AppFolio Property Manager Software


 

AppFolio provides cloud-based property management software that allows residential property managers to market and manage their business. This solution includes accounting, leasing, marketing and property management functionality.

All property information can be stored in AppFolio, allowing users to post vacancies to various sites including user-owned websites. Users can also download an HTML vacancy posting package that they can print or manually post to Craigslist.

Users can list vacant properties, fill out an online applications and run background checks. AppFolio can automatically populate customized lease agreements, accept payments and support digital signature collection. The payment platform supports e-checks, credit cards and electronic cash payments that residents can submit through an online tenant portal.  

Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access and more.

Good product, terrible customer service

Sometimes you encounter things you need help with, and email communication(especially when there is a 3 hour time difference) just doesn't work. You need to be able to contact someone to help resolve problems and appfolio will not give phone numbers for any of their customer service employees. There are things that are time sensitive and when you need help you shouldn't have to wait until the next day to receive an email that usually doesn't help anyway.

Pros

relatively easy to maneuver within appfolio unless you have a problem, there are lots of different ways to accomplish the same result

Cons

things constantly changing, don't have time to review all the "new" features every day, hate it when something I use every day is all of a sudden completely different, and most of all appfolio has the WORST customer service I have ever experienced.

1. It has what I want from a property software,and if they don't have it, they will if you ask!
2. The customer service is spot on, they really love their customers and it shows!
3. Notes for EVERYTHING with PICS! No more tenants claiming they don't know what you're talking about or not knowing what they are trying to tell you is wrong with their units!
4. It makes it easy to keep track of all the data we have, literally everything has a place to be put.
5. I really love how in depth the help pages are and the fact that there are forums for the users to talk to each other about what they deal with and how they have worked around issues. It can take some time to find the right thing sometimes, but you can always find a way to make things work. Appfolio is very adaptable and it feels like there is no one way to use it. It works with each person in their own way!

Cons

1. The accounting took awhile to get used to and can be a little clunky and confusing at times (and I have an accounting degree).
2. Customer service can take up to 24 hours to get back to you, while that is still a good response time, when you have accounting questions, it can seem like forever.
3. Having the option for so much data can make it hard to remember WHERE your data for a particular item got placed. Was it the unit page? Owner page? Tenant notes? Vendor notes? Maintenance notes? Who knows! It would be great to see a system that links together notes a little better with catch words or a notes search option by date etc to make finding the large volumes of data we collect a little easier. But it is STILL a far better system than anything we have used before.

We migrated to Appfolio in 2009 and was the best decision we ever made. It makes managing real estate so much easier and more efficient than ever before

This software is great for leasing management side.
It helps make rent payments much easier.
It helps keep track of tenants in a more orgaized manner.

Cons

Confusing for accounting aspect.
Will never understand $0 receipts.
System is not able to comprehend that we are a mixed use facility. Therefore, it labels my office space as a studio apartment. I constantly get calls from pissed off or confused people because they think we have $525 studio apartments for rent.
Customer service has changed. It is getting difficult to schedule phone calls.

There is a lot of functionality for my owners and tenants which I enjoy and like. My owners can see their statements and have view only status of their properties, which is a huge plus with big investors and small owners as well. Collection of rent has never been easier with ACH rent payment.

Cons

It lacks in quite a few areas. The customer support isn't that great. It takes days for a response and there is no option to call in anymore. We have numerous times we are on a timely manner and cannot get the answers we need and have lost clients over it. Their suggestion board is great except when there are hundreds and comments on things, they don't do it. There is no real way for them to hear your answer. The product is good but needs more tweaking, the customer service is however not great at all.

Sometimes it is hard getting resolution to issues that come up. Its not that you don't

I am a huge fan of Appfolio because it makes my job more efficient and enjoyable. I would recommend it to any property management company and I promise it will make your job so much easier! If I did not use appfolio I think I would need to hire additional people to help with the workload and I would not be able to take time off when I want to!

Pros

I love how easy it is to learn and use. The software is so intuitive that I was able to jump into my new career as a property manager with ease!
Online leasing, payments, vacancy posting, maintenance requests, text, emails...I could keep going. I dont even know the stress of "rent week" because appfolio does it all for me.
Appfolio is constantly making updates to their systems (weekly!) and reaching out for feedback from their clients. Their crew is positive and peppy too!

Cons

It might be a bit spendy for a smaller business.
When I do have a support request it would be nice to just call and talk with someone instead of waiting for a email response. It can be difficult to explain the issue in a email. There are some updates that I think need more attention.

AppFolio makes Property Management simple again, it is not overly complicated and truly was an easy program to learn.

Pros

The ease of use is the biggest feature, so simple and the access to the Help feature when needed makes it even easier.

Cons

We really really wish there were a few more report options, like a 12 Month Actual to Budget would be amazing, I did not realize how much we would miss that one simple report.

Having been an Appfolio user for almost 3 years, I've noticed that customer service does not seem to be as responsive as I remember it being when I first started. One-on-one training on the phone really helped in those early days! That said, I have been able to resolve more and more of my problems with the help pages, which are fairly comprehensive.

Pros

Everything about running the business is in one place. I have been able to manage more properties as the business has grown!

Cons

Sometimes I miss having a ledger-based option for the bank account. I still use Quickbooks for that, and there is some duplication of effort there. There is a definite learning curve to the program--and I am still learning new things, but it is a powerful tool.

Customer service is mostly quick and efficient. The ability to make so many different reports. Navigating the site is intuitive.

Cons

There are some functions that I have shared to be added and nothing is done. For example increase the size of the files we can upload to to the tenants page. I have to divide my leases in 2 at the lowest scanning resolution of 75.

The customer conferences are so beneficial and give the opportunity for new customers to talk with your staff directly and other Appfolio users. I believe this was key when we first converted and were going through the growing pains ourselves. Now that we have used this product for several years- I like to attend the conference, not only to connect with your team in the genius bar and in the classes--but to help the newbies by sharing our experiences with them and tell them about our processes. I just think overall the conference helps everyone get reconnected and I find it very beneficial.

Pros

The appfolio team listens to their end users and encourages input/feedback, so that they can make changes/upgrades on a continual basis. This, in my opinion, is one the biggest things that puts Appfolio WAY ahead of its competition.
The program is stupid-easy to use. (seriously, training on this system is a breeeze--it is truly "user friendly")
Texting and email ability allowed me to cancel another paid service I used to use--and these features are SUCH a time saver, plus our residents LOVE it! PLUS the system keeps the documentation- I don't have to spend time adding it in as a note! Win-win!
Online payments free up SO much of my time now. (Residents love the convenience as well) The majority of my property pay online!!

The product has tremendous functionality but is also easy to implement and use. The AppFolio people are great to work with. They are very enthusiastic about the product and extremely customer-focused.

Cons

I have nothing significant to say about the cons of the product. If I had to pick something, I'd say that it would be nice if the standard GL Accounts were a little more extensive.

Just had a unforwarned accounting change regarding suppressed GL account balances affecting owner balances on their statement with 3 "fixes" by Appfolio that did not work, the only way to Zero the balances was for our company to sacrifice in fees. So far AF has refused to compensate us for this....

Pros

intuitive and work flows make sense. maintenance request to final bill is a good process with tenant survey of work competed.

Cons

No special reserves can be set up. No Flags for code or condo violations with days left to correct.

This app is great and easy to use. Self explanatory and if you need help it is just one click away. Customer service is great and usually answers questions within 2 hours.

Cons

When going into a tenant page if I send and email to the tenant from their tenant unpaid charges page it does not record on their page that I sent them an email.

Most of the functions help cut down on active time and are very helpful. Particularly helpful is the ability to email monthly statements to owners.

Cons

Once again, it is about the owner. I have to manually calculate how much an owner is getting every month since Appfolio doesn't have a function to calculate through the end of the previous month. This should function just like the management fees, which has a button to calculate through the previous month. We NEED this function here as well.

Pros

I love that I can undo errors and every day I find something else I can use on AppFolio. I like the fact of applicants doing their applications online.

Cons

AppFolio does not take into account, exceptions to rules. It is very straightforward procedure. There are times that we have to consider a different approach for a prospective tenant or lessee.

Overall it's a great software!

Pros

Easy to understand, easy to use, gives you an option to rectify, always can find the problem to your issue under Help.

Cons

You can only have one bank account , it's not a big problem, but it's inconvenient when you have multiple banks or need to switch to a different bank. You really need to know what are you doing. And I am still waiting to solve that issue.

Amazing from day one!

I just did my annual renewal. It's hard to pay that big bill, but they also reward me with a lower rate for paying annually. They were cheaper than some of the larger companies, and more expensive than some other software I was looking at. I went with them because of the functionality, and the fact that they didn't charge extra for additional modules (maintenance, HOA's, customer support). The customer support is fast, efficient and spot-on. I have been able to get help everytime I have needed it. It isn't the function of the software that I have needed help with, it has been user error items or trying to use a function in a way that isn't typical. In the last year, they have upgraded in functionality and usability. Their help section is extremely intuitive, so if I am trying to figure out how to make something work, the majority of the time I can find a pre-existing help article (with pictures!) to walk me through it.

Pros

Always growing, and changing. They truly listen to user input about features and things that are needed.

A tool for our tenants and landlord to make payments.

Pros

Tenant Plataform. Easy to make repair request and pay rent. Owner contribution are also easy. Uploading invoices are easy too.

Cons

Every request must be through email. You don't have an phone number to reach them and ask question while you're working with the system and have some question. Sometimes an issue takes 16-20 business days to get resolved.
Also if you're not an Accountant expert don't even think about to work with this system, very difficult.
They keep saying that a mobile friendly but they don't have an app.

Fast internet response from form to form.
Free Tenant ACH payment.
Relatively complete software - except for inventory management (i.e. take care of repair items)

Pros

Online free tenant ACH payment. The software does actually function. This software is very responsive on the web - one aspect that hooked me in - in the first place.

Cons

There is little user control of the items to display on the dashboard.
The rent-roll should have the option to display all items charged, not just the rent.
Entering any financial transaction seems to be a contortionist act.
There should be a way to display a worksheet of all transactions for a given sequence of dates and allow some general editing of this worksheet. It would make data entry much nicer. It may be nice to have an input screen for each transaction, but it gets a little old very quickly when you are entering many of them at a time. This worksheet idea could be used for tenant entry into apartments, expense entries (separate worksheet), work order entries and display, make the rent-roll editable. Have some easy way to re-use information as it is being entered so that it doesn't have to be re-entered every time - i.e. like a worksheet entry method, with each of the entry items copyable from one row to another.

Cons

Sounds crazy but I'd have to say the inability to start fresh after years of bad management. I've seen the need for this at several companies.

Tenants can pay me online.

Pros

Lots of options, you can do a lot with this software. List properties, tenants can pay rent, submit maintenance.

Cons

ZERO TRAINING! There is absolutely no initial training offered. They advertise that they don't leave you to your own self to figure out how this software works, but they do. After you look through lessons online and still don't know how to solve your issue, you must submit a request for them to contact you. So the whole thing rests on them contacting you back. That can take up to 3 weeks as it is in my case. I am still waiting. THERE IS NO 800 NUMBER FOR YOU TO CALL AND FOR SOMEONE TO ANSWER YOUR CALL AND TALK YOU THROUGH WHAT YOU NEED TO DO. You must articulate the issue to them in the email and then they will email you back in a day or two, then they will ask you when you want to set up appointment, then it has to be 30 mnts because they are too busy and can't have you hold up their time. I am having the most awful experience with this software.

I am so glad we took the plunge and switched to Appfolio!! There experience has been amazing and since the change we have never looked back! We now have the advanced technology that makes our jobs so much easier! LOVE IT!!

Still looking for something that will walk you thru an overall workings of this product. I can pull up a video that will tell me how to do something in the program that is very good, but if you do not know what is next or never used some of the items in the program you may not know to go learn about the service.

From the beginning of using AppFolio first and foremost, the customer support was without a doubt superior in my books. We had very little growing pains due to that it is a great program and easy to navigate. Now I really like that the customers listen to this program are updated on a regular basis to make it even easier to use. I would recommend this program to anyone looking for the best!

Overall AppFolio is accessible and easy to use. I do however have complaints from my owners on the owner statements. They are confusing for some owners, we try to explain simply accounting and I'm not sure how to make the statements easier to understand. That would be my only criticism.

Love this software! We reviewed many other leading property management software's that were on the market before deciding on this one and after more than 2 years we haven't had a single regret. Definitely love how automated everything is and it just makes our workload a little easier which any property manager knows is priceless! I have only been working with Appfolio for about 4 years. I came into the business not knowing too much. I basically had to teach myself how to use the software. Thank goodness there were training videos! If I couldn't figure it out with a video, I could always contact support and someone would help me!

Excellent product. Makes my life as a property manager much easier to deal with tenant issues and owner issues when it comes to the tenant and owner portals. By having the tenant ability to pay rent online, saves me a lot time time collecting and processing checks. Reports are easy to navigate. Your customer service is very helpful, I always get good results when I need help. They send great examples so I can resolve the issues.. Sometimes when it is more important to call me they will do that too.

You do need to pay attention to more suggestions like adding condos and co-ops to the property type lineup.

Tenant ledger is hard to read, it would be lien is f the lines were not so close together

Advice to Others

They need spell check when submitting a request or even typing an email or text

You need to add condo and co-ops as choice in property type We put everything under single family which is not a clear picture of what we have in our portfolio.

In order to put our lease that we use we would have to cut and paste it into appfolio. There needs to be an easier way to get this done.
