AppFolio Property Manager is a Web-based system with accounting and management capabilities. It is a comprehensive solution that serves as the central hub for all business needs, including marketing, accounting, online rent payments, applicant screening, online applications, online lease agreements and other key processes.

Users can post vacancies to hundreds of sites on the Internet, including their own website. AppFolio also provides the ability to download an HTML, professionally formatted vacancy posting package that can be printed or manually posted to Craigslist.

From listing vacant properties, to filling out an online application during a showing, to instantly running a background check; if everything checks out, AppFolio automatically populates a customized lease agreement, accepts payments and potential residents can digitally sign on the spot.

AppFolio also offers a comprehensive payment platform that includes a variety of payment options including e-check, credit card or electronic cash payment, allowing residents a way to pay rent online 24/7 via an online tenant portal. This is completely built into the software and offered free for AppFolio customers.

AppFolio offers product training and support for an unlimited number of users included in the monthly fee. An implementation specialist is assigned to help each customer manage through the software transition. Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access and others.

I liked that they listened to my needs and came up with a solution right away. They seemed to really care about our issues and often altered the software to meet our needs.

The accounting software was cumbersome. It didn't integrate with other accounting software like Quicken. The invoicing for vendors wasn't automated so that Vendors could upload their invoices directly into the system. The document upload feature does not allow a system to search the software for that particular document. For instance, if I upload a Vet record for unit 4, 6, &9 I can't search and find out which records are expiring in March.

Recommendations

Great for a company that sticks with rental property only and is not interested in researching uploaded documents or needs to know expiration dates of things like Vet records. Also good for basic accounting needs.

We aren't your typical property mgmt business, so our requirements differ from those typical residential mgmt businesses. The functionality of Appfolio was very easily adaptable to our needs and requirements (minus the accounting features). The implimentation process was stress free, thanks to the knowledgeable staff/customer service. They answer all questions & concerns in a very timely manner, alleviating any down time or work delays. The individual attention by the Appfolio staff makes me feel like their most important customer. We are a growing company and the number of properties/tenants that I manage using Appfolio increases everyday. The software is user friendly and very easy to learn. I definately made the right choice using Appfolio

I would prefer to be able to list my vendors based on my individual properties, and Appfolio only allows a compilation of vendors/contracts!

Do your research! Take advantage of the introduction presentations offered by the sales teams!

The cloud based system is great for doing work away from the office or in the field. The customer service department is very friendly. Unfortunately, most of the time they say that there is nothing that they can do. Most of the products are included in the monthly price.

The software is not always written to help a property manager, but rather the programmers. The program is not customizable, and has a limited number of reports.
Appfolio is property based instead of owner based, which leaves you with inaccurate reports for an owner. The company ask you for suggestions, but rather than listen to its customers, it decides to go on its own path. A number of times over 500 customers will ask for an improvement, but instead they go with one that a handful ask for.

Recommendations

I'd keep looking until they get the their financials down, and start listening to their customers.

Simple, intuitive and brings the power of no cost advertising to the small property manager. You can see what your onsite manager is doing at a glance.
We are a modest sized multifamily operation with multiple offices. As the boss I can look and see if we got move out notices and the manager is sitting on them rather than advertising them. I see applications come in, rents etc. We can take ACH payments free of overhead costs. We can accept credit card payments and get our full rent and not bother with the machines and contracts. We have 24 hour online applications for potential residents. (they fill out the application-we just click the "screen now" button) After a year of using the program I couldn't be happier. The system paid for its first year of use in 30 days.

Its still a bit confusing at times-adding a roommate, refunding tenant money after a move out, and a few other issues that we do rarely. You have to embrace the technology and the methods appfolio uses. If you fight it I doubt it will work for you.

Recommendations

Look at what the vendors charge extra for. Look at how vacancies are handled and how that integrates to your advertising. Don't discount the presence of online applications-its been a revelation to us. Can they import your data? Appfolio was able to bring in nearly everything. Training your staff. I have two managers over 75, they got it. They have lots of video training a click away.

The AppFolio team has been extermely easy to get in contact with, and they are very professional & knowledgeable. They can answer most of your questions right away, and if not, they bring the appropriate expert online to make sure you get a complete answer. The software is intuitive, and it will be saving us SO MUCH office time allowing our company to increase productivity. The monthly cost of the software will easily be offset by productivity gains and cost savings elsewhere.

Like any new system, there is a learning curve that takes some time. Also, to make the system run smoothly, you sometimes have to modify certain processes to make them work in the new system. Because of the complexity and different company owners, we will still be using Quickbooks, however, on a very limited basis (for owner accounting vs the tenant/management accounting).

Recommendations

Not only should you play with the software yourself, but make sure you have contacts at the software vendor available to discuss questions and your unique circumstances. AppFolio does this very well.

Appfoblio took our organization from a messy, disorganized accounting nightmare to a streamlined leader. Appfolio let us move away from using separate credit/criminal background, accounting, and maintenance management programs to one simple, web-based tool. It's unbelievable simple to write leases with their new digital lease creation tool. It made training new employees seamless across all product types unbelievably easy. Their dedication to their clients blew us away. They took hours out of their day to train our managers until they were proficient.

Recommendations

Be familiar with other products or substitute software to have a point of reference. We have used quickbooks and buildium and this is a great combination.

The vendor supplied a great amount of training and a different person to work with throughout the whole process.

The set-up was a little overwhelming because I had multiple appointments every week to work on setting up a specific portion of the program. If I was a larger company, rather than a "one man show", this would probably have not been an issue.

Training and service has been great. Able to integrate RUBs which basically paid for my software expense. System is user friendly and very easy to navigate. Employees seem to really enjoy their jobs

We have only 1 150 unit property so minimum pricing until we grow is a little high. Some products seem to have more emphasis on marketing but that was not highest on our wish list.

Recommendations

Expect a steep learning curve. Make sure the system is integrated especially thru to accounting. Inquire early on about implementation expense, the range of charges is shocking. Some softwares are not for the little or mid sized guys, the platforms are heavy on financials and tough to navigate on the user side. If you can go to a user or industry meeting to see if people are smiling and have got answers to their questions and problems, be a fly on the wall.

Despite what they say the application is not truly customizable. You can only add "Yes/No" questions to your application and you can only have 1 application saved (a commercial and residential application can not be different). Unfortunately this is why if you look around, you will notice many Appfolio users do not utilize the "apply now" link or the Appfolio application provided. In addition, the leases also have set formatting system and does not allow for a customized signature. Which although legal, causes headaches from 3rd party reviewers who prefer to see some sort of personalization to the lease.

Recommendations

Appfolio is inexpensive and does the job. However, you definitely want to utilize their free trial to test it out first.

Very good in their sales department, trying to convert new business. I unfortunately learned that many features they claimed to offer turned out to be untrue or required a complicated process to work around.

Appfolio doesn't have many of the core features that were advertised and promised.
They said they had a website for owners and tenants, they don't.
They said they could have my property owners paid via appfolio, they can't!
Many banks wont or can't work with appfolio to get our clients paid online using eft's and transfers. You have to jump through hoops!
Appfolio is not easy to use, with lots of work arounds required to do what should be a simple function.
Appfolio doesn't have a support staff to help you. You have to leave a message or email and someone will call you back within 24-48 hours.
Appfolio left my company out to dry on the day we went live! Trust me, I managed this process for over a month to make the transition. They never applied for the Merchant Account so I can collect rents through the appfolio link.

Recommendations

In my transition to appfolio, I quickly discovered that my current property management software was far superior. Appfolio mismanaged the transition, they never submitted my application for a merchant account, and I learned 3 days before going live, that I would not be able to recieve rent payments online. Appfolio tried to blame me for this, thankfully I had proof that I emailed the necessary paperwork they claimed I didn't. I had not choice but to cancel with them, yet they charged me to cancel anyway.

There are a number of steps in the onboarding process when transitioning to a new software and in this case we unfortunately missed a step in setting up your account to be ready to receive online rent payments. This is definitely not our standard implementation experience - we've helped thousands of customers go live with AppFolio and we take each one very seriously and hate to make mistakes! Our team worked quickly to rectify the online payments set-up mistake and made the fix the next business day on your go-live date, but we understand that you have a business to run and sometimes it can't wait. Your feedback about the Owner ACH payments feature is right, it can be frustrating to set up this feature and our team is actually working on a new Owner and Vendor ACH service that won’t require bank setup -- we've been developing this new feature based on customer feedback and it will be live this month. That being said, we have issued you a refund. We are sad you were unable to get started with AppFolio and wish you the best in the future.

The software is easy to use and very easy on the eyes. The support is friendly, helpful, and responsive. They often respond same day. They are constantly trying to get feedback to better their service and improve the software. They offer a suggestion forum where you can add your own product improvement suggestions, and other users can comment on it, and vote for it. There is an improvement support team who reviews the forum and works on implementing new features. New improvements are rolled out almost daily. Bottom line, the best thing about this product is that AppFolio constantly strives to improve and care about its users.

A few accounting features are cumbersome and hard to use properly, like paying management fees, leasing fees, and paying owners. There is no pay online option for owner contributions yet!

Recommendations

The implementation/setup was a lot of work, so be patient, but they will not leave you hanging; they are available to help and communicate every step of the way. This program has a lot to offer and has saved me many hours in rent collecting and saved money on maintenance matters. In my career in property management, I have used many competitive programs, and this is the best as far as price and value.

Availability to log in from any location and monitor all business activities.

The vacancy report needs to be updated to be easier to read. Although the maintenance area is being updated, I would like to be able to assign maintenance requests to each employee or vendor. Also, I would like to be able to send the service request to the various employees with a text option to alleviate picking up the phone. It would also be nice if the completed notes could be sent back from the employee's phone and imported into the tenant file.

Recommendations

All software is a pyramid. Like a house, it is built from the ground up. It is vitally important to ensure the accuracy of your initial data. This will alleviate unnecessary changes once going live. As well, your administrator needs to constantly remember that the data is built from the ground up. One insignificant change may have a significant result.

If you are unsure about the product. Pick a property and go live with the initial property. If you are happy, continue on. If not, no harm. The best evaluation is always hands on experience.
