CareLogic Enterprise by Qualifacts Systems is an integrated suite of electronic health records (EHR), billing, and scheduling applications designed specifically for behavioral healthcare organizations with 20 or more users. The system is web-based and requires no software or hardware to purchase or maintain. It is used by behavioral health and human services organizations whose goals are to improve the quality of patient care, streamline administrative tasks, improve collections, and increase efficiency.

Qualifacts is an industry leader in behavioral health software. The original CareLogic system was developed in the 1980’s specifically for a national behavioral healthcare organization with over 1,000 employees. CareLogic was released as a web-based system in the late 1990’s and Qualifacts was spun off as a separate company in 2000. Since then, Qualifacts has grown quickly and now has over over 40,000 providers at 240 agencies who serve more than 1,000,000 consumers with CareLogic. Continuous innovation and upgrades are guided by the company’s customer-directed product roadmap. Its active user community is supported by state and national user groups.

CareLogic is designed primarily for organizations with 20 or more employees. The program is used by a wide variety of organizations within the mental/behavioral health specialty including psychiatry, psychology, therapy, counseling, substance abuse, and others. It also supports outpatient, community, residential, and inpatient settings. Qualifacts reports that 30% of its customers provide care in inpatient and residential settings; 50% offer a mix of mental health, substance abuse, vocational and developmental disabilities services; 65% provide services in the community and in the office; 75% have 20 to 200 employees; and 15% have more than 300 employees. CareLogic has been 2011/2012 ONC-ATCB certified for organizations that want to qualify for federal stimulus payments.

CareLogic is available as a standalone EHR system for organizations who do not require billing or scheduling, or it can be used as a complete EHR and practice management suite. It requires low upfront costs and can be implemented very quickly relative to traditional enterprise systems. It is paid for on a monthly basis with automatically deployed upgrades. Most practices average an implementation timeframe of roughly 5.5 months. The browser-based system has a visually-appealing user interface and is very easy to learn.

We feel comfortable recommending CareLogic to most mental or behavioral healthcare organizations large enough to justify the system’s robust functionality. We have heard positive feedback from many CareLogic buyers and are confident in the Qualifacts’ ability to satisfy customers in the future.

During the vendor selection process, the sales reps gave the impression the software had a lot more flexibility than it does. The reporting/extracting data has been an issue since we began using the software and continues today. There are limitations in the security since you can block access but not down to a singular item. The configurable forms are a plus however extracting the data from them is nearly impossible. The software has some good points, however in the setup, we were not fully informed of some of the limitations.

Pros

Once you are trained in its use, the flow in the ECR comes with ease. Good tracking and reporting of billing.

Cons

Reporting/Extracting data.

Advice to Others

Do not choose to use configurable forms. Use the modules provided and supplement as necessary.

Easy to use and train on. Very intuitive. I provide training to new staff and they are always surprised on how easy it is to learn. Development team is very strong.

Outages can be debilitating to our agency. Not frequently but at times when updates are pushed to system, there is an outage.

Recommendations

Look at lots of software and make sure to compare apples to apples. Write down what your needs are before you start looking so you do not forget you needs when you are looking at the bells and whistles of a demo.

What our agency has found most helpful has been the ease of use for clinicians and providers. The workflows are helpful and it's easy to navigate around the system.

Not very friendly on the back end. Billing especially has a difficult time trying to get claims out the door. It can be difficult to troubleshoot.

Recommendations

I would recommend that you have your clinicians, administrators, and support staff be able to walk through what their jobs are in a new system to see if there is ease throughout the product.

Adaptability! System is able to be used in all different lines of business.

Documentation/QSI Connect even being redone, the overall concept of having different forms of communication and training to view at your own pace.

Reporting for custom reports is very cumbersome. Collection Dashboard tables are not in the reporting warehouse. The cumbersome reports could even be overlooked if when new modules are released so are the tables in order to include in custom reports.

Do it!! Outline how you would like to view and categorize you types of services.
When thinking about the above, don't box yourself in. So think what you would want it to look like if you expanded services or went into other states.
