QuickBooks Full Service Payroll Software


 

QuickBooks Full Service Payroll from Intuit is a web-based payroll system that integrates with the QuickBooks accounting platform. It is designed to help small businesses manage accounting and payroll all in one place.

Users can manage employee profiles to determine such things as pay rate, pay schedule and method of payment. Payroll can then be reviewed and submitted at any time, accompanied by detailed reports showing total payroll cost, pay compared between periods and cost breakdowns between wages and taxes, and between employer and employee. The option to print pay stubs is also available.

Behind the software is Intuit’s team of U.S.-based payroll experts, who can handle payroll setup, tax filing (federal, state and local) and tax payments. Accuracy is guaranteed, so if an issue arises, Intuit will act as representation to the IRS. All of this functionality carries over to the Online Payroll mobile app, which is available on iOS and Android devices.

I know many people who are very comfortable and use QuickBooks a lot. The software does so much more than what the average user would use. You do have to know a little bit about software/computers to use this.

Pros

This product is fairly easy to use. There are a lot of helpful hints in the software. Customer support is also helpful.

Pros

Very easy to use and accessible anywhere. I love the integration with our banking and payroll. This makes it extremely easy to use.

Cons

Not enough reporting on customers. It would be helpful for managing our business to know on average how quickly each customer pays. There is also a "Tasks" field on the dashboard that can't be cleared, so I now have a task that is 624 days past due. Not a problem, just an unnecessary nuisance.

It's easy to set up new clients, new invoices, and manage accounts. It helps us keep all our financial information in the same place, and consolidate our financials into one program that does it all.

Cons

We have two separate divisions, and when sending out invoices, can differentiate between invoices for each company, but can't have our different logos on the two invoices. This isn't something that actually affects us in the way we do business, it's purely an aesthetic thing. If that's the worst thing about a program, is it really even a con?

In general I like it will enough.

Pros

Nice to be able to add expenses on the fly or pull up reports when I want to check a number. Also easy to add numbers at the end of the day as opposed to remembering to do it later in the laptop

Cons

Annoyed that they've priced the software and stop servicing it so it's exactly the same price as online. Offline software would work great for years and years which is bleeding to cash strapped small businesses. Also the constant push to use their other services gets old.

Cons

Pros

It's great to be able to log in to the account whenever I'm online, I don't have to be at a desk that has the program downloaded. The app has also proven really helpful. Anyone who uses QB should look at QB Online, although there are differences between the desktop and online versions.

Cons

The app hasn't always worked. I don't know what caused the issue, but it would work really well for a while and then just stop working. Very annoying, but I just go to the website and access it there. Overall, it's a great product.

It's a great solution for most small business owners. Easy to learn and use, it provides a great way to record financial transactions and monitor your company. I highly recommend.

Pros

Very easy to learn and use. Cloud back-up and security make the online version very hard to beat. I use this for almost all of my business clients and it has worked very well for each. Secure connections to bank accounts and credit cards. Ability to utilize full-service payroll as needed. Ability to run 1099s as needed (depending on subscription chosen).

Cons

Lack of internal controls. This is one area, as a CPA, I find deficient. I trust QuickBooks will continue to tighten this as they've already made strong progress in this area. I still give a 10 for small business owners.

Cheap. Seems to be the future of Quickbooks which is a shame considering the Desktop version was amazing until they basically stopped developing it over five years ago.

Cons

Slow, bad at printing cheques, employee data entry is a nightmare. I've waited two months for a support ticket to be solved due to some catastrophic error in their database concerning employees. Their response is in the general comment. So now I am going to cancel it and go back to Desktop and re-enter in two months of accounting data.

My account was hacked. Someone called in with my company name and EIN to create a new user account. Then the hacker used the account to create new contractors and issued paychecks.

QBO is good for VERY basic accounting/book keeping needs. If you plan on having employees or want to track your jobs profitability, QBO is not a good solution.

Pros

- QBO is accessible from anywhere with an internet connection
- functions are relatively straight forward & easy to use

Cons

- Cannot email pay stubs in canada. You must download each individual stub, and email them out.
- Developers dont listen to customer needs, updated are usually visual formats, but rarely things
- time entry does not code expenses to jobs, you must do a manual journal entry to expense labour to jobs
- cannot code overtime to jobs
- is not compatible with tax programs to automatically load GIFI codes, this makes doing taxes quite more time consuming
- they just recently added "project" reporting, however lack the ability to run reports for multiple projects at once
- Everything requires a work around. what should take 5 minutes to complete for book keeping, ends up taking 30 minutes

I have used Quickbooks Online at several different CPA firms. It is relatively easy to set up, they have decent customer support (please take the training they offer...please), and it can help the non-accountant to keep their books in order, get decent activity to the Tax Accountant at the end of the year, and makes it easy to print out Balance Sheets and Income Statements for loan purposes.

Pros

Good support, its "real" accounting, and it is 600% better than opening up an Excel document and starting to enter expenses.

Cons

There is a learning curve if you are not an accountant, you do need to do the training, and I would recommend that your computer experience is above Facebook and email.

Advice to Others

Its worth the money, having decent books can save marriages, businesses, and your sanity.

I like that it can be accessed from anywhere. Sometimes you need to run a financial report when you are away from the office and it is easy to do. I like how easy it is to quickly drill down into a cost center and find a specific invoice. We also use quickbooks to pay our employees and it is convenient for employees to have all of their pay stubs, vacation accrual and other related information in one place.

Cons

All the filter options to designate the query. I really have to pay attention if I attend to select, monthly, quarterly, annual, etc. Sometimes too much detail is difficult to read and then I have to go back and rerun the report.

Cons

Love the ease of use and accessibility. Be careful to educate yourself on the platform being different then QB Desktop- spend a little time exploring and taking the online tutorials or you may be behind the curve getting active books done after migrating.

I thought is would be great to be able to work on any computer. The flexibility of that would have been wonderful for our company situation.

Cons

It was a big mess trying to transfer my existing payroll on regular QB to the online version. It was such a mess, I just gave up. Customer support is always great, however. Maybe I could have gone that route, but I just was too frustrated at that point that I just went back to the regular QB program.

The ease of being able to have my accountant access my books for tax purposes. No more uploading and sending him the copy; he can literally have access to my books and make any corrections that are needed.

Pros

The ease of being able to update transactions from my bank and credit card companies. All the information is there and Quickbooks will remember repeated transactions. For instance, when I use my credit card to pay for marketing from a certain vendor, Quickbooks remembers that and automatically categorizes it for me. I can literally reconcile my monthly statement in under 10 minutes.

Cons

Tricky to learn if you do not have an accounting or bookkeeping background, the training videos need to make it easier for a layperson to understand. Took me a while to learn how to properly categorize accounts.

Pros

The mobile app is fantastic and allows me to create & edit invoices on the fly. My clients trust the Intuit name, so it is easy to get them to switch to the cloud based platform even if they are tech-averse. The ability to integrate with so many other services via API makes QBO an important tool in an automated office.

Cons

The design is not user friendly for me and does not lend itself well to working on a laptop screen with multiple windows open. There is not enough ability to customize the product for my needs.

I'm no accountant, but Quickbooks online made my life easier. I'm not using the pay section because I have someone doing that for me, but all the rest is really easy to use. Now we have plenty of different reports with graphs and all, very easy to know who is late in payement, etc...

Easily access client data through online portal.

Pros

The ease of not having to use USB keys to obtain reports from clients. The ability to obtain quickly on the internet.

Cons

It is not as easy to view reports or use the search/find transaction functions as the normal Quickbooks edition.

We selected Quickbooks to reduce our time entry, better support our growing organization and allow me to focus on my full time job passion, not my part time business. They were supposed to integrate with Quickbooks Onlinel however it doesn't work. They were supposed to be easy to use, only they weren't. They were supposed to be able to support a franchise organization with 65 employees across 3 states... only they didn't, we were the biggest client at the time.

Cons

Most of the pros speak for themselves, however there are more.. they were supposed to be able to handle multi-location employees, but they don't. They were supposed to be easy to work with, however thier risk group is so ambigous that it makes working with the overall platform impossible. They were supposed to have API support for our integration partner to use, only it's been almost 2 years and still nothing.. Calling in for support has resulted in hours of hold time on a monthly basis. When adding employees you have to call them to assign them to locations, it cannot be done as part of the data entry process. I could keep going on, but changing from ADP to Quickbooks was probably the most unproductive decision we've made to date.

Bookkeeping and accounting for my small business

Pros

Easy to use and set up. Once set up is completed (which is simple and customer support is very helpful)

Cons

I wish it was even more "dummy-proof." In other words, it needs more explanation on what each report shows.

Able to see profit and loss statements. How monies are spent.

Pros

Payroll is a breeze. It's easy to set up and pay employees. I also like the way it has reminders for business owner taxes and pay roll taxes along with the ability to pay from quickbooks.

Cons

I wish there was an independent contractor direct deposit option. Right now there is only an employee or w 2 option.

This software is providing us all kind of reports which are beneficial for all companies. Many users can use this software at one time so its great thing too.

Pros

I like the reporting part. There are many reports available so its easy for a company to keep track on all factors. We can add users with limited access that's also a great benefit.

Cons

We can't use different tax rates in 1 invoice in US version that is worst thing. It increase our work and company don't get satisfactory result/track with regard to the tax matter.
