Founded in 1988, Optimum Solutions, Inc. was established to provide Payroll, HR, and Time & Attendance solutions for mid-sized to enterprise-level companies in a variety of industries. All of Optimum's applications are developed in-house and have one master file employee database. Optimum Solutions integrates information from employee records, payroll data, as well as a history of benefits, including vacation and PTO. 

Optimum Payroll can be used on its own or in tandem with the complete Optimum system to provide payroll processing. Each year, clients of Optimum process over 12 million paychecks, taking advantage of the package of system features, including unlimited accounts using direct deposit, as well as pay-by-exception processing. The standard reporting features within Optimum’s payroll module include reports for pay register, labor statistics, benefits, and deductions.

Employee information can be tracked within the system, meeting OSHA’s guidelines and producing OSHA reports. The system is also HIPAA-compliant. The benefits module allows companies to track when employees are absent, track overall benefits costs, and monitor trends regarding lateness.

The software offers us many ways to store, obtain, and report data. Optimum solutions has been very patient and available to answer our questions.

The vendor is good. The product like any other has to be used and learned. Change is hard and learning a new system is as well. The more used the more comfortable I will be.

Recommendations

Don't be afraid to ask questions and don't assume it cannot perform a function without asking.

Product is hard to learn given the AS400 green screen format. Sometimes I feel like I am lost in the program and unable to get what I want out of it because of my lack of programming and IT knowledge. Sure there is usually help available (our IT department or customer service) but it is frustrating to have to ask to have a query made or something when I know what I want it seems like an extra step to go through another entity to help me with what seems like something that would be simple.

Recommendations

I would recommend that they evaluate using their own experiences.

Customer service is very good. The reps are very personable and knowledgeable.

Does not have some capabilities of some other systems we have seen. Reports are not always easy to run with the information you want. Since the program we have is not windows based it is not easy to train new employees to use the system.

Recommendations

Make sure and test the program before you purchase it. You may not be able to get all the capabilities you want unless you purchase add on packages.

Vendor has been good to work with, always helpful. The system works well and consistently.

Software did not really meet our needs as expected. We did not evaluate it properly and we were never able to make it work great for us. Setup was quite complex.

Recommendations

Make sure you look at the correct product that you plan to use, there are different versions of the software.

What I like best about this product is its ease of use and overall simplicity. With respect to the vendor, I must say that the customer service I receive is phenomenal. Mr. Dave Collazo is always there to provide assistance when needed. If he is unavailable, he is always good about returning my phone calls or answering my email requests for help.

What I like lease about the product is the many bugs that come up from time to time. For example, I am still having issues with PTO cash-outs not being deducted properly from available PTO and scheduling exeptions that occur on Saturday and Sundays which trigger a time card processing error that must be manually corrected - just to name a few. While I have always found a manual work around, the work around can be time consuming. It would be nice if the developers found a "fix" for these and other minor issues. Regretfully, I have sent our database for inspection several times with no avail.

Recommendations

The only recommendations I have is to diligently work at fixing the aformentioned minor bugs. Outside of that, I am incredibly pleased with Optimum and would recommend it to any prospects.

Questions are answered promptly and the step by step instructions that include print screens to view as I am performing each step. Reports are easy to obtain and I like that they can be produced in various formats (PDF, Excel, etc.)

No issues at this current time. There isn't anything that I can state that I least like about his product and vendor.

Recommendations

Make sure the evaluation is based on the needs of the company and that it will be put to good use. Obtain as much knowledge as possible and ask questions.

Speed of our payroll processing has increased. The transfer of data from Timekeeping to Payroll Processing is simple and efficient. The HR side of the system is very user friendly and has a large array of reports to choose from. On a daily basis I enjoy how easy it is to maneuver around in and enter data quickly.

There are many "newest versions" that you need to update your system with which can be bothersome, but they are actually very easy to use.

Recommendations

I recommend that if you are looking for new software to give Optimum Solution a try. Take a "tour" of the system with a representative so you are able to discover all the features it has available. It is easy to use, fast to operate and maneuver around within the system.

Optimum HRIS is very functional and does what we need it to. They have made strides in the web interfaces of both the Suite application as well as their company website. The new branding and navigation is A+ compared to the old stuff.

Likes Least

Too frequent of update releases. I wish more testing could be done before they get released so I don't have to apply a new one once a week, three weeks in a row. This isn't always the case but I do feel updates are released too often a majority of the time.

Recommendations

The big 3 for me would be make sure that 1. The software you're purchasing is capable of doing everything you need it to. 2. Support is guaranteed to you in a certain window (problems can and will occur no matter what application you choose) 3. The user interface is easy to grasp.

For us, Optimum has done that.

it gives you a multitude of information, more than I ever had in our previous system. I have not had time to enter all the info that it asks for, but I do want to finish it so that we have info at our fingertips instead of looking for it manually in different areas of the file cabinet.

I would like to be able to open several areas at a time ( to check on info). I would like to have the reports that I run every week to be separated from the rest of the reports that I don't use all the time.

Do not be overwhelmed with everything it can do. it is awesome! Just take it a little at a time and you will eventually see that it can be very beneficial to your business.

Fairly easy to use, prefilled quarterly reporting, electronic submission, and ACA filing capabilities, although we did not use it this first year, our insurance broker managed that process.

The vendor is responsive when we do have isolated issues.

I don't like the way that the online tutorials are presented in "article" fashion. I would rather to access an online "book" with an index.

Lots of updates. Update that result in an unexpected problem somewhere else in the software. Required items when entering a new employee into the system. Why isn't rate of pay required? You can't process a check without this information. When I have new users in the software this is hard for them and can create payroll issues.

Recommendations

Learn how to use the reports. They are be very helpful you understand how to export, sort, and create custom reports that you need specific to your company.

I like the software because it is so user friendly and can produce a report for just about every situation you need info. for. Optimum support has always been very helpful and quick to respond when I've needed help.

There isn't really anything that I don't like. I have used several different payroll programs over the forty years that I have been employed with Uhl Truck Sales and I can say from experience that Optimum has the best payroll software that I have ever used.

Recommendations

When you think about all of the reports you need for example, Work Comp. Audits, Tax Reports, and 401k audits, you are able to get all this info. so easily and with as little or as much info. as you need or require. W-2 reporting and quarterly tax reports are so
simplified. Plus, Optimum is on top of all the federal & state tax changes and informs of them in a timely manner.
