Zen Planner Software


 

Zen Planner is a member management software for gyms, affiliate gyms, martial arts schools, MMA schools and fitness studios. It includes integrated payment processing and automated billing, a self-service kiosk iPad app, both a member app and staff app for Android and iOS devices, scheduling, automations, workout tracking, belt and skill tracking, site templates and more.

Zen Planner's pricing is based off the number of active members and includes payment processing, and there are no contracts or startup fees. New customers have access to one-on-one training sessions with an onboarding coach who will help train them and implement the software for their gym. An in-house customer success team is available by phone and email.

Zen is intuitive to use and the support staff is phenomenal! The number of reports you can run is limitless and information is easy to customize.

Cons

Setting up memberships with bi-monthly payments is a bit cumbersome and sometimes, the prorating feature of the billing doesn't work as desired.

Customer service is always top notch. If representative can't answer your question, they'll research and provide a solution usually by the end of the day.

Cons

When communicating with prospects, it's very helpful to create email automations. The thing I like least about the app as is its current inability to allow files to be attached to emails.

Time is takes for development of new features - not included in the original package. Submission of feedback is tough as well....multi-screen and emails...

Good appointment calendar. There isn't more that I can say at this time. I wish it could send automated 24 hour appointment reminders.

Cons

Limited and expensive credit payment/online payment options. Lack of online video training for new staff. Not really cost effective for small gyms.

One stop shop for managing my business. Automation. And the ability to do a lot with little or no staff.

Pros

Easy to use, easy to manage. It has a great modern look and they don't try to bundle everything in one app. They have different apps for sing in, staff use, and member. I love the reports, and the face check in. Easy to find athletes by their face. Great for when you have new staff. It truly is a great bundle for workout tracking, integration with current website, and integration with marketing emails. All things other companies charge extra for. I would and have recommended this software to other gym and martial art owners.

Cons

The apps are great for managing but missing some fuctionality such as being able to schedule privates on the app. They where missing staff clicks in, retail sales but they have recently added those. Hard to find much I dislike and what I do they don't seem to be standing still, adding new function all the time.

It does everything! And the staff are so helpful in showing you how to use it all. I was stoked that it integrated with my current autopay software.

Cons

There is a lot to figure out! But its worth putting the time in as it saves you time later. It is different to my current autopay software so took me a little while to figure out how to set things up right, but the staff checked it over and helped me.

it's incredible. I just wish a few things would get developed faster.

Pros

the ability to track measurements and workouts. Open source filtering of reports. ability to email groups from the app.

Cons

Impossible to get Zen Planner to change to things that should be easy, and that Mindbody Online does way better, like segmenting locations into different accounts, ability to edit payroll after the period is closed, ability to hide team payroll from all employees (seriously?!), ability to create a widget for a different locations, ability to allow clients to enroll in events without having to scroll down to the bottom of a membership purchase screen. When Zen Planner makes platform changes, they can cause a lot of work on the user end while they work out the bugs.

I completely run my entire gym and business with this software.

Pros

For business and client management, nothing is better! Zen Planner's customer service is second to none. Hands down the best in the business!

Cons

I would love to see improvements in the workout tracking. I need to be able to differentiate different levels of performance, i,e; RX, Scaled 1, Scaled 2, Scaled 3, etc..

My whole backend business is now organized and is saves me so much time.

Pros

It has everything I would need to run the back end of my business smoothly. From email/contract templates, automation of email alerts, payments etc.

Cons

There is so much to do with this software that I have not been able to completely get comfortable with the navigation. Training was great, but it was easy to forget how to navigate through some of the tasks. I feel like there are a few too many steps and getting back to a previous function is not so straight forward.

I have made a few mistakes....thank goodness for the customer support!

It is fairly easy to use once you learn the basics. It is great for the front desk management. The interface with MailChimp is great. The customizable reports do anything you need, but hands down the best feature is the awesome customer support!

Cons

The phone app is not great. Since this is the primary way members interface with the program, I think it could be more functional. The iPad kiosk could use a few changes to make it more useful.

All the things I need to run my business in one system.

Pros

I like that I have a lot of control. Everything is pretty simple to use. If you've ever used a website, you can use this system. They are also very helpful and friendly when asking for support.

Cons

I strongly dislike the user end website. It is usable, but most people just download the app to use instead of the website. Sadly, that's not an option until a staff member signs the user up or the user signs up on the website.

Sanity.

Pros

Zen Planner seamlessly integrates everything we need as a gym. Although there are still key features we would like, what is there works well and allows us to keep all customer data and interactions in one place, which makes our life easier. Perhaps most importantly, best customer service on the planet. No matter how small an issue, they respond immediately. And when we recently had an ENORMOUS problem, that was totally our fault, our rep worked on it over the weekend for us. He saved our sanity, and thousands of dollars. I can't imagine that kind of service anywhere else.

Cons

My only real gripes are things that don't exist and need to. I would like my members to be able to purchase retail items and check-in using their app. Both of these features exist in the staff app, but not the member app. Also, I would like an option to NOT have a gender field at registration. I find the gender binary pointless and it's offensive to our trans and nonconforming clients.
