The Valant Behavioral Health EHR


 

Valant’s  EHR for Behavioral Health offers tools for providers to streamline documentation, increase efficiency, and enhance the productivity of their practice or agency. Designed by a behavioral health care provider and team of advisors, Valant’s staff understands the administrative pains of running a practice.

The fully integrated suite includes secure patient records, documentation, scheduling, practice management, and a patient portal. Because Valant focuses exclusively on behavioral health, users don’t have to navigate through billing codes and documentation templates made for other specialties.

Valant offers a library of outcome measures for clinicians to utilize and track overtime. Patients may complete these assessments from the comfort of their own home via the Patient Portal, or in session with the clinician. Either way, results are documented in clinical notes and securely stored in patient records.

Documentation templates include click-to-narrative technology to reduce typing and simplify the creation of a structured note.  Because the software is completely integrated, information like diagnosis and medication is pulled directly into the note from the patient chart.

The practice management suite allows users to generate charges directly from the calendar, eliminating manual data entry. The extensive reporting feature allows users to manage all aspects of the revenue cycle as well as other clinical and appointment reports. Patients are able to view their balances and receive statements electronically in their Patient Portal.

Valant provides extensive onboarding support and training, and ongoing support is unlimited for the duration of the subscription. Valant is also ONC certified for the 2014 edition of Meaningful Use Criteria.

My first year was fair...the system is not user friendly, demo was definitely not as described...notes are not simple to use and very repetaitive. System has lots of typos which are set in their system. I renewed the 2nd year as I did not have time to view other options...the 3 rd year the renewed the contract in their own and didn't notify me, until I saw the charge in my credit card. I called to cancel the renewal and was told I am locked into the contract for another year!!!! Even though my contract was signed in 2014!!! They were upset because I found a better EHR system called therapynotes.com

I have been using Valant EHR for Behavioral health for approximately 11 months now. I struggled with this company at first as is typical in my experience with the sales staff wanting to hurry up and close the sale. I was left with a few questions hanging.

I use an ipad, iphone and Macbook pro. As you can see, I am exclusively and apple user. This made the difference for me. There was one EHR that really had most of what I wanted, minus the apple support. It was PIMSY. I have probably tried 20 EHR types, ranging from FREE to paid. This one iis monthly for one provider. I do not like the fact that they want to charge monthly for a login for my assiantant. Again I am a solo practitioner, so every little bit does count.

I DO like the fact that an intake/Psychiatrist Diagnostic Evaluation is already preloaded with screeners, automatic scoring and auto generated reports that you can modify!!

I do NOT like their Treatment Plan Template. Definitely something that they need to work on. HOWEVER, they seem to be making changes based upon the feedback that I and others have left. So that is good to know.

Pros

I absolutely appreciate the intake information is so well implemented. I can capture just about everything with minimal typing. I also appreciate the fact that there are so many screening tools that AUTOMATICALLY give the results. I can customize those results as well. Very good job on this part!

Cons

I really do not like the Treatment Plan Template. It is not intuitive or very well prepopulated for convenience. It seems to take longer than hand writing one. HOWEVER there was a recent update that has addresses some of my concernes. I have not had much of an opportunity to check this out.

I do not like the fact that it is so difficult to upload documents if you are using a mobile device such as an ipad/iphone. A photo screen capture would be great!

Advice to Others

If you are wanting a behavioral health EHR, for apple products, then so far, this is the best that I can recommend. After all of my trials that I have been through in finally finding one that suites my purposes, I would advise you to identify the 5 most important things for an EHR. If the model that you try does not meet those expectations, then move on. I had wasted 2 years to finally rest with Valant. There is no perfect EHR suite, but this one does do a good job.

Simple to use, and easy to learn and very user friendly . It is intuitive and easy for our counselors to use. Easy to use scheduler, organization of patient charts and history is outstanding.

I have been using Valant EHR for about 5 months and though there is a significant learning curve the product is exceptional. Valant has developed a system that has both increased the ability to fully document a session but made the process of billing and payment a breeze.

Pros

The price is outstanding and there are no hidden charges. The integration and setup was well supported and the staff was prompt with a response when asked a question.

Cons

The system requires a sightly higher knowledge of technology to be effectively used, but if you don't have a curiosity for its vast data configurations the system will still be an effective tool in your practice.

Advice to Others

Don't waste your time looking at all the major competitors. You will not find a better system and a better support staff. Though this company is small they are mighty in their chosen part of the EHR market place.

Initially, I had difficulty navigating the EHR and found it complicated.

Pros

Extremely thorough. Prompts you to address all aspects of care. Contains multiple scales.

Cons

Can be cumbersome and difficult to navigate. It has been awhile, but I recall that the support staff were slow in responding.

Advice to Others

I highly recommend this product, if you want to be sure your documentation is complete.

Our Business was looking for a completely integrated system to provide the best treatment for our patients. We were given several suggestions from Software advice and one of the suggestions was VALANT. We researched several software systems and decided on Valant. Claims and eligibility are done with the clearinghouse that does all processes in real time, which will increase cash flow for the business. Patients are able to log on to a patient portal to send messages and emails securely online to the therapist directly. Assessments can be sent to patient prior to appointment to fill out. Scheduling and reminders are sent automatically. You can do notes anywhere not only in an office setting. The training staff is so helpful and willing to help you in anyway possible to make your transition smooth. Once you start or "go live" the Valant support staff is there to help you with any questions during your transition and after. I can not say enough good things about this system and the staff at Valant. I believe this is one if not the best system we have come across.

It is a great product for notes and billing. There support staff is amazing. They never leave you hanging.

Recommendations

It's works well for us. If you have multiple clinicians and Bill yourself it is perfect. If you are solo you may want to consider a simpler software.

This software is a time saver for a busy mental health or medical practitioner. The system covers all the necessary needs for EHR, insurance billing, patient billing and credit card processing all in one additive system. The minimal cost of implementation and monthly running subscription fees for each segment of the program is a dream compared to Valant's competitors. The system has a steep learning curve but after the expert implementation by Kersten Fox we could not be happier with how the system functions. I spent almost a year researching these systems and I could not find a better, more cost effective system on the market.

The only down side was the lack of a hard sell by the business development staff. I had to pursue them to sell me the product.

Recommendations

Look at the overall cost of the entire system and see if it can be tailored to the individual practices needs. I think Valant can be tailored to any practice, regardless of case load or provider size.

The multiple options for accessing the records; the templates and the ease of their use; but I must say that my rep made the experience extremely positive.

There really are no downsides except MY skill set and learning curve, but again my experience with my rep, who was so patient with me, made working through that challenge manageable.

it does offer interface with lab (took our sup[port person a few months to get there)
Dr. First is a robust prescription writing program that can pull in patient's medication related information.
Cost is fixed so you know what you will pay, like any web based software.

1 It is impossible to upload anything in the chart or to view any of your notes with out first downloading on your computer. That is a slow process. If you want to look at your last three notes you have to open each one of them separately and down load (on other software you ca scroll down or up.
2 Often the site goes down (twice in one month for several hours) you have no patient information.
3 worse part of experience was the support person dedicated to us. She would forget what steps she had taken. She kept blaming the person who sent our data for mistakes but we have a soft copy of the data to show that Valant screwed up.
4 support is pretty bad when something really goes wrong. Today all my scheduled drug scripts did not get sent because there is a glitch with the way Valant communicates with Dr. First. Only patient's "Home number gets transferred to dr. first but for call backs they want patient's cell to send text.
5 Worst part of the experience was our dedicate support person.
6 Some times when multiple users are trying to enter information on the same patient, information gets "lost"

Recommendations

unless you are just starting out, look for something more robust. You may have problems in the beginning but in the long run you will be better off. Look at E clinical and even Icannotes.

The software does everything that my small practice needs. It compiles CMS1500s, tracks invoices and income and balance sheets, plus keeps track of documentation that may be pending. It has safeguards to help keep your information current, and has wonderful customer support and user friendly self-help guides. It helps keep me organized and on track with billing and documentation. I have been using this product for about six months and continue to learn more and more features every time I use it!

Only two issues that I have run into since using this product. The first issue is that the system times out in less time than a regular therapy session, so I am always having to sign back in after a session. This may not be a problem for offices with a scheduling staff but for my one person practice, it is frustrating at times. The second has to do with billing errors. I did not at first realize that once you have gone so far in a billing process, you cannot undo what you have done, and in the beginning I was making errors every week with input of information.

Recommendations

For the price for a small practice, it has been wonderful! The system is user friendly overall, and I learn more and more about what it can do for my practice every day that I use it. It will run concise reports on accounts receivable, insurance pending, etc. It is an absolute must that you go through all of the tutorials and I would highly recommend using the live training sessions (which I have not yet taken advantage of). The customer service has been helpful but not too pushy. They communicate new features and upgrades, but are not overloading my inbox with tedious and useless advertisements or spam.

Staff are very professional and helpful. Software is comprehensive and did all of the things I wanted it to do. Should be able to check eligibility, document, bill, and follow up on claims all from within the program. Good set of training materials to get up and running. Can have billing integrated in the program through a clearinghouse for an extra fee. Also can get credit card processing integrated as well.

Recommendations

Figure out first what functions you need and then get demos from products that match what you are looking for. Do online demos with the sales agent. Get a practice version to play with before you decide.

Valant it comprehensive and ideal for private practice. I manage a full case load with no office or billing staff. Therefore clients are not transferred from one person to another. The HIPPA Compliant EHR software is cloud based and accessible from the office or home. Client information is stored in one place, intake and progress form options are available. Objective measures help with diagnoses and monitoring progress. Claims submission through Valant could not be easier. The organized manual and web videos specifically targeting are great resources. The administrative staff are available for consultation. Most importantly, the technical support staff provide prompt responses written for a practitioner rather than a computer technologist to understand.

Valant has a well developed system for training providers and/or administrators on the features of the software. It is laid out is a logical format which builds upon knowledge if you follow the suggested sequence. If you are a person who reads the directions before trying to put something together you will have no problem. If you are someone who tries to put it together without reading the directions or reading the directions as needed you will face some challenges.

Recommendations

I did a lot of research on-line, reading reviews, comments, and looking at comparison charts of different types of EHR software. I thought I had done my homework but after three months with my initial choice I cancelled my contract and started using Valant. I recommend that you initially learn what is necessary to provide quality services beginning with the intake call and ending with money deposited into your account. Now find other practices structured similar to yours and ask informed questions carefully listen for gaps and/or assumptions in your thinking process. At this point you are ready to begin the EHR software selection process.

The start-up process is slightly convoluted and the on-line training is less than ideal.

Recommendations

When going through the set-up process, do not be discouraged by poor online training and tests that are not overtly related to the material presented in the training videos because the one-on-one training that clients receive afterward will clear up all concerns effectively.
