DocMinder Project Management Software


 

Word-Tech’s DocMinder is a hosted or on-premise task management program that uses clients’ existing email systems to automate project follow up and collaboration with oversight from calendars and reporting. DocMinder manages project tasks throughout their life cycle, allows user’s real time oversight from PCs, tablets, or smart phones, and integrates with several document management systems including SharePoint and Shared Drives.

DocMinder notifies users of tasks through automated email follow-ups until closure with escalations. If someone leaves the organization or goes on an extended leave, tasks can be transferred to someone else; procedures can be created on an as-needed basis with the solution’s visual workflow; real-time reports are exportable in Excel, CSV, PDF, or HTML formats. DocMinder’s calendar and reporting system is centralized, so users can see who is doing what, including accompanying documents and related comments, at all times.

This tool helps managing the status of your tasks and notify you via the emails as needed. The calendar view looks really great and colorful. It helps with schedule management easily for your projects.

But the software graphics are not very good overall and the look can be improved.

Good application to manage automated workflow between your CRM and email systems. It helps with real time reporting in the form of CSV and PDF files. On the UI side, there can be some improvements to give a feel of modern web interface system. But works well with the functionality available within its system.

Pros

Calendar view is great and provides easy event management. The reports can be extracted easily in desired formats.

Cons

The user interface can be improved to meet the feel of modern web elements.

Advice to Others

The product makes our lives so much easier by eliminating the individual tracking and reminding on the frequent, large scale surveys that we have to do within our firm.
The vendor is very responsive to our needs and is very willing to work with us to find workable solutions.

Recommendations

Do an actual trial and if you can't figure things out on your own, ask your vendor to help. They were instrumental in helping us learn to use the product correctly.

This product can help ease the burden of following and tracking items from any realm of the business. It can be used to track progress of a project to reminding the appropriate people to take action on items that are not routine and could get lost in the shuffle.

Currently the product takes some training and use to become familiar with typical day to day use. It needs to be made more user friendly to get extended use by many.

We can now manage the contract review process to ensure we are not missing review deadlines, and using the dashboard we can see which tasks need escalating. Previously, we had to rely on the manual update of a spreadsheet, which was an administration nightmare, and occasionally we let things fall through the gap, which has proved costly. DocMinder allows us complete control over critical tasks and takes very little effort to administer.

Alerts are sent via email. Templates are provided which appearance-wise could be improved. We understand, however, that WordTech are making improvements in this area.

Recommendations

Let your imagination run riot. DocMinder can be used for so many areas of our business for example to manage tasks such as new hire, employee appraisals, project management, contract review and document approval.
