Zenefits Software


 

Zenefits is a cloud-based human resources information system (HRIS) that features user dashboards, core human resources, benefits administration, onboarding and employee scheduling.

When new employees are hired, HR professionals using Zenefits only need to complete five online fields to begin the onboarding process. Employees sign all agreements online, and Zenefits can automatically process their information. When employees leave, HR can remove them from payroll and benefits and initiate COBRA setup with a single process. Zenefit also offers an employee self-service portal.

Zenefits can integrate with payroll, health insurance and other systems, and users can also set up new payroll, insurance, retirement plans and more. Zenefits has a development team that makes weekly changes based on user feedback. They also have a team of in-house HR, payroll and insurance specialists to answer questions via phone or email.

Zenefits is easy to use and employee raves about the simplicity of the platform. There is not much to complain about in terms of technical support as we rarely encounter hiccups and find it easy to troubleshoot and is generally a just ID10T error. I do enjoy the fact that my employees can navigate about without too much training or hands-on support from me.

Cons

I think the platform can be more robust. I enjoyed being on another platform with a more established brand where we are able to use the total HRIS solutions to house all personnel files, handbooks, and they worked with us in an HRBP capacity to ensure we were in compliance. It would be great if Zenefits had more hands on physically accessible staff who came on client site monthly to assist with HR matters especially for smaller organization with HR departments of one.

Overall, its a really easy to use tool

Pros

I like the simplicity of the dashboard. A lot of other programs just list everything or its very cluttered.

Cons

I guess the one thing I would like to see is the time off tab, if the days you have could be split up into different categories. Like PTO, sick, bereavement. Anytime i need to know i either have to go ask around my office or have to read my employee handbook.

Would prefer some more true benefits advice from the benefits advisor. while she helped me a lot with this open enrollment, I felt that I was driving the discussions rather than she. I would've like more advice from her regarding which plans to target and what other companies my size are doing.

Pros

Zenefits makes onboarding and benefits enrollment paperless and easy. The third party app integrations help round out the onboarding process.

Cons

Sometimes the app integrations don't work. Third party app store is minimal. Would like integration with my current 401k provider.

The program is easy to use, easy to set up and great way to organize our employee information/benefits. The phone app made it that much easier since we have a lot of off-site employees. Zenefit's staff is great too-- they are always very helpful and quick to respond.

Cons

I'd like to see more features to the program - a section to schedule an employee review (reminders to do so on the management end), HR request from our employees (request to meet, anonymous suggestions), ability to add in custom fields (our reasoning: under the benefits section we could add fields that state vehicle they operate, if they have a company cell phone, company computer, etc. just to keep those records all in one place).

It would be great if there were a way to require that employees enter bank account information and disable the paper check option all together. I believe this is legal in North Carolina, where we are located, as long as the employee receives a pay stub. It would also be amazing if there were a built in team communication portal. We currently use GSuite to build Groups which can encompass non-Gmail email addresses, as well as HotSchedules. It is a bit difficult to always be adding folks' emails to so many different systems. If Zenefits could track employee reviews based on their position/wage changes, that would also be amazing! That's all for now.

Pros

The aesthetic of the site is nice. The overall idea of employee/administrator shared duties is nice. The onboarding process is almost as efficient as I think it could be and the insurance function works pretty well with some exceptions. The multiple integrations with other software are also vast and offer many options for integration.

Cons

Does not integrate with QB Manufacturing Edition. Does not offer multiple job roles/pay rates (this keeps us from further exploring any timekeeping or alternative payroll integration). Org chart does not allow for multiple owners/CEOs. Does not allow for tracking of certifications or training for employees. Insurance deductions aren't correct after 2 fixes...still waiting on support for this. There is no general alert system upon logging in, as there was on the old platform. I-9 verification does not require employees to upload enough documentation. i.e. they can upload a driver license and not the 2nd form of ID, so when I receive the request to verify, there is only one form of ID there and I have to chase them down for the 2nd. If they do go into Zenefits to upload another form of ID, it is difficult to navigate.

Overall I believe zenefits is very user friendly. The layout is very pleasant on the eyes.

Pros

I like that you have the option to put a picture to every employee and that you can create charts with the information you want.

Cons

The templates for on-boarding is a bet confusing. I always have to triple check my work before I send any offer letters or 3 month probation papers.

Our needs are fairly simple for a small company with under 10 employees, but we have discovered that Zenefits can't even handle some of the smaller requests we have inquired about, to totally messing up our insurance enrollment and leaving our employees having to pay out-of-pocket to doctors for the first 2 months of our plan.

Pros

PTO tracking - but now Zenefits is going to charge for this.

Cons

Poor customer service - you need to have a designated rep instead of inquiries and problems going to a general support team. Your software is too rigid for a smaller company and allows no flexibility to accommodate a smaller company's needs. The software can be very difficult to navigate. Setting up PTO has been extremely challenging. Health Insurance enrollment was a disaster in 2016.

As an HR system, we get most of the functions within zenefits. it also helps to manage and keeping employee savings details. We provide a couple policies to employees to have their savings. Zenefits calculate the savings for all people and reminds us of time when to provide them extra money to make their savings.

Bait and Switch

Zenefits is a great system overall. You can tell the functionality and comprehensiveness that the HR department needs is there, but that's where my positive review ends.
I recently signed my company onto their platform sold on specific features like PTO. I selected Zenefits BECAUSE these functions where part of their free platform and I could add on what I needed (for a fee) as I went. I partnered with JAZZ their ATS recommendation and put all my eggs in Zenefits basket, which was a BIG mistake.
Their synch of my payroll took 5 weeks (was supposed to take 2 at most) and was ported over as a complete mess with wages and employees all mixed up, this took weeks to fix.
Finally, when all of that was sorted out they changed their free base plan that included PTO (one of the major reasons I signed on) to a paid plan! BAIT and SWITCH! You would think they would grandfather their old clients in or create a bare-bones option that still gives you a remnant of the function you were sold on. I would recommend a company that has better support and can DELIVER on what they have their sales people sell.

Their client support kept insinuating I was lucky to have anything left for free! Terrible way to handle the situation!

Pros

The platform itself seems user-friendly, I did not have a chance to use all the features since the plan changed but overall seems fluid, and clear to use.

Cons

Horrible customer support takes literal DAYS to reply. They are also on Pacific time but do not start replying until 9 am their time, horrible for each coaster.
Feels like they want to squeeze money out of you. If they cannot afford to run a free platform then they should not offer it, not punish the client later for their bad decisions.

Advice to Others

Look at other software, they are pricey but seem to have their act together. They are not in a "change" period like Zenefits. I wish I would have selected one of these two, at this point, I am hung out to dry with no option than to pay for something that was free 10 days ago.

Zenefits is a great HR administrative tool that is very user-friendly and there is always a representative to assist either by phone or email within 24 hours of request. Provides many HR administrative duties which save HR time to focus on more important things such as strategic HR. It is free service if the company goes with Zenefits as their Benefits Broker. However, to be honest, the Zenefits Advisors are not efficient. The worse part about going through Zenefits our Benefits Broker is that our health insurance open enrollment was not a smooth process. In the end, we found out our employees was enrolled in the incorrect plan and that we were not made aware of HSA incompatibility vs comparable plans. As a result causes my company to pay extra for our current HSA administrator.

Pros

Very current up-to-date technology. Allows smooth onboarding, paid-time-off record keeping, and records HR administration. Very optimistic, upbeat, helpful customer service.

Cons

Can never get a hold of our assigned point of contact or a representative immediately or directly. Benefits advisors were not efficient with assisting and helping my company through health insurance open enrollment.

Advice to Others

I do not recommend using Zenefits as a benefits broker if you need major assistance with the health insurance enrollment process.

Best Move We Have Made!

We have been extremely happy with our move to Zenefits. The ease of processing info for the ACA and our open enrollment for benefits has been a breeze. The team at Zenefits have always responded in a timely manner when we had an issue and very courteous always.

Pros

The pros are that it takes hours off of my workload. We are sent e-mails to remind us of hire dates, termination dates, a calendar of employee birthdays and hire date anniversaries. It's very informative and helpful.

Cons

The cons really isn't Zenefits, it's our employees using Zenefits as they should

Advice to Others

My only advice is to give them a try. We were told by our former broker that we would be back in a year and that Zenefits is new and not very organized, etc. but his advice was not taken and Zenefits was the best choice for us.

The theory of what they are trying to do is huge, especially for small business.
UI was better 18 months ago when my clients signed up.

Cons

Service took a major hit after their very public issues. When I reached out for assistance with an issue, they didn't even attempt to fix it in a satisfactory way. If they actually want to retain clients, their service team shouldn't just assume it doesn't work for you and infer "take it or leave it."

There is not a one size fits all HRIS, but Zenefits comes close. The user-friendliness is unlike anything I've seen yet, and I've used many HRIS's. The customer services is pretty good, though I have had to follow up on more technical questions that I needed to be resolved. The sales team did oversell the customization, but the system has come closer than any other to meeting our tracking and compliance needs.

Zenefits is great for start-ups that are looking to grow. Easy to use and employees have the ability to view personal information along with benefits, compensation, it interfaces with Expensify, Lever, and many more apps. Easy to make changes to employees profile, makes everything paperless when it comes to managing employee information.

Reports are great, you can create your own or use the ones they provide. They offer the ability to manage not only benefits but corporate liability insurance, FSA and commuter benefits. Payroll syncs easily if you use one of their partners or use Zenefits own payroll service. If your company is on a budget this is the way to go as you have insight into everything! Do away with PEO's as they are costly!

Pros

Easy to use and syncs with many apps out there. ADP workforce, Lever, Slack, Expensify and many more.

Cons

Sometimes hard to figure out where stuff is in each of the sections from and administrator point.

We transitioned to Zenefits and it has been an interesting transition. I like the features and the ease of use. The only thing is the fact that I can't necessarily call customer service. It is through email and as we all know, things can be lost in translation via email. When you do finally get someone on the phone, they are very helpful. It just takes a bit of back and forth before that happens.

Overall a good HRIS system for no cost. The implementation specialists are great and helpful. I ran into a few problems switching from a previous COBRA provider to Zenefits, but the transitions issues were only partially Zenefits' fault and they worked at quickly remedying the issues.

I've been using Zenefits for the past year now, and I don't think I'm EVER going back. When we started our company we had to hire a special person to help manage HR, payroll, etc. When it comes to managing paperwork and copy & pasting data from one place to the next, people are incredibly error prone. Zenefits has taken all the error-prone mistakes out of our HR processes and replaced them with a streamlined onboarding and HR managements experience. Zenefits is integrated with our Quickbooks Online Payroll, so employees can update their address info, withholdings, etc. on Zenefits and the data gets seamlessly transferred to Quickbooks! We love Zenefits!

Perfect for a small business wanting to start off their HR compliant and paperless. This software has saved me so much time, and has helped us get to a paperless environment. Zenefits isn't as 'personal' as an in-person agent, so I would say requires whoever is doing HR to be more knowledgeable about the insurance offerings (which they should be anyway IMO). It also requires employees to become a little more knowledgeable as well, rather than being spoon fed information every 6 months about "how insurance works." I would only recommend Zenefits in the instances where it integrates with Payroll.

Only worth it if it integrates with your payroll provider (worth switching to one that does)

Zenefits has taken the guess work out of onboarding and vacation/sick tracking. This program is not only free, but it's simple to use. It has taken the guess work out of vacation time and sick time. It has allowed our small company to make onboarding simple and painless with great record keeping.

Pros

It is simple to use. The vacation and sick time tracking keeps the guess work out of this process. This allows new hires to submit their information and payment preferences (check or direct deposit) information in a secured way.

Cons

I wish their payroll system would integrate better with Quickbooks Online. It integrates but only if there are no other payments (reimbursements, health care credits, etc). This forces me to utilize another program for this.

Advice to Others

This program has kept the new hire offer letters, onboarding, and time tracking simple and easy to use.

If you want a straight out of the box, what you see is what you get HR tool, use Zenefits. They just blew our payroll so bad, we will be finding another payroll service; still waiting on a call back for the money they owe us. We added another company with ONE employee and the payroll was wait listed. When employees run out of PTO there is no vehicle to dock the hours from their paycheck for time off without pay -- you have to do a manual calculation. Our open enrollment is October 1, we haven't even seen a plan yet -- it's August 16.

Pros

Site is relatively easy to use.
Termination process is a breeze.
Their staff is very nice and as well versed as they can be on a system that is extremely limited.

Cons

Payroll is terrible and very limited
Time & Attendance does whatever it wants, including logging employees out randomly or never logging them out at all
We do not have our insurance options to look over six weeks before open enrollment after requesting them.
No vehicle to track time off that isn't paid
No way to connect the E-Verify system with the on boarding process.
Any changes whatsoever requested a never accommodated (We're working on that)

Advice to Others

We had no problems with Tri-net but the are a PEO, more expensive. The ASO we were using was extremely backwards in their technology. This is a difficult problem for us to solve.

We started using it from the beginning of forming our company (over two years ago) and have been really pleased with the amount of features and support that Zenefits has provided. With any new company, there are usually some hiccups, but, they are always quick to fix problems and always available. We initially started out by using it as a platform before using them as our broker and haven't looked back since. We have two offices in California and Arizona and it has been really easy to onboard new employees remotely.

Pros

Speed of onboarding, new features, seamless integration to QuickBooks for payroll, price, automation of most things HR.

Cons

Doesn't handle international payroll yet (filing taxes, etc.)

Advice to Others

If you are looking to automate your HR, this is a great first step. You don't even have to use them for health insurance if you don't want to switch but I highly recommend it. Goodbye paper.

I had a few occasions where I had to dial up my co-workers for work reasons, and Zenefits app helped me finding their contact information.

Pros

It helped me finding my co-workers' contact information.

Cons

It does its job, and I was satisfied.

Advice to Others

It sometimes takes a while to load the profile photos, but otherwise it was great.

I moved to Zenefits at the end of last year in hope that it would make my HR department more efficient and make it easier to get things done. Unfortunately all it has done is solve some problems but create many more unfortunately more than it solved. They promise do not follow through then they come up with a solution and still do not come through. I am very disappointed with them an do not recommend them to anyone. I also got a manager involved and all they did was make excuses and attempt to pacify me. Issues that are supposed to be solved are still occurring they cannot seem to get on the same page. Buyer beware!

I have been a Zenefits customer now for a few months. I was able to set up my employees, and go live within 30 days. We run between 35 and 48 employees, usually, and the setup, management, and administration of this has been amazing to me. It was quite intuitive, and for the few problems that I did have during implemention, my Zenefits customer service rep was quick and knowledgeable to help me solve. We haven't been through a renewal process, but with the experience I've had so far, I don't expect to have anything but more good to say!
