HeadsUp iCPM Scheduling Software
![]() | 22 Reviews (4.7/5) |
Since 2000, HeadsUp iCPM has provided integrated Bid Solicitation, Scheduling, Field Reporting, Contract/Reference Document Management and Budgeting/Cost Management to many construction firms.
HeadsUp has received industry accreditation from sources such as Construtech and Construction Executive magazine, which featured HeadsUp as an “Editor’s Choice” and “Product of the Year” many times. Its cloud-based solution, iCPM, provides industry-leading functionality and cost savings that offer a return on investment of less than a year.
The system requires no hardware or IT staff for support or to install upgrades; HeadsUp releases a new, updated version every two months at no charge. With iCPM, a single staff member can prepare and send bid solicitations to several thousand vendors in just a few hours. This includes the scope, drawings and specifications and there are no hidden fax or storage fees
iCPM makes collaboration simple. Users can create their own folders in iCPM, dragging and dropping documents and files straight from their hard drive which can then be accessed by the team. RFIs have automatic return links so that everyone's email responses and documents are centralized into a single location. In fact, all emails and project-related documents that come through Outlook can be routed straight to the project. Critical documents can be accessed, signed digitally and then sent out with just a few clicks.
All of this functionality leads to more efficient, and therefore less costly, business operations. The system works for building owners, construction managers, design/build firms, engineers, general contractors, and real estate developers for organizations from $5 million to over a billion.

After researching several competitive systems, we found HeadsUp iCPM to be the least intimidating and cumbersome for our employees. We also found the HeadsUp staff to be the most flexible. Together we were able to develop their software to meet not only our construction needs, but also our engineering needs, and we are working to replace three of our previous software systems with this single entity.
We especially cannot speak highly enough about their remote training. Sue has been our “go to” person since day one, and she has a very clear and concise training method and a friendly, helpful attitude. She almost always has the answers to our many questions, and, if not, she is quick to respond after researching.
The HeadsUp iCPM team has made numerous updates to their system over the last year, much of which was in direct response to our requests, allowing us to be a more productive office with all our project related information stored in one system.
Technical support is very responsive and knowledgeable; I can always count on them to help me navigate through the software.
We decided to incorporate HeadsUp into our organization because we were finding a disconnect between creating contracts (using Excel) and integrating them into our accounting software. Mistakes were appearing more regularly and we needed a program that directly synced the contracts.
The staff at HeadsUp worked with me for HOURS to train me on the system and created templates for our contracts that were easy and efficient for us to use. We currently use v2011.3.5.1 and it has been working very well for us. I find the system to be very user-friendly and it has been easy to train others.
We have used HeadsUp for almost 4 years now, and still find it effective and efficient.
Our search led us to HeadsUp Technologies (v2011.3.5.1). After speaking with a HeadsUp representative, we determined that we could effectively transition from our current system (used to create financial spreadsheets, track documents, manage payroll, and schedule projects) into one web-based program. Furthermore, through the company’s customer support, we would have the ability to customize any of their existing reports into formats we already are accustomed to. We purchased HeadsUp Technologies in February, 2011, and after a few short training sessions we began implementing the program.
HeadsUp is user-friendly, easy-to-use. Our team learned to navigate and use HeadsUp iCPM very quickly. Within weeks we started customizing reports and seeing results. Project tracking has become more efficient and reporting has become more accurate. We have reduced the potential for error due to double data entry and cross referencing between programs.
One of the greatest benefits has been the ability to utilize the employee timekeeping entries and estimate/budget summary to generate daily reports that track our actual labor costs against budgeted labor costs. This allows our Project Managers to review and manage resources on a day-by-day basis, and ensure we complete projects on time and under budget.
All in all, we are very satisfied with HeadsUp Technologies and their services, and we look forward to future product enhancements.
Our objective in a new system included integrating subcontracts, submittals, change orders and other documents into a single area and to track correspondence better.
HeadsUp has met our needs and we are very satisfied with their support, especially the efforts of Susan.
We began looking for a project management system because we wanted to bring everything into a single formal system. We wanted great document control for RFI’s, submittals, and other logs. Budgeting and cost controls would also be a nice to have.
We are pleased with HeadsUp. We use most of their offerings, including bid solicitation, scheduling, field reporting and document management.
Back in 2005, we were looking for a system to improve our communications between our scheduling and field personnel.
Overall we like the product and feel it is a benefit to our company and operations. The ability to stay up-to-date with the daily reports and real-time schedule at any time, from any computer with Internet access is one of the key factors to our success. Our ability to save project templates is a big help in getting a project started. Our schedules are huge, due to our product and delivery method, and for the most part, iCPM has allowed us to maintain a schedule with greater detail much more easily than our previous method. I really like the system and appreciate the excellent customer service. I certainly feel that they are looking out for our best interests and pay attention to us personally. I don’t feel like an account number in my correspondence with iCPM.
In 2006, we were looking for a scheduling system that was easy to use, would update “all down the line”, and would allow customers to view on line. We wanted the system to provide information to us so we could manage our projects better and improve our margins. We also wanted a system that would foster more referral business.
We selected HeadsUp and have been happy with our selection.
We have been using HeadsUp iCPM since 2007. The HeadsUp schedules and field reports have enabled us to minimize our staffing requirements while empowering our superintendents, project managers and our subcontractors with information concerning our projects. This has been a big help in a slow economy.
We began looking for a new project management system in early 2009 as our existing one no longer could provide support. We selected HeadsUp iCPM because it fit all our requirements. Although it took some time to make our forms into their templates, the system has worked well and we are pleased with it.
We found HeadsUp to meet these needs and use almost all of the system except scheduling and site reports. We use the bidding, RFI’s, submittals, contracts and PO’s. We are very happy with the system and their support.
We are a general contractor company in Chicago and specialize in commercial office build-outs both small and large.
In 2008, we were searching for a project management system to enhance communications between the field and office, have scheduling in a centralized location, improve the bidding process and provide owner access to view the schedule and pictures.
HeadsUp has met these needs. In addition, they enhance the system every couple of months, so the system becomes more capable as time goes on, and they do a great job at support.
We had been running an old version of Expedition but wanted something more up-to-date. Our needs were pretty straightforward – documents, schedules, etc. Ease of use was very important. We wanted to “walk up to it and start using it”.
We are pleased with our decision of selecting HeadsUp and impressed with the high level of customer service and the true concern that is expressed each time we have a need or question.
Earlier this year we were searching for a formal project management system; we have about 10-15 projects going at any given time. We were using Excel and would have a separate spreadsheet for each job, but we could not do a search easily or run any kind of reports with this setup.
We chose HeadsUp Technologies because it met our needs. We use it heavily and have found their support is very good.
We selected HeadsUp iCPM and it has been a good choice. It helped us cut our average construction time by 45 days a home. It helped in the office also. We have one person who spends between 30-60 minutes a day and about ½ day on Friday with the software – about a day a week – as opposed to what was a five day a week job for one person before.
HeadsUp iCPM adapted a multi-Gantt chart that helps us see at a glance where and for how long our crews are assigned. We also pick up time for each crew and compare that against our standards to evaluate how well they are performing and to identify ways we can improve the erection process. We have used HeadsUp iCPM for over 4 years and are pleased with both the product and service.
After reviewing several options and calling some references, we selected HeadsUp iCPM. Our selection was a good one. We use almost all parts of their system, with the exception of scheduling. We found the system easy to get up and running and give them 5 stars for training and support. We also appreciate that they continually improve the system throughout the year and we don’t have to do anything when that occurs. They send out an announcement and several days later – there is the new system.
MLGW needed a bid solicitation system, which would allow them to document home conditions, request bids, and select contractors to make these homes more energy efficient. To do this; we inspect the home, take pictures of deficient items, and write up required action. Weekly we send this package of 10 homes to over 100 contractors and request on-line bids for each home. Usually, the contractor with the lowest bid for all 10 homes is chosen.
We selected HeadsUp Bid Solicitation to accomplish this task. Since May of 2009, over 2000 homes have participated in this program. We are very pleased as HeadsUp handles the entire process, other than our gathering the information and photographs, electronicallyIt has been a very successful program.
Managing design/build projects in areas several thousand miles apart started us looking for a project management system that would improve our commutations, bridging the distance, and help all team members keep on top of all projects.
HeadsUp iCPM provided the answer. Not only were they web-based and had the product features we wanted; they were extremely helpful in our implementation and training. They continue to do a great job of supporting us whenever we have a need.
