Kronos Workforce Ready Software

Workforce Ready by Kronos is a human resources (HR) platform that offers enterprise-class human capital management (HCM capabilities).

This cloud-based solution incorporates recruiting, onboarding, performance management, compensation planning, time and attendance, scheduling, absence management, payroll and more.

Workforce Ready provides a single employee record shared across all applications. This means that all employee data is maintained in a singledatabase, with a single user interface to pull reports and launch workflows for the entire organization.

Data is updated in real time, so managers can make decisions based on the latest, most accurate information. Workforce Ready also includes a mobile application at no additional cost.

Users can decide to start with a single module or the entire suite.

We are currently using the full suite of Kronos applications and they are working very well for us. It is wonderful to have all systems work together and reduce the chance of creating errors to reenter information

Pros

Information crossing between applications

Cons

There is noting I can think of at this time

Advice to Others

When doing an implementation for healthcare, ensure you have an implementation specialist who has healthcare due to all the nuances with shifts, diffs etc

My organization started with WFR's HR and TML. Employees, managers and administrators were impressed with the ease of use, the robust amount of information at their finger tips and the reporting capabilities. After a year and a half of using HR and TML, my organization decided to transfer our payroll to WFR as well. Having HR, Time and Labor and Payroll integrated with each other has allowed my HR team to evolve from and administrative department to a strategic business partner.

Pros

I love that employees and managers have virtual personnel files at their fingertips. Through Employee Self Service, employees can access and change their address, beneficiaries, payroll information, enroll online for benefits, request time off and maintain their schedules. Managers can access employment history, process compensation changes, approve timesheets and upload and review current and previous performance reviews. Instead of tracking down information, entering payroll changes and being the timesheet monitor, my team and I can use our knowledge and skills to make our employees and organization better.

Cons

The reporting functions in WFR are robust but each organization has specific reports required by leadership. Enhancing the reporting function for easier report customization would be my only critique.

Advice to Others

Do not hesitate, choose Kronos. It will make your professional life so much better!

We implemented KRONOS Workforce Ready in 2015. We have purchased the Payroll, HR, Time and Labor, and ACA package. Our employees are now able to see their vacation and personal time in one place without having to contact HR or Payroll. The system allows transparency for the employees and the managers. They can view their pay statements, their time off, and their benefits all in one place. The mobile application for KRONOS Workforce Ready is very user friendly. Employees can see their pay statements when they are home and they can request off right from their mobile phone. The ease of use is wonderful. Our employees feel more engaged due to the software and so do our managers.

Pros

The mobile application is very user friendly.

Cons

The product is more difficult to use when it comes to transfers of employees between EIN's. There is more manual work involved than we would like for this process.

Advice to Others

Make sure before implementation that you have your team fully involved from HR, Payroll and Accounting. They should all be on the same page.

Kronos has been a wonderful improvement over our prior Paychex product. The functionality is awesome.

Pros

Reporting is the best.

Cons

How to documentation. Step by step basic instructions with screen shots would be nice for ACA.

Advice to Others

Do it make the switch. The reporting alone is great.

We switched from Workforce Central to Workforce Ready a few years ago. Mainly because we wanted our employees to use there Mobile devices for Employee Self Service with schedules and verification of times. Moving our time keeping to the cloud made sense so that we internally did not have to focus a lot of attention on hosting and securing the Kronos platform with Employees trying to connect from the outside. Overall, Workforce Ready is a great product, but still does not have all the functionality of Workforce Central. However, I know they are working on getting there.

Pros

Cloud based, Ease of Use

Cons

Does not have all the functionality of Workforce Central

Kronos Workforce Ready is an excellent product for us and a definite upgrade over the Workforce Central version we were on. Every software has its shortcomings, but they have been few and far between with WFR. The last KronosWorks conference had plenty of WFR ready classes and a considerable number of users to interact with.

Pros

Customer service has been a strong suit for Kronos regardless of which product you are on. Reporting functionality in WFR is by far the best change from WFC, but also better than any other software we use throughout our company. Since WFR is on the cloud, the continual upgrades are done for us, saving us time and money.

Cons

Implementation left a lot to be desired.

Advice to Others

Allow yourself plenty of time for the implementation and be overly thorough confirming everything works the way you need it and any data transferred is correct. Don't hesitate to get moved to Global Support near the end because they were able to take care of most of our remaining issues from the implementation. The final product is worth the pains to get there.

For my organization, the decision was made to migrate from a manual HR and timekeeping system to using Kronos Workforce Ready for HR, timekeeping and payroll. The migration from our old payroll system was tough but once we started using the product, the support got better and better. Kronos has tremendously streamlined our processes and make it easier for remote management of the systems and real-time access to employee records. Customer satisfaction is very important to Kronos, which they make evident in their product support and continuous strive for improvement.

Pros

I love the ability to work remotely using Kronos and to provide certain access to our employees.

Cons

I would love to see a HR management system that is more user friendly for administrators to set up and employ company wide.

Overall I think this platform would be more beneficial to smaller companies. We are a company with 2 EIN's and over 4000 staff and growing. Some of the functionality of WFR is awesome but does not out way the inabilities of some functions that we need to be efficient as we continue to grow.

Pros

The flexibility of most functions.
Ease of use.
Not having to set the W-2 retirement box for staff that enrolls in our retirement plan.

Cons

Inability to process automated retro pay using Workforce Central Time and Labor and Workforce Ready HR/Payroll.
In association with retro pay, inability to set rate change effective dates prior to the current pay period. Pay date driven effective dates.
Inability to input random check numbers for manual checks. We have over 20 locations with their own checkbooks that each one uses for other reasons other than payroll/manual check writing.
Inability to transfer from one EIN to another without terminating in one and rehiring in the other.

Advice to Others

Do your research and be open to spending more for interfaces if you don't use Workforce Ready for your time and labor and HR/Payroll.

We have been implementing Workforce Ready since August of 2016. We are doing a phased implementation of all the modules, so the process is still ongoing. Considering that we're still rather new to the system, we are starting to get more comfortable with the product. We've been on many other similar products with competitors and had issues, which caused us to look for other solutions after a few years. This time we really tried to search for a product that we felt would be flexible, allow for modifications, and grow with us, so that we did not have to go through another implementation in another 3 years. Our evaluation process was lengthy, but we are still finding out a few surprises as we've gone through implementation. How things are presented during the sales process, while technically correct, don't necessarily work as we wished them to. The system is very customizable, though. Our implementation team has been great about working through any issues and helping us try and find solutions if there are items we do not like. However, there are some things that we have found that are not able to be changed that were disappointing.

Pros

It's still a work in process but we have found many things that we do like about Workforce Ready:
1. Customization - This system offers you the ability to customize your screens down to the individual level, as well as creating customized screens for other types of users. So if you want your Managers to log in and see a Timekeeping dashboard with graphs, and your Employee to log in and see employee related actions, and your Benefits Administrator to see a Benefits screen, you can set that up as defaults. Then each person can also customize their screens if they like and save them.
2. Reporting - if you need list style reports then this system offers one of the best reporting tools for easily building and customizing reports. Almost every screen is considered a "report" and you can add and delete columns as needed and then save that for later use, or even make it your default screen. Almost every screen is able to be exported in a variety of formats as well. You can also schedule reports to run automatically, as well as have them e-mailed automatically to Managers, etc. on a routine basis.
3. Notifications - This system offers the ability to automatically send e-mail notifications, reports, etc. for disciplinary actions, attendance tracking, reviews and other items. This is very helpful for our Managers and keeps them up to date on their to-do list.
4. Tools - Workforce Ready does have its own learning system, and they also offer many webinars, customer groups, KronosWorks, and customer sites that allow you to connect with one another if you have similar questions or problems.
5. Modules All Accessible from One Log-in - This was important to us as our other systems required us to log-in multiple times if we were trying to get into the Applicant module or Timekeeping. This is all easily found under one log-in. Very easy and timesaving.

Cons

As we go through the implementation process there have been a few surprises and disappointments:
1. Reporting - Yes, this is a Pro as far as customization and easy list reporting, but I do wish they had a more complex reporting tool available as well. If you want to have subtotals, grand totals, averages, grouped reports, add in formulas, etc. it is not easy to do in the reporting tool itself and you may have to export the list report out and finish building out the report in Excel or Word to get it how you really need it to be.
2. No Point-In-Time Reporting - This seems like it would be a given, but as we found out after the fact, we cannot do point in time reports. I feel like this is something we would have asked during our evaluation of the product, but again almost all products offer this now so perhaps we made a wrong assumption.
3. System Needs "Polished" - We knew going in that this product did not look as "user-friendly" as some of the other products. We felt like the flexibility of the system made up for it. However, as we are setting up our onboarding, our applicant site, and reviews we are starting to see the drawbacks in this. If you have users who are not as comfortable on a computer, this lack of "polish" and user-friendliness can make it difficult for them to understand the processes, and how to get through the screens. We also do not have the ability to customize the applicant website as much as we would like to help draw in applicants.
4. General Ledger - We came from another provider who did have a great General Ledger product, and this one was definitely a step back. Also, if your GL is tied in with your jobs you do have to have two separate lists in this system - the GL is not linked with the Jobs list in HR. So if someone changes position we have to update it in two places in order to keep the GL correct. This also comes into play if we add new jobs into the system - we have to update two lists. We also had to separate out our overtime into two pay codes since we have the overtime premium going to a different GL code. In our old system, they could have one pay code separated into two GL codes. We did not discover this until after we went live and so our associates started out seeing it one way on their check, and then another way, so it was very confusing for them.
5. On-site Training- This was contracted out to a partner of Kronos. It was not what we expected at all for the price we paid. You are better off to use the items built into the system or do it yourself.
6. Security - Yes, security is a pro, but some of the security set-ups in this system do make it very difficult and frustrating for our associates and applicants to get into the system on a regular basis which is a con. The system will automatically lock out any associate or applicant that does not log in every 14 days. However, the system tends to lock out every new user as well the first time they try to log-in. This is annoying and can make it difficult for those on off-shifts, as they have to contact us to get unlocked and then try logging in again within 24 hours. In addition, it does require you to enter a code if you're getting in on a new computer. It does have the option to check a box and only enter the code every 30 days, but that only applies to that specific computer and sometimes will not work depending on your cookie setting. Since most of our associates work in the plant, they only get on the system to print out check stubs every other week. They have to enter a code almost every time they log on to our public computers. This code has to be sent to their designated phone number or e-mail and cannot be easily changed to another number or e-mail. So if they forget their phone, or don't have their e-mail password with them, it can really make it difficult to get logged on, leading to frustration for them and a negative outlook on the system.

Advice to Others

We still have confidence that Workforce Ready is going to work out for us, but it is a work in progress. We've been through this before and have come to expect a bumpy road in any implementation. If you are looking at Workforce Ready, as with any system, just be sure to take the time to carefully evaluate all of the areas that are most important to you. Don't be afraid to ask for multiple demonstrations and ask to follow up questions. Even with all of our careful deliberation, there were still areas that we fell short in doing this. In all honesty, as you are going through the evaluation process and you look at other providers, it can all become jumbled together as to what one offers compared to the other. Make sure if there were things that you did like in the demonstration that you make a note of it, ask for screen shots. Because this system is so customizable on its screens and reports, how one demonstration looks may not be how another sales person presents the product. After implementing, take advantage of the webinars and customer meetings. They are a valuable resource. I am hopeful that in another few months of using the system, that I can come back to this site and update this review with more Pros.

I highly recommend Kronos Workforce Ready to companies with a limited IT Department who need a fully functional HRIS. Prior to the purchase of Kronos Workforce Ready, our payroll processing was outsourced and what little HR information we had was either in paper files or length, inaccurate Excel spreadsheets. Kronos Workforce Ready provided the most robust functionality at the best cost of our size company. The Kronos implementation team worked with our non-tech savvy HR Department to get the system up and running in very few months. Through the implementation process, we identified policies that needed to be developed as well as flaws in existing policies that needed to be more detailed. By the end of implementation, we not only had a functioning system, we also had a much more mature set of HR policies that our team members could easily understand and our HR Department could easily support and enforce.

Pros

Kronos' Customer Support is perhaps the best I've ever worked with. They never failed to respond promptly. They followed up with us when we failed to respond promptly. At the end of every call they always open the conversation to any other questions we might have on any part of the software. They were happy to log into our system and review functionality we had enabled on our own and look for ways to streamline.

Cons

When we made the purchase, there were no integrations with other systems. We use an external Benefits provider so we have to manually enter enrollment information and updates.

Advice to Others

Kronos Workforce Ready is a great choice if you're looking for a Tier 1 system without a Tier 1 price tag.

We switched from ADP Time Saver to Kronos WFR with the Scheduler Module recently. After utilizing the software, I wish our company would purchase all modules (HR/Payroll/Recruiting). It has such great potential as you are able to tie all aspects of an employee's tenure from recruitment to termination.

Pros

Once you learn the system it is relatively easy to use.

Cons

The training is self-directed for the most part as the discovery/implementation phase is done remotely. No onsite training.

Advice to Others

immerse yourself in the training modules. Do your homework. It will make the remote training sessions easier. Understand your current system and what your needs are well before your try to make a change.

I used Kronos particularly for our payroll and time keeping purposes at one of my previous companies. It was a great tool to use for payroll and time keeping needs and with the size of our organization (~250+), it was perfect for our needs. One of the unique features is the ease of use and navigating through the system. It was very self explanatory and very customizable.

Pros

User firendly and ease of navigation

Cons

Alot of issues with program error and functionality with some of our other HR softwares

Advice to Others

I certainly recommend this software, but first make sure if you have other softwares you plan on using, ensure it is fully compatible with Kronos.

I felt that the correspondence with the Kronos reps were very responsive. Scheduling was a little difficult with a few communication errors dealing mostly with time zones. The program itself is very comprehensive and with our particular business model, it was wonderful to find these options. We have mostly subcontractors and we need a program for participants who would not be active all of the time.

Pros

The reputation of this product is quite true. Professional platform with a variety of offerings for most industries. Very customizable and can grow with the company. The demo was very comprehensive.

Cons

I haven't seen any cons with anyone using this product.
