Dataforma Roofing Software was originally designed for roofing contractors, but it is now utilized by other construction trades, including Electrical, Plumbing and HVAC. It's a web-based business management system that helps contractors manage projects, create proposals, track leads, monitor marketing campaigns, and more. Dataforma has over 3,500 users from across the country. Their customers range in size from $3 million to over $150 million in annual revenue, and work on both commercial and residential projects.
There are four main customer management modules, and nine business process modules offered in Dataforma. The customer management modules include a contact management system, correspondence management, and a calendar. The business process modules include those specifically designed for service management: work order management, project management, warranty management, and document management.
Dataforma also offers a customer portal, which allows contractors - and their customers - to access information about active construction projects in real time. They just announced the launch of a new iPhone/iPad app that helps contractors track and update service requests in real time from the field.
Dataforma requires a minimum of three users, but offers discounts as you add users to the system. They offer month-to-month pricing, but do require a one-time installation fee. Dataforma offers a 90-day guarantee, 24/7 email and telephone support, and 24 hour system monitoring.

BD (before Dataforma) we had to do all of it basically manually with stacks of work orders, multiple file cabinets with current files, boxes with prior files....and had to continually go to the storage area and look up what we did for that building in the past....there was no other way but to dig through the papers.
Now with Dataforma all we have to do is look up that building in the database and we can tell how many times we have been there and what we did each time. It cuts staff personnel's time in half and our customer service has greatly improved.
After seeing how well it worked with the "service" department, we then implemented it on the Project side and everyone has all the information on that project (contract, submittals, specs, drawings) at their fingertips.
Dataforma is easy to use, time efficient, and information loaded. I can't imagine going back to the good old days.
Dataforma is a great company that's easy to work with. The support is always there, even with the smallest question. Our suggestions are always welcome and usually implemented by Dataforma.
All in all, I would recommend this program to anyone in the construction field. We've actually tailored the program to go beyond the roofing end of it and included our masonry division.
Dataforma is the best software our company has seen since I have been employed here. Learning the software was very easy and data entry went very fast. The representative for the company, with one small presentation, had our company sold from the beginning. The customer support is always available and always has answers to every question. In the past, we utilized spreadsheets and our network filing to keep up-to-date files. This process took up a lot of time and kept a lot of customers on hold or we had to call back after locating certain data.
The only downside with the software is the compatibility with our current accounting program. We cannot wait until the accounting is finalized with Dataforma so that we can turn over completely!
Dataforma is very easy to use and has taken our communication skills to the next level. Having a valid schedule for each division of the company in less than 30 seconds is impeccable and we will never go back to any of our company's old processes!
Since our initial purchase in December of 2010, the Dataforma program has, in fact, served our purposes as hoped! We've also discovered features that we weren't expecting but have to come to greatly appreciate. For example, we've finally integrated all the estimate appointments into one online calendar instead of keeping separate hard-copy ones for each estimator. The ability to color-code each individual and visualize the day, week, or month is an added benefit that we hadn't even recognized before. It is a very functional system, it's user-friendly and the customer support is really what I applaud the most.
After our excellent initial on-site training during the implementation - first in a group setting, and then on an individual basis - we have used (and continue to use!) the help line on a regular basis. As we add new users, or start to use new features or reports, we can call the Help Line number and a familiar, knowledgeable, easy-to-understand person is always there to help work us through whatever questions we have.
Dataforma has allowed us to keep a vast amount of information all in one location, from customer contact info to project details and work completed, all accessible by anyone in the office via a web-based program. We are definitely pleased with our decision to integrate Dataforma into our company. It has proven to be an asset to everyone involved!
Since we began using Dataforma in January of 2007, we have never looked back, except to say, "Thank you for making Dataforma available and teaching our team a life-changing application." I can now know where we stand in all departments with a simple click of a mouse, no matter where I am in the country.
Dataforma has really changed the way we do business, for the better. It has truly enabled us to sell more with our "high-end" customers through the use of their customer portal.
The ease-of-use is one of the biggest selling points. Plus you can access it from anywhere. I have personally accessed my data while in other countries. You have all your data at your fingertips.
The customer support has been exceptional. Whether I call or email, I get responses immediately. Not only is everyone very knowledgeable, they are very personable.
We are currently using v.0.5.5.release. I look forward to attending the Super User Summit and learning more functionality!!
The Dataforma staff are the best! They will answer any questions, any time (even weekends) and are the most pleasant people to talk with. What can I say? Dataforma software and the staff are absolutely GREAT!
The system is easy to use, but extremely comprehensive. We were up and running within two days, including training. The Dataforma team has helped us see how what existing processes work best for our business, and has helped us customize as it makes sense. The regular webinars allow us to stay up to date with all the new developments. They have been on hand to train our new personnel. My customers use the Client portal to access their portfolio information, and I am able to keep proposed work in front of my staff and clients for consideration at all times.
I travel a lot so the web-based access allows me to work from anywhere, and stay current on all new activity.
Dataforma is constantly upgrading the system, and I am looking forward to the addition of the financial package. I plan to take full advantage of it.
Dataforma is easy to use, and captures everything a roofing contractor needs to be successful. It truly has been the best tool for our organization. And in addition to the product being top notch, the Dataforma team is tops too. We cannot imagine running our business without Dataforma!
Dataforma has been a saving grace for keeping our information organized. We can't imagine what life would be like without it.
At first we were apprehensive to dive into a new program when we thought the program we had in use at the office was doing just what we needed. But our interest was there, so we got more information, sat down with Dataforma, and went over everything the system could do, as well as what we had in mind in terms of future growth.
First, let me just say that every person at Dataforma - from the owner to the field guys and girls - are top-of-the-line professionals who know the roofing buisness inside and out. They are also the nicest, most helpful individuals I have ever met. We decided to go with Dataforma, and hoped at the time we had made the right decision. I can tell you now that we did. From setting up the program, to providing day-to-day help, Dataforma has been there for us every step of the way. We also found out that the program we had been using could not touch what Dataforma could do for us.
The staff and training at Dataforma is excellent from Day 1. You are never left on your own. Night or day, Dataforma is there for you. The program itself is such a benefit to us. I can take a call knowing nothing about the job, and can still help that customer because the relevant information is right at my fingertips.

The most important issue with any software or Cloud based application is training and technical support. Dataforma is unmatched in these fields. Their technical support alone is well worth the price of admission! Don't be mislead by the term technical support, meaning that there are issues with the application. The application works great and their technical support is available immediately to answer any "How To" questions.
