Maxwell Systems ProContractorMX - Construction is part of the ProContractor MX line, which is a functionally all-in-one system that is built to handle needs of construction companies of nearly any size. The solution’s comprehensive feature set allows you to start with most critical applications you want – whether only estimating or only accounting and project management – and grow into the full breadth of offerings and valuable modules as your business needs them. Although the program is known for its accounting functionality the system also supports a firm’s project management and estimating needs.

The accounting application includes functionality standard to basic applications such as payroll, general ledger, accounts payable, and accounts receivable. Additional construction-specific functionality is offered in the application to include things like equipment tracking, multi-company support, and item billing. With a complete solution that includes project management and estimating applications, firms can get a better handle on document control and bidding while keeping their financial data in sync with the business.

The software is built to handle nearly any kind of construction firm that does not operate a service branch of their business. The system can support a varied number of trades from general contractor, heavy, highway, concrete, utility contractors and many more.

Like the other offerings in the ProContractor MX family, the ProContractor MX solution is built on the Microsoft .NET platform and works off of Microsoft’s SQL Server.

A good choice for estimating

We are a mid-size civil contractor, using only the Estimating and Earthworks portions, so there is a lot of functionality built in that we don't need. This can make some functions a little more difficult than necessary.

Functionality

On-screen takeoffs are awesome. Visuals and the catalog make estimating much more efficient.

Support is very good. I always get a call back from our trainer or sales rep when I need help. Support has always gotten back to me quickly, depending on the rating I give my problem.

We like the Earthworks and Estimating very much; they have made estimating projects much more efficient.

WBS codes are confusing at first and can be cumbersome if all you are working on are bid item estimates. But once you get the hang of them, it can make breaking out items much easier.

Recommendations

This is a very powerful program and has tons of capability. Be prepared to invest some time in learning it, but it's worthwhile once you get the hang of it.

Highly potent if you understand the value proposition

Ease-of-use

For every-day operations, you click on the module you'll operate in and work down the menu of options. It's pretty intuitive once you get the hang of it. Reports are generally very good and can be exported to PDF or Excel for enhanced manipulation. (System reports can be enhanced also internally with a rudimentary knowledge of SQL.)

Functionality

Depending on your system configuration, you can experience some delays running reports. If your hardware is in compliance with Viewpoint's recommendations, however, you should be fine.

Product Quality

Frankly, it's very well-constructed. Our CPA often comments on the quality of its design. It makes his quarterly and annual work simpler to complete.

Customer Support

Prior to Maxwell Systems' acquisition by Viewpoint, there was a consistent disconnect between our dedicated account representative's assurances that our issues would be promptly resolved and the actual resolution itself. Now, it's quite satisfactory, especially if you can keep your issues with the system in perspective. Some problems are like chipping paint on the walls, others are house fires, so the latter priorities naturally take first place insofar as customer care is concerned.

First, it should be noted that ProContractor is an entity owned and maintained by Viewpoint Construction Software. If anything, my experience has improved since VCS' acquisition of Maxwell Systems. ProContractor does a magnificent job for medium-sized contractors who require some costing rigor in addition to an integrated software package (i.e., including accounting, project management, and estimation in one piece). However, despite the seductiveness of the product's marketing, a considerable amount of thought needs to be invested in determining, analyzing, and comparing your present internal processes from estimation to project closeout with what ProContractor offers. In other words, do not let the marketing materials do the thinking on such a crucial decision for you. ProContractor was designed with industry best practices regarding workflow as well as internal controls in mind, not necessarily simplicity (as with QuickBooks). Many complaints pertinent to supposed extraneous steps actually tie back to how the software, through an impressive yet simple permissions infrastructure, can control who (for example, in accounts payable) enters invoices, approves them, selects them for payment, prints (i.e., has access to) the checks, and posts the transactions. Shortcuts are inexpensive until you realize how expensive fraud and lost trust can become.

I do not dislike this software or the vendor, but this is an excellent opportunity to address points made by others who are dissatisfied with the product, for their disappointment deserves attention from even the most satisfied customer. When my firm adopted ProContractor and dumped QuickBooks Enterprise three years ago (just prior to my hiring, actually), we chose something that was decidedly less impressive upon implementation than presented to the directors during a trade show in Las Vegas. No thought had been given as to how our processes would align with ProContractor's intuition of proper workflow, because we were primarily concerned about fully integrating the firm's processes and procedures within the software ecosystem. We went live in three months flat after intense scrutiny of our costing, project management, and estimation procedures, humbling ourselves along the way through reconciling what we thought we knew with ProContractor's processes architecture and internal controls logic. Granted, we had suggestions (and lots of them) that were heard. Many of them, such as the lien management feature and many of the improvements in iPad integration, can be tied directly to our recommendations. Ultimately, we were satisfied, but that was because our expectations were not to invest in a system that would cater to ourselves without acceptance of potentially radical change, but rather to develop a relationship with the software and vendor that was founded on a trust of the system's logic. From there, we could use the system as a mirror to check our understanding of our business versus how it can function even more efficiently.

Recommendations

More so than anything else, take ample time to ask questions. Ask for a walk-through of a project's life cycle within the system. Invest serious resources into the estimation module, because the estimator is the conductor of the orchestra. His estimates, purchase orders, and project billing parameters can make everyone else's lives profoundly simpler post-implementation. Project management should be well-drilled in the uses of the project set-up, costing, and change management features. Accounting should be aware of much of the project management piece as well as the customer, financial, vendor, employee, and administrative modules to ensure that ultimately, numbers can be trusted and users adequately protected.

Potential to be the Best!

There are too many steps. Menu screens should be laid out in workflow. You should be able to view customers, vendors, and project transactions and details without running a report. You have to save documents and reopen before email. Most transactions cannot be edited; they have to be deleted then reentered.

Functionality

The potential is there, but it's not there at this time. I am sure that the ability is there, but we are not able to tap into its potential.

Product Quality

Again, the potential is there. The mobile application needs work.

Customer Support

My weekly meetings with our rep have been great! She is very on top of things. However, when I have simple technical issues, I have to submit a request, and it usually takes several days to get answers. When a problem arises, I need help right then or at least within 24 hrs.

There are too many steps to perform simple task. For example, to write a check, you have to enter post, select print, and then post.

Recommendations

Ease of use is the most important part. Do lots of home work. When testing software, go through your daily procedures, and make sure it will be a good fit. Clarify what is covered in support and what is classified as training.

You have to click here, and then click there, and then click here prior to taking off an item.

It doubles your time for estimating and increases possible errors; it's more difficult to review estimates and saves time on the back end. As Vice President of Preconstruction you can see my concern.

It's very easy to make a mistake, which could cost us millions.

They are very helpful and kind once you get them on the phone. You request support and wait two days to two weeks. I cannot afford to put my business on standby while waiting for their support.

It's not user-friendly. We started a commercial framing and drywall business, made a large investment with ProContractorMX, and have been fighting it for eight months. We cannot redo takeoffs, and the takeoff tab does not match the estimates.

Recommendations

Actually talk to someone that uses it in your field, and test it before you invest in it. It starts off cheap; then you have to keep adding money to make it "work" the way it is needed to work.

Coming from QuickBooks and having no prior job costing experience, the concepts and terminology of Maxwell were a bit difficult to grasp. The training flow of the company confused this issue a bit more, but the employees of Maxwell are very approachable, easy to work with, and dedicated to making sure the system works for you.

Recommendations

Make sure you verify hardware requirements with your IT before purchasing. Although the company is upfront with their requirements, you need to understand them.

Nothing but problems with this program

Things take twice as long to process because there are too many steps required to get something done.

This program is designed for progress billing only. We bill against issued purchase orders, and it does not work for that at all

It is too rigid; you can't make mistakes. It takes way too much to fix an error.

Their support has been all talk and no action. They have a very slow response time

We purchased the accounting and estimating software in October 2013 with the goal of going "live" on 1/1/14. Now it is May 2014 and we are live, but we have had nothing but problems with the program. Our reports have bad numbers, we have performance issues which they have told me are their internal issues that they are working on, and we have no faith in the integrity of the program or the reports. The support team seems to be overworked and has slow response time. They clearly don't seem to have idea how to get our reports to be correct and have no answers at this point.

Recommendations

Beware of Maxwell Systems ProContractorMX program. It is slow, rigid, and difficult to use.

After all of the costs, they don't have anyone who can help us run one project in the demo company. We are particular about our job costing, and Sage is considerably easier to use.

The estimating module that they bought from Quest is awesome. The rest of it is illogical and pointless for our purposes.

Product Quality

I'm sure the quality is there if someone could walk just one job through in the demo for us. We've had hours and hours of department training with videos and webinars.

Customer Support

All the support people are very nice, but nice doesn't cut it. Estimator trainers don't know the PM module; PM trainers don't know the estimating module. Yet both modules need to interface. I have had the estimating software for 15 years and built databases, yet I have left every training session with them having to find an answer 'about that'.

They bought a great concrete estimating software from Quest Solutions, and the Estimating Module is excellent.

They are great at packaging and presenting simple one-stop software for estimating, project management, HR, AP, AR, etc. The cost of the software, maintenance, and training is very expensive. They change every typical construction terminology they can to make it 'special'. A simple attachment is now a "binder item," and the estimating database is now the "catalog."

Recommendations

They are slick at making it look so easy, but what they are really selling is training, support, and maintenance. We track over 50 cost codes through the WBS structures and export to Excel and Sage.

In March of 2013 I wrote a review on the software. I wanted to update my current status on our Maxwell program fiasco. To date, we continue to have issues - they chopped one of my issues as to needing a software update. In the update process, Maxwell said there was an issue and we needed to pay our invoice immediately to complete the upgrade - fair enough, we paid on the spot. The next day, Maxwell came in remotely to update our software, claimed they needed to evaluate our current database, then says they do not recommend an update at this time. Our issue remains unsolved. I stand by my previous review - I do not recommend this software for a general contractor, possibly a great software for a smaller company completing single scopes of work - but not for a general contractor.

**UPDATE**

To date we have spent countless hours trying to get Maxwell working properly. We have had the software over a year and still speak with tech support at least weekly because of system "bugs" (their words - not mine). I would not recommend this for another General Contractor. Go with the old faithfuls. We are very unhappy.

I am a small to medium excavation contractor from Tennessee who purchased Maxwell's Quest MX software in 2009. Finally, after a couple of very slow years we felt the need to reacquaint ourselves with the system again after 3 years. However, I could not log on due to an error with my password and username. I called customer support to reset my password and I was shocked and disappointed they would not help me reset my password without being charged for a one time use of their technical service or pay for an annual subscription for assistance. I was told by an account manager there was nothing that could be done, but she would try to run it up the chain of command to see if they could make an exception. It would be a few days before I would hear back from her.

I would have completely understood if I were asking for assistance on the software or getting help with a take off or something like. I would think Maxwell would want me to actually use the software so I can accurately assess it's performance and application to my business.

CTS is a low voltage special systems contractor serving Arizona, Utah and New Mexico with 4 divisions (office locations). We are a rapidly growing company and needed a more robust accoutning system that provided the functionality and expansion that would allow for our growth. We also needed more integration between accounting, purchasing and estimating. Prior to converting to Maxwell ProContractor we were utilizing Quickbooks Enterprise Contractor Edition. This software had its limits which we had out grown over the years. We currently have over 100 employees. We recently went to ProContractor 2.8 a few months ago and have recenlty upgraded to 2.9. The implementation went very smooth which was assited by the grreat folks at Maxwell. We completed the implementation in 10 weeks going live on July 1st. The over all funcionality of the system is great. We have now integrated our estimating and purchasing into the accounting system saving valuable time. THe customer support at Maxwell is top notch. They have been very responsive to our concerns and needs. I would highly recommend this system to anyone looking for the integration the way we were.

We are a Structural Concrete Contracting firm, performing approximately 90% public work and approximately 10% private work. In order for out company to survive in this extremely competitive business environment, and while concurrently providing competitive bids, it is absolutely essential to prepare and provide our organization with the most accurate material and labor cost breakdown possible. Although Excel was a great resource for calculating take-off information and summarizing it, there was always a margin for human error, e.g. missing a group of sub-totaled cells, having to transfer take-off date to Excel spreadsheets, etc. Not only that, but once the project was awarded there was the managing of RFI's, Change Orders, etc.; much too time consuming when you could spend that time being productive and growing your business, not to mention the possibility of losing track of unprocessed Change Orders, etc.

Having had previous experience with on-screen digital take-offs and estimates, our company was up and running in less than a week. Our Maxwell salesperson was instrumental in helping us navigate through the entire process of implementing their software. From the selection of available products to completing our first bid estimate, Maxwell was there to help us along the way. In our estimation - and with the exact same staff prior to purchasing Maxwell - we are on our way to at least 20/25% more production with more accurate results.

Before purchasing the "Estimator" software many years ago, i did extensive research on what was available at the time, tried everything available and found this to be the best for the price. Over the years of using it i have reviewed many new programs and still have found nothing better.

Being in the construction/development business we are often required to estimate the cost of a building from preliminary plans, usually nothing more than a floor plan and elevation. The estimator software make is possible for us to produce viable estimates for preliminary budgeting long before the plans are at a stage where hard-bids can be procured.

The customer support from the sales rep to the technical support has been a pleasure to deal with. Any issues were quickly and easily resolved.
