Easy to use - Scheduling as Basic as needed

I was looking for an easy to use and not too expensive scheduling software for the beginning. The more advance programs are great but we would not yet use all the features. After searching I am happy to start using Deputy. Its easy to log in. Overview is great. Information can be put in so easily. It has everything we need for the start to organize everybody.

This makes my job duties with HR so much easier! I have many more responsibilities than just HR and this definitely cuts back on my time spent entering employee hours by hand and processing schedules, etc. This allows my employees more control and keeps them more accountable for their own time, PTO requests and changing of schedules!

Pros

All very easy to set up and integrates well with my payroll software. Also has a message board that is seen by all employees which makes it easy to send information and receive confirmation that everyone has read it.

Cons

Sometimes requires too many approvals.

Advice to Others

It makes rostering and timesheets extremely fast and easy.

Pros

Is really easy to for everyone to use. Its quick, can be accessible on your phone or laptop. Its really easy to copy shifts in advance which reduces a lot of time at work.

Cons

None really. If I had to list something I would love to have my deputy shifts in the same calendar that I use for all of my family appointments etc.

Our business is small, but has lots of different areas over two sites so it can be complicated to make rotas and keep track of hours. Deputy makes it super easy, and the app is simple to use so my staff is happy too.

Pros

It looks good, is easy for my staff to use, and has a very intuitive back-end. The customer support is exceptional - I requested a feature and they rolled it out in the following update.

Cons

There are a lot of notifications, but these are reasonably easy to turn on and off so it's not really a complaint!

Probably one of the best scheduling/staffing apps out there organizing my company's staffing, scheduling and payroll.

Pros

The scheduling features, clocking in and out (especially with location services), communication with team capabilities, and overall polished interface are so well thought out and done. I researched several different software and apps, but this one really checked a lot of boxes for our small business. We have a core staff and many seasonal staff, so having a versatile staffing and scheduling app was very important. I love that I can copy weekly schedules, easily change staffing whenever I need to, communicate with the team about changes right through the app, and write notes about each shift with additional information. When it's time for payroll, the approval and tallying of hours is so quick and easy.

Cons

So far it is an indispensable part of my business. I (and my staff) absolutely love it. The only issue I still have with the app is its inability to have several different pay rates for each person. Our company offers several different "jobs" that people can claim, but each job has its specific pay rate. When it comes to payroll, it would be nice to be able to select which payrate that employee is being paid for each shift/or position. Once this is in place, then I will be able to benefit from the budget and exporting features of the app. Right now, I cannot, but I understand this may be a special set-up.

Easy to organise my team. They also got a push notification to their phone regarding the start time of their shift. Very useful for managing remote workers.

Pros

Easy to have a high level view of what is going on with my team. I can quickly and easily see how many hours each employee has done and compare it to the hours I shifted them.
I can also categorise the work so I know what time is spent doing what activity. This for me is very helpful.

Cons

Filling out the schedule can be time consuming. As with my business only 1 person is shifted at a time so it is tiresome to keep setting the start time of the next employee as the end time of the previous.
In addition I would like to be able to edit the view more, for example colour code each employee so when looking at the schedule it is easier to see who is on and when.
As our business is not sales related the reports which rostered hours against sales is not really useful. I wish I could change the metrics or KPI's so that they are now inline with what my business needs.

Pros

I like the fact that the employees can see them shift just by the phone and the app add it to the calendary. The communication also improved.

Cons

The smart way that the system memorizes my shifts and also blocks the day when someone asked for holidays. Like this I don't make mistakes anymore.

Punctuality and employees not ripping off hours

Pros

I can contact all employees by SMS . I can also set tasks for the employees, they get the message about the task when the log on.

Cons

I can't put my team on one screen to see what the roster looks like, I need to scroll up and down too much.

The notifications to employees when shifts are opened or filled is an excellent feature. Also, the ability for employees to request time off through the program is very convenient.

Cons

Approving timesheet can be a bit tedious. Likewise, I am finding meal breaks added when none were taken, but this might be a setting I can adjust?

I do not have any cons regarding this app. I had a scheduling issue that customer service handled on their end and it was fixed the following day.

What I like most is what I never expected and that is that our staff LOVE it! They are engaged, they use the messaging, love the task feature and appreciate the ability to provide input to their own schedule. Also, the make-up of our staff is super random from week to week and Deputy allows us to do custom scheduling with 100% accuracy.

Cons

Keeping in mind that we just started using Deputy it might be a little unfair for me to answer this right now but what I find is that it is a little tedious to have to do as many things manually as we do. I'm sure I will discover shortcuts soon enough so this isn't even a complaint. Plus, the reason I gave the' Value for Money' 4 stars is because of the US/CDN exchange rate, again, nothing to do with Deputy.

We love the fact that it gives both the manager and the staff the flexibility to control their shifts and it gives the employees a sense of ownership - they are almost responsible for their own time management.

Not to mention all the flexibility it gives the management of building shift templates, managing leave and the especially the time sheets (now that paid breaks are a feature) it makes payroll preperation a breeze. (We haven't yet used the Xero payroll integration and the Xero payroll has not yet been rolled out in our country, but we are looking forward to it).

As a busy little cafe we have also used the task management feature to cover off all of our daily / weekly food safety requirements which makes it much easier for everyone to input their duties and the simple fact is - if its easier, it gets done.

Before moving to Deputy we tried a few other products but this one seemed to suit us best and one of the main reasons we moved is because we felt it offered the best value for money especially as our staff numbers change all the time.

We have recently expanded our operation to second location and without Deputy the shift management could have been hectic. Having this system already in place just meant that we had one less thing to worry about.

Deputy has become an integral part of our daily routine.

Cons

As mentioned earlier we are a busy little cafe so we spend most of our time on the shop floor, whilst Deputy has a fantastic mobile options and visibility, as managers it would be great if had more flexibility to "approve" more employees requests on the go like shift swaps and leave applications.

Also I found that the employees with Android phones seem to have a few bugs still hiding away in their app and they also don't yet have access to the task manager on their phones.

However, these are fairly small issues in the great scheme of things and based on the development rate and technical support I have received to date I have no doubt that these are already in the development pipeline. We look forward to the updates as they roll out.

This application is brilliant. It's functionality and ease of use has totally revamped our management of labour hire onsite . Having labour on multiple sites can stretch your resource management so being able to track when and where everyone is at one time is awesome!

I own a retail store, and needed to get away from Excel scheduling and paper time sheets. This was the solution. All-in-one, it lets me schedule easily, see my daily schedule, break apart managers, cashiers, and associates, and lets me see when everyone clocks in and out.

Better yet, it lets my employees swap shifts with each other, eliminating constant requests, and it lets them enter their own vacation schedules. Awesome.

And if I ever have a question, the guys at Deputy are right there to help, always with a quick response. Would highly recommend.

Pros

Great customer service, easy to view daily interface

Cons

Alerts are a bit awkward, would be nice to see who is clocked in and out on the scheduling page.
