Condo Manager is a solution that supports condo and homeowner association management operations. The system can be used effectively by both individual associations and professional management company with hundreds of different clients. The software includes a comprehensive suite of financial accounting, reporting, and other management tools. In addition, the system’s database can track the activity of owners, tenants, board members, vendors, and other entities. The system can store detailed profiles of owners, tenants, vendors, units, and associations. It can set up invoices automatically for dues and other billing amounts. Accounting tools include check scanners and lockbox processing capabilities, with support for an unlimited number of different bank accounts. In addition, financial statements can be generated and customized with simple, intuitive visual development tools. Export capabilities of the system are extensive and flexible; reports can be sent or converted using Excel, Microsoft Word, PDF, and email. Further, letters, emails, and phone calls are combined into communication histories for each vendor or homeowner. Condo Manager can also provide full websites, giving access to both homeowners and board members for better communication and outreach. Condo Manager is available in a number of different versions, including PRO, PRO+, and Condo Manager Live. There are also optional modules that can be acquired as needed. These include utility billing, violation tracking, outlook integration, payment processing, and others. In addition to the help and support resources built directly into the program, both email and phone support is provided by the Condo Manager technical staff.

The package was being used by other HOA's in our market. and it has the most robust W/O module because is addressed both Labor and Material, while the others had just a single entry, presumably, the amount that a vendor charged. Condo Manager has pull-down menu items for material and labor items, which we feel is invaluable when you want to sort work order material and labor. Pre-programmed items assure that common language is used by the technicians, and thereby able to be quantified.

Ther is no native Quick Books output ability. We believe that we can work through this issue.

Recommendations

Because some states require a separate accounting package for the HOA and the Rental and/or work order billing package, we found Condo Manager to be about 1/2 the price of the subscription-based solutions, primarily because you have to buy 2 sets of monthly licenses, whereas, with Condo Manager, you get multiple properties in the base price. No question, Condo Manager was a much better fit for our large complex.

It is very comprehensive and is much easier than maintaining 5 spreadsheets to accomplish some of the same functions. I like how it all ties together and the integration between modules. The ability to tack so many things and tie it all back to the property and owner. Support has been very good. I have only been a user for 2 months and still learning but I have been very pleased so far. Be aware that there are many pieces that have to be built from scratch but they have many defaults and templates that can be used. It is better to use those and maybe changes some of your processes than to customize the system to your current processes.

The ability not to spell check and not having a more robust word processing module. I would like to seen them upgrade from Word 97 to a more recent version of Word and include more of the functions. While I believe the people doing the training are excellent and extremely knowledgeable I think training should be more extensive. The speed of the training and the fact that the trainer takes control of the computer to show how to do the processes and explain the different modules, it sometimes moves so fast that you can't comprehend everything and see what they are clicking on so you can't follow what they are saying. I feel like this has eaten up my training hours because I have had to go back to the trainer to clarify things and make corrections.

Recommendations

I think it is excellent product for an HOA even though it is geared more towards condominiums and apartments. It is the only thing I found that met the needs of an HOA for the price. So far I have found the company is easy to work with and they seem to be supportive of their customers. Support and training teams appear to be very knowledgeable of the product and good to assist.

We started the tutorials in January and because of our crazy schedule it took a little longer for us to get up and running with the system. We have now been using it for the last month and it is phenomenal. We still have some things to learn with regard to ACH and Credit Card processing but have no fears that will work as great as the rest of the system. There is so much the system can do that will save us time and make us more professional.

Everything is at your fingertips regarding units/owners/renter, etc. Our office manager finds the program very easy to use and is a timesaver for her.

Their accounting department has been an excellent source of help in regards to accounting entries and questions. The CEO of the company has also been a great help.

We made a few suggestions for the front office and the accounting department, which Condo Manager implemented.

There's no right-click on the mouse; there needs to be a way for recurring payments/receivables to be easily entered. Also, on the accounting end, there needs to be a master look-up, where by just entering a name or unit number, you get the correct info.

Their sales department needs to be more forthcoming about what and how much of your data will be converted by Condo Manager.

Recommendations

There is an enormous amount of work that needs to be done before this program is completely up and running. Once entered, the program for our front office has been a big time saver. On the accounting end, it takes a longer time to get used to the program but, when you do, you can see the benefits of using a condo management program.

The data entry and search/find tools are easy to use. Teach support is fast and inexpensive. It's a web-based product. Reports can be tailored to the property, and it leave an audit trail for accounting.

After the extensive setup is completed, paying a monthly software fee indefinitely is my least favorite feature.

Recommendations

It's a great option for a single property, as there are not a lot of modules to purchase to meet your day-to-day needs: e.g., resident info, accounting, and maintenance work orders.

Recommendations

There are a lot of great features, but my favorite is the Web Portal Service they offer. We provide this to our clients as a convenient option that is offered from Condo Manager. It has helped reduce the number of support calls we receive on a daily basis and is also a great service to demonstrate to potential clients when we can show them our technology.

They update the software frequently, which is a good thing, but I wish they would notify us in advance before releasing them.

Recommendations

Look for something that fits your business model. If you're in the business of managing condos and HOAs, this is a great product. The staff at Condo Manager provided us access to a lot of information on the software, and they set up live demonstrations with us to help us review everything and make an informed decision. Take the time to talk to them to learn more about the software. It was very helpful with our evaluation process.

We waited until we outgrew our previous software before moving to an integrated system with Condo Manager. It would have been easier for us if we had purchased something like this early on rather than waiting and converting all that data!

Condo Manager is very flexible and user-friendly. We also enjoy the online dashboard for our homeowners to manage their accounts and make payments online. The customer service department is also responsive and helpful when we need them.

We have a requested a few custom modifications to reports in the software. While there are some changes we can make ourselves, I wish we did not have to rely on the support staff to make the changes.

Recommendations

We have been a client of Condo Manager for several years. We evaluated several solutions before choosing them. Don't be fooled by the name "Condo Manager." They do a lot more than condos. We have a master planned development with over 5,000 homes, and Condo Manager is a great fit for us!

Also be weary of "property management" systems. Many of theses companies focus on rental property management and the association modules are an afterthought. If they claim to do both, chances are that they are not really meant for associations. I had a very bad experience with another software vendor that did this, and things did not work out for us. This ultimately led us to Condo Manager.

We have been very pleased with Condo Manager. Their customer service has been extremely helpful and professional. I purchased Condo Manager for our company three years ago and it has done wonders for our office. We have used other products in the past and Condo Manager has been, by far, the best software system we have used.

We gladly take Condo Manager out to presentations when we speak with new communities. They are amazed at the technology and level of service our staff can provide because of Condo Manager. Our business has grown significantly because of this. Our chances of winning a new association contract are about 70-80% higher when we have the opportunity to demonstrate Condo Manager for them. This has been very effective for us.

I would highly recommend Condo Manager to any management company that is not happy with their current provider. Reporting, tracking, violations, maintenance, collections, automated letters, custom report builders - Condo Manager has just about everything you could ask for.

We currently manage a total of 18,000 units both Condo and Single Family Associations. We have been using an "industry standard" program for the past 15 years. This program (mostly written in older format) had multiple issues and bugs. The company had problems supporting many of the functions beyond accounting. We started to search for a new program and found Condo Manager. We have been very pleased with the program, ease of use, and the performance. Our HOA management company has been family owned for over 20 years. When I took over several years ago, we were using another software system (I'll leave their name out). There are several reasons that drove us to look for new software: out dated technology, poor customer service, no flexibility, bugs in the accounting system, and a lot of manual processes for data entry.

We manage homeowners associations, townhome and condo associations, patio homes, and several master planned developments. Our old system just could not support what we were doing. After countless unfulfilled promises from the old software company, we decided to start looking.

After evaluating several products from other companies, we selected Condo Manager PRO, and I couldn't be any happier. Their software helps us manage everything in ONE system - no spreadsheets, no access data files, no unorganized file folders. We use their paperless document manager to store invoices, files, photos, legal documents, etc. Everything we need for our clients is available at the click of a button.

There were a few "glitches" in the data conversion process, but that could be because all of our data was in an OLD database format. The support staff at Condo Manager was very helpful in getting everything converted to their system. They provided direct training for our staff and walked us through the entire learning process. Condo Manager is extremely user friendly.

CONS

-Comes with a default chart of accounts for associations. This can be customized, but please make sure you talk to your rep about any changes you want to make before you convert.

-No cash basis accounting (we prefer accrual and report everything for the associations on accrual, but some board members just don't 'get it.')

-This is very minor, but there is no spell check in their word processor. (Type your documents in MS Word and then import them in CM)

Our association is run completely by volunteers and we do not have a part time or full time community manager on staff. Our board was faced with a unique challenge of finding a user friendly software to help manage our association. I serve as the board treasurer and looked at many different options. I tried another web-based system but it was clearly not meant for managing homeowners associations and did not have the flexibility we needed for the accounting and reporting.

We switched to Condo Manager for several reasons. Condo Manager is made specifically for homeowners associations. It's very easy to learn and very flexible. The Condo Manager technical support team is very helpful. We received personalized training on our software and can call them if we have issues.

We have been using Condo Manager LIVE because I can access the system from my laptop and tablet. We love using Condo Manager because it has helped us avoid hiring a management company, saving us thousands of dollars. Five stars and two thumbs up!
