AppFolio Property Manager is a Web-based system with accounting and management capabilities. It is a comprehensive solution that serves as the central hub for all business needs, including marketing, accounting, online rent payments, applicant screening, online applications, online lease agreements and other key processes.

Users can post vacancies to hundreds of sites on the Internet, including their own website. AppFolio also provides the ability to download an HTML, professionally formatted vacancy posting package that can be printed or manually posted to Craigslist.

From listing vacant properties, to filling out an online application during a showing, to instantly running a background check; if everything checks out, AppFolio automatically populates a customized lease agreement, accepts payments and potential residents can digitally sign on the spot.

AppFolio also offers a comprehensive payment platform that includes a variety of payment options including e-check, credit card or electronic cash payment, allowing residents a way to pay rent online 24/7 via an online tenant portal. This is completely built into the software and offered free for AppFolio customers.

AppFolio offers product training and support for an unlimited number of users included in the monthly fee. An implementation specialist is assigned to help each customer manage through the software transition. Other capabilities include vacancy and rent tracking, tenant liability insurance, professional websites, a rent comparison tool, automatic posting of bills, database-wide searching, paperless work order generation, report customization, mobile iPhone access and others.

The way to enter in bills and receipts is extremely easy, plus you can customize reports and and properties.

It is very hard to change the bank once you've already started using one in the system.

Recommendations

Make sure the bank you're using is one you're comfortable with and can see yourself using it for a long time.

I like the simplicity of the product and especially like their mobile app!

There customer service seems to have dropped off now that we are out of the initial implementation period. Also, they are located on the West Coast so the time difference causes delays in speaking with customer service.

Recommendations

Be certain to ask very specific questions - run through every scenario you can think of before purchasing.

The support has been amazing every step of the way! I submit a support request in the software and someone always gets back to me right away! They also have a very helpful Help Center function. I can just search for what I need help with, it's REALLY easy to find.

It is a little more expensive, but it's been worth every penny! I got audited while transitioning software (literally while transitioning, both systems were offline due to the transition!), and everything that the auditor asked me for is at my fingertips with AppFolio. My next (hopefully never!) audit should go smooth as hot butter! Also, my owners, renters and HOA owners & board love it. It's empowered them, making my job easier. The inspection function is amazing! I don't even need my tablet anymore! I do the inspection on my phone while walking through with the resident, take pictures. The drop down menu lets me share it with the owner immediately and write the work order. The work order pre-populates the items you marked during the inspection, gives you an opportunity to tweak it, then just send!

I love the customer service and how easily I am able to pull up reports.

The financial aspect can be a bit of a headache. Mostly concerning the $0 receipt that I cannot seem to grasp the concept of.

Recommendations

The software caters more towards residential, in regards to listing units. If you have more commercial properties, I would recommend a different software.

It does not show you prepays on the tenant reports, and there is no program to report sales

Recommendations

Make sure you only need simple accounting, it is not a great program for malls

I have found nothing likable with this product. Maybe the price is cheap. You get what you pay for.

Several items unworkable for any type of management. We are Florida based and a Mall. Software sales said they could process State Sales Tax. Unable to handle exempt tenants their suggestion set up a different general ledger account. need to make adjustment to a charge with a certain date the sales tax side will not use same date. Additional sales tax related problems I will not list. Next item Aged Deliq report will not show prepaid rents. Tenant invoice will put the next months charge on the tenant bill so it looks like they owe double. They need a lot of work to make this product work. They are not interested in working on commercial management they continue to work on making adjustment for the condo management. They now can attach a picture of a tenants pet.

Recommendations

Stay away. Pay more and get a software package that can actually do what the sales team will say it can do.

I love the search bar function, it makes things so easy to find and eliminates all of the click through tabs to get to where you need to be.

Journal entries are too simplified. Some journal entries require more than 2 lines.

Recommendations

This is a good starters software and has the ability to grow with businesses. Keep in mind that while it looks a little different then what is out there, it is pretty easy to learn and their support staff is phenomenal.

This is one of the most well thought out pieces of software ever developed for the property management industry.

It allows us excellent flexibility in accessing our data from anywhere as we grow into new markets.

It works for for every property type from our single units to our 100+ complexes.

There is only one major disadvantage of Appfolio

The software does not produce a standard Annual Property Operating Data report

This report is critical for tracking property performance for owners, investors and banks.

It is a huge hole in Appfolios reporting capabilities

Extremely user friendly. The program is web based so you can easily use it from any location. The owners can view their statements at anytime which saves both them and us a TON of time!

When I hit the enter button it does not ask me if I am finished with my vendor bill and automatically sends the bill even if the information is half entered.

Recommendations

Have a prompt ask if all information is entered correctly when a button on the keyboard could potentially close the current transaction.

It is somewhat confusing with speaking to different representatives. Sometimes we get different information on how to handle an issue.

Recommendations

Right now we are having an issue with our commercial and residential listings. Even though it says commercial, the listings posted onto the internet show them as residential and we constantly receive calls asking to move into our 0 bed 0 bath studio apartments (these are only commercial spaces)

Accountability of the tenants is great. The ability to keep all forms and photos in the portal is great.

Accounting can be challenging if you are not an accountant. I have an issue up loading large forms into the portal. It makes me break them down.

Lets try and work on making a very easy step by step and maybe some more one on one with Appfolio with the accounting

Their solution is never to answer the phone but to send emails with instructions. This is ok for basic issues. It does NOT work for every solution.

Not much. We have been using for 6 months and it is very difficult to use and support is terrible. Each time you have a problem you have to schedule a call for a few days out. Obviously thats not fast enough in Property management

Service - I was told the service was amazing and this has been nothing short of terrible. Impossible to get anyone on the line and very difficult software to use. Reports have major issues and company will not fix.

Keep looking. You will commit so much money and time that you will feel stuck. If I could go back and do this again I would not do it. I am trying to save you the time

Time it takes to rectify any issues is entirely too long. Would much prefer software with immediate support.

Recommendations

Unless you have a minimum of 30 properties I would never suggest this software. Make certain you read their contract!!!!!
