Epicor is an industry leader in distribution software, known for its emphasis on vertical markets and developing applications on a best-of-breed basis. The Epicor Distribution Suite portfolio includes the popular distribution systems Prophet 21® and Eclipse™. The software offers a complete set of solutions for distributors to manage their business from a single system.

Epicor Distribution Suite provides applications for purchasing, order management, accounting, transportation management, and inventory management, as well as other modules. All of these modules are brought together to form a single solution that can serve a distributor of any size. The software can handle the needs of businesses with $1 million in annual revenue, as well as multi-warehouse organizations that bring in more than $1 billion. The software is appropriate for distributors in electrical, plumbing, HVAC, fluid power, fastener, medical and petroleum industries, in addition to several other industries.

The software draws from multiple applications at once to make the software more usable. For instance, financial information such as credit and accounts receivable data can be viewed on the same screen that orders are entered into. Epicor Distribution also allows for warehouse information to be accessed using purchase order numbers, allowing for inventory to be easily located and shipped after purchase.

The vast amount of features allows it to be compatible with many different business models throughout several industries which can make it a little over complicated on what to do via data-entry as your company doesn't use every single piece of functionality and you have to fill in the appropriate area for what your company is using as there are allot of fields and tabs that you could have to update. So it can produce very detailed information if allot of the fields are utilized. Speed is a huge concern with this software as it has multiple layers of programming on top of an outdated platform that makes the data entry workable but painfully slow once you get used to running the software.
I am not part of the financial portion so I only gave it one star because it wouldn't let me erase and make it no stars.

Pros

Scale-ability and the capability to mold to a lot of different companies business models.
The Purchasing/Forecasting functionality is top notch and very mold-able to any purchasing model ranging from central purchasing down to individualized seasonal items. Once set up it will let you get away with a smaller procurement department as the system will tell you what you need to order.
The vendor is good about fixing issues quickly but sometimes difficult to distinguish between an actual error and a company specific business process.
There are a ton of purchasable add-on's from the Vendor them-self along with even more third party add-on's that makes this a wonderful software if you have the money and skilled personnel to support it.

Cons

Scale-ability and the capability to mold to a lot of different companies business models. Since this software can mold to a large variety of business models it can make training difficult and long due to the complexities of the software's advanced features. This also makes data entry combersome as you have to know what fields to enter depending on what functionality you are using.
Slow to implement vendor driven Idea's Network from user ideas.
The product feels extremely slow once you get used to running the system and is glitchy because of the method chosen to release updates and advancements. Developers run a continuous improvement program with multiple releases a year so as they are designing new features at the same time they are cleaning errors and glitches rather than waiting a long time for advancements and a rock solid release. This could also be considered good and bad if you need an advancement, you don't have to wait!
The companies move to have the first level of support go to India can lead to frustrations because of the communication blearier along with the new support teams are not yet very knowledgeable with the software and the level of experiences with the software is still being developed

Distribution - Very Strong
Sales - Strong (Does not currently have a "true" Point of Sale Module / No security for sales pricing over-rides)
Pricing Sales/Purchasing Structures - Strong (Does not show % discount for orders / Rebates are cumbersome)
Service & Maintenance - Strong to Medium: Needs a lot of work for differences in business models for Service. Scheduling a service is a challenge.
Manufacturing - Light: When they mean light manufacturing they mean it. Not a CNC type manufacturing add-on. They are currently working on a scheduling functionality that will help a ton but would still be a lot of work to run a large caliber manufacturing facility using this add-on. Some things are nice and some other are horridly missing. There is better software that handles manufacturing easier.
CRM - Thumbs is half down: Can get away with the baseline functionality and better with some customization but a purchasable integrated add-on's make's a world of difference!
Reporting - Baseline: Thumbs Down - Need to purchase add-on if you want any business oversight and strong reports. Someone with Highly developed SQL and or C++ Skills recommended. Crystal skills is a bonus. Can get away with middle of the road knowledge in those areas but the highly developed skills make a world of difference in molding your business processes.

We are a redistributor of janitorial and sanitation supplies in the mid-Atlantic region of the U.S. Our business model, while very successful for us, requires that we have access to, and the ability to manipulate data in unusual ways and Epicor Prophet 21 gave us the flexibility to do that. Because of its complexity and comprehensive nature, it can be a little intimidating to new users, but by incorporating many standard paradigms, it's never been a problem to train users or adapt the system to keep us performing at optimum levels.

Pros

As an open database product, we have complete control over the information. When we have run into any issues or had questions, the support staff has been stellar.

Cons

Full functionality may only be achieved with the addition of other products which come at a cost and may not integrate perfectly.

Advice to Others

Be ready for a serious commitment of effort and expense to get Prophet 21 working to its best potential.

SQL databases are fairly easy to work with. Other than that, there's a lot of frustration.

Promises were made by the sales team that could not be met; reporting was not as promised (you mostly need to create your own using Crystal or Excel, and need an sql query writer for the more intricate ones).

Recommendations

Epicor is one of the top catalog providers in terms of automobile parts, even though its quite expensive but they have proven to have the best data in the industry. I've tried a couple others but Epicor hands down has the best catalog system out there to date. They have logged many decades of data pertaining to everything for a vehicle.

price! They price is far too expensive, Epicor knows you NEED their catalog to do business via ecommerce. You get assigned a sales guy who's mission is to sell you their cloud service, catalog and other cool features that your business may or may not need. Only utilize the software based on your business needs, tailor make it to fit your budget and work best for your company.

Recommendations

To become more flexible with clients, I run an ecommerce site we do not sell every aftermarket part under the sun. I should only be liable to pay for data that I carry on my site. We shouldn't be forced to spend money on a full catalog if we do not use a full catalog

The Prophet 21 development and support staff are very knowledgeable. Many of the folks have been there a long time, employee retention is great and the knowledge is very useful.

This software is one that many people have heard of so its easy to refer to and find support online for. It has a wide range of functionality making it a useful product for a massive amount of companies.

This product is super expensive. You are paying for the brand, everyone has heard of it. Profit 21 is an incredibly powerful tool but because its made for so many different types of companies there are a lot of functions that you don't need. This makes the interface really busy.

Recommendations

This is a great benchmark program to get an idea of what this type of software can offer but I would do more research to see if its really the right fit for you. This program in my opinion is more suited for large corporations with a vast amount of employee's. The return on investment from the functionality of this program would only be offset if you were a massive company with multiple locations.

It appears deceptively easy to use, but only after you become intimately aware of tab locations and features, and it has a somewhat pleasant GUI. Actually, there isn't much that I really like about it.

It has noticeable shortcomings, such as the inability to reference two or more items as one general preferred item. In other words, if you have the same item that is called 3-4 different item names depending upon the manufacturer of the item, it doesn't allow you to establish the preferred item, and we have been told this feature is a few versions away. The shipping address on POs is often incomplete because the user very often runs out of available space, yet typing in the order screen doesn't do the same thing. The most aggravating feature by far is the customer quotes.The software expressly forbids you to dictate a vendor other than what the system has established as the preferred vendor. It absolutely excludes the option. So what happens is that the order has to be changed to another vendor when processed. If you forget to do this at a later date, you can literally cost your company hundreds or thousands of dollars because the wrong vendor was given the PO.

Recommendations

Buyer beware. Look at available options unless it's being forced down your throat, which is what happened in my case.

What I like best about Prophet 21 is that is is SQL based, which gives you massive ways to get to the data for development and analysis. For the end user, the flow through screens is similar across the modules, making learning and supporting easy.

Some of the add-on tools are a little under developed at roll-out for my liking. They are great ideas, but the under development has slowed our roll-out of the add-on.

Recommendations

It's an excellent out of the box distribution software. Epicor seems to have thought of every thing to meet distribution needs and included it in a tidy package.

We are using the P21 suite which is catered to distribution, but we also have a fair amount of manufacturing with other entities and value-add production. Sometimes the production module can be cumbersome.

Recommendations

Make sure you evaluate every part of your business and ensure the application consultants have a solution that would be easily adapted to your processes.

They're willing to program just about anything for you, as long as you are willing to pay.

Recommendations

Make sure you test it before you buy. Make sure your front line people try it out and compare it to what they're using right now. Seemingly simple tasks can be made much more difficult if proper evaluation isn't done.

We updated from their Acclaim System to the P21 Operating System, and have had nothing but problems. For a system that is supposed to be a complete system, it is not! It does not have payroll or include a financial spreadsheet; we had to buy an Excel program, that is the only way to do a financial statement. The order processing is very, very slow, especially for non-stock items. On Acclaim it would accept a multiplier, on P21 you have to figure out the cost and enter them individually - no multipliers are available. And those non-stock items stay in the system forever! So you can resell them, but if the price is incorrect and someone does not check them, you are in trouble. You have to delete them manually. On the purchase requirements report, it does not show you inventory methods, usages, ect., so if you want to edit that information you have to do so manually as well, on each item! It does have some nice features, but if you are an Acclaim user I would highly recommend staying put!

Software is great but lacks reporting. I feel they are gouging you because you have nowhere else to go once you purchase the product. They promise you the world when they come to sell you the software but once you in implementation you find out that everything they told you the software can do out of the box, is a custom modification that is going to cost you alot of money.

We are a wholesaler in the Boston area servicing mechanical contractors, colleges, hospitals and the many commercial, retail and residential buildings in the region. We decided to shop for new software after our consultant demonstrated the efficiencies and added capabilities of newer ERP systems. We now have all functional areas of our business tied together and updated in real time. As an example, purchase orders are suggested to purchasing agents when inventory levels start to run low or a customer needs special order material. When the PO receiving is processed in the warehouse, it immediately updates accounts-payable, inventory value, and product balance on-hands. Then customer orders are triggered to be filled, and sales persons are reminded to schedule customer deliveries.

The system is much more than I just described, but the point is that the workflow has been designed to eliminate redundant tasks while organizing information so tasks are not overlooked. Additionally there is EDI, Web Order-entry and many other services that were not tied into our ERP system before. We are currently using Epicor Eclipse version 8.7.1. Prior to Eclipse we were using an MAI Basic Four system that served us well to the end of its' life cycle. Our training and implementation of Eclipse was quite a transformation for us, as we no longer carried hand-written orders to the warehouse to be filled. We now enter and schedule orders allowing the computer to alert pickers when to gather and pack orders. Prior to our go-live, Eclipse ran multiple training sessions for us.

When we turned off the old system and turned on Eclipse we hit the ground running and now realize we can do more business in less time. People were nervous before the cutover, but no one can imagine having to do business the old way now. Eclipse personnel did the training and it was an excellent program. Eclipse Customer Support is very good. We have been working with some folks at Epicor/Eclipse for more than 15 years and they know the product inside and out. The benefits we have realized are too numerous to detail, but most important to us is that we are able to handle and keep on top of more sales, more products and more customers while improving customer service in an affordable way.

We are a medical supply distribution company and knew for a long time we needed to upgrade our software. In our industry, vendor rebates are critical to profitability and we were tracking these manually and could not determine what our line item gross profit was without tremendous effort. We were on MAS 200 for 9 years and had not upgraded within that software for 6 of those years. Many of our processes were manual and we had automated about all that we could.

After researching about 10-15 other software systems and going through demos with five companies, Grove chose P21. We kicked off the implementation in November 2009 and went live in July 2010. The implementation was very successful, in a large part due to the consultants and support that P21 provided. We were given the same consultant for all parts of our implementation, and his knowledge of our industry and the application were critical to our success.

We are currently on version 12.7 but went live on 12.3. I like Epicor's development cycle, as we are able to get upgrades more frequently, which are enhancement upgrades so that we can continually take advantage of new functionality.

Some of the benefits we have received include a 60% reduction in day to day inventory adjustments and a 50% reduction in our physical inventory adjustments, 6% increase in freight revenue to our customers and increased visibility to everything - open orders, open purchase orders, where an order is in the picking process, increase in fulfillment time, less backorders. We have been able to do more with less people.

With respect to customer support, I gave 4 out of 5 stars because there are always frustrations with support. However, I can honestly say that the customer support at Epicor is the best I have ever experienced with any software company that I have been involved with. They are responsive and knowledgeable and seek to answer the question completely, rather than just "close the case." I would highly recommend P21 as well as Epicor for your software and consulting needs.

We are a $125 million a year medical supplies distributor located in the southwestern suburbs of Chicago, IL. We have been live on Prophet 21 for a little over a year now - we could not be more pleased with the product and the organization that supports it. Intuitive, easy to use, filled with features, Prophet 21 has helped us not only reduce redundant behaviors, but through optimization of the business process has been able to increase profitability.

I could have easily given Ease of Use and Functionality 5 stars, the reason I did not, we are a very specific industry and while enhancements are on the way, there are a few points the application does lack. Thankfully we are able to work around this and the organization of Epicor has sought our help in developing the future functionality of the application by forming a customer based Steering Committee - of which we happily participate. I believe this along with the excellent support as well as the very strong ERP, Prophet 21, this is the tool of choice for just about any distribution organization. I would happily and strongly recommend Prophet 21.

We utilize the Prophet 21 software package. We are a medical distributor so we have unique needs. Epicor has addressed those needs and provided all the functionality needed by a medical distributor. They are always focused on new technology and new features needed by their users.
