eSpace Software


 

eSpace is a cloud-based facilities and maintenance management suite. It caters to schools, churches, offices, and the property and hospitality industries. Primary features include service and resource scheduling, equipment cataloging and tracking, inventory control, vendor management and asset management.

eSpace offers work order management and life-cycle calculator capabilities within a suite. Other features include work-order email notifications, reminders and alerts, data migration, depreciation schedules, tracking a resource’s remaining useful life and capital-reserve budgeting.

Users can manage events, maintenance activities and work orders. eSpace offers integration with Outlook, Google, Eventbrite and other COOL SPACE software modules such as HVAC scheduling and wifi monitoring.

eSpace is available with tiered monthly subscription pricing. The software also offers mobile apps for iOS and Android devices. Customer support is provided via email, through video tutorials, website wiki forums and over the phone.

Been looking for web base software that was easy to use and simple to communicate to Staff on the functions and process to request the services they are in need of. Not only were we able to fill the request needs of Facility work orders we also added other Departments IT, Media, Publication, Website needs the Espace system has become a one shop tool that all Departments and staff can easily go to for services needs

Pros

accessible anywhere I have internet from my Phone, Tablet, and home computer don't have to be in office to meet the services needs and the Department team can get the request right to their devise once the Work order has been approved and assigned

Cons

I have to fill out a monthly report on the number of open, close and new WO that month along with the Percentage of open close monthly along with year to date. with your report system I have to take out the extra information and count and come up with percentage of Open, Closed and in process.

Advice to Others

Simplify the reporting system this system will be even more valuable tool then it is. I thanks Cool Conversation for coming up with a software that meets our needs and ask for our input.

We have just recently started using espace event scheduling and the work order system and are very pleased with it. The combination of modules available under Cool Solutions makes so much sense. I am glad they have figured this out so well! I have had plenty of questions for them and have ALWAYS received quick and thorough responses. So glad to have found this!

Pros

They are so customer focused! They have created a place within the software where the customers can post ideas of what we feel could be helpful for us and others. What a concept! Asking the end user for input. Love it!
Also, the tracking of equipment in the work order system will be very helpful come budget time. There is documentation of equipment, it's age, it's service record, etc. for better planning of the funds God has given us to steward. We can expect at least fewer "surprise" expenses.

Cons

When moving our data from a previous software we were told our recurring events would come over into espace as recurring. This didn't happen and has been quite time intensive to take all the individual events and recreate them into recurring events.

Advice to Others

Check it out!! It is so reasonably priced and so well put together and you never have to feel like you are doing this alone or have to "figure it out for yourself!" They know their customers are who keeps them in business, and that shows in their customer service and business model!

From start to finish the Espace staff have been great to work with. They are always attentive, thorough and easy to work with.

Pros

We were able to link Cool Space to Espace for optimal experience!

Cons

Nothing negative to say about Espace. Cool Space had few issues on front end but other than that we are super satisfied.

I have personally been using this software for close to a year and at our facility, we have been using the software for a number of years. This scheduling software is in the top that I have used personally. A huge pro for the software is the break out of the number spaces and from a scheduling perspective the alert of conflicts. The software while having an ease of use, is also flexible and has met every business need we have had. I would highly recommend this product for use in facility management and\or event scheduling. The customer service has been extremely helpful the couple of times I have called in with either a technical question or an account question.

This program has been quite simple to use and has given us the ability to document work orders that need done, easily plan/schedule Preventative Maintenance on our equipment, and allows easy access for any of our staff to submit WO to help us keep up with demand. At the end of each month, I am able to create reports to see where we are at as a maintenance team and plan accordingly. This has done wonders to help our maintenance team be more efficient with out time and resources so we can be the best stewards possible of what we have.

Been awesome working with the Customer Service team as well. Quick responses to my questions and always open to suggestions for making the program work best to fit my needs.

eSpace has been a great tool for use as our master calendar and the scheduling of our facility and resources. Although we do not utilize the entire program (we just use one main admin), our entire staff can know what is scheduled and how rooms should be set up at a glance. eSpace has been so helpful when we've had questions and respond very quickly, and they are constantly looking at how the program can be improved and made the most useful for the most people. I honestly cannot think of any cons...I LOVE eSpace!

I found eSpace on the Internet a few years ago when looking for a new calendaring option. We were a growing church and needed a calendaring program to be able to share with our building maintenance crew as well as the general congregation. After using other options for facility usage management, MinistrEspace is very user friendly. We used to have just one person coordinating over 300 events a month due to the complexity of the other system. With MinistrEspace we have been able to equip the Administrative Assistance for the various departments to manage their own events. They are able to work out their own conflicts between ministries on their own now. The software is very intuitive. There should be no real concern with any kind of learning curve. The staff has been a real pleasure to work with over the past couple of years and are very responsive to any concerns that may arise. I actually do recommend MinistrEspace to church leaders that I am in contact with.
