AppFolio Property Manager is a web-based system with accounting and management capabilities. It is a comprehensive system that serves as the central hub for all business needs, including marketing, accounting, online rent payments, applicant screening, online applications, online lease agreements and other key processes.

Because all property information is stored in AppFolio, marketing vacant units is quick and easy. In just a few clicks users can quickly post vacancies to hundreds of sites on the Internet including their own website. AppFolio also provides the ability to download an HTML, professionally formatted vacancy posting package that can be printed or manually posted to Craigslist.

From quickly listing vacant properties, to filling out an online application during a showing, to instantly running a background check; if everything checks out, AppFolio automatically populates a customized lease agreement, accepts payments, and potential residents can digitally sign on the spot.

AppFolio also offers a comprehensive payment platform that includes a variety of payment options including E-check, Credit Card, or Electronic Cash Payment, allowing residents a way to pay rent online 24/7 via an online tenant portal. This is completely built into the software and offered free for AppFolio customers.

AppFolio offers product training and support for an unlimited number of users included in the monthly fee. An implementation specialist is assigned to help each customer manage through the software transition. Real-time customer feedback and comments are posted right on the AppFolio website. Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access, and others.

The best part is that it is the most technically advanced software on the market. iCloud technology, integrated accounting processes, and the tenant and owner portals are all accessible from anywhere on the web. This product has changed the way our company operates for the better and provided a sound infrastructure for our everyday processes. It's really running the company.

Like any new program, it took time to learn new functions, and these processes were very time consuming.


Recommendations

Take a good look at the software features and make sure you are getting what you think you are getting. There seemed to be a lot of hype about other programs, but when you actually sat down and explored the programs, many of them were very rudimentary and not technically advanced.

Tenant support is great. I have to supplement this software with QB because it lacks some functions.

I was surprised that some basic banking functions, like tracking a loan on a property, cannot be tracked in this software.

I like the way AppFolio keeps digital records of all applications, leases, and notifications associated with each tenant. I also appreciate the online access for owners, managers and tenants. I also really like the advertising and marketing features in this software. It saves me a lot of time.

AppFolio has some real limitations on the accounting end. It does not handle notes or loans. If a check to a manager for fees needs to be deleted that value is not reentered into the total due. It requires a journal entry. The funding available is also frequently incorrect, and additional reporting must be done to find a true total when paying bills. I still don't know why. The accounts are reconciled, and accuracy is maintained.


Recommendations

I am happy with the way AppFolio addresses tenant accuracy and recording. A big seller for me on this software was the remote walkthrough ability, which is a feature that has yet to be released over a year later.

Now that I have had AppFolio for a year, it is simple. There was a learning curve for the first couple months.

AppFolio Property Manager meets expectations

Ease-of-use

It's easy to keep multiple tabs open and be able to toggle back and forth between reports, tenant, or owner pages. The overall page layout and design are very good. Most accounting and text entries into the data fields are hotlinks, meaning you can easily click to the underlying report or page and see where the number originated.


Functionality

It needs more ability to customize reports and some date fields on certain pages. While AppFolio is a very good "one size fits all" product, it still cannot be everything to everyone. If the user had more freedom to add or delete some data fields and sections, it would be a big improvement in functionality.


Product Quality

Overall, the program design is excellent. They release upgrades and feature enhancements monthly. Because AppFolio is web-based, changes can be made any time, and all users receive updates and improvements constantly at no additional cost. There is also a user forum where feature requests, bug reports, and user discussions occur.


Customer Support

I usually email in a support request. Almost always, I will receive either a phone call from a support person or a return email within a few hours. Having someone to ask a question of or get help in fixing a complex problem is very reassuring.


Likes Best

It has good graphic design for the user interface. The cloud-based data storage means the program can be accessed from anywhere. It can be used by multiple users at same time. It makes most property management tasks a lot easier. The company makes a great effort to gather feedback from users and make changes and improvements to the product.

There's not enough user flexibility to customize (e.g., add free-write sections & data fields on certain pages and reports). There are some bugs and design flaws from the early versions that are still not fixed despite many requests.


Recommendations

Contact at least three other users with operations similar to yours in your state and ask how well AppFolio works for them.

When adding areas and extra items in a room, it takes two or three times for it to save or it does not save at all. We also need a way to print the inspection, add items (if needed faster) and areas, make it more less time consuming, and a place we can have two signatures (one from tenant and one from owner).

Disjointed system. They need a clearer way to explain how to solve a problem. The tutorials are not written well. Then you call someone for help, and you have to wait for a callback from the appropriate person stopping your work at that point.


Functionality

It's starting to cut down on our hours of work now, but you really have to learn the system, and it takes at least six months.


Product Quality

Like I said earlier, it's disjointed. It would be nice if it had some features like double clicking on something taking you to the place you need to be.


Customer Support

I've had some really good experiences and some not so good. Some reps are more educated than others.

Overall the system has some great features, but it's not very user-friendly.

It's very confusing that certain things don't link to each other. Their tutorials aren't very clear. The support with the team members is pretty good, but it's frustrating when you finally get one of them on the phone and they can only answer two of your four questions. They have different people educating different sections. It would be nice if the one person would know the system inside and out. That would probably give them a better product since their employees would see some of the disconnects in the system. There should be a list of issues you will run into with better directions on how to fix them.


Recommendations

In the beginning, take all the help you can get. Learn as much as you can when AppFolio employees are readily available. They seem to be harder to get to as the months go by.

Customer Service You'd Only Find in a Dream!

Very user-friendly and intuitive as opposed to black and white.

With AppFolio, my largest concern when the representative was selling "tenant online payments" was that a large percentage of my marketshare does not have a bank account. AppFolio has an option were tenants can pay at 7-11 Convenience Stores, similar to buying a money order that direct deposits into your trust account. Brilliant!


Product Quality

Great quality down to infrastructure, support material, and constant evolution of new products and features.


Customer Support

They're great. My complaint would be they follow up too much, but that usually is a good thing!


Likes Best

AppFolio has unparalleled customer service! They are on it for 100% of the implementation process and won't leave you alone until you are 100% confident and ready to use the software on your own without training wheels. Their live training and plethora of "how-to" and "help" demos and material are extensive and always solve my questions.

My first "live training" had a instructor who was about 45 minutes late without any notification, but other than that, I have complaints!


Recommendations

Evaluate your needs first before researching any software and then be open to how the program can enhance, benefit, and make your daily tasks easier and less time-consuming. Look for software that is constantly evolving and introducing new items and improvements to make your life easier!

There is no software that's perfect. I picked the best timesaver for me. Even though the accounting takes longer, my rent collection is now on autopilot, so it's a good tradeoff.

Awful system for a property management company.

It is okay as a property management system but requires us to run a separate set of books to do our taxes, produce owner statements, and run our office.

Again, the system is completely inadequate to run a property management company.

It has a good user interface and decent implementation support. However, we are extremely disappointed that we bought and implemented this system.

There is no way to include corporate expenses or even account for mortgage payments. We are running both AppFolio and QuickBooks, which is a very expensive solution to run our office. The "property only" level functionality is inadequate and erroneous.


Recommendations

Make sure the software you are looking at can work for actually reporting your company, not just a single address, income, and expenses.

The software is very intuitive once you learn the basics. The search feature helps find clients and tenants quickly and easily.

The software is fairly intuitive and easy to use. Our clients love the ability to pull up their old statements via the owner portal, and our tenants love the ease of paying their rent and utility bills online. The software's ability to store ads and photos makes finding prospective tenants that much easier.

Processing a tenant's security deposit during the checkout process is clumsy. We have adjusted.

Promising Software that doesn't deliver on some key issues.

Ease-of-use

It's very easy to access through the internet from wherever you are. The layout and functionality are pretty easy to use and understand.


Functionality

It handles tenant and landlord issues, but it has no accounting for the management company. All management fees have to be paid out of the system (management is treated like a vendor with checks issued for all fees), and the management company accounting is handled with totally different software.


Product Quality

Most of what is there is very well-designed, and reports appear very professional. The problems are what is missing in the software and their promises to fix but failure to live up to their promises.


Customer Support

They are quick to respond but frequently do not have an answer for the problem.


Likes Best

AppFolio's easy internet access makes using the program from anywhere incredibly easy. Providing statements to owners is easy through their direct email publishing, and managing work orders is simplified by use of their tenant portal.


Likes Least

There is absolutely no accounting system for the management company. Accounting for the management cash flow all has to be separately with different software instead of coordinated with the property accounting in a single application.

The serity deposit refund accounting on owner statements is confusing and provides little useful information to the owner.

Promise frequent and user directly improvements to the software but in 16 months of use none of the major issues I have forwarded to the company have been addressed. They are focused on improvements to the system that increase their income but not very quick to address changes requested by the users to make the program more efficient or useful from a manager point of view.

Accounting systems definately not written by an accountant.


Recommendations

Make sure all major issues are addressed before you start using the software. For example, if management accounting is important to you, then this software does not currently provide it. Despite promises from the salesforce, they are very slow to implement these kinds of changes.

We have been using AppFolio since April 2010. We manage about 200 single-family homes in Albuquerque, NM. We have three full-time employees and one part-time employee.

We've been very pleased with the software and the customer service. With our previous system, we had to employ a part-time bookkeeper, but with AppFolio, we have streamlined our accounting process and were able to cut that position. Because AppFolio is web-based, we are able to employ a maintenance coordinator who is off-site. AppFolio releases new updates and features almost every month.

Teaching my staff to use AppFolio was a snap! If an employee can use the web, they can use AppFolio.

Their customer service is definitely their best feature. We get answers to our questions the same day. We highly recommend this software.

This program is seriously lacking compared to some of its competition. Our company had to switch from another system after the California DRE decided to crack down on anybody they found out was using it due to the way in which that system handled e-payments (e-payments passed through a clearing account before settling in the destination account).

I am extremely computer literate and have no difficulties learning new software quickly. I've used this program long enough (three months) to say that there are multiple aspects of its design that I think are unintuitive; I find it to be terribly lacking in advanced functionality; it is devoid of any form of flexibility in how it allows users to handle processes. I could not be more disappointed with this program.

There are flaws with its design which I find simply inexcusable, such as not being able to generate an email list of all tenants (all tenants that are not primary simply have their names listed as "additional" in the tenant directory) or that paying owners is divided among each property separately (including properties owned by the same owner), and the owners name is not listed in the process.

There have been multiple other issues that I've been able to work around that I don't care to list. This program feels underdeveloped to me. Its like the base model of a real property management program. They claim that they are a "Property Based" program. Please understand that this means that every single bit of data is both kept and displayed at the property level. Properties are treated as entities and people are treated as references. If you wish to see a report for an owner you will have to combine data for each of that owner's properties because all information is kept on the property level regardless of ownership. Our large owners with 15+ properties receive a 15+ page owner statement each month: a statement for each property. They have no ability to tell from their statement what amount they were paid, how much income they received, or expenses they paid out unless they combine the data from each property they own because AppFolio does not have an option to summarize or combine all data for an owner or property group.

Almost nothing in the program is live; reports must be generated to view info for most tasks then drilled down to get to what you are looking for. If you are a small scale operation or aren't very computer savvy, then this is the software for you. But if you run a mid-to-large scale operation, are tech savvy, or want some bells and whistles with your software, I highly suggest looking elsewhere. The only good things I can say about this program are that it's fast and reliable. My firm manages 360 units for 154 owners, and I'm the accountant and head of property management.

We know switching software can be arduous, and, since all available solutions differ greatly, there is a learning curve associated with the shift in paradigm. For example, you are right in saying that AppFolio is property-based and report-centered, which is probably much different than what you were used to using. The goal of our reports is to provide the flexibility to search, group, and filter your data based on your viewing preferences, and we also provide a universal search for quick access to records and common tasks.

Running reports at the owner level is just as easy as running them at the property level. Specifically, you can opt to send any owner a consolidated owner statement, which would combine transactions from all properties owned by that owner.
