Paychex Flex is a modular, web-based human capital management solution designed to meet the needs of employers of any size and industry. With a single login, users can access recruiting and applicant tracking (ATS), onboarding, HRIS, benefits administration, time and attendance, payroll, retirement, and more.

Built on a central platform, using a single data profile for each employee, Paychex Flex tracks information in real-time and across the customizable applications.

Some of the major software functions include applicant screening, electronic onboarding, job and labor costing, garnishment payments, drag-and-drop visual scheduling and automatic compliance testing.

Paychex offers multi-tiered options for customer service, which allows companies to choose from a variety of options to best fit their size and complexity.

The accompanying Paychex mobile app is free and allows employers and employees alike to access information such as check stubs, tax documents and employee profiles on the go.

Their support for Payroll implementation was great! Payroll was transferred from one vendor to them with little to no errors and they provided a lot of support to make that happen.

The product we were sold was not the product that was delivered. We were expecting a unified platform in reality the data was not unified and did flow correctly or logically from Payroll module to HR Module, to Benefits Module. I don't think they took the time to really understand what we needed before they promised what they could deliver.

Recommendations

Ask that someone come out and shadow you to understand your current payroll process, what works, what doesn't work. Then ask them can they improve upon the current process? I believe their product works for some but they promised something that could not be delivered because they did not understand our needs.

We loved the idea of Paychex Flex during the months of meetings with Paychex sales reps. It seemed to have everything we were looking for in terms of integrating payroll, time and attendance, and HRIS. I believe the product will ultimately work for us, but the transition has not been as easy as we were led to believe.

The training from Paychex has been minimal at best. I feel like they made a lot of promises and then once the product was rolled out I have been pretty much left on my own to figure out how to use it, save for a few phone training sessions to briefly show me the various features. We were promised that virtually anything with Flex could be customized to our needs, but we have found that not to be the case in several instances. Finally, I have been deluged with sales calls from other departments within Paychex trying to sell me other products (legal compliance, benefits, etc.). I was promised that our firm would be put on a "do not call" list to prevent this from happening, but it took several weeks -- and my having to field off repeated phone calls and emails from sales reps -- to get them to respect our request for no sales calls.

Recommendations

Be cautioned that there is no in-person training. Paychex also gives you multiple representatives -- one to manage payroll, one to manage time and attendance, and one to manage HRIS. And there is little communication among all the reps within Paychex, so I have had to repeat our needs multiple times with various people in an attempt to get them to coordinate service. You will need to spend a lot of time -- on your own -- figuring out how to use the product.

My employer implemented this software. It is great. Hourly employees can clock in and out on their phones. This eliminates needing a punch clock all over. Also, you can check your stub and hours at any time and request changes right on the software without needing to go to the hr department.

People can easily clock in when not working. They should incorporate a GPS where people can only clock in once on site. It would eliminate most, if not all of the problems we have.

Recommendations

Very easy. However, it is mostly helpful if everyone has smartphones. If people don't have smartphones, they can use it on the computer but the simplicity is being able to use it anywhere and use the app.

The vendor is local to Texas, so the face-to-face connection is great for communication. Also, every agent is very responsive and helpful for any inquiries and issues. Paychex also has an all inclusive platform for 401(k) options, benefits, compliance, reporting, and HRIS.

The UI needs work. Paychex recently updated their dashboard to a more modern look, yet it still looks dated. When you work for a technology company your employees want a portal that they can easily use and looks chic and modern.

If you are looking for an all inclusive platform (and aren't so picky on the UI) Paychex is great!

Offers overall the best HR services with added benefits to our company. The Payroll platform is very user friendly and speaks to the Time and Attendance module with ease.

Easy layout and format for all the different tabs (HRO, TLO, Benetrac and Preview). Navigation is easy and the tabs seem to communicate back and forth.

Unreliable communication between tabs. Sometimes information in HRO will not transfer over to Preview or vice versa. Seem to be an internal coding issue that I hope they clean up in the next version. No electronic onboarding is a weakness but it seems to be across the board with SSO's.

Recommendations

Functionality should be the most important aspect. Also, ensure that the software can accommodate your unique needs. Don't believe anything a salesperson tells you until they show you a demo.

I cannot blame the vendor. They only had a very little assistance in set up but the customer service is the worst I have seen in over 20 years. I was going to review them when I was at my last employer The Grand Sierra Resort and am so THANKFUL we passed on them and went with Kronos. This experience has proven to be one of the worst I have ever experienced and Paychex will always be one that I never forget. I would never recommend this to anyone I knew.

I think that I believe nothing is great about this vendor. When you have an issue, they can't be reached. When you ask them questions, they get frustrated. When I first talked to the "designated person," she was very nasty and I had to ask her if she was ok. From there she seemed to improve but they do not answer my calls. I know there is a level of frustration due to the fact that this company, prior to my arrival, didn't really know how to set it up but as far as that goes, I would imagine they would do their best to make sure the payroll service was on trac and they just do not do that. They don't assist, they don't answer the phone and they don't do much of anything. This employer, Bully's sports bar and grill is paying for things they never used and I am surprised our "Designated customer service person," didn't reach out after a year and say, "Hey, you are paying for this why aren't you using it?" It is just all around a very disappointing product.

Recommendations

Do not select paychex. You will be very disappointed. They do not help, you will need to hire a person that has a skillset in payroll and human resouces and you better get it right the first time and check your own processes because paychex does exactly what they do and nothing more. They are not user friendly, their reports are horrible and they don't care what you think, they want you to do it or don't do it. They don't seem to care.

I used to have trouble navigating the site to access the reports I needed, but since the newest update, it has been corrected. My only complaint was during actual set-up it took awhile to get my billing corrected, but that has been addressed also.

I like everything about the product and vendor. I have had to use multiple tech support and everyone seems to be in the loop and can step in when someone is on Vacation.

Recommendations

In evaluating this software take into account how easy it is to use and all the required reports and tax filings that are done for you. I have done payroll for 25 years at first manually and then with a canned payroll package. Paychex service and software is so much more reliable and stands behind any filing requirements that may not have been received timely.

I guess the one thing that's convenient is the fact that when I call in, my customer service representative can log in realtime and see what I'm doing.

Slow. We use Preview(tm) and Flex(tm) and Preview is much faster. Flex(tm) tends to be slower which holds me up.

Recommendations

Really look closely at the HRIS portion of Flex(tm).

Customer service. You can process payroll on a Thursday and pay everyone the next day. Not many payroll companies are able to do that.
Also they can built the platform to meet your needs at no additional cost

I recommend putting everything in writing. Have them build the time and attendance according to your needs. Ask as many questions that you have so you are clear as to what exactly you are getting.

Processing payroll is simplified with Paychex. Once you get your hours imported it's pretty simple to make any edits you need to the paycheck.

Finding reports that you need isn't as simple as you would think. OT reports are more detailed than I'd like and it's a process just to find and run them. Also, the Time and Labor portion is a headache. It's very difficult to edit time and missing punches. Not easy to record PTO between payroll and Time and Labor. If I need to enter PTO time in payroll I wish it would let us indicate the dates PTO was used.

Recommendations

Probably the most user friendly from the employee side.
