QT9 Quality Management Software is a comprehensive, user-friendly, web-based QMS available for deployment either on-premise or in the cloud. This software can help many manufacturing and service companies eliminate the need for paper records and instill full transparency across the entire QMS, and it comes out of the box ready to manage multiple locations.

QT9 QMS is a complete system for quality management. The applications are designed to be easy to use, and they are all interconnected. Email reminders can be set for most modules to keep employees on track; this feature also helps keep costs down because fewer concurrent licenses will need to be purchased. Users can track nonconforming products, corrective actions, document control, training, and 15 other quality modules electronically, then approve, reject or verify them, or assign them to the appropriate party. Since QT9 is 21 CFR Part 11 Compliant, electronic approvals are just as good as a signature.

This solution offers a straightforward custom reporting engine that can export data in Excel format, report format, or even charts. For CARs, the information is all in one convenient location.
The Employee Training location allows us to attach documents (we keep Curriculum Vitae in the Related Files section). This allows for a one-stop-shop when audited on employee training and experience.
Vendor has been incredibly interactive and helpful when we have had questions/concerns. Also provided requested on-site training that met our expectations and timeline.

Unable to perform 'text' searches. For example, performing a search within the Master File attachments for a term or other document number is not available.
In addition, I create training records for new hires; the content and attributes are always the same. It would be helpful if I could copy an existing record.
As part of the Quality organization, I notice grammatical errors. QT9 has several messages that contain mis-spellings.

Recommendations

For companies that do not require BOMs/Routings, this software meets our compliance needs.

Great customer service and unlimited training. QT9 engineers will assist you at all stages and answer questions promptly.

Training system becomes increasingly complicated as a company grows and adds employees. Training gaps are inevitable over time, and obtaining training gap data is difficult. Training compliance is tracked per document and not per revision level. For example, if a current document revision is 2, and an employee trained to revision 1 but has not trained to revision 2, QT9 shows the employee's training as current, no gap.

"Related files" are not secure in certain modules. Regular users have the ability to delete these files.

Quality system data is difficult to obtain. For example, there is no way to obtain information on how long a document change request was open.

Various modules and settings do not "talk." For example, an employee could be inactivated and deleted in the system, but since he still appears as an approver on a document request, he continues to receive email notifications about that document.

Other minor frustrations include the following: originators are unable to reject their own document change requests; the amount of QT9 emails becomes overwhelming; menu lists automatically expand when your cursor passes over the menu item.

Recommendations

If you need to implement a basic quality system, this software could work for you. If you currently have a complex quality system that integrates design control, regulatory adverse event reporting, and detailed metrics with risk analysis, this is probably not the software for you.

QT9 prides itself on offering a top notch software solution for all of our customers. We also offer unlimited training and implementation to each and every user. The complaints listed by this user could have easily been resolved by simply reaching out to us and scheduling a quick and free training session. QT9 also has a built in Support Request feature that any user can use to submit questions or requests for help. Below is our response to each claim posted in this review.
1. QT9 has built in reporting to search and identify training gaps by Document, Document revision, and/or employee(s). QT9 also identifies and specifies the revision level each employee is currently trained to.

2. Related Files are documents that support a record. For example, email communications, pictures, spreadsheets, etc… The ability for users to add and remove Related Files is intentionally designed into the software. However, users must have certain permissions enabled to access records and add/remove files. So, no, not any user can delete Related Files. Additionally, all additions and deletions of Related Files are tracked in the record timeline. So it is easy to identify if, when and by whom a record was deleted.

3. Each and every record has an easy to locate and identify “Date Created” field. This field is searchable and visible to users. Every record in QT9 also has a Time Line that provides a comprehensive audit trail for the record that tracks Which user did what activity to the record with a non-editable date and time stamp.

4. This user was using the software poorly when deleting users. If there are open/active records assigned to a user, then the user should not be deleted or made inactive until all assigned records have either been closed or re-assigned to another user. QT9 was acting properly and preventing a potential record form falling into obscurity by notifying users that there is still an open record that requires attention.

5. QT9 is a comprehensive Quality Management tool that has many interlinked modules that communicate together, including Design Control, Adverse Event reporting, and Risk Assessments.

We attempted to contact this user to assist them and resolve their issues, but they no longer work for Direct Flow Medical.
In 2015, the year this review was posted, QT9 scored over 96% customer satisfaction on our annual Customer Survey. Here are a few of the questions we asked with the corresponding average score;

This is a very good package for an organization looking to implement their first quality management system or looking to automate a manual, "siloed" one. If you currently have a "paper system" you can use as many or as few of the modules as you are comfortable with and then convert additional process when you're ready.
There's a lot of detail in the control of nonconforming product and the corrective action/preventive action modules, but QT9 let's you decide how much you use by simply specifying this in your operating procedures/instructions.
The Document control and Record control modules will really streamline these 2 key processes.

Not much. Once we figured-out that going to the "Print" screen gives you a clear, complete look at everything from management reviews to corrective actions, we and the auditors have been quite happy.

Recommendations

Talk with some current subscribers with similar organizations. Consider going "all in" with their MRP package along with QT9.

The amount of functionality which is provided, considering the price of the software. The fact that there is a certain amount of latitude in terms of configuration and for the most part, you can build the system to suit your requirements. Also, even though the system is built to utilize electronic signatures, there are also the option to take a hybrid approach if you prefer to have certain documents physically signed. The document control and change control modules are of a good standard, and also the facility of being able to add related documents (which are linked to live documents) is particularly useful. I also find the management review module excellent, and has saved me a lot of time in terms of how I used to manage this feature.

The vendor management system is not as functional as I would like and is the module I find the least useful.

Recommendations

Using the trial installation is vital in order to assess the suitability for your own needs. Also having several different types of users so that you can get a rounded opinion.

For a small company this sw package has all the basic offerings. We are a medical device company and myself, the FDA & ISO auditors liked the traceability, control of documents and everything was there at our fingertips from Management review to Documents to CAR's. Qt9 is always responsive to our questions and resolving issues. They have incorporated some of our suggestions into their sw updates. It is intuitive to new users and easy to use. We have configured their ECR module to handle storage of documents and electronic signoff for Validation Protocols,Reports, Design review meetings, Stop & Resume Ships, and other processes that need sign-off in addition to its ECR capability. For the cost, the flexibility, electronic signature and traceability is worth trying out the system.

One of the items on our wish lists is to be able to limit daily emails to weekly for some people. The common complaint is that people don't look at them (deleting) because a notification appears every day.
Training module is a little inflexible, but they are looking at improving it and also improving the report outputs.

Recommendations

1. Contact other users for their input
2. Use real life cases to try out each module. Actually try inputting documents, CAR's, etc. to see how it fits with your system
and complement your paper systems. Look at the actual workflow
3. The modules can be implemented one at a time, so it doesn't interrupt your existing process.

Recommendations

Promote ways of getting users where they want to go asap. More emphasis on direct links, and user-activated reminder emails that direct the recipient directly where they need to go. More information on new releases and updates before final release to production. Transition to features that require less loading popups.

It provides the basics for the management of the quality for a small scale company at a good price. The pricing options are very good and adjustable.

It is very stiff in the way it is built. There is very little room to personalize the different type of product, if we want to hide some fields in the reports, the report options are very limited while they are the basis of a good quality communication.
There is no option to personalize the emails notofications. You really get flooded by emails!

You really have to adapt your quality organization to the way this system is built.

QT9 enables our goal of meeting ISO9001 compliance requirements with a user-friendly interface. Data from previous QMS software ported over well. It has impressive reporting tools and options. The vendor is very available, knowledgeable, and helpful. There's no question that this project will make us more efficient and give great return on investment.

For a comparatively reasonable cost, QT9 automates the process of managing document changes, approval processes, training records, corrective actions PM's, and audits so that they are completed in conformance to ISO standards, while making it possible to easily determine the status from any PC with an internet connection: work, home or on the road.

Also, I'm not a software geek. When I have needed guidance as to how to do something, I have always been able to contact a knowledgeable person right away to answer my question.

I have been using QT9 for three years now and I really have no complaints. Our registrar has commented on the improvement with each audit since implementation. The same goes for the QT9 support staff.

Recommendations

The improvement over a paper system is night vs day. If resources are limited, plan to migrate your quality system into the software one module at a time, be aware that to take advantage of all of the features of an automated system, it's a good idea to learn how the different processes interface with one another as you integrate them. For example, a document update can be set up to generate a training document for the change. If personnel are properly loaded into the system, and they are associated with a specific job that is associated with the document that has been updated, the training record will automatically be populated with the correct personnel requiring training.
