AppFolio Property Manager Software


 

AppFolio provides cloud-based property management software that allows residential property managers to market and manage their business. This solution includes accounting, leasing, marketing and property management functionality.

All property information can be stored in AppFolio, allowing users to post vacancies to various sites including user-owned websites. Users can also download an HTML vacancy posting package that they can print or manually post to Craigslist.

Users can list vacant properties, fill out an online applications and run background checks. AppFolio can automatically populate customized lease agreements, accept payments and support digital signature collection. The payment platform supports e-checks, credit cards and electronic cash payments that residents can submit through an online tenant portal.  

Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access and more.

Is there an app for maintenance? It would be cool to be able to send wo's through an app to the maintenance guys.

Pros

Very user friendly and easy to find items. The properties and wo's are easy to search with little to no information.

Cons

I do not like that when you print out an application that it doesn't state who that person is applying with.

Accounting program with property management on top

After the big learning curve, it gets easier. At first you feel like you need to be a CPA to figure it all out. Their customer service is great. They will walk you through every step. The downfall I'm finding is if a tenant overpays, that money can't be paid out to the owners. It just sits as a credit towards the next month. This can be a problem that never goes away if that credit isn't dealt with. I'm sure, after some time working with this, I will feel comfortable letting the program do the work as it is designed. I am still learning and want to be able to check everything.

Pros

This program does just about everything for you. You can get to the point where you enter the rent received and a few clicks later, you, the owner and all accounts are paid. The maintenance piece is wonderful both for tenants and for your maintenance team. The application, screening and lease writing is fantastic once you get it all set up.

Cons

Too much going on behind the scenes that is hard to confirm is happening. It is hard to find what I think should be simple information. If a property owes you money, it isn't as simple as typing in the address and pulling up that property. You have to run a report to see that information. Also, if you haven't completed all the processes of receiving the rent, making the deposit, paying management fees and paying owners, then the reports you pull won't have all the current information.

The product itself is not that hard to use. I like that you offer the twenty four hour maintenance service.

Cons

Any time myself or the Property Manager put in a request either we do not get a response or it takes days before someone calls us. So as far as customer satisfaction it is very disappointing.

Much better than the last management company

If you're a property management company, I highly recommend this software. I've dealt with ones that locked me out of my account, wouldn't accept payments, etc. It made me not want to live in those properties. The competence in this software makes me feel more at ease with my housing choice.

Pros

Easy and intuitive interface. The biggest thing on the screen is the payment due, which is usually what I'm most concerned about when I log in.

Cons

I would like to have an accessible copy of my contract for review. I don't prefer paper signing, so it's nice it's all online, but it seems sketchy for it to disappear after I sign it.

Makes my life as a Property Manager much simpler. I can access online at any time from anywhere. Customer service when needed (very infrequently) is excellent. They continue to make changes monthly to make our lives that much easier.

Pros

Since using Appfolio (2011) it has allowed us to grow as we have so much more free time. A few strokes of a key and we have all our information at our fingertips..... Owners, Tenants, Vendors, work orders, Accounts and properties etc. Tenants pay and lodge work orders online, owners paid online!

Cons

Nothing - Biggest issue was getting started and submitting all the data, but we would have to do that with any new software and I understand they have made it easier.

Pros

Either it can do essentially everything we need it to or by discussion with the support team it becomes what we need it to be. I can automate so many more things like letters and emails which saves so much time and effort that is better spent elsewhere.

Cons

Probably the most annoying thing I can come up with is that I get emails about tenants interested in properties that I post. But the department who reaches out to the prospective tenants is not mine, I just post the rentals. There isn't a way to fix that yet. It just clutters up my email.

- The property inspection should be a little more customizable. It would be helpful to be able to reorganize the inspection in the order that it should be performed without deleting existing areas.
- There should be a printable version of the property inspection page that has a lot of space for writing notes. Currently, the printout doesn't give much space for notes. If you are at a property that doesn't have a good data signal, having a pen and paper alternative is essential.

Pros

- Easy to use browser-based software.
- Easy to learn how to perform important management tasks through Appfolio.
- Excellent App that allows managers to access their database while at properties or on the road.
- The online portal for owners and tenants makes collecting rent and contributions easy. Distant landlords can access all of their information quickly and easily and tenants have quick access to all important documentation.

Cons

- Only administrators can create property groups. I don't know why that would require administrative permissions.
- The Security Deposit process tries to force you to move the deposit to a general account then cut a check to the tenant. Should be able to just cut a check from the deposit account by default.

The company is very responsive to sales leads. They do a great job up front. Just make a phone call and you will get someone asap to assist you. However, the contact and availability almost drops entirely once you have purchased it and have gone through the 3 hour orientation. I have tried calling the same number for a support question and was told to submit a support request online and someone would get back to me in the next 48hrs... super frustrating. There are not very good training materials for self learners and the customer support request can take days/week(s) to respond. Unfortunately, this has made the learning process 5 times harder than what it would have been.

Appfolio's implementation process was abysmal at best, we wanted to launch very quickly to get on board for the new year. They hardly mentioned that most companies tend to take longer and that it would be recommend to give your self 6 weeks to get the program up and running. They also have a lot of features that are not conducive to an efficient property management company. No email or text templates. No auto responding to leads. Lastly the support is nothing to get excited about. No one to call and walk you through difficulties. I've put in multiple tickets and emailed multiple people with some complaints recently and have not heard back from anyone. Over they seem to have a product that is good, and no desire to serve you once you sign on. I would highly recommend looking into other services before committing to Appfolio.

From the beginning of using AppFolio first and foremost, the customer support was without a doubt superior in my books. We had very little growing pains due to that it is a great program and easy to navigate. Overall AppFolio is accessible and easy to use. I do however have complaints from my owners on the owner statements. They are confusing for some owners, we try to explain simply accounting and I'm not sure how to make the statements easier to understand. That would be my only criticism.

I have only been working with Appfolio for about 4 years. I came into the business not knowing too much. I basically had to teach myself how to use the software. Thank goodness there were training videos! If I couldn't figure it out with a video, I could always contact support and someone would help me!

Excellent product. Makes my life as a property manager much easier to deal with tenant issues and owner issues when it comes to the tenant and owner portals. By having the tenant ability to pay rent online, saves me a lot time time collecting and processing checks. Reports are easy to navigate. Your customer service is very helpful, I always get good results when I need help. They send great examples so I can resolve the issues.. Sometimes when it is more important to call me they will do that too.

You need to add condo and co-ops as choice in property type We put everything under single family which is not a clear picture of what we have in our portfolio.

In order to put our lease that we use we would have to cut and paste it into appfolio. There needs to be an easier way to get this done.

Pretty large system that takes some time to learn. They have great video tutorials to help.

They are continually updating the system with new features.

Very detailed and custom reports.

Our tenants enjoy paying online and the owners like getting their statements online.

Very intuitive application. Really like that, the phone app has most of the same features as the full application. There are only two things that could improve it in my opinion: one, having the ability to make uploaded photos larger (thumbnails are too small); and two, having AppFolio to verify checking account routing/account numbers immediately upon submission by residents on Tenant Portal, thus avoiding problems with rent payments at the beginning of the next month due to data error entry. Thanks.

I have been in the property management business since 1970 and worked many different "accounting" systems, I have trouble with Appfolio system because it has more steps than I have been accustom to using with other software that I used for more than 10 years, however the system appfolio offers is far more advance then others and I do like it, its not your system that needs improvement it's my understanding of it. At 70 it is harder for me to learn new things but I will keep trying until I get it right. I intend to keep the appfolio system until I am no longer working.

Advice to Others

An easier way to post tenants Security deposits, as we set up individual savings accounts for each tenant when they move in and close it when they move out it is hard to get the posting correct, and often times I have found it difficult to reconcile the Security account to the individual's records.

I have no idea how we survived without AppFolio. It took us a while to figure things out but once we did it's a great tool. AppFolio makes modifications and updates regularly to improve the site. I use it as a selling point when soliciting new property owners. "We're state of the art"

Processes are easy and efficient. Almost everything we need to manage our properties, tenants, and owners are available. I also like the mobile app.

Support is not always immediate and some functionality can be inflexible to our needs
