Smartsheet is a project management application with a spreadsheet-like interface to help teams collaborate, plan projects and manage tasks. The software offers a suite of project management applications, such as document management, reporting, resource management and time tracking, with issue management offered through an add-on application.

Smartsheet standardizes key project elements, increase speed and improve collaboration with options that fit individual work preferences. The application allows users to track all the projects and improve visibility into team priorities such that important activities do not miss out in regular work operations.

Smartsheet offers cloud-based subscription model with native mobile apps for Android and iOS to help users finish work on the go. The subscription includes accounts for multiple collaborators, so users can work on projects with a number of clients and colleagues. The software is used in many industries, from high-tech to nonprofit, and can be scaled to match any business size from startups to large enterprises.

Subscription services for software are a very effective way to get tools into the hands of businesses quickly. Smartsheet is a conceptually great service competing head to head with Microsoft Project 365. I believe annual contracts for the service should be available at a much reduced rate. In our business environment every penny counts, and recurring expenses are the nemesis of budgeting.

Our team adopted this almost 2 years ago and are still using it extensively. Not everyone in the organization likes the tools and some refuse to get on it, but those of us who use it have found it a valuable tool for collaboration within our team and also between several departments.

Pros

Ease of use - very similar to Excel in functionality while operating as a database. Collaboration - easy to use simultaneously as other team members, track changes, and maintain up to date info. Data links to Excel make complicated spreadsheets/dashboards link to collaborative site easier.

Cons

Clunky in its reporting - not a lot of flexibility to play with the data without completely redesigning the report. There are no graph functions for dashboards yet. Editing sheets that are linked to other sheets sometimes causes errors in links or reports because of small changes in headers, or similar.

Smartsheet is a great way for multiple people to access and track data. It's useful to assign and track tasks.

Cons

This is a robust software and does require a good amount of training. I haven't utilized the training videos so I can't speak to those as helpful or not.

Smartsheets is easy to use and is helpful for tracking. We like being able to switch to calendar view and seeing a list of upcoming projects.

Cons

I don't like that there's no way to export to Excel. Sometimes we want to send information to someone who doesn't have permission or a login to Smartsheet and when we copy and paste to Excel loose any color coding or other formatting to the text.

The salesperson/customer relationship manager was VERY responsive and knowledgeable, which really locked-in our organization's decision to go with Smartsheet.

Pros

Ease of use (VERY Excel-like. like Excel on Steroids!), price for a limited number of users (under a grand for 3 annual fully-licensed users), and better-than-average online formal training and in-program help references.

Cons

Some training is outdated (over 3 years old), some basic aesthetic functionality (like setting default fonts) is unavailable, but most especially...
this software vendor responds to Feature Requests with a mildly annoying standardized reply:

Whether you start with their suggested templates or create a sheet of your own, SmartSheet makes communicating sheet style information easy and efficient. Share the sheet, and set updates for changes. You can publish the sheet out for use in a web interface, export to PDF and even Excel and Google, if you can't live without those. Simple, great for sharing, and great for Gantts!

Cons

Being an Excel guru, it took me a bit to figure out how they were handling formulas. If you are doing some heavy number crunching and if statements, may want to stick with Excel.

Easy access. Easy collaboration. Easy to learn. There are also a lot of help services. I was able to learn the software in less than an hour. Whenever I had a question, I was able to search it and find an answer within 2 minutes.

Cons

The product could have more features. The report function is very useful, but I wish I could customize it more into a comparable chart. I would also prefer if I could change the colors of the bars in the gantt chart.

Easier to use, looks a lot like Microsoft Excel so it is not as "scary," and it seems to be more than scalable for the types of projects we are needing assistance.

Cons

What makes Smartsheet so awesome, is that you can create a system that conforms to the way you do business / communicate. Most other softwares require the user to follow the system they have designed. For me, I like the ability to create my own system with the tools provided.

Pros

Ability to customize to meet specific needs / communicate between sheets / Organize data & control visibility

Cons

Is not able to link up with quickbooks or similar software. It would be nice if there was a way for the system to communicate with accounts payable.
Ultimately, thats not a deal killer for me.

Smartsheet majorly helped on cross team collaboration and real time sharing.
It helped us to centralize our project plan document, where teams from the different geographical location were able to contribute.
Gantt chart view provided a great way to visualize our project plan, identifying the allocations, deliverable, due dates against tasks as well as people.
Resource management view helps to manage resource usage, identify any effort variance and any person who is allocated more than available time.

Cons

One area which needs improvement in smartsheet is shared allocation, which needs to be in two way - first the ability to assign the same task to two different resources, second have a particular task by means of % allocation.

We are excited about the sights/dashboard option. We haven't even scratched the surface on what this can do for us.

Pros

Great support team. Reasonably priced in comparison to other similar products. After a quick tutorial, pretty easy to pick up. Excel like the interface but convertible to Kanban or Gantt. Sights / Dashboard option available.

Cons

1st impression did not sell us. We revisited product to help a colleague and realized this product does much more than we originally thought.

Cons

Ease of use and functionality is mediocre. Interface can be cumbersome, scrolling difficult if you have many columns. Not intuitive at times.

I have to enter in requests in order to have commercials run, and before I was using a system that would not allow me to enter the requests in anywhere but the same computer. Now I can enter in a request from anywhere making me more mobile.

Cons

Sometimes it's a little hard to navigate because when I need to add a "note" sometimes I can't find it right away and worry I didn't leave one.

Each department is able to interact with the same project, collaborate efforts, report updates, and gather information that may impact their schedules. From a PMO perspective, we have an eagle-eye view of progress and can forecast gaps in scheduling, overallocation, and if we need to enhance governance across projects. This tool has served many purposes for our company and we are regularly finding new ways of improvement.

I wish the integration with Harvest software was better to help gain a full view of project progress in one program.

Cons

The cost. The cost per license is high considering most of the work can be in a collaborative folder. When it comes to resource updating usually the pm does this anyway.

The feature set is very good. It took minutes to set up a test spreadsheet with more bells and whistles than we had using Excel within SharePoint. The questions we had about the product and how it functioned were answered very quickly. The up stream management mandated we keep the data on premise due to the sensitivity of the data we were processing. Otherwise we would have selected in a heart beat.

Pros

It has an excellent set of features and functionality. Customer support answered my questions quickly. We had a test SmartSheet up and running within minutes.

Cons

The only downside that I found is at the moment it hosted solely in SmartSheet's online server. For most people this will not be an issue, but we have internal requirements that mandate storage of certain must be on-premise.

Coordination with both internal and external team

Pros

We have a small team but we need to coordinate inventory and booking of sales and we can smartsheet to do this. Having a shared spreadsheet is also handy for one off projects and tracking. Smartsheets extra features like gant charts are also handy for quick visuals of status of items.

Cons

We really like this software but we are now having more difficulty using it with a larger team. This comes down to mistakes being made while entering or forgetting to update data

Seamless project management in a cloud-environment

Pros

I love that I can take my Excel sheet and create a cloud environment for my project management needs. I work on virtual teams and it is the perfect solution to plan all my marketing activities. I love the reminder feature so that I can add automation and not have to remember to send 100 emails!

Cons

Sometimes I need a little bit more control than what I can get with SmartSheet but I've always found a work around method to accomplish my tasks.

Coming from primarily using Google docs to do my project management and file sharing, I found Smartsheet to be extremely helpful and made it easier to manage multiple projects and tasks at once. The templates were excellent and all levels of my team were able to engage in tracking/input. I also really like that it connects with DropBox to share large files.

Cons

The fact that the price was only one dollar different in price points between the individual and team (up to 50 people) subscription.

There are several uses for this one software. It does spreadsheets and schedules. Its hard to find software that can do several things and not specific to one function. We like to be able to customize everything and this works great for us.

Pros

Smartsheets is very easy to use. We love the portability and the cost versus other big name software.

Cons

There are a few functions like "Totalling" that would be a great addition. Also, if they could get some of the conditional formatting functions so it was easier to create, it would be great.

My new favorite feature is the integration with Microsoft Teams. We use for gathering RSVP responses sent to people in MailChimp to client events, track personal task list, job applications. There are so many ways to use. I look at the sample templates for ideas.

Cons

Some features are hard to understand and I would like better instructions or videos. When you try to find help I feel I sometimes have to login and then I get logged into the Smartsheet program and have to start over. Trying to use Help on your own could be better.

I have been using Smartsheets for a couple of years. We have been able to embed price sheets for online website that are dynamically updated; use sheets to collect RSVP for events and have the totals linked to a sheet that totals and sends alerts to several people for follow up. The feature of linking to Outlook makes it so easy to add a task to a sheet without ever having to leave Outlook. New features are released often and keep improving the product. I would highly recommend Smartsheet.

Pros

The integration with Outlook so I can upload a task received in an email so information is all in one place and I can set alerts so I don't miss a deadline.

Cons

Sometimes some of the features are difficult to understand.

Advice to Others

Sign up for their webinars or watch the videos to learn all of the new features when released. Also take time to look at templates for ways to use the sheets in your industry.

Smartsheet is great for group collaboration especially when there is distance between people. The only downside is that someone could tamper with a document and the wrong information could be relayed to the group.
