AppFolio Property Manager is a Web-based system with accounting and management capabilities. It is a comprehensive solution that serves as the central hub for all business needs, including marketing, accounting, online rent payments, applicant screening, online applications, online lease agreements and other key processes.

Users can post vacancies to hundreds of sites on the Internet, including their own website. AppFolio also provides the ability to download an HTML, professionally formatted vacancy posting package that can be printed or manually posted to Craigslist.

From listing vacant properties, to filling out an online application during a showing, to instantly running a background check; if everything checks out, AppFolio automatically populates a customized lease agreement, accepts payments and potential residents can digitally sign on the spot.

AppFolio also offers a comprehensive payment platform that includes a variety of payment options including e-check, credit card or electronic cash payment, allowing residents a way to pay rent online 24/7 via an online tenant portal. This is completely built into the software and offered free for AppFolio customers.

AppFolio offers product training and support for an unlimited number of users included in the monthly fee. An implementation specialist is assigned to help each customer manage through the software transition. Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access and others.

we recently switched to AppFolio. It has helped us to become a paper free office. I am glad it stores PDF files and links them to the bill that was entered. you can get everything that is on the computer right on your phone.

The customer service the AppFolio team provides is the best! We were convinced after the numerous times they reached out to our company that they would provide superior support. This product works well for our company, which is a relatively small portfolio of owner-managed rental apartments and homes.

Appfolio has profoundly changed our business of property management. In the 13 months since we implemented the system our PM business and income have more than doubled. Book keeping and back-office reporting, record keeping, communications, are all vastly easier and faster compared to how we managed before.

Pros

The on-line portals are fantastic. In just about 12 months, we have >70% of all units now paying monthly rents through the on-line portals. This means less work for the front office handling checks, entering receipts, less trips to the bank for deposits... Tracking work orders is automated and simplified. On the owner side, automatic reporting and ACH payments make for happy customers. The marketing and advertising features have really improved the speed of filling vacant units... Too many pros to really mention!

Cons

The only 'negative' for me is the lack of payroll capability in the system.

Advice to Others

If you're trying to manage properties with excel spreadsheets and QuickBooks, you need to take a look at AppFolio. Your life will be Much Easier.

We went from using Excell for everything to this software for our 90+ rental units and it has changed our business! Record keeping is much simpler and smoother now, half our tenants pay online, and every new tenant that we ad is basically paying online, and it gets easier every month. Going from Excell to this product was difficult because there was a learning curve for sure, but it has 100% been worth doing!

To be very honest I am new to property management but this web based portal is AMAZING!! I love that it covers every aspect of our needs from tenant, owner and vendor payments to work requests and End of Year Accounting!!

Pros

Most everything carries you through a step by step instructions to make sure no details are missed. There are quiet a few resources both written and via video to brush up on your knowledge base. Again it is all inclusive so it helps make sure everything is covered during move in's / out's and payment periods. In addition I like the marketing it produces for new listed rentals and accounting for end of year taxes etc!!

Cons

For accounting you sometimes will have to enter the deposit (to match the bank) as well as a bill and receipt. It seems like these steps could be integrated to simplify. In addition; customer service requests sometimes take up to 24 hours. When you have an unhappy owner who needs resolution; this becomes a hinderance.

Advice to Others

Do your research and educate yourself. As long as you are still making a profit after using this software it is well worth the price!!

Appfolio is a great product. But there are some things that need to be done to help with ease of use. The system is complicated to use and is not user friendly. Too many steps need to be taken to accomplish a single goal.

We were oversold from the beginning from Appfolio and they never followed through with promises when setting us up. The program could not handle what we asked of it, nor could it be customized. We ended up cancelling our contract.

This is by for the most intuitive property management software that I have used yet! Since the size of the property that I manage is on the small side of big and the big side of small (110), it was a difficult decision to commit to a property management software. I could get by with one of the more affordable solutions, but the system did not work nearly as well, or was half as intuitive.

I am only 4 months in, but my experience so far has not been very good. My initial set up was not done correctly, so it has been down hill from day 1.
AppFolio would be much better if we could actually talk with someone right when we have a question. But instead, we have to email our question in hopes that someone will call us back. If they do. It's at LEAST 2 days later and the chances of me being in front of my comp is rare, so I don't get my issue resolved. I feel like you have to be an accountant for this software

I love how I can track my work orders
I love how residents can pay on line and it posts their rent
I also like how I can text from the software and send emails

Cons

I cannot call and get a 5 min question answered. My emails with my questions do not usually get answered I feel lucky if someone calls me
Security deposits - they way this whole system works

I would advise someone who is thinking of Using this to make sure that they really understand accounting. It's not simple

Let me preface this review by saying this is my first experience with property management and property management software. So they may all be like AppFolio. I will however say that I have, as a bookkeeper, used several bookkeeping software programs and never have I had the confusion I have with AppFolio. I cannot pinpoint what it is about their software that makes the bookkeeping component so difficult, but I feel it is. When I bring this up to the support at AF, their response always has me second guessing my abilities, instead of theirs. I would love to see how a different product works, to see if my issues are founded.

The product overall is a very nice product for a residential management application. User friendly, decent functionality, clean look. Sales and implementation teams are very responsive; the continuation teams are not quite as responsive or accessible. They have a user forum where suggestions, questions and answers can be submitted and reviewed. They are continually improving the product and consider user suggestions in their enhancement process.

That said, we manage commercial properties, not residential. We knew there would be some adjustments in processes and procedures we would need to make but the platform is NOT overall conducive to commercial management as we were led to believe. We were so excited to finally streamline some of our processes while adding tenant and owner portals, so when this failed, we were incredibly disappointed. While they are on the right track and may have a solid commercial management product down the road, they are definitely not there yet if the user is managing multiple properties, especially if the properties have independent banking accounts.

It was difficult to properly rate the product as I believe it is a great product for the correct application and certainly competitively priced and affordable. However, our experience was less than favorable due to the inconsistencies and limitations for our needs.

Pros

Very user friendly; clean look; multiple search functions; decent reporting; user portal functionality; great implementation team; decent support; continually adding new features and enhancements; affordable - great value for the investment

Cons

Very limited for commercial property management applications; accounting platform does not adequately support multiple or independent accounts for individual properties; tenant and owner profile info pages are very limited for a commercial

Advice to Others

If you are a residential property manager, this is definitely a product to consider. They are continuing to add new features and enhancements. Check out the accounting and reporting platforms thoroughly before purchasing to ensure it meets your requirements. Commercial property managers, look it over very carefully before you consider this software. Check out the tenant and owner profile pages and set up (although I know they were working on those issues). Overall, I believe it is a very nice product, it just didn't fit our needs on the commercial side.

Overall, I think that Appfolio meets most of our companies expectations. I would not recommend having Appfolio be your only source for keeping track of your books, possibly Quickbooks or whatever else you are comfortable with. I have been using Appfolio for about 6 months now, and it was very easy for me to learn how to use different features that they offer. They actually offer a lot of great features, such as letter templates that can be created with fields that will automatically insert and will save to the tenants page. You can also send/receive texts and emails from a tenants page. I would recommend this software to someone who is managing properties.

They are constantly updating different features that they offer to make them more user friendly and more accessible.

Cons

Customer service for our maintenance line has inputted the wrong property once or twice when a tenant calls to make a report.
