AppFolio Property Manager is a web-based system with accounting and management capabilities. It is a comprehensive system that serves as the central hub for all business needs, including marketing, accounting, online rent payments, applicant screening, online applications, online lease agreements and other key processes.

Because all property information is stored in AppFolio, marketing vacant units is quick and easy. In just a few clicks users can quickly post vacancies to hundreds of sites on the Internet including their own website. AppFolio also provides the ability to download an HTML, professionally formatted vacancy posting package that can be printed or manually posted to Craigslist.

From quickly listing vacant properties, to filling out an online application during a showing, to instantly running a background check; if everything checks out, AppFolio automatically populates a customized lease agreement, accepts payments, and potential residents can digitally sign on the spot.

AppFolio also offers a comprehensive payment platform that includes a variety of payment options including E-check, Credit Card, or Electronic Cash Payment, allowing residents a way to pay rent online 24/7 via an online tenant portal. This is completely built into the software and offered free for AppFolio customers.

AppFolio offers product training and support for an unlimited number of users included in the monthly fee. An implementation specialist is assigned to help each customer manage through the software transition. Real-time customer feedback and comments are posted right on the AppFolio website. Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access, and others.

Promising Software that doesn't deliver on some key issues.

Ease-of-use

It's very easy to access through the internet from wherever you are. The layout and functionality are pretty easy to use and understand.


Functionality

It handles tenant and landlord issues, but it has no accounting for the management company. All management fees have to be paid out of the system (management is treated like a vendor with checks issued for all fees), and the management company accounting is handled with totally different software.


Product Quality

Most of what is there is very well-designed, and reports appear very professional. The problems are what is missing in the software and their promises to fix but failure to live up to their promises.


Customer Support

They are quick to respond but frequently do not have an answer for the problem.


Likes Best

AppFolio's easy internet access makes using the program from anywhere incredibly easy. Providing statements to owners is easy through their direct email publishing, and managing work orders is simplified by use of their tenant portal.


Likes Least

There is absolutely no accounting system for the management company. Accounting for the management cash flow all has to be separately with different software instead of coordinated with the property accounting in a single application.

The serity deposit refund accounting on owner statements is confusing and provides little useful information to the owner.

Promise frequent and user directly improvements to the software but in 16 months of use none of the major issues I have forwarded to the company have been addressed. They are focused on improvements to the system that increase their income but not very quick to address changes requested by the users to make the program more efficient or useful from a manager point of view.

Accounting systems definately not written by an accountant.


Recommendations

Make sure all major issues are addressed before you start using the software. For example, if management accounting is important to you, then this software does not currently provide it. Despite promises from the salesforce, they are very slow to implement these kinds of changes.

I can do almost all activities including tracking maintenance requests through the software. Also, you can scan all documents into the system, making it easy to go paperless.

Customer support is very good. Everyone is knowledgeable, friendly, and responsive.

We have been using AppFolio since April 2010. We manage about 200 single-family homes in Albuquerque, NM. We have three full-time employees and one part-time employee.

We've been very pleased with the software and the customer service. With our previous system, we had to employ a part-time bookkeeper, but with AppFolio, we have streamlined our accounting process and were able to cut that position. Because AppFolio is web-based, we are able to employ a maintenance coordinator who is off-site. AppFolio releases new updates and features almost every month.

Teaching my staff to use AppFolio was a snap! If an employee can use the web, they can use AppFolio.

Their customer service is definitely their best feature. We get answers to our questions the same day. We highly recommend this software.

This program is seriously lacking compared to some of its competition. Our company had to switch from another system after the California DRE decided to crack down on anybody they found out was using it due to the way in which that system handled e-payments (e-payments passed through a clearing account before settling in the destination account).

I am extremely computer literate and have no difficulties learning new software quickly. I've used this program long enough (three months) to say that there are multiple aspects of its design that I think are unintuitive; I find it to be terribly lacking in advanced functionality; it is devoid of any form of flexibility in how it allows users to handle processes. I could not be more disappointed with this program.

There are flaws with its design which I find simply inexcusable, such as not being able to generate an email list of all tenants (all tenants that are not primary simply have their names listed as "additional" in the tenant directory) or that paying owners is divided among each property separately (including properties owned by the same owner), and the owners name is not listed in the process.

There have been multiple other issues that I've been able to work around that I don't care to list. This program feels underdeveloped to me. Its like the base model of a real property management program. They claim that they are a "Property Based" program. Please understand that this means that every single bit of data is both kept and displayed at the property level. Properties are treated as entities and people are treated as references. If you wish to see a report for an owner you will have to combine data for each of that owner's properties because all information is kept on the property level regardless of ownership. Our large owners with 15+ properties receive a 15+ page owner statement each month: a statement for each property. They have no ability to tell from their statement what amount they were paid, how much income they received, or expenses they paid out unless they combine the data from each property they own because AppFolio does not have an option to summarize or combine all data for an owner or property group.

Almost nothing in the program is live; reports must be generated to view info for most tasks then drilled down to get to what you are looking for. If you are a small scale operation or aren't very computer savvy, then this is the software for you. But if you run a mid-to-large scale operation, are tech savvy, or want some bells and whistles with your software, I highly suggest looking elsewhere. The only good things I can say about this program are that it's fast and reliable. My firm manages 360 units for 154 owners, and I'm the accountant and head of property management.

Wes, we appreciate you taking the time to write a review. We know switching software can be arduous, and, since all available solutions differ greatly, there is a learning curve associated with the shift in paradigm. For example, you are right in saying that AppFolio is property-based and report-centered, which is probably much different than what you were used to using. The goal of our reports is to provide the flexibility to search, group, and filter your data based on your viewing preferences, and we also provide a universal search for quick access to records and common tasks.

Running reports at the owner level is just as easy as running them at the property level. Specifically, you can opt to send any owner a consolidated owner statement, which would combine transactions from all properties owned by that owner. Our services team will get in touch with you to address a couple of items you mention here, and assist you through setting up the reports you need.

We've been using Appfolio for just over a year and it has completely changed our business. After contacting two other property management software companies, I was impressed with Appfolio's positive sales approach, their ease of integration and the software itself. We are able to effectively manage our maintenance work orders, as well as track warranties and special notes about each property. Advertising is super easy and clean. The accounting functionality is easy to use and thorough and their reports are easy to edit for your business. The only thing I would change would be their letters function, it creates the letters in PDF form so they can't be edited each time and when you go to email them to your residents or investors it attaches the PDF rather than inserting it into the email body. Other than that I have no complaints!

As a company, we are more efficient, more profitable, and can offer so much more than we ever have to our residents and investors alike.

We have been a faithful Appfolio user since March 2009. We did extensive research of the competitors, and at the end of the day, Appfolio was our choice. In hindsight, it was the only choice. Appfolio has streamlined so many time-consuming jobs, which gives us more time to do what we do best: manage property. We took on a client with nearly 100 units and were able to get them up and running within a day!

Our owners are impressed with the quality of their statements, as well as being able to review their statements virtually anywhere and anytime they have an internet connection. We also must tip our cap to the customer service end of Appfolio. If we have an issue, the response time is virtually instantaneous, which means we are more productive.

In our business there is no other cloud-based property management software that can match the value, professionalism, and results that we achieve with Appfolio.

This was a great product for marketing, but the accounting side lacks options. The reports are not very customizable leaving me discouraged constantly. You have this great data base of information and to not be able to pull up simple reports is wrong. They say you can import into Excel to get a more custom report, but if you can't pull up what you need in the first place, exporting is not going to help. The "tenant statements" pull up the property address, where we have other mailing addresses on some of the properties. Seems like a simple fix since the information is in the data base, but after months of request for a change they still have not changed it. They say you can have an input and they will make changes, but that rarely happens for the better. We have been using this for just over a year now, and in the beginning customer support was always quick and a direct line to a person when you call in. Now you leave either an email message or a voicemail, and they get back to you usually in a couple of days. The posting of your properties to CraigsList also used to be a much easier, faster process, but now is slower. I have found that occasionally in an irregular transaction that my PM fee is not correct, so you can not just trust the system to come up with the right numbers. I audit every couple of months to find out what PM fees were dropped and have to make manual entries.

I work as the property manager for a small privately owned company. We have 700+ units. We had used another software that went bankrupt and had no further technical support available. After reviewing numerous programs my boss chose to go with AppFolio. The migration from our old program to AppFolio was a bit of a headache, but the technical support was great.

If I have an issue or question, I just email them and get a call back very quickly. The program is so easy to use and very fast. I really like the online applications; the back ground screening is great, and online payments (with no surcharge) has been a real time saver for our company and residents.

Being able to use the program from home and my iPhone is also a great aspect of this program. As I am the person who handles after hour and emergency calls, it's nice to be able to do work orders at home and be able to look at resident and vendor information.

Took over management of a 133 unit complex that was built in 1971. The office previously operated on pen/paper and Excel spreadsheets. So my first act of business was to organize all that paper then get software. I went with Appfolio because of the overall functionality and depth of what it can perform. Implementation was great, the team was and still is dedicated to my success. This system is easy to use and the team at Appfolio is always making improvements and updates.

After the implementation, the processing is very smooth. With a larger company there is a lot to set up. Since I have done the entire process, I would say anyone with more then 100 properties should get this set up as a team. But the interface is great as is the effectiveness of the CRM, accounting, and property posting. Some minor fixing is needed, which they improve on frequently based on suggestion.

We are a growing PM company and have recently switched to Appfolio. The migration team does not help, data gets corrupted and they made us redo all of it, 3 times. They forgot to get our online payments set up until just before launch and that takes 2 weeks. You also can not call and get a person to talk to about any issues when you need them. It is always, leave a message and wait a few hours or days.

We are a smaller PM company with a little over 200 single family homes. We primarily deal with military personal as we are located right outside the main gate of Ft. Leonard Wood Military Installation.

In making the decision to leave our last system, I reviewed several different softwares and sat through several demos. Appfolio was by far the best choice for our company. The support staff was excellent throughout the whole transition, keeping in constant contact. I could not have been more pleased. We began our transition around the 5th of December and went live with Appfolio on 2 January. We experienced no snags or hiccups along the way.

The software itself is so easy to use. They provide tons of training and continued support. But really, you almost don't need training it is so easy to use. We love it. What use to take hours to do in propertyware due to the software complex and confusing applications, now takes us minutes in appfolio.

I have to say, Appfolio is the best for our company. I have been nothing but pleased so far and I only see it getting better as they add more and grow the product.

I own a small boutique property management company that specializes in small investment properties. Our past software program worked well for us for about 12 years. However, the company went bankrupt overnight and left us high and dry. We needed new software fast.

We were recommended 3 different programs and settled on Appfolio. The implementation was not fun, but when is switching management programs? It went fairly well.

The management program is fantastic and does everything you would want a management program to do. There is a learning curve which was not that bad. I would imagine there is a learning curve with any new program. The support team has been great and walked me through all of the stumbling blocks I have come up against. Once I got the hang of the system I found it very user friendly. I would strongly recommend this software to other property managers.

This is the most complete, and flawless rental property management software on the market-hands down. The only problem is that there is not a version that works with HOA management because if there was I would be using it.

The programmers that created Appfolio were very smart and created a comprehensive and intuitive piece of software that will fulfill all of the needs of a rental management company. We went from an accounting software program that used Microsoft Access, to Appfolio and within two weeks time, my work was cut in half because of the efficiency of Appfolio.

Trust me folks, don't even bother with looking at other software programs if you manage rental properties. You will not go wrong with Appfolio plus their customer service is par excellence.

Just a side note, this software is so intuitive that I was using it efficiently withing three days with not much training at all. If you need training, Appfolio has a complete training section with videos.

I can't say enough, in fact I wish Appfolio were selling stock!

We're a small property management company in Tucson, Arizona. We purchased AppFolio to manage the tenant ledgers at our residential properties. So far, we've been very happy with AppFolio. It's extremely user friendly with great search features and a customer portal that allows residents to review their individual ledgers and make online rent payments. It also has a marketing component that each property can use to post online ads. AppFolio is also very affordably priced.
