improve the way you do business.

There is very little that cannot be done with this product if one has the time to learn and utilizes the support and education that they offer.

There are so many features that the software can be overwhelming at times. The user has to be careful and get support in order to avoid unwanted results of experimenting with some of the more powerful features. This isn't a problem though, since MC offers plenty of support and education.

Communication within our department is streamlined with WO assignment notifications and the use of MC Express by our technicians. Updates to work orders can be made in real time in MCX so the base office is aware as soon as repairs are completed. We can also directly email contractors of their new work orders and allow the requesters access to view the status of their requests. Also, the user support is timely and almost every time has responded with clear instructions for resolving our issues.

We are looking for a clear, streamlined method to develop "tiered work orders". There are some options within the software to do this, but not the exact way we envisioned.

Recommendations

The County of Santa Barbara has been using the software for approximately 5 years. We use it for all our work orders. The navigation is good. We use it for preventive maintenance.
The software can do a lot more than we need.
The reporting is just "OK". This is the area they can improve on.
A great feature is, we store all our building blue prints in the software and we are starting to put in service manuals. This way the maintenance staff can see the prints and the manuals when he gets a work order on his smart phone.

The initial installation of the software was the fastest I have ever seen¿ just a few hours for the webservers and sql server.
Putting the data in the software takes years and we will be inputting more data every year.

The navigation tree is great,,,, like windows explorer,,, easy to move around in the software, things are easy to find.

Good software product.

I have been an user for at least 10 years. I have implemented two systems. My original application in a union environment and seasoned work force was supposed to an impossible task. MC is such an easy product to use that I had zero by in issues by my work force. My second implementation was in a much smaller environment and was implemented in no time. Great product.

I have called into MC several times for various reasons over my brief period of use. I have always found the staff more than helpful. As a company I find that MC stands behind their product, and values in a way that proves that they care, not only for the bottom line, but also for the experience of he user. The functionality of the system is so versatile that it can accomplish things for a variety of industries. I look forward to learning more about the system and it's applications going forward and applying it to our industry.

One item that I have had trouble with in the past, was as a new user, learning the systems capability. While MCU is a great tool, I have found that the videos are a bit dry and hard to stay engaged during. The supplemented examples are a great feature and I find that they are often times more helpful.

The more I learn about MC and its applications the more I would like to incorporate it into our business. Thank you for a great product.

We are excited to see the full potential of this software in our environment. It was purchased over years ago and we are really just beginning to use it primarily for our vehicles at this point. We look forward to using it for our lifts and hopefully our facilities, as well. Customer service is great. I feel the MCU should be included in the annual subscription. The videos and technical help is not as helpful as calling. Videos like the ones used in Lynda.com would be more helpful. I think the checkpoint is great, but feel the sessions go too fast and should be a little more in depth. They have to move fast to stay on schedule, so maybe recording them and posting after the event or even sending to attendees afterward. Possibly even sell as a one time subscription to businesses that didn't attend??

Pros

CUstomer service is awesome, comprehensive reports, great for asset management, etc.

Cons

Not intuitive, ease of online help.

Support is excellent.
Web based makes it lightweight. Though being dependent on the web also depends on the robustness of the internet. Remembering to save often helps.
I am pretty new to the application but looking forward to learning more.
One thing that would help:
When a user performs a PM and that PM cannot be complete due to an issue with the asset, the user then clicks Create Follow Up Work order. But the user has to manually go create the new followup work order. What would help would be that when that Create Follow Up work order is checked, it triggers a New Work Order window with the failed PM work order number in the Details.

I find the program easy to use. I have a lot of employees who are PC challenged but they can still use the features of MC with little difficulty
