MINDBODY is a cloud-based club management and appointment scheduling solution designed for the needs of small to midsize businesses. The product is primarily used by gyms, fitness and personal training centers, salons, spas and massage centers, wellness centers, dance schools and yoga studios.

MINDBODY offers features such as scheduling with wait list management, appointment booking through Facebook, automated scheduling of email and texts and online bookings. Memberships can be managed through MINDBODY as well.

MINDBODY also features a toolset for marketing management. With MINDBODY, notifications and alerts can be set up for customers, targeted marketing campaigns can be launched and marketing reports can be generated and assessed.

MINDBODY also offers staff management features, which include check-in and check-out management, role-based permissions, payroll management and calendar integration.

MINDBODY offers custom API access that enables third-party developers to integrate their platforms with the solution. The product offers a marketplace for applications that can be integrated with MINDBODY, such as Spafinder Wellness 365, Xero, Perkville, RelateLOOP, Zcubator and WaiverKing.

Pros

Not much positive about this software. Once setup (see bellow) kind of works, poor layout. My clients didn't like the way and trouble they had to go through to book.

Cons

Can't send sms reminders. Leave a message they'll call you back... Maybe in 2-5 days, emails worst. takes 3 to 5 hours to setup with staff over the phone. Staff don't seem to know the product. Very hard to change classes (days/times). After clicking any changes screen flashes, nothing to tell you that it has saved changes.

One of favorite things about Mindbody is the fact that it's so easy for our patients to pay for our services before or after getting treated without having to go to the receptionist desk. As well as paying for classes thru the Mindbody app.

Cons

I wish Mindbody had medical billing thru the app with a clearinghouse. That'll be so convient for our business.

Not Impressed with Mind Body just don't go there

Mind Body you really need to buck up your ideas, you have a rigid system that is overpriced in an increasing market full of new software. Many of my friends and colleagues are moving over to Go Team Up and let me tell you, the customer service is second to none.

Cons

Receiving payments from credit card processing was a NIGHTMARE, 10 days to get money and 8 months of constantly contacting them to see if anything could be done. In the end they asked me to shut my merchant account down and set a new one up and this did nothing.
Customer services is awful, there are a few who answer the phone who clearly don't want to help you out and reply with short answers making you feel awkward and stupid for even asking.
They put their prices up and gave me NO warning of this, price increase, disgraceful!!!!!
Reporting system is limited and to find the right one you've got to contact support who take ages to answer the phone, there are so many ways to run a report that it's hard to learn the process.
Their system is hard to use, it's not user-friendly.
They have no loyalty for customers, when I gave notice to leave they accepted it and moved on, no one contacted me to even find out why I was leaving.

I really like how easy MindBody is to use if you have a small business. I also really appreciate the customer service even if it takes sometime to reach a tech.

Cons

BRANDED WEB. Because MindBody bought HealCode, but hasn't made a lot of updates to it, HealCode (Branded Web) does not provide the features or functionality needed to use it with MindBody/our website. The only answers I ever get are "No" and "We are working on it."

I can see great potential with this software, but the improvements are made to function better for Yoga studio/Gym. There should be something that makes this software geared to the type of business that you are running. Hair salons carry A LOT of inventory and that are of this software is a sore spot. Being able to keep the calendar open and functioning while checking someone out is a must, as pre-booking an appointment usually happens simultaneous of the guest being checked out. Very pretty look, good app, but needs some work to be more marketable to the Hair world

The scheduling is so easy to use and most importantly it is easy on the eyes. You look at the schedule and it makes perfect sense. You aren't having to hover over anything to figure anything out, what you see is what is it. The payment taking is also so easy. I have been using this for over 5 years now and they continue to make updates that are so helpful. The reporting system is also another huge plus. I honestly can get every report I need from Mindbody.

I have worked at other establishments with scheduling systems but none of them compared to mindbody.

Likes Least

Sometimes they do get rid of features that I like to use and it throws me off and then I have to figure out a new way of doing the task I am doing.

Recommendations

Watch the tutorial and what they show you is truly what you are getting. It really is that simple to use. It is honestly the best scheduling software you are going to find.

MBO does a good job at storing client data and many people already use the MBO app. The app does not work for us, because we have our own, but if you are trying to build a client base it would be a good too.

It is not set up to work well with studios that have multiple locations and the reporting is not accurate.

Recommendations

MBO is the most widely used software for gyms and studios. It works well for a small business but runs into issues when business get more complex.

It lists classes is in an easy to read format. It is pretty simple to click and add classes you would like to prepay for.

I attended classes at several businesses that utilize this software, however, I have to create a different login for each one. It would be nice if somehow they were linked. For a moment I thought they were because some employees at these establishments have asked me if I have a MindBody account. I did, just not for their specific business. So perhaps the marketing/training/definitions for this could be better.
Also, I am not sure if this is a result of the computers certain establishments are using or the actual software, but the payment process on location is very slow. It can hold up the line at busy times.

Recommendations

This seems to be great for managing a large number of classes offered on a daily basis as well as smaller amounts. I think there is a nice range in showing if a class is full or not compared to just showing the schedule. It seems to cater to the businesses needs well.

It was relatively easy to setup and get going but I wished that I had more alternatives to test before putting my entire business on this. I am seeking an alternative.

Pros

MindBodyOnline is used across many studios so it is easy to use. It does most of what I want it to do but not necessarily without workarounds. I really wanted this to work but it's now getting my financials wrong and this is huge for me.

Cons

Very buggy. The phone app acts differently than the web browser application. It's making it nearly impossible to trust my appointments, sessions and payments for clients. I run my studio with the mobile app and it's getting increasingly challenging. As I am a small business, I feel that I don't have much weight to influence positive changes to the app through customer support. I've been told it's because I'm on an entry level version of the app and that if I upgrade I can get what I need. I don't feel that spending extra money after experiencing ridiculous price hikes over the past 2 years will help. I am desperately looking for an alternative to run my business. I've tried several times to talk with customer support and they are always very friendly and try to be helpful but I think they are limited to how the company is being run. I was told to email the CEO directly, I did that 3-4 times and my emails went unanswered.

If there is anything I can tell you not to use:

Referred by Relationship- It mixes packages and false payment information between those two clients

Booking appointments by mobile app- It allows you to book and it automatically takes sessions from their package and reserves it for that session. When you check how many sessions they have left, it's not accurate because it already reserved these sessions so it looks like your client is due for payment when they are not. The web app does not do this!

Cons

Going from an installed software to cloudbased is a little tricky. It's slower than what we're used to.

I am able to fully commit to member relationships based on what is available to me thru MBO. I am able to contact and connect with every member and track that interaction. Once we transition to memberships on the program it will be nice to have ALL information in one system instead of toggling back and forth between multiple.

Pros

I love that we can track every interaction we have with our members. We are able to have a continuous relationship with our members solely based on our contact logs and every person that follows up can use that contact log to keep the relationship strong.

You are able to track EVERY aspect of running a business, from revenue to member activity. One program to rule them all.

Cons

There is so much and if you aren't in MBU then you may not have the ability to utilize all aspects to their full capacity.

The easy of use and the customer support. I use online chat all the time, and it's great knowing that instead of fumbling around and trying to figure out what to do, I have someone who can walk and talk me through every concern, so that my clients get professional service each time.

Cons

As a start up small family business, we struggle with the cost of this. And the accelerated software is a huge cost which we cannot afford, but I wish there was some sort of packaging that makes it a bit cheaper.

Cons

There are some basic features that can be challenging to use such as making sure workshops are set up the right way. Recently, we overcharged a client because the screen was hard to read and understand on that client's account. We figured out ourselves that the client had been potentially overcharged. Even customer support wasn't able to figure it out.

That I cancelled it. I'd like it if I got my money back. I like if they told me it wasn't suitable for my business, before I signed up and they took my time and money

It's ridiculously complicated and time consuming to set up. A trainer calls you once a week with a 45 minute tutorial, it takes weeks to set up and seriously wasted a lot of my time and patience. After all the time and trouble, mine couldn't be set up, as my business is in various locations. I explained this to them, during their sales pitch. They could have told me it wouldn't be suitable for me, before I signed up, I had explained what I wanted. I went thru weeks of nonsense with them. If you call them, you'll be passed from one operator to another, I was on hold today 1 hour. I had to cancel my subscription with them. And then, the final kick in the teeth, they're keeping my money!!! They've done nothing but cause me hassle and they're getting paid for it! I'm beyond disgusted. I wonder how many other business they promise a service to, can't deliver and then keep their money.

Usually works and looks pretty good on client-facing side. It looks like 1998 on the back side and runs beautifully by 1998 standards.

Cons

Bugs. Lack of integration with other software. Bugs. Lack of integration with other hardware. Bugs. Makes your accounting WAY more difficult because of : bugs. We spend money to hire and employee so they can fix the errors caused by bugs. Angry clients who have been marked as "unpaid" because of bugs. Angry employees because nothing is intuitive. Angry business owner because I am a UX professional by trade and MINDBODY eats my soul.
