Procore is a cloud-based construction management software application that helps firms increase their project efficiency and accountability by providing streamlined project communication and documentation. Users are able to manage their projects from any web-connected mobile device, tablet, laptop, or desktop.

Procore provides users a way to collaborate on projects and view various documents, including submittals, RFIs, contracts, schedules, and drawings. Everyone from general contractors and architects to engineers and construction management firms are able to edit and share project data from the job site while facility owners can view the progress of each project in their portfolios.

Enterprise-level businesses leverage Procore to manage construction projects, field communications, drawings, documents, and more.

Procore operates under the Software-as-a-Service (SaaS) model, allowing general contractors and project managers to buy the software on a subscription basis.

We are using this program for a large building project. The construction manager is responsible for administration of the program.

Pros

As a subcontractor, I can see the status of RFI's, submittals, etc. There's a lot of information passing back and forth, and it can be difficult for a second tier subcontractor to always be included. Procore is helpful as I can track the status of my issues. The program works well from an organizational and collaborative stand point.

Cons

There's a lot of information as so many contractors are involved, so there can be overload.

Advice to Others

This is a good administrative program. The drawing file is worth the cost alone, as the field staff has access to the most recent drawings.l

When we first started using Procore it was very basic and not very intuitive. Over the past year many changes and improvements have been made, not all for the better in my opinion. For overall project management, at least for the tools we use, is OK.

Pros

- The ability to handle very large files especially sending and receiving
- Customer Support acknowledgement of an issue or question
- Generally good project management

Cons

- The lack of contrast between the background and active parts of the screen causes eye strain
- Default views at the Portfolio level and Submittal tool are based on title. It would be more useful if the default was based on Project # and Submittal spec section
- Tools that have multiple pages such as Emails have the page selector at the bottom of the current view. This needs to also be at the top so you don't have to scroll down to go to the next page
- Some changes are made to the program without any notification to the users
- A change was made to the Submittal log view that now you have to use a slider bar to see all the columns. This is a time waster and an irritant.

Advice to Others

You should check the product out and compare others. We had to make compromises and modify some of our processes and procedures in effort to use Procore as our project management tool. Your needs and processes may be different than ours and Procore may be a better fit for you.

The hardest part of using any tool is getting users to use it consistently.

have rolled this out to our planning, finance, and construction teams with good feedback on ease of use, bid management and project management. Core of the product is good but not flexible. No real feedback from Procore on upgrade/development plans. Pricing is ridiculous as a % of sales...we're incented not to grow or use their product in the future. Not familiar with any other enterprise platform that has that model.

if you're a small shop and have the need for a solid, if not flexible, PM/CM tool, Procore is a solid choice. If you at scale or growing, hard to understand why you would continue to use this product. Continues to get more expensive, linearly, and not as robust as you grow.

Procore Construction Software is awesome. The platform is user friendly and easy to understand. If I don't understand how to use something, their customer service is always there to help me figure out how to use the function.

We do not use the accounting side of the software so I can not comment that.

As a design professional, procore takes the headache out of the Construction Administration process and eliminates pointing fingers when something goes awry - the record is always right there with you.

Pros

All of the right information at your fingertips and eliminates much of the time consuming internal management process. Say goodbye to paper copies.

Cons

It could have a more robust drawings and documentation service, particularly for the mobile product. The mobile product does not have the same functionality as the desktop version and that can be a problem.

Advice to Others

The power of the program is 100% in control of the moderator. If the moderator doesn't keep it up to date, the whole project can suffer.

Procore is a very nice all in one software. Its a good way to keep files organized. Its nice how you can choose what to share with your subcontractors. Plans are always current. It keeps a good paper trail record. Document tracking is done very well. You can choose how many alerts you want to receive. You can organize your submittals by spec section and all subcontractors have access to view.

Pros

I really enjoy the RFI tracking. It alerts you throughout the entire process. It save a lot of time looking up information. You have access to the specs and submttials without flipping through a bunch of job books.

Cons

Only the admin can decide what you see as a sub. If they don't give you access then you wont be able to see the documents.

First let me start by saying that I've used Sage CRE 300 project management, Submittal Exchange, and Newforma Project Cloud. They each have their benefits. I pushed for Procore because it was an all inclusive product. We use one of the other programs as well as eNTERFACE (for Daily Reports), PlanGrid (for drawings), ShareFile (for sharing documents), Outlook, AIA Contract Documents, DocuSign (for e-signatures) and a handful of others just to manage a job. I was tired of bouncing around between programs, often duplicating file storage or data entry. I spent months researching the available project management options that would also be available from essentially anywhere...job site, office, home, etc.

I have been using Procore for about six months and there are things that I love and things I don't love. I would still recommend the product, if you need an all-in-one solution. I will try to highlight my more important Pros and Cons. When I say "Module" I really mean tab. There's a tab for the directory, documents, drawings, submittals, RFIs, emails, etc. I consider each one a separate module because they could really function on their own.

Pros

1. Comprehensive package. Allows for integration with out accounting, but we haven't opted to go that route yet. Can eliminate many of the other programs we use, but not all.
2. Can limit user access, so I can give everyone access to just what they need.
3. Lots of online training available and assistance from the very start.
4. Fairly easy to use once you know what you are doing.
5. Accessible from any internet-accessible device.
6. Constantly talking about improvement. I haven't been through a major upgrade yet, but they seem to take into account what the contractor needs.

Cons

1. Modules aren't consistent. For example, submittals allow me to edit on behalf of someone. RFIs do not. I've seen this in other products where one tab or module works one way and the other tab is set up different. I expected more consistency between the modules, submittals and RFIs especially.
2. No separate module for ASIs. They can be linked to drawings and markups, but there's no ASI log that people can view. I can save the ASIs in a folder in the online documents, but the user has to go search for them. I can send email notices out to subs, but if a new sub comes on board, they will not have the emails.
3. I cannot scroll through RFIs easily. In Sage I can move easily from one RFI to the next if I'm searching for something particular. In Procore, I have to open an RFI, close it and go back to the log and open the next RFI. One of the things I wanted to do was cut down on the number of steps it took to get to the data I needed. Procore adds steps in this case. Same for Submittals. I have to open/close/open the next.
4. The Save or Close buttons are often way down at the bottom of a window. If I have to go in, enter just a few pieces of info at the top of the submittal or RFI, I then have to scroll all the way to the bottom. Some companies put a Save at the top and bottom for that reason.
5. Was told I could use my iPad/iPhone but the apps are only for information. I cannot add to the contacts/directory unless I login through Safari.
6. So much data on the screen that sometimes the key pieces I need are off the screen. Needs more work on setting up for various screen resolutions. For example, submittal titles and numbers aren't visible when I'm scrolling to the right. Needs something similar to Excel's Freeze function.
7. Email module doesn't work quite like I had hoped. I can drag emails into the online program, but it's difficult to search and view them. Some of the text gets jumbled with the date. They don't even have the Emails on the iPad/iPhone app. No way to sort them other than to tag them, which is difficult. If I copy a ton of emails over, then I have to tag each one manually. Not an efficient process yet.
8. Not easy to bulk edit. Procore had to upload our submittal log for us and then I needed to change a lot of it because it was our first upload. We had to manually open each submittal and edit the information I needed to add or change.
9. Data itself seems difficult to change like contacts, which cannot be deleted, even if you've never used them. Can only mark inactive. Benefit in some cases, but if you enter their email address wrong, it's there unless you contact them to delete it. I would love to be able to do more import/exporting on my own. It would make data entry a lot easier. Especially when setting up a job or entering commitments.

Advice to Others

The investment is huge. If you are looking for a complete project management package, this will do it, but be prepared to completely immerse yourself in Procore. I do not recommend using it for one or two jobs. The more you use it, the better it will work for you.

Overall Procore is a great tool for RFI's, Submittals, etc. One area where Procore falls flat is with its punch list tool. The tool can be very cumbersome to use, it doesn't remember previous entries, such as people that the item is assigned to. As an architecture firm we use this tool frequently in the field with our iPad. On a large project such as a new school re-entering the same information over and over again is a real hassle and time waster.

Pros

The RFI and submittal features are great. They are easy to use and keep track of everything, such as who , what and when.

Cons

As mentioned above the punchlist tool is quite cumbersome and can be a real time waster. I have to admit I would rather use this tool that write everything down on paper like we used to do.

Advice to Others

Overall this software is a time saver from the Architects perspective as it does away with the multitude of logs we used to have to keep.

I am very involved in the development and administration of Procore. We have the growing pains of every new company that takes on new software implementation, but are working through the bugs. Overall, the software has very good attributes, and is very easy to use and navigate.

Pros

I like having one source of the truth and single entry. Our projects start at bidding and flow through warranty. We have manipulated different modules to do what we need for our business. Love the Submittal and RFI process!!

Cons

Some modules are finicky and really need to be massaged to get the information in. Example - in commitments, if you try to copy and paste information from Word to Procore you lose information in the transfer. This has caused headaches, but we are working through them. Drawing module needs to be able to read the drawings better once you point the program in the right place.
Would like to see more integration between Procore and Sage on the cost side of things.
