Propertyware Software


 

Propertyware is an on-demand software solution that serves the tracking and management needs of residential property managers with between 20 and 5,000 units. The system can accommodate a variety of different types of property managers, including those with residential properties, condos, homeowners associations (HOAs) and multi-family units. Propertyware is scalable, allowing it to grow along with the business that employs it.

Key functionality of Propertyware includes accounting, portals for owners and tenants, websites with customization options, marketing processes, tenant screening and other crucial property management tasks. The system is deployed online, and units can be purchased on an as-needed basis. The system’s accounting components can integrate with QuickBooks to allow flexibility and completeness in its accounting functionality.

Additional tools in the system include visual data-driven dashboards, summaries of portfolios and lease statuses, management summaries and electronic owner statements. The Propertyware system is compatible with Windows, Mac and Linux, and its online nature means that no download or installation is necessary.

Property owners can log into a specialized portal to check property status. Renters can schedule payments online within the system and check on repair schedules, without having to spend time calling people.

Propertyware is based in San Francisco, California, and has served over 2,000 different businesses and organizations in seven countries.

Every one of my properties went to be available last night and fed to Zillow, Trulia, Hotpads etc. They are not available. When this happened last week and for weeks before when and a handful went as available I called and put in support tickets and was told it was a bug and they had until the 24th to fix it. Instead, it was made worse on the 24th.

This morning starting from the time I got up at 6 getting numerous calls, email from Zillow, Trulia, Hotpads etc. with inquiries on properties that are not actually available.

Get it together people. I pay way too much to spend the next 3 days with constant calls and emails about properties that are not available until they get removed from the 3rd party sites. You should be paying me for this not the other way around. The rest of the week is shot and hopefully not the weekend too.

I am constantly questioning my decision to change to Propertyware. It has been a nightmare. Never had this with Buildium. I thought you had more features but they don’t work so it doesn’t help. Was also lied to about how you did the banking which is why I chose you and not Appfolio. After I paid my setup fees etc. then I was told “I don’t know why she told you that (Propertyware sales) we can’t do that. That should have been my big red flag not to move forward with you but I had already put time and money into making the change at that point. Now I keep pouring money in and it just gets worse.

My phone has not stopped ringing for calls. I even have a couple of owners in a panic because they didn’t know both their properties are available. They are not but it appears that way. I have to wonder how many of them think I am incompetent and not my software. They probably think the software couldn’t be this bad, she is using it as an excuse. Nope, it’s that bad.

Advice to Others

Do not spend your money on this.

I have a new property management company and we started to grow and I out grew the other software I had it was good but now that I'm getting close to 100 properties I needed a company that I can do everything with and after doing my homework I found PropertyWare it has everything I need and will not be able to outgrow it ever. I am actually a web designer and I recommend this program for one of my clients. It very user-friendly and I am able to keep up with the data for the customer.

Upon reviewing your software, it does have a lot of good features. As a former software developer I can appreciate the thought that went into supplying a product for the masses to use in actual "Property Management" however my needs are more along the lines of needing a place to schedule maintenance, keep track of upcoming inspections (fire, sprinkler, etc.) and supplier/contractor maintenance as well as somewhere to keep a list of item numbers for various upkeep items, alarms, bulbs, etc. I guess I would say Property Maintenance would be a better suited package for me.

I've been using Propertyware for almost three years. It is very robust and they are constantly adding new features like the mobile app, inspections, maintenance manager, and electronic signatures. It has a steep learning curve, particularly if you are new to property management software. However, they do their best to set you up for success with a trainer, online training videos, user manual, and a help forum. If you are still having trouble, you can submit a trouble ticket or call their support line and they will help you solve the problem.

Pros

Very comprehensive features. I like the ability to add customized fields without limitation, which helps me track things important to my company. The reports can also be customized and there are plenty to choose from. The ability to communicate with tenants, owners, and vendors directly through the software is nice. The mobile app is very helpful when away from the office.

Cons

The mobile app doesn't seem to stay up-to-date with data. I often look up a tenant and the software takes a few minutes to update. The tenant and owner ledgers are very, very detailed, which is more than most owners/tenants want. I wish there were a way to simplify the display to avoid confusion.

Advice to Others

Propertyware is highly recommended for anyone with more than 100 units, and particularly if you have 200+. Some of the features are just average when compared to the competition (e.g. inspections app) and may not be worth the money but you can choose to use them or use something else.

I've been using PW for about a year and really like the product. I have experience with Buildium, Yardi & Real Page.

Pros

* Very easy to use; very intuitive. I have not had to use the help menu or tutorials very often.
* Customer Service has been excellent whenever I don't know what to do i the software, but know what I want to get done operationally.

Cons

* The mobile app is good, but not great. I would like to see more functionality and info look-up.
* Initial set-up took longer than expected with their set-up team. Plan for at least 6 weeks when you pull the trigger.

This software was chosen because they claimed to be the closest to the software I previously used: Tenant Pro. They claimed to be able to migrate a lot of my data for me. They did, but much of it was improperly done and I had to re-do most of it anyway, so the data migration was of little help. It took me nearly 3 months to be up and operational, all the while paying my monthly fees without being able to use it "live". They do have a very good support staff. Unfortunately I have to use them a lot. The program is not intuitive. It does not do many of the automatic functions that Tenant Pro did for me. I cannot get the same basic reports that I used to get from Tenant Pro. It has many bells and whistles that I don't care to use and has many issues that have no solutions so I have to find ways around them. After one year I am learning to use it, but it is a very costly software to do most of the same things I did with Tenant Pro - but not all that I used to do. Not terribly satisfied with this program.

Pros

Extremely helpful, readily available support staff. Moderately priced on line software.

Cons

Have to use the support staff frequently - program not very intuitive.
Hard to make changes -if at all - to check splits or entries once check is printed.
Little customization can be done to checks for printing. Check number extremely small and this cannot be changed
Cannot have vendor account number put on checks.
Cannot get an Income Statement with both Year to date and Month to date on same statement.
Tenant ledger statements not very helpful - not much information shows on the statement
Terminated tenants show up on Accounts Receivable list if they had any balance when they moved out. No way to remove them.

Advice to Others

Do not use this just because you used to have Tenant Pro. There is no cost or time savings.
If you want an advanced program with lots of bells and whistles, this one may be a good one for you. If you want a basic one, I'd look around some more.

It is a very difficult system to navigate; have to go through multiple screens just to get information relating to one property. Visually unappealing, and different features do not always show up on certain monitors. {ie: "unpaid bills" watermark} Very expensive, and someone redundant. The widget at the top of the banking tab is very inconvenient, yet there is no way to disable it.
The global search isn't available on every tab, and the manner in which vacant unit information is posted when it comes to a multi-building is extremely inconvenient and confusing.
The reports don't always populate as they should, and certain information is difficult to find. The owner statements are repetitive.
Difficult to narrow down just a list of tenant payments made, without having to wade through how the system allocates the payments.

Advice to Others

Do your research and ensure that another software system isn't better suited; it is extremely complicated, in terms of a property management software, and costs more than its competitors.

Used this product for 2 years. Worst experience ever. Propertyware appears to be a combination of 3-4 different companies, each handling different functions. No one can give you clear answers because they do not understand how the other parts function and relate to each other. Support calls took weeks to get a response with never a clear answer. They claim to sync with Quickbooks, completely untrue. When we reapeatedly questioned them on this issue they could never explain it to us and how it worked. We asked for a partial refund because of the mis representation of their product, they refused. Very bad company and product, don't waste any time on trying to use this.

This is my first time using propertyware, and I was not an employee with the company when the decision was made to utilize the software. To my understanding it went something like this: "Oh this one looks good, lets get it" I think Propertyware is very well organized program when used properly, and utilized to its full potential. I also think its a fantastic program for multi family properties, where all units are located at one address. But as our company does all off site management, pre leasing, student housing, HOA's, and residential homes; the software is not quite designed for that. Therefore, I am left to manipulate it to the best of my ability. There are also specific requests from my employers that need to be met, and can be, but with way too many individual edits to be made. It becomes more time consuming than what the job at hand should take. I cannot give much of a review from when the company first began using the software, because I was not with the company at that time, but was told that the transfer of information from Quickbooks to Propertyware was a breeze. This alone can be a game changer if your property consists of 300+ units. All in all, I think Propertyware is a great software, but I do strongly believe there needs to be more training available to potential clients, so they can have a better understanding of how the entire system works. Each tab is a piece of the pie, but explaining that to tenants and owners can be a bit tricky at times.

Pros

The tenant/owner online accessibility is great!! They can view their ledgers and access their accounts at anytime. I also like how mistakes can be corrected, maybe not always easily, but that is solely based on my experience and how the software was presented to me as I joined the company. I enjoy how easily you can search for a lease or owner in the global search bar, and how in the left hand column it lists the recent places you were for easier access. Move ins and Move outs are seamless, granted the correct information is input into the software. The amount of reports that can be ran is endless, and feel as though I could have this software for years and still never have ran each report with all its options/filters. The management tab is designed (ideally) to create owner draws all at once, and for a multifamily property this is fantastic. With each tab, when creating something new, there are important details included. When used properly, it can make your reports a dream!!

Cons

Tenant/Owner ledgers are not very user friendly (in my experience) They reflect very much of an accountants bookkeeping, and not all tenants/owners are "CPAs" so at times it can become difficult to explain debits/credits or income/expenses. On only a few occasions have I had to call customer service and they did not have an answer for me, or a resolution. In their defense, these requests were quite specific and not something that was frequently asked. Sometimes the amount of options for reports can be a bit overkill. Owner draws were started with custom date ranges, and generated individually, which in turn makes it a bit more time consuming for me to create them. In addition, because of the custom date ranges, the owner statements are very time sensitive and if a mistake is made and not corrected with the same dates, it creates confusion for the owners when they review their statements at the end of the year.

Advice to Others

Like any other decision for your company, I think its important to factor in all of the pros and cons, and see if its really a good fit your company's needs. Will you be utilizing everything it has to offer? Is it user friendly to you and your clients?
