The up to date interface and "app" feel make this system very easy to learn. It is fully integrated and the "workflow" for the system is hands down the best I have reviewed and worked on in my 16 year career. The remittance posting and statement modules are cutting edge and thoughtfully designed for the end use. I also love that their is very little wait time to talk to support associates. For the most part, most of my items have been resolved easily over the phone same call.

The monthly cost per provider has increased since I first started using it. It can give a bit of sitcker shock to start up practices, but in the end, it's ease of use and reliability make it worth the investment.

Recommendations

Most demonstrations do not in anyway deliver a good "feel" for the day to day use a PM software. Your end user is the most important person in this equation. If your employees cannot be productive with the system, it will not be a sound investment. Push further with yous software account. Ask for a "dummy" account on a non-live site so that you can really test drive the software. You wouldn't in most cases buy a car you hadn't driven, therefore I don't recommend you buy a software you haven't actually used.

There are a few limitations to the software, such as inability to search through patients by address, phone number, or guarantor, but most of the features are extremely useful.

Recommendations

For my practice, ease-of-use and affordability are key. Deficiencies in either of these categories make the software largely unusable for a small practice such as mine.

What we like best of this product is have access to our schedule, billing, remittance all in the same program. It's very user friendly

It's very user friendly, our staff picked it up very quickly. We love the fact of how we can glance at our schedule and see if insurances are active inactive, if patients have any balance. The scheduling features are robust and very customizable. The fact that it is cloud based is very helpful regarding backup and eliminates having to install updates on our server.

User interface is really easy to use. Color coding is helpful.

RCM concierge service needs improvement. EOBs are sometimes posted twice. Financial screens are difficult to understand at times. There is constant modifications to the scheduling screen, but rarely for financials. It would be nice to have enhancements in this area.

What I like most about CareCloud is the user friendliness of the process. Especially, when processing request for medical records the multiple ways to access the documents really does make the much quicker.

The process for claims follow-up should be more detailed. The adjustment for non-covered services, which show zero patient responsibility should be adjusted accordingly, instead of being tasked to the clients. As this only delays the process, especially when the carrier denies a claim as the MRI read payment being bundled with the E&M code.

Recommendations

Ensure that there are internal processes to ensure the claims follow-ups are detailed and review of the eob and adjustments at the time of payment posting.

A lot of complaints from patients when calling the phone number on the patients invoices. Patients can't get a live person and no return call back from Carecloud. The line just rings and no one picks up the phone.

Our staff find that the applications are very user friendly and easy to navigate. I find that the ability to quickly maneuver within CareCloud allows our practice to work more efficiently. The customer support has greatly increased since we started using CareCloud; the support is knowledgeable and friendly.

I would like to see an enhancement in the future with having more self pay collections options, like collection buckets. Currently, we have to generate static reports and it would be nice to have a collections app, where accounts could be moved into different buckets for collectors to easily work.

Recommendations

Identify where your current software is not working and look to CareCloud. They probably have a better way of doing that task. CareCloud does listen to its clients and makes adjustments as needed.

Cloud-based, easy to use. Can log on easily in seconds from home computer or laptop. Reliable, easy for staff to learn how to use. Great for tracking product sales, analyzing revenue, charges, etc... Text reminders for patient visits very convenient. Seamless integration with my eHR (Modernizing Medicine) - that's perhaps the most important aspect for us.

Small detail but not insignificant for us- with the text reminders for appointments, if a patient wants to cancel their appointment, they're unable to do so the way CareCloud is set up now. This leads to no-shows for us because CareCloud can't reflect the patients' desire to NOT confirm their visit and cancel the appointment.

We have noticed errors when CareCloud records remittances. Only brought to our attention in certain cases when patients have asked about their bill, and when we reviewed their insurance payments/remittances, we noticed blatant errors during entry from CareCloud staff. Would be near-impossible for us to investigate how often this happens.

Wish CareCloud had better payment options for patients (to directly logon and make payment that would record accurately in their charts).

Recommendations

Obviously, try a bunch of programs, test-run them. I needed a practice management system that bridged easily with my EMR (decided on my EMR first and sought PM systems secondly). I love how easy the billing is (ICD-10 and CPTs flow instantly from my EMR to CareCloud). Has made our billing/collections much easier (we are a small office, started from scratch 3 years ago, never had an in-house billing staff, started with CareCloud concierge billing/collections from the very beginning and have NEVER looked back).

Have recommended CC to several other friends/colleagues starting Dermatology offices (because they also chose the same EMR). ICD-10 transition was NO inconvenience to our office at all- in fact, you wouldn't have even known things had changed because my EMR and CareCloud were so prepared. We didn't dread Oct 1, 2015 at all when we had to implement ICD-10- super easy for us, and no effect on insurance collections/payments.

I like the ease of use. The way the program is set up flows well and is easy to navigate. If I had/have questions, the support center has always been so helpful.

I would love to be able to have access to the billing and claims app on an iPad, so that I can fix errors and submit claims from anywhere.

Recommendations

I would recommend to use the new payment plan feature. Our office recently got new merchants (Clover), so we did not opt to have the payment plan app activated. I have an excel spreadsheet to keep track of payment plans, but to have the payment plan info in the patient charts would be beneficial when running reports and such.

Vendor is great. There are some limitations with Remittance postings that create additional work/cumbersome work. Some insurance denials that aren't really denials, still go to the denials app. Financials Screens need to be easier to view - screens are too light. Need to be able to make changes easier. Charges, insurance payments, insurance denials, refunds, adjustments, voided claims etc. - all of those topics need to more adaptable to the user. The field of medical insurance and billing is not as black and white as this system treats it. Need to account for the gray.

Recommendations

Great people, system on a basic level is good, good report functionality, etc. Very limited on flexibility. If you have just one insurance company that makes one adjustment to a previously processed claim, it will be problematic. Take that times hundreds of patients for a two-month period of time for payer like Medicare, and the stress level will increase exponentially. The real-life insurance and billing scenarios, related to patient and insurance side, is not well accounted for here. But the people at CareCloud are great.
