AppFolio Property Manager is a Web-based system with accounting and management capabilities. It is a comprehensive solution that serves as the central hub for all business needs, including marketing, accounting, online rent payments, applicant screening, online applications, online lease agreements and other key processes.

Users can post vacancies to hundreds of sites on the Internet, including their own website. AppFolio also provides the ability to download an HTML, professionally formatted vacancy posting package that can be printed or manually posted to Craigslist.

From listing vacant properties, to filling out an online application during a showing, to instantly running a background check; if everything checks out, AppFolio automatically populates a customized lease agreement, accepts payments and potential residents can digitally sign on the spot.

AppFolio also offers a comprehensive payment platform that includes a variety of payment options including e-check, credit card or electronic cash payment, allowing residents a way to pay rent online 24/7 via an online tenant portal. This is completely built into the software and offered free for AppFolio customers.

AppFolio offers product training and support for an unlimited number of users included in the monthly fee. An implementation specialist is assigned to help each customer manage through the software transition. Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access and others.

Appfolio is constantly improving and adding features. Their tech department is fast and helpful. The price is very good.

They are new so everything you need is not there but they allow users to make suggestions and they actually work to put those suggestions to product.

Recommendations

Great customer service, helpful and knowledge about their product. May not be knowledgeable about your business, but know their product and limitations.

Likes Least

Lack of customizing and control for the user. Should be a lot more options for editing/deleting transactions. Reporting should be more customizable as well, and getting a bank balance should be much quicker to obtain.

Recommendations

Make sure you understand your needs and whether the software structure will work for your needs. With AppFolio somewhat inflexibility, it's possible that it might not fit.

Low cost entry, free support, connectivity, many features

data upload via .xls format was clunky. Should allow on-line entry for initial set up. also they insisted on the whole portfolio to upload (all owners and buildings). Would have been smoother if I could have uploaded one owner and building to work out the process and bugs. I spent lots of time correcting mistakes across the portfolio that I could have identified earlier and fixed during the transition.

Recommendations

be sure your data is organized. Be very careful on the vendor and tenant setup. Those are the keys to success

This software is intuitive to use and easily taught to employees. The company walks you through the complete install and provides designated staff to assist you when you need it. They also offer tutorials covering almost any topic which can be assessed right on your help menu. The software is comply integrated, consequently reducing your administration tasks/time and allowing you to concentrate more time in growing your business. We are third party managers and manage a portfolio of single family residential, apartments, multifamily and commercial properties - this software allows us to manage all of them with one software, effectively cutting the costs of both collections and employee time. I would advise any property manager to use this software.

Sometimes it is difficult reaching your assigned staff if you have a problem and need assistance immediately.

Recommendations

My advice is use this system- I have used 4 different management software systems and this is by far the best for both on site management and 3rd party management.

The easy of use for the software itself and the fact there is always assistance available if an issue comes up.

The product is geared more towards the property management of housing units, not commercial units...which is our sole income base.

Recommendations

If you are like our company and strictly handle commercial property management, understand that you will have to find different ways of using the standard input format in order to get the software to work for you instead of you working at it.

I do feel like it is set up for more apartment-type properties, but those effects are reduced once you get the proper accounts set up.

Recommendations

Make sure you do look at other services, because it will make you confident in your choice. The features here outweigh any benefits of other software.

Be aware of the terrible customer service. Its not real time, they call you back randomly, do not call when promised, wont take accountability for their mistakes - it's painful and rubbish. I hate having to contact them for anything. It would also help to have some kind of an accounting background.

Cloud based. I seriously didn't like the concept of having someone else be in charge of our confidential information but being able to get information over various devises from anywhere is a huge convenience. The cost savings of not having to host the software has been huge. The software is easy to use for the most part but the accounting reports are the software's Achilles heal.

There are allot of things but for the most part it can be summed up to reports and accounting.

For a software that is advertised to make life easier and streamline the process, it falls short.

Reports. Very poor reports and the kicker is that they don't have a Profit and Loss Statement. WHO DOESN'T HAVE A P&L AS A STANDARD REPORT???? I also don't like the fact that you can't customize the reports. If you don't like how something is worded, too bad. You can edit it on a single report for a single owner but you cannot do a global change to all reports such as if you have a "Convenience Fee", it states it as "Mark Up". You're stuck having to manipulate single reports which takes a huge amount of time.

Things that should be simple such as refunding a tenants application or other such fee are time consuming and convoluted. You'd imagine it would as simple as hitting the "refund" button which they have but by doing so it throws off your books and not only refunds the tenant but it also gives that money to the owner??? So now you have to clear up the mess by doing multiple journal entries. The same holds true for other issues. Long story short, we're spending more time dealing with accounting issues because the software did some crazy thing. When you create a support request for the item, they'll help you by saying something like "well this is how to work around this". We're trying to streamline the process to make our lives a whole lot easier, not having to double and triple check reports to make sure we're not giving more monies than we should.

Recommendations

Appfolio has this one size fits all mentality which for us doesn't work. Yes the software is better than most and way better than Property Boss but no where near perfect. The customer support is fair and the continuing support is great but again, they have this one size fits all mentality that you just have to get accustomed to. Its obvious that the software was created by an accountant, which is all good but you have to have an accountant degree to really work it and understand the reports. I'm not sure about you but my clients are not accountants and they want easy to understand reports.

Online payments are the best thing, Also the connection between the website and the property database works pretty well.

Very Poor Reporting. Very few reports can be run by date. Some reports can only be run AS OF RIGHT NOW.
NO AUDIT REPORTS TO HELP AVOID THEFT.
Most reports need to be taken out to Excel to be manipulated.
No reports showing upcoming lease expirations.
No reports showing changes in rent charges.
Did I say you cant run reports by dates.

Find a product that has good reporting funtionality.

The first 30 days of support is fantastic. I've never experienced anything like it. Then you get another 60 days of support from a separate team assigned to your company. When you call or email for help, they JUMP! You are able to solve/resolve issues within minutes.

I wish the customer service response rate extended after the 90 days. I still get my questions answered. It just takes several days now instead of a few hours. My most recent online request for help took 6 days to get an online response back from Appfolio. And the response was to ask for more information. I gave up and moved on. Time is of essence here. With that in mind, I know there are some parts of this software that I will never fully use or understand.

Recommendations

Make a list of YOUR needs prior to shopping for property management software. One of the defining features that led us to decide on Appfolio was the RUBS (Ratio Utility Billing) feature. Not all property management software companies offer this. It has been a huge time saving feature for us due to the type of properties we own. We spent more money to get this, and it has been worth every cent.

Clean, simple. AppFolio is run by software developers who work on Silicon Valley time, rather than property developers who are outsourcing software design and development.

Not as customizable as would be desirable for large # of units. AppFolio aims for a simple and transparent process -- this results in an excellent experience for smaller property managers, but, ~300 units under management, you may wish to have more customization options.

Recommendations

Great product until you get to ~300 units under management, at which point you may want to look at something like Propertyware to be able to more easily customize your reports.

Easy to use and the help from the staff is amazing. They provide a tenant portal and an owner portal. Totally paperless!!

Some areas you can not tweek. Needing to print bills that have been entered into the system, but it will not allow you to print them out. There are time when I need to send them to a tenant or to the attorney.

It is a one stop shop, meaning from the background checks to collecting rent it handles it all. I don't have to multiple programs to track information and take chances of something falling through the cracks.

Everything is simple. Simple process. Every scenario can be handled. We manage close to 150 units and growing fast and could not be doing this without AF. We are mixed in student rentals, residential, and commercial. The time savings is superior! Use it and learn it you won't be disappointed. Change is good people embrace it!

We still use Quickbooks. The AF file can be imported. We feel if AF works on simplifying the accounting it would be a product extremely hard to beat! We have used other software and it was worse with the accounting and just basic tasks. AF is still better. We would like to see a 'Help Desk' implemented too, but not sure if it will happen. We still are able to reach our team of people that was assigned to us for getting help.

Recommendations

ASK Questions! Talk to those who have been using AF, not those who didn't go with AF.

The support has been amazing every step of the way! I submit a support request in the software and someone always gets back to me right away! They also have a very helpful Help Center function. I can just search for what I need help with, it's REALLY easy to find.

It is a little more expensive, but it's been worth every penny! I got audited while transitioning software (literally while transitioning, both systems were offline due to the transition!), and everything that the auditor asked me for is at my fingertips with AppFolio. My next (hopefully never!) audit should go smooth as hot butter! Also, my owners, renters and HOA owners & board love it. It's empowered them, making my job easier. The inspection function is amazing! I don't even need my tablet anymore! I do the inspection on my phone while walking through with the resident, take pictures. The drop down menu lets me share it with the owner immediately and write the work order. The work order pre-populates the items you marked during the inspection, gives you an opportunity to tweak it, then just send!
