AppFolio Property Manager is a web-based system with accounting and management capabilities. It is a comprehensive system that serves as the central hub for all business needs, including marketing, accounting, online rent payments, applicant screening, online applications, online lease agreements and other key processes.

Because all property information is stored in AppFolio, marketing vacant units is quick and easy. In just a few clicks users can quickly post vacancies to hundreds of sites on the Internet including their own website. AppFolio also provides the ability to download an HTML, professionally formatted vacancy posting package that can be printed or manually posted to Craigslist.

From quickly listing vacant properties, to filling out an online application during a showing, to instantly running a background check; if everything checks out, AppFolio automatically populates a customized lease agreement, accepts payments, and potential residents can digitally sign on the spot.

AppFolio also offers a comprehensive payment platform that includes a variety of payment options including E-check, Credit Card, or Electronic Cash Payment, allowing residents a way to pay rent online 24/7 via an online tenant portal. This is completely built into the software and offered free for AppFolio customers.

AppFolio offers product training and support for an unlimited number of users included in the monthly fee. An implementation specialist is assigned to help each customer manage through the software transition. Real-time customer feedback and comments are posted right on the AppFolio website. Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access, and others.

AppFolio Property Manager works for small businesses too.

Ease-of-use

I'm 55 years old. It took me about 3 weeks to feel comfortable with the software.

Functionality

Each property has it's own P/L. I also like being able to send out leases over the internet.

Product Quality

It's well-designed and great for marketing rentals on the internet.

Customer Support

The support is good. But I am a little spoiled by Quick Books where I got instant gratification.

I transitioned during a very busy time. This product demands your time. You should give yourself plenty of time to learn it.

I'm not computer savy at all, and I have learned how to migrate through the system with little help!

I'd really like the Service Communications to be direct through the Portal with tenant's submitting service requests and me responding to them and have it stay with the unit.

Some ad hoc or non-routine situations can't be handled by this software. Technical support is only available by email, and I have to wait for their response.

See if they give a trial period to use the software. It will be better to check if everything fit your way of the management.

The best decision I ever made!

Ease-of-use

I could see this fitting advanced users, but it is easy enough for a mom and pop organization.

Functionality

It's so easy to access any tenant's ledger - or any information, for that matter - from anywhere you have internet access. It seems like they are improving the mobile features now.

Product Quality

I admire their desire to constantly adapt to the needs of their users. They are constantly releasing new features.

Customer Support

It is just hard to get immediate support, but they always follow through with requests.

The list would be too long. I am constantly amazed. They do it all: online maintenance requests, streamlined accounting features, walkthrough checklists, online rent payments that automatically post to the account, a shared space to keep everyone updated on each tenant, letters to tenants in a saved database, etc.

Just today, I learned that AppFolio actually sends reminder emails to the tenants about rent. Ledgers are easy to understand. Rent automatically posts. We have a smaller company, but we are rapidly growing, and I can see us growing with Appfolio. They really care about updating their software and making your life easier!

You have to wait one to two days for a response from the tech support department. However, that has been my experience with all of these products. It would be nice if they automatically posted late fees for our renters who pay online. Sometimes, people are able to pay one day late without incurring a late fee. I would also appreciate an automatic management fee charge based on a percentage of gross rents.

AppFolio is a growing company. They are always releasing features that help make your life easier. I love the way they embrace technology. They really care about growing and building a solid reputation.

Our company recently converted from outdated software to AppFolio. After months of research, we chose them based on the simple fact that with AppFolio, we wouldn't have to incorporate other software programs to accomplish every aspect of property management we would need. Our system went live 24 hours ago. So we are still new at this, but their online help guide, online videos, and personal assistance guide us through.

So far, there's been nothing negative that we personally have experienced with AppFolio. I would, however, suggest that during the startup phase that you remain calm and be patient; it's time consuming and the details matter most.

Recommendations

Based on our experience, we relocated offices and started new software at the same time. It was a bad move on our behalf, because this slowed down our startup date. Also, we were initially short staffed and discovered weeks into the process that hiring a temp or two with data entry experience helped tremendously. I've been advised that the changeover is easier if you are currently using property management software. We were using QuickBooks Professional.

We had the same software for almost 10 years and were concerned about having to make a switch (our software company sold out and was not offering support). AppFolio has been great! The software is amazing and does so much more than what we had before. My favorite thing about the product is that it is so versatile. We are using online payments, one click posting of vacancies on multiple websites and of course, the everyday management of our rentals. The AppFolio staff is very helpful and has been there whenever we have had questions. There are multiple ways to contact them and they are most responsive.

Easy to learn and use

I find this product pretty easy, because if you navigate around enough, you can figure things out on your own, and if you just can't figure something out, they have awesome one-minute training videos that you can watch.

Functionality

I have a mixed portfolio, and at first, they only dealt with residential, but here in the past month, they have been adding more and more commercial items. Also, in the accounting section, it would be helpful to be able to download a statement and have those items show up as an entry ready to be classified to an account.

Product Quality

I think this software is very well-designed. It is laid out to make it so easy to find things, and I have never had log in issues or any problems with downtime like I have experienced before with other online software.

Customer Support

I love that usually the first person you talk with can help you figure out a problem. The only thing some may see as a downside is that they encourage you to email support questions, and most of the time don't get back to you until the next day.

The thing I like most is that they are constantly updating the software to better suit your needs. I like that I can submit suggestions based on my experience and what I think would make it easier. I also like that everything is easy to navigate; I figured out most things in the software on my own without training.

AppFolio could use a little more ease of use on the accounting side. Now, to be fair, I have been working with Quickbooks for 10+ years. I'm not saying they need to be up to that standard, but a few minor changes would make certain aspects a lot easier. Also, it's not a big deal, but it would be nice to be able to modify the start page to show things I need to see upon opening.

Recommendations

In looking for property management software, I originally went for a competitor because of price, and three short months later, I realized I made a big mistake. The other company claimed it could do all the same stuff as AppFolio, but in reality, they fell short. It was very upsetting and time consuming to go through all that setup and training for a substandard software. The awesome thing was that once I decided I needed to make a switch quickly, the people at AppFolio were very helpful and helped me pull almost all my data from the other software, so setup with them was a snap! The bottom line is that if you're a smaller company, don't let the price scare you; I promise it's worth it.

Lack of customer service, especially on implementation

Ease-of-use

The instructions are easy to follow. The lists are good for cross-referencing. The common reports for management are excellent.

Functionality

Everything is fine, with the exception of bundling multiple properties to owners for the purpose of statements and financial reports.

Product Quality

It's as thorough as any, with the ease of use and the tutorial videos being very helpful.

Customer Support

Their response times are very poor, as is the availability of support people with a background in accounting. They've made promises about issues that haven't been resolved, and the tech support personnel are inexperienced in the practices of QuickBooks.

We have open access to managers, owners, and tenants. I like the ability to send work orders to vendors and the ease of navigating.

Customer service is lacking. There were many promises and phone conversations during the sales process. Once deposit we made the deposit, we started seeing a slow response, if any, within the same day. They claimed to be QuickBooks compatible, but we can't batch multiple units to individual owners for monthly statements. We must make an individual statement per property, yet we manager over 400 properties for over 50 owners. That means generating 400 monthly statements. If this is not true, then nobody at AppFolio has been able to explain the process, fix the process, or spend any time with our staff. We paid a large implementation fee and have been forced to do most of the implementation process ourselves. Even the master spreadsheet of property and tenant information we made was uploaded by AppFolio with skewed information, so we had to go back in and re-do much of the work.

Recommendations

Ask questions for what you need in the software, and get those answers in writing.

Like any new program, it took time to learn new functions, and these processes were very time consuming.

Recommendations

Take a good look at the software features and make sure you are getting what you think you are getting. There seemed to be a lot of hype about other programs, but when you actually sat down and explored the programs, many of them were very rudimentary and not technically advanced.

I was surprised that some basic banking functions, like tracking a loan on a property, cannot be tracked in this software.

I like the way AppFolio keeps digital records of all applications, leases, and notifications associated with each tenant. I also appreciate the online access for owners, managers and tenants. I also really like the advertising and marketing features in this software. It saves me a lot of time.

AppFolio has some real limitations on the accounting end. It does not handle notes or loans. If a check to a manager for fees needs to be deleted that value is not reentered into the total due. It requires a journal entry. The funding available is also frequently incorrect, and additional reporting must be done to find a true total when paying bills. I still don't know why. The accounts are reconciled, and accuracy is maintained.

Recommendations

I am happy with the way AppFolio addresses tenant accuracy and recording. A big seller for me on this software was the remote walkthrough ability, which is a feature that has yet to be released over a year later.

AppFolio Property Manager meets expectations

Ease-of-use

It's easy to keep multiple tabs open and be able to toggle back and forth between reports, tenant, or owner pages. The overall page layout and design are very good. Most accounting and text entries into the data fields are hotlinks, meaning you can easily click to the underlying report or page and see where the number originated.

Functionality

It needs more ability to customize reports and some date fields on certain pages. While AppFolio is a very good "one size fits all" product, it still cannot be everything to everyone. If the user had more freedom to add or delete some data fields and sections, it would be a big improvement in functionality.

Product Quality

Overall, the program design is excellent. They release upgrades and feature enhancements monthly. Because AppFolio is web-based, changes can be made any time, and all users receive updates and improvements constantly at no additional cost. There is also a user forum where feature requests, bug reports, and user discussions occur.

Customer Support

I usually email in a support request. Almost always, I will receive either a phone call from a support person or a return email within a few hours. Having someone to ask a question of or get help in fixing a complex problem is very reassuring.

It has good graphic design for the user interface. The cloud-based data storage means the program can be accessed from anywhere. It can be used by multiple users at same time. It makes most property management tasks a lot easier. The company makes a great effort to gather feedback from users and make changes and improvements to the product.

There's not enough user flexibility to customize (e.g., add free-write sections & data fields on certain pages and reports). There are some bugs and design flaws from the early versions that are still not fixed despite many requests.

Recommendations

Contact at least three other users with operations similar to yours in your state and ask how well AppFolio works for them.

When adding areas and extra items in a room, it takes two or three times for it to save or it does not save at all. We also need a way to print the inspection, add items (if needed faster) and areas, make it more less time consuming, and a place we can have two signatures (one from tenant and one from owner).

Ease-of-use

Disjointed system. They need a clearer way to explain how to solve a problem. The tutorials are not written well. Then you call someone for help, and you have to wait for a callback from the appropriate person stopping your work at that point.

Functionality

It's starting to cut down on our hours of work now, but you really have to learn the system, and it takes at least six months.

Product Quality

Like I said earlier, it's disjointed. It would be nice if it had some features like double clicking on something taking you to the place you need to be.

Customer Support

I've had some really good experiences and some not so good. Some reps are more educated than others.

Overall the system has some great features, but it's not very user-friendly.

It's very confusing that certain things don't link to each other. Their tutorials aren't very clear. The support with the team members is pretty good, but it's frustrating when you finally get one of them on the phone and they can only answer two of your four questions. They have different people educating different sections. It would be nice if the one person would know the system inside and out. That would probably give them a better product since their employees would see some of the disconnects in the system. There should be a list of issues you will run into with better directions on how to fix them.

Recommendations

In the beginning, take all the help you can get. Learn as much as you can when AppFolio employees are readily available. They seem to be harder to get to as the months go by.
