AppFolio Property Manager Software


 

AppFolio Property Manager is a cloud-based property management software for residential, HOA, student housing and commercial property managers.

The solution allows property managers to conduct business from a single software system, including: marketing vacancies, screening prospective tenants, moving renters in and out, tracking maintenance requests, communicating with renters, collecting rent, performing accounting tasks and more.

AppFolio includes an online payment platform that accepts a variety of payment methods including e-check, credit card and electronic cash payment. The system also offers bulk text messaging and emailing, a tenant debt collection service to recover revenue and an integration with Rainmaker LRO.

Other features include guest card tracking, online leases and applications, tenant liability insurance, professional websites, universal search, online work orders, mobile reporting, mobile inspections and a 24/7 maintenance contact center.

Product training and support for an unlimited number of users is included in the monthly fee.

Appfolio is an awesome property management software. I'm a small business owner so it's a bit pricey however it's worth every penny.

Pros

Customer support is fantastic. The easy to use program makes things a lot faster.

Amazing customer service made transitioning to AppFolio for our properties easy! The AppFolio marketing system of our vacant units has shortened and mostly eliminated, all vacancies. Application review, background checks and transitioning an application to a lease is easy and much less time intensive than our past methods. We now have a professionally built website that integrates online payments, tenant work orders, rental applications and incorporates our niche in the rental market. Accepting online payments has been a huge plus and as well as a lower cost for our background checks. 100% satisfied the customer!

Pros

All around awesome product, enormous time saver!

Cons

It doesn't sync with the online version of Quickbooks so we have some dual entry because of the way we need to handle our accounting.

Advice to Others

Don't wait any longer to jump on board with AppFolio. You won't regret it.

We have been using Appfolio for a few years now. There are many things that I appreciate about the product, but there are also many things that I don't appreciate. Overall, I am getting the feeling that Appfolio is getting too many customers as their popularity has grown. It seems that the customer service has taken a major hit. It also seems that it's a bit too exclusive as integration with other programs is difficult and in most cases impossible.

I used to manage the Leasing Department and during that time I tried to convince the team to start utilizing online lease signing. There was a problem though with customizing addenda to the lease and there were a few forms that we could not enter into the digital lease. Without the ability to have all forms in the lease, it defeated the entire purpose of going digital. My issue is that we got everyone on the team to add a suggestion to the forums and we have never heard a response. I get emails randomly saying that someone else has added a comment, but that's far as it goes. Recently the comments have been on the thread of Appfolio not listening to feedback from customers. All I can say is, I agree. Maybe this review will be seen.

I now manage the maintenance department and I am disappointed with the functionality of the maintenance capabilities. I understand that this is not a maintenance management software, but many management companies perform their own maintenance and require intelligent software for this purpose. Techs need to be scheduled, tracked, reviewed on performance, and much more. Again, I understand that this is not the main purpose of Appfolio. However, why would you not open yourself up to easy integration with a field service management software? We had to create a couple extra positions in the company to manage the transfer of information from Appfolio to our field service management software as integration does not seem to be important to Appfolio.

Advice to Others

If you want a property management software that continually designs and changes itself without your input, this product is useful. It is fairly user-friendly for smaller management companies. However, if you are a more developed management company that requires more input and interaction with the developer of the software, you should probably move on. Appfolio is outgrowing its customer service.

We have been a client of Appfolio since their onset and helped them with Beta testing when they rolled out their product over 8 years ago. It was a great alternative to Yardi Enterprise which we were using at the time. There are many features which help make our processes functional and smooth and it is a nice looking program.

Pros

The integration of the program with our website helps cut down on many steps and the marketing and accounting features are well laid out and easy to use.

Cons

The maintenance section is very basic and does not have nearly enough flexibility for our growing maintenance division. We did not really outgrow this segment of the program until 2 or 3 years ago. Now we have signed up with another software company to manage the maintenance side of our business. This is also not a great program for companies who have a combination of services, it's mainly geared toward fee managed residential property managers. Besides residential property management, we handle construction and remodeling, commercial property management, real estate sales, and self-storage management. Most of these other services are handled through software programs besides Appfolio.

Advice to Others

This product is best for those companies who might just be starting out in business or who do not do much in-house maintenance or commercial property management.

AppFolio was a life saver after an anguishing experience with Yardi's Cloud-based software and Rent Café. AppFolio' s customer support is incredible, as well as the online help menu and video tutorials. You can submit a question electronically and AppFolio will respond within hours, even though they give themselves 24 hours. Yardi on the other hand....I'm still waiting for calls back from June and July (I still have full access to our Yardi account and the problems have never been fixed, and I'm not longer asking) Yardi claims to be a robust accounting program....which is maybe but it is so impossible to move around it, and takes up so much time because it is SLOW. AppFolio is lightening quick and so easy to use, my managers took to it immediately, they are so thrilled with AppFolio and were in tears with Yardi. AppFolio's Dashboard can be somewhat customized to see your business at a glance, tenants are able to able to pay online with ease. AppFolio made everything very user-friendly

Pros

Ease of Use, Time savings, Customer Support, Tenant Portals, All in one software, no "add-ons" that cost more money. What you see is what you get.

Cons

Web design could be better, but I think it will be!

Advice to Others

AppFolio is the only choice for Cloud-based property management software, don't be fooled by Yardi's pricing, you will loose productivity and money having to hire a consultant to help you launch Yardi's complicated software.

I have been using AppFolio for just under 1 year. This program has allowed us to have all of our rental communities in one place! We also use the online payment feature with 100% participation from our tenants! The work order/maintenance programs allow me to easily prepare and track open maintenance requests! I'd highly recommend this to any Landlord / Property Manager!

There are a lot of improvements needed for this to work properly for malls. There is a need for a sales feature so that you can input sales and run basic reports as to percentages of sales increase or decrease.
This program is for a basic small company, not really what a person needs if you have tenants in a mall.

Pros

This product is simple for paying bills, easy processing to print your checks.

Cons

It is not as user-friendly as it could be when entering payments, and sales tax.
It really is not the proper program for a mall to use, there are a lot of little features needed that this program just does not have.

Advice to Others

If all you need is basic accounting, this would be fine, go through the program thoroughly to make sure you are able to do all of the functions you need to do with your property.

This product is useful and definitely better than previous software for Property Management Software. It still has its quarks on the one hand.

We started using Appfolio this past summer and after working out some initial kinks are very thankful for making the switch.

Their customer support people are very responsive, often having a reply and follow-up within minutes. They have an online help platform with clear, detailed instructions that walk you through each process. In addition, you can make a suggestion that will be considered and incorporated into their system, if deemed useful.

We were thrilled at the positive response we have seen from our tenants at being able to access their accounts and pay their rent online.

The Appfolio platform has definitely made our work lives easier!!

Pros

We can communicate with our tenants more easily.
Tenants like that they are able to access their accounts and pay rent online.
Appfolio has a very responsive and knowledgeable support staff.

Cons

We still have a few 'workarounds', especially regarding Tenant Security Accounts.

As a property manager for some 40 years, we were looking for a complete management program and were led to believe this was it, Many functions are good, many things you are led to believe during the selling process are not true. Very apparent these people are software designers and have no real knowledge of the needs of property managers to have a complete online management system.No effort to add needed enhancements to achieve your needs in management. Management brokers are not accountants and most reports are not useful to broker or owners. By no means is this a complete management software for management brokers. Program feel is that it is more designed to assist management of properties owned by the subscriber and not so much for property managers.

Pros

The website for rentals is nice, online lease processing good, Very good attention until start up date and then support is available at their leisure. Easy bank reconciliation

Cons

No ability to share inspection reports with the tenant, no ability to produce management contracts and have signed online and given to owners, all management contracts have to be produced on paper or you need other software. No simplified year-end summary report to send owners in preparation for tax time, the way you have to settle deposits by transferring money around may cause an issue with your licensing laws of trust accounts. We had to use a separate 1099 reporting company since we were not prepared, trained or alerted to the process on app folio. Again not something is done for you but assumed you would know. Once you reach start up support sucks from that time forward. You can get it on AppFolios timeline, not in a real time when you need it, you just have to shut down until they call you. No account executive to discuss frustrations with, you will feel like you are hollering to the wind and no one is listening
Bank reconciliation should mirror the bank statement, it does not and makes it difficult until you recognize debits are out in wrong place.

Advice to Others

Do not buy this software unless you are trained in accounting, do not have high expectations of it being a total solution to your management needs. It will not be that, but could with some minor enhancements, that they will not make to help you.

The implementation has been terrible. The support for a brand new user is slow. The product itself seems great. The only problem was the implementation team.

Does and tracks darn near everything.

Cons

No auto response for marketing leads.

Advice to Others

Take your time with the implementation, and if they do not answer your questions satisfactorily get someone else to answer the question before you launch. Also be sure to start watching the training as soon as you start the implementation.

We were under the impression this program was created for commercial real estate property management. There are some features that work for the commercial real estate but most features are for residential and are not available for commercial tenants/buildings.

Pros

We do like the ability to transfer funds to the owner's accounts with an e-check. The tracking of work orders, entries, etc. and our owners like their property reports. The flexibility of signing in away where. Also being able to use the program the same time as the another person.

Cons

Most features benefit residential tenants and are not available for commercial tenants. 95% of our tenant base are commercial tenants with CAM Reconciliations that need to be prepared annually not charging the tenant as the expense comes in. Running credit, reporting the payment to the tenants' credit report agency are only for residential tenants. There also seems to be a lot of steps to complete a transaction. (example: printing a check) This could be due to it is a cloud based software.

I did a lot of research about rental property software before choosing Appfolio for our businesses. Nearly every day it is updated to a better version with more features that are even easier than before. They truly listen to the users and make changes based on what is needed or desired to make using the software constantly better. I found it to truly be the best option on the market for property management, and I have not been disappointed!

Pros

I love that the product is easy to use for all levels of computer skills, help is easy to find if you have questions, everything is clearly labeled, and the search box is so convenient to just type what need and there it is.

Cons

I do wish that the accounting reports were more self-functioning so outside accounting software wasn't necessary, but updates have been made to make the transfer of information easier and the reports have become more accountant friendly.

Advice to Others

It is totally worth the investment! Yes, it does cost monthly, but based on the fact that help is always at your fingertips and updates and included, you won't find a better program for rental property management.

This is a very extensive program to use, but I spent a year trying to figure it out and finally gave up. You need to be prepared to spend long hours getting to know the software and entering it in.

It can do most everything you need. It can save you a lot of time in your business if you are managing a lot of houses.

Long term learning curve.

If you don't have very many houses to manage do not use this. Use one of the less expensive and user friendly companies.

Overall the product is great, the customer support is lacking and the sales people are VERY VERY pushy. I was reviewing multiple packages and was constantly receiving "here is what others are bad at" pitches rather than focusing on the benefits of Appfolio. Great product overall but could dedicate more resources to other avenues rather than a pushy sales team.

AppFolio is very easy to use and affordable.

However, they will not customize the product or modify it in any way to help the end user unless a certain number of other users "vote" that the suggested improvement would be helpful.

Futhermore, there is no real time support. All support requests must be sent electronically and then when someone gets to it, often one or more days later, they will email a response. THEY ABSOLUTELY WILL NOT PICK UP THE PHONE AND CALL YOU OR TAKE YOUR CALL OTHER THAN TO LOG THE SUPPORT REQUEST NEEDED.

There are so many things that just take more time and steps to complete simple tasks that one grows frustrated with the process.

Cons

No real time support. Customer service feedback when finally received is not always helpful. Their standard response is "Yeah, we don't do that."

Invest in a software that will actually work for you and where support is included.
