Gather is a cloud-based event management solution primarily designed for the needs of restaurants and other small and midsize enterprises in the hospitality industry. The system helps business owners streamline their event booking workflows, from initial inquiry to event execution.

This platform offers features such as automatic mobile notifications and updates that allow owners to track staff schedules and event activities. A shared calendar and team messaging functionality allow teams to coordinate and collaborate from anywhere.

Gather helps increase leads with an embeddable booking inquiry widget to automatically gather leads any time of the day or night. Response times are reduced with capabilities such as digital proposals and e-signing. The system enables business owners to keep track of their leads through its lead-routing functionality.

Gather guarantees compliance with PCI standards for secure online payment collection and also meets IRS standards for auto-gratuity.

Extremely bad customer service, buggy software

Even though we gave them notice of cancellation after about 9 months they have twice charged our card for renewals which are not valid.

Pros

Generally the contract feature was fine. We liked executing contracts on line even though the contract tool did not have all of the client info required

Cons

Regarding our disappointment with Gather I would point to the following – all of which I have reflected to your support people and none of which have been acted on:

Your IOS app seems to be able to send messages to clients and it does seem to be able to send templates but not free-form messages. Yet it often leads the user to believe a message has been sent when it has not
About 45 days ago new inquiries stopped showing up in your new messages list – your support people insisted this was not a change but it was. It seems logical that new leads would be the most important new messages
I asked you to make all the numbers and metrics on your Home page hyperlinked, but you have not. If I see I have two new leads I can click on that number and it takes me to the new leads. If I see I have one new contract signed, the numeral “1” is not hyperlinked and I have to search for the new signed contract.
It is difficult or impossible to add a second client contact name but in the wedding business it is pretty normal to have at least two client counterparties. Yes I know about the “onsite” contact but that is not a default email recipient. Look at the confusion that appears in some proposals.
Your proposals are not properly itemized and clients do not seem to notice that I have attached a “BEO” which is not a term I could define for you. Look at both “xxx” and “xxx” as examples of proposals where they thought we got the price wrong but they don’t see the security deposit because it is not itemized in the proposal.
It is completely ridiculous that the client could sign an e-contract without being forced to enter and validate their address, phone, full and correct name, etc. Our normal course is we get a contract signed and then we chase down the additional information required to actually have a contract with the Zenith Additional Information form. This is cumbersome and probably not legally defensible. I want the client to execute the contract having filled in and validated their complete contact info

After 2.5 months of working with Gather

Gather is a program with a great deal of potential, but lacking terribly in the follow-through at this time. While I was sending numerous emails asking to be granted permission to view reports on transaction fees and getting no response, they released a new logo and website design. And then when I asked them to enter recurring calendar event data on their event, which they had promised to do before we purchased the program, they responded by saying they won't do this for us any longer and we'll need to enter everything manually from here on out. At this time, it appears they're busying themselves with esthetics and letting consistency, agreements, and customer-care fall by the wayside.

Pros

The ease of scheduling and incorporation of invoicing is really wonderful. Also, the first month of customer service is superb.

Cons

The inquiry/"lead" forms are not customizable, the customer service drops off dramatically after a month of partnership, we primarily work with recurring events and they do not have any accommodating features for this. So, we worked out an agreement of sending in the data so they would enter it and decided to purchase the program, after a month and a half we were told they would no longer honor this agreement with us, without any warning or consideration. I also repeatedly requested access to financial reports regarding transaction fees and was dropped from conversation twice until I sent an email to a number of different departments and department heads, after which is was taken care of immediately.

My company loves Gather, we have been using it for about 4 months now. Because it is an up and coming system they are growing and adding new content all the time, and they really look for customer feedback to help them in growing their software.

Gather has been a nice change for our business after switching over from a competitor. It has made communication easier for our team for both front and back of house when handling BEOs, which is a sizable part of our business for a traditional restaurant.

Pros

Much more user friendly than alternatives.

Cons

Slightly less powerful than other systems I've used.

I am the General Manager and Event Planner for a very busy restaurant. Gather helps to keep me organized, in touch with clients and staff, and keeps all of the information I need in one place. I love that clients can get in touch with me through a Gather link on our website, and I can convert a lead into a booking very easily. Keeping up with so many people and events is exhausting, but Gather makes it much easier for me to have all necessary information and conversations with clients in one place. I also love that I can have my clients "sign" event contracts through the website, send deposits, and put a card on file. My team can also access conversations and documents so that they can stay up to speed with what is going on. But I think my favorite part is that the bookings calendar can be synced with my google calendar across all of my devices. :)

Pros

Customer Service, price, and rapidly growing features

Cons

I can't think of any cons. I think there is always room for improvement, but nothing sticks out to me as a problem. I did, however, have some difficulty integrating my bookings calendar with my google calendar, but almost immediately, the awesome customer service team helped me out with it.

Advice to Others

I would love to see a bookings calendar that can be put on my restaurant's website. That way, clients already know that we are booked. I would also like to see more options for inquiry buttons that can be put on my website. This may be an oversight of mine, but my link is not very noticeable and in plain text says "Click here to inquire about an event". I wish It was a big button or even a form that a guest can see right on the page and fill out.

We tried Total Party Planner (trial) and Caterease (6 months) before finding Gather. I'm so glad we did. From the first interaction the sales and support staff have been professional, helpful and going above and beyond. All our data was uploaded over the Christmas holiday (2015) and we've been booking clients ever since.

As one of our clients wrote "it's beautiful and effective at showing me exactly what matters." Everything is online, and even works from mobile devices.

Team communication is seamless, and best of all I actually got my chef's using it because it's just like email. There is now a one-stop shop for everything related to events.

For our small catering company justifying the expense was hard at first. Now, it's no question I save that much every month in time emailing clients and sorting through details.

The BEST part:
Gather is under active development. They just got funded big time and have been rapidly rolling out new features. I have no doubt they will be competitive with giants like Caterease in all categories very soon.

And when they roll out a "required items" checklist or a menu costing/ordering interface you better believe it will be intuitive, functional and highly integrated.

Right now (Feb 2016) Gather is primarily geared toward restaurants with rooms; however, we have had no trouble adapting it to our off-site catering business (we have a fleet of mobile wood-fired ovens). If you are a large hotel this may not be the best solution... yet, but just ask. They are incredibly responsive.

Gather has been such an asset to our team of twelve sales managers! We are located all over Texas and have now expanded out of state, yet, thanks to Gather, we can each provide individualized information for each location in a completely consistent format. Gather is truly easy to use as we are logically guided to the next step or the next detail that needs to be entered. The communication at each store level has been markedly increased with the Daily Digest. And since there can be as many viewers as each management team would like with Gather, everyone is in the "know" about events daily.

Customer Service is impeccable! All concerns are addressed; all phone call are returned; and all emails are acknowledged and in a timely manner. In the last 12 months, the Gather Team has shown a rare talent for true customer service. Gather has proven to be a true asset for Perry's!

My second day at my job, we had our first conference call with Taylor, our Gather representative, to walk us through all of the opportunities Gather can provide our restaurant group to plan and organize our upcoming events and caterings. Little did I know that Gather would become my new best friend and inadvertently, same goes for Taylor. We use the system for multiple aspects of our group and Gather seems to mold and fit into each role we set up for it. We're primarily a restaurant group - we have some group dining options, private dining, but also a whole other element of catering AND inter-restaurant caterings. Gather has done it all for us! Managing communication between us at the corporate office and the restaurant managers to ensure our events are being properly executed.
Taylor and Alex from Gather have been always available and willing to help my colleagues and I throughout this time. They've also been extremely open to new ideas and feedback on ways to improve this young, but VERY strong software - ultimately helping our company become even bigger and better.
I would recommend Gather to anyone who is managing a high-volume of events and caterings. I truly don't know how we'd manage this level of activity without it.

At our restaurants, we get dozens of event inquiries a day. During our busiest seasons we can easily receive over a hundred inquiries a day. We have to be able to check availability in a matter of seconds. We have to be able to produce fully executed BEOs in a matter of minutes. There is no way that we could do this without Gather. The organization that you gain by using Gather is insane. Menus, contracts, credit card forms, automatically generated BEOs and Chef BEOs are all at your finger tips. The interface itself is beautiful and easy to use. The best part is that it allows us to have instant communication with our managers, chefs and event teams. No emailing 10 different people BEOs, or hand delivering paperwork to the restaurant. You can also communicate with your clients through the portal and make real-time updates that they can see and approve. It's fast, it's easy, it's the only way I maintain sanity. The features that Gather provides are amazing, and the incredible customer service is the icing on the cake. Truly THE BEST software out there.

Gather matches our standards and has developed a relationship with us that can not compare to any other software of the kind.

1. Web-based and matched my monthly price I was paying for a sole license.
2. As an upper level management, I can see all of my units/catering divisions on one calendar and filter as I need.
3. They input menus for you and will make changes ¿ no extra cost.
3. They offer free one on one continued training when I have new managers with the system.
4. Much easier for my managers to input information, more user friendly.
5. I don't have to "submit a work order" to talk to anyone. I'm on a first name basis with a group of professionals that care about giving service the right way.
6. They are fast with turn around on jobs and needs.

Gather is a great way to help streamline our event planning process. With various events taking place at multiple properties daily, Gather gives us a chance to review the information at one time for all locations. It also allows our managers and staff to view updates and changes, as the program is very user friendly. There have been a few minor setbacks here and there with system updates, but most issues are resolved in a timely manner. We are so pleased with the program, and look forward to it's continued success!

My team has been so happy with Gather. It has completely transformed the communication between the sales team and venue staff. We love the transparency of the software - everyone can get the information they need in real time.

The support team at Gather has also been great to work with. They are very responsive to our questions and have also been great about tweaking the features of the software to meet our needs.

The interface for clients is also good and easy to use. There have been a couple of glitches with messages and emails coming through the Gather system, but the client support team has worked closely with us to try to resolve those.

We highly recommend Gather!
