Dentrix Ascend Software


 

Dentrix Ascend is a web-based software suite for dental care. The software suite provides tools for scheduling, appointment booking, e prescribing, and monitoring continuing care, as well as various chart types. Users can enter clinical notes and enable pop-up alerts that appear when a patient’s chart is accessed. Treatment planning tools track patient benefits to help set appointment schedules.

Users can also manage billing and accounting, insurance processing and revenue. Reports can be run to track payments, medicaid reimbursement, and payer utilization. Permission controls allow users to restrict access for individuals or groups. The software can be integrated with other applications such as Allscripts, eClinicalWorks, Epic and SuccessEHS.

Dentrix Ascend provides user support via live chat, email and over the phone. Pricing models vary depending on customer needs. The application suite is suitable for organizations like large medical groups, multi-location practices, community health centers, hospitals, correctional facilities and government organizations.

It is centralized and a business manager or director can see the entire scope of the patient's status from account aging, to insurance claims status, to clinical particulars.

Pros

includes text reminders, ability to see claims status and follow-ups with insurance, ledger activity and balance is staggered nicely, imaging function and treatment planning is awesome (can obtain bird's eye view from dental chart)

Cons

have experienced glitches and entire days where the software has been completely disabled; not everything saves instantly (has nothing to do with internet speed but speaks to the nature of cloud-based software and, by nature, the downfall of having an offsite server).

Pros

The deposit slip is the best thing I have found so far. I regret I'm unable to find anything else. I'm sure there is more but I've yet to experience it.

Cons

It takes way too many steps to print, check out patients, scheule appointments. To change insurance companies for patients is a joke! Too time consuming and confusing!! This is just the tip of the iceberg! Oh yes, recall is from the stone ages!

Our office made the switch from Viive, which itself was a very frustrating piece of software as it would constantly drop connection to the server even after several "fixes" and technical support sessions with both Mac and Viive. I was excited for Dentrix Ascend, being a long-time Dentrix veteran, knowing the power of the Dentrix applications. However, in my experience with Dentrix Ascend so far, it is clear that Ascend is a gutless wonder, especially compared with how powerful Dentrix Proper is (and even Eaglesoft, for that matter!), and as such, is has been an utter disappointment. Full disclosure: I handle the front office/insurance/accounting end of things, so I cannot speak to the clinical end of things. My review is solely of the front office and accounting end of things. Keep in mind it may be delightful for the clinician. I am pleased with the fact that we no longer have to deal with constant server connection fails, so that is nice. But still not enough to make up for Ascend's other shortcomings. My first gripe is that once an insurance carrier is established, you cannot edit the payor ID. And once groups are established under a carrier, you cannot move the groups. This means, if a carrier is set up incorrectly (say, with payor ID 06126 that directs the clearing house to print and mail all claim) with several groups, you have to manually recreate the carrier and each group underneath, which is a cumbersome and time-consuming process. Secondly, with the procedure codes, many of them default to "mouth" for treatment area, even for common codes that virtually every insurance company requires more specific information. If the procedure code is used a single time, you lose the ability to edit even the treatment area. This was a big problem for us, as treatment plans converted over with several codes that are uneditable because they are "in use." We have had to create several "alias" codes, which the clinical side now has to remember to choose. Third, Viive allowed for payment tables under each group (similar to Dentrix Proper and Eaglesoft and several other software options), that would allow any exceptions in payment to be logged for future prediction. This is not the case in Ascend. This was an important Viive feature for us because we participate with an insurance company who calculates payment based on two fee schedules: maximum allowable per provider contract and maximum allowable according to policy contract. With Ascend, you are at the mercy of coverage percentages and cannot account for the two separate yet inseparable fee schedule. I got excited when I saw the "copay" field in the coverage table and spent a large amount of time updating this field for each group, only to find out from technical support that this is not a covered feature. So, ultimately we have had to develop external tools to help us predict patient responsibility. Dentrix Ascend has completely failed us in this area. Finally, we have hit a roadblock with NEA attachments. We are having to continue using Viive because of the inability of ledgers to be transferred over to Ascend (ledgers include open claims). To make a long story short, because we are maintaining a subscription to NEA through Viive in order to be able to keep sending attachments for unresolved claims, we are unable to send attachments through Ascend. Our only options are 1) to terminate our NEA subscription under Viive and print and mail all claims requiring attachments, 2) to manually move treatment over to Ascend and resume claim troubleshooting under Ascend, or 3) print and mail all claims from Ascend requiring attachments. We are probably going to go with option (1), but really, any option is a huge inconvenience. Bottom line, as the numbers and insurance person, I would never recommend this software in its current state. I am a huge Eaglesoft critic, but I would wholeheartedly recommend even that software over Dentrix Ascend. Ascend, you have a long way to go before you will get my vouch.

Pros

Access from anywhere, line-item accounting, some user-defined reports, everything is backed up in the cloud. There is potential.

Cons

Just about everything else: confusing ledger, user-unfriendly insurance setup, inability to edit procedure codes, inability to override insurance payments at a group level and on a procedure code level, NEA attachment failures.

Ascend has potential to be great. No longer do you need an expensive network with IT support. Everything is cloud based which means it can be accessed anywhere...big plus.
The only is the only UI. It needs to be more user friendly and more flexible. It didn't feel like the natural transition from Dentrix G6 at all. When you call for support it almost seems like they are still trying to learn alongside the users.

Yes, until there is an internet outage as we have seen a few times then everything stops and no work cane be done and patient info cannot be accessed.

Servers are not expensive, and there is a lot to be said for controlling one's own environment and not relying increasingly on multiple layers of 3rd party resources.

Management reports are less than desired. It is hard to customize some areas in the charting and notes. There are too many maximums in certain areas such as health HX. Support is not always supportive. I think most read out of a manual as they are trying to help you and take the long way around the barn! We use a different source for e claims and statements.

I have been using Dentrix in dental practices for the last 7 years. It has a lot of functionality wrapped up into an involved package. Once you are familiar with Dentrix you will find it's potential to be exponential. I often find that onboarding new practices with it have its own challenges. With that being said when asked which Practice Managment Software I would recommend it is alway top three. Lastly, as it is the biggest player on the playground you would think they would invest a little more into their support. If you have the time to wait on the phone, or the experiance to know what your problem is then you can find a solution with their online support. However, if you are unsure of what your problem is or why it is happening it is best to work with an I.T company to work with Dentrix support and even then be prepared for a finger pointing match.

Advice to Others

Don't rule Dentrix out as the integrations with other software gives it a monopoly on the market. However, if you are smaller and don't need as many connections you may be better suited looking into some on the newer software's to market.

We have used a number of software types before but they were too complicated and not as robust as Dentrix. the rep that sold it to my office misrepresented what options the software came with. we purchased it for around K , then had to purchase licensing for all computers, then had it installed only to find out that it does not come with all the module included and you had to pay extra for the services like ebilling and ecentral (which malfunctions all the time)
the service is horrible, the contact is expensive and does not cover the tech on site. The online support is not bad but not able to solve many issues. The techs that came to the office and set up the whole thing did a terrible job and the software is constantly not working properly. They cam in and set up my whole network and server and none of it works well and consistently. Software is not user friendly and required many hours to get it to work OK. Features like insurances and notes are very hard to set up to where they should be to work well.
They charged money for the file transfer from ACE and that was a complete screw up and we basically had to start from scratch on everything. Took a Year to clean up the mess. If I could do it over again I would steer clear of Dentrix

The basic package is OK. It crashes often. Takes lots and lots of time with IT support before it runs OK. But, if you buy into some of the advanced features - prepare to bare some liability risk on their behalf! Their credit card processing software (Power Pay) is not compliant with credit card industry standards, and will make your practice NON-PCI Compliant. They have been telling me they are working to fix that for several years. They will never commit to a date when a fix will be available, and after several years they have made zero progress.

Pros

Comprehensive office management. All inclusive.

Cons

Crashes often. Too much dowtime. Credit Card acceptance feature (Power Pay) non compliant with industry standards, and the liability for that is borne by our office!

Advice to Others

Research all you options before you buy. There are other products in the marketplace. Dentrix is very expensive and does not deliver all that they promise it to be.

I have used Dentrix software in several different offices over the past 20 years. It definitely covers everything a dental office needs.

Pros

Dentrix understands the typical dental office and covers the needs adequately.

Cons

It is expensive. It is difficult to use in a very large practice. We have 10 hygienists. There are restraints with customizing and reporting with that many practitioners.
Customer service is average. I have experienced far superior customer service, so when I went back to Dentrix, it was very noticeably.

I have worked with Practice Works which was pretty good minus a few quirks, Open Dental by FAR the best software available, intuitive and easy to navigate, minimal clicking compared to the worst software that I have EVER encountered. You would think this was 1990 with the limited capabilities and quirks. The worst software ever. Don't get fooled.

Dentric has much more functionality than listed. It's only missing imaging. After personally using Curve Hero, SoftDent, Open Dental, and Dentacon; Dentrix and Open Dental were the most user friendly and functionality of those above. If you need more customized functions, Dentrix easily integrates with other 3rd party software. There are some improvements that both could do to improve the software. Dentrix Kiosk could use a more patient friendly interface and a more condensed output, especially for health histories. The scripted clinical notes interface works fairly well, but still needs refinement. It would be nice if Dentrix created a one page dashboard that shows charting, treatment planning, health history, Current Rx's, clinical notes... If I were looking for a server based program today I would get Dentrix or Open Dental.

Dentrix was sold to this practice prior to my arrival. The former Director asked Dentrix for a Project Plan for a full month and never received one. I asked for two additional months, and received one with "proposed dates". Then, with 5 days notice, the installation date was chosen (without my input) and trainers were flying in. Unbelievably bad planning on Dentrix's part.

Looked good in the demos.

Cons

Extremely poor project management, little communication, tech team is not helpful.

Advice to Others

Do not buy it.

Very versatile reports if data is entered properly.
Extremely poor customer service and unbelievably poor Technical support structure.
Level o tech support read from instructions without understanding what the issue is. Many times they cannot even "hear" the issue you are asking about however they act as if they have the answer!
Stay away.

Dentrix is rather straight forward and certainly an enterprise quality piece of software. They make everything in a Dental Practice much better all the time and their customer service always has the right answer. I support 5 dental practices and all use Dentrix which has been outstanding compared to other solutions.

The software isn't even HIPPA compliant! Dentrix is so old and antiquated that it does not even have a "pop-up calendar like every $19 software program in existence. Imagine the thrill of paying $7000 just to type 8 numbers in every time you change a date. Want a font or color change? IMPOSSIBLE!
The accounting part of the program is prone to errors and requires constant baby sitting.
Customer service wait times are very long and you can get multiple different answers from different techs.
DON'T BE TRICKED! Flashy ads and claims are just marketing!
