Abacus Law is a case automation software for legal practices. The system works as a practice management tool and scales to grow with a business.

This system allows users to automate deadline management through the use of rules based calendars and simplifies data capture and relationship management specific to different areas of law (PI, criminal, civil, etc.).

It also centralizes documents, emails, notes associated with matters and/or contacts, and handles form creation to produce signature-ready forms. Abacus can be further customized to meet the specific needs of a law firm.

Abacus has an accounting module that integrates billing, time keeping, and reporting and handles trust accounts and retainers. The software has a legal calendar management system that helps users to manage appointments, tasks, and deadlines.

Abacus Law can be deployed on a local network, or through abacus private cloud that allows users to access all their applications from anywhere, anytime, using any device that can access the Internet.

For just a little more than you will ultimately spend on Abacus, there are much better solutions out there. I cannot, in good conscience, recommend this product to anyone.

Pros

We did like the time-keeping function. It provided an easy way to enter time. Also, we liked the statistical charts that were available showing daily performance.

Cons

Everything else. Essentially, customer service is not fully up to speed on everything. Frequently, you call and then have to wait for another call when the tech tells you he/she has to ask someone higher up. Also, Abacus management makes promises that it does not keep. When things got really bad, e were told Abacus would release us from our contract and stop automatic withdrawals from our bank account if I promised not to write a negative review. They did not hold up their end.

Used to love this program, but in the last 3 months, some serious structural flaws have developed in the software, creating faulty Reports

In the past 3 months, the software has been producing incorrect reports....missing invoice #s on Statements, Trust money being applied incorrectly to invoices, etcetera. When I filed a Case Report, it was "closed" without notifying me. The problem was not solved.

Pros

The Abacus Accounting software provides a great place to store all information needed for billing legal matters, which can be complicated

Cons

the phone support is a group of tech-savvy guys, but they don't know anything about accounting, so they can't understand accounting issues

The software itself is functional - not great but functional. I found it to be a bit behind the times but it works well enough.

Cons

The company continually requires more and more money. They sold me their software as a one-time-buy scenario however about a year or two after buying the software I received repeated calls from a salesman explaining that systems were crashing and I had to buy the update to avoid losing all my data. I was talked into buying the update even though I had no issues because I was told that my system could crash and lose data without warning. I later found out from techs at the company that there was no such major catastrophy. The company did, to its credit, provide me with a year worth of technical assistance which I never needed. I did just call with a request to switch my program to a new computer and the rep refused to help or let me speak to a manager. They sent me an e-mail with instructions but refused to walk me through it or assist me in the process of the transfer.

I am in the process of finding a different database. I pay almost money per month for technical support. I have been waiting for a week for an answer back from them currently. When they did the update it converted all the date of births to 2000 .... so if you were born in 1995 it shows your date of birth 2095. They tried to tell me a year ago that my contract had expired and wanted me to sign another 5 year contract. I was willing to sign a 3 year and they refused. They continued to charge my credit card for their support after that date. Turns out I did have another year with them and my contract was not expiring. They are HORRIBLE!!!

Pros

It's a database. It does what it is supposed to do... when it is working. However, it is impossible to get technical service.

Cons

Technical support is non-existent. I have tried multiple times to get an answer to a simple problem, and have been told everything from I don't have a contract with them to it's not their problem. Instead of attempting to help, they smart off and are rude and ridiculous in their responses. My IT people were working with abacus to install an update. It did not work and abacus did not respond to calls or emails for a full week. Then after refusing to get off the phone until someone spoke to me, the guy said they just needed to do a couple things and would I like him to do it then. Thirty minutes later it was working. We spent an entire week without it because they simply would not respond to us. They kept saying someone else had our account but that person was always on the phone with another customer, Managers did not return my phone call either.

I first used abacus while at a former firm, and at the time it was basically a calendaring system. It evolved, and I began using it after opening my own office. I have watched it evolve, and there have been significant developments, year after year. It's simple to use and reliable.

Pros

Simple to use. Solid investment. Excellent customer service.

Cons

No in person training offered at site in San Diego.

After doing my research, I decided to get Abacus 2 years ago (not the cloud based). It has not worked out as I thought it would. I got it because you can do billing and have the client information/case management in one software; technically, it is 2 separate software that talks to one another.
The accounting part of the software crashes a lot, too. You may be working and have the time running and then it just decides that it doesn't want to run anymore and needs to restart. OK. Great.

To do billing, it takes me a long time. You have to push about 15 buttons before you can get the bill.

There have been multiple accounting issues that I have to deal with. It has miscalculated some amounts and I caught it because I pay close attention to my client's trust funds and what they owe the firm.

The learning curve is HUGEEEE. It is a pain to learn and 1980s platform. Come On!!!

There are so many quirks about it that the developer doesn't think at all about the end user.

Customer service has been good overall. They don't always call me back when I have an issue or they call me when I can't talk to them. They are supposed to call back, and they never do. One time a customer service was essentially laughing at me, which is was nice. =(

Soon, I am going to stop using and try to go get another one, which I am not looking forward to but can't bother with abacus anymore

This was probably the worst decision I have made in my 38 year career. Our firm is still not operational and we've been working with them for six months. The main issue is that Abacus will not connect from San Diego to Colorado: the internet based program shuts down suddenly and your work is missing if you have not saved it on your server (outside of the Abacus program). This is a problem if you are on a deadline. When we brought that to Abacus attention, they blamed a third party connection. We had our IT guy call the third party but because we are not customers of the third party, they would not talk to us. So basically we are paying for a program that does not work AND Abacus wont fix it or even contact the third party with whom they contract for the connection. Furthermore, the migration of my billing program to Abacus billing was a nightmare as Abacus loaded the trust account into the operating account as a credit, i.e. zero in trust. Once they sorted that out, the billing program would not accept payments from clients. My bookkeeper was on the phone with Abacus techs for countless hours trying to work that out to no avail. Finally I sent them a certified letter terminating the contract for cause and guess what? Action! now I had ten technicians working on the multiple issues trying to get it all resolved. But that took time and my attorneys were required to spend literally hours on the phone with these guys. Billable hours lost, meant they did not get their bonuses this month, as well as the firm lost revenue. To make matters worse, the response from Abacus was that it was our fault because our attorneys were non responsive: a complete lie, unless you want to complain that sometimes our attorneys are in court handling actual client matters and cannot be on the phone with them while they are doing actual attorney work. Emails are still floating in cyberspace, not received. Printers don't work. etc etc. My choice is to litigate in another state -- completely untenable. Don't be stupid. Upgrade your server and stick with your current billing program.

Pros

Great sales pitch. If the program worked, it is a lawyers dream. It doesn't.

Cons

The program does not connect and shuts down. Then you cannot do anything. It does not operate.

Advice to Others

Save your money: put it into a server upgrade and keep your existing billing software.

The great thing about Abacus is that it completely takes the maintenance aspect out of maintaining all the software required to run a law practice. Abacus Cloud allows you to install all of the practice management software (we use Abacus Gold) in its cloud, along with MS Office, Adobe, and any other software that you would normally use. The cloud environment functions as a virtual private server, which is entirely maintained by Abacus, allowing both seamless storage and integration of all firm software and resources.

Abacus offers a comprehensive system including case management, financial accounting and cloud storage. I think you can choose either one of the components or all of them. I prefer having case management and financial accounting all in the same program and a cloud environment is a must for me. So I have all three with Abacus.

Likes Least

The component that is missing at this time is a client private portal. Would be great to post client records there as opposed to having to mail everything to them. The cloud based component also intermittently goes offline depending upon the quality of one's internet connection. And, the cloud interface with Outlook and Word has a few minor glitches wherein Outlook does not always respond quickly when adding attachments to e-mails. The quick fix is to end the task one is working on through task master and start over.
Lastly, the forms base is relatively small. That is probably due to my inexperience with macro forms development. In any case, I have not yet used their forms much.

Recommendations

Take a look at other practice management programs and compare before purchasing. The American Bar Association has a helpful software comparison chart on its website

The seamless links between matter and name, the reporting functions, and the search functions are excellent for the price. The tech support for both AbacusLaw and the cloud service (APC) are excellent, at ANY price. the integration with Office, and the addition of other programs like Adobe Acrobat and Quickbooks make this a no-brainer.

I'd like a little more attention to suggested new features or capabilities I come up with.

Recommendations

Don't waste your time. This is the software that will exceed your needs. Unless your firm has hundreds of attorneys, there is nothing this program can't accomplish for you. Frankly, unless you completely customize a Salesforce or SAP-type product, you can’t get a more comprehensive package for your firm.

The software takes SO MUCH time - I realized how time consuming this software is on the very first day! I immediately called the company and tried to terminate the contract. The software was NOT what abacus represented. Of course, they refused to cancel the contract. They said they would keep billing me. The guy i spoke to told me he did not have the authority to cancel it. HORRIBLE HORRIBLE EXPERIENCE. Save yourself a headache and money! Now I pay for software I DO NOT USE. Also, the sales person lied to me I had to pay for "training hours." They charged me for training, which I never used. I told them this software is NOT working for me. I wanted to cancel the software on the very first day when I purchased it. Again, they refused and told me I would be billed for 3 YEARS - PAYING 3 YEARS FOR SOMETHING I NEVER USED. This company made misrepresentations about its software and now wants to profit from its own wrongdoing!

Pros

Integration with calendar is good; can click on calendar events to bill them. Ease of integration is generally good.

Cons

It takes TOO MANY KEYSTROKES to bill a time tix, time tix window is not easily navigable, offers little flexibility in billing, need a separate "time tix" for each matter billed, cannot use case name (vs billing number) to bill (other programs allow billing by either name or number).
Need a way to check calendar events for the month to identify those not billed.

I can practice without a secretary.

Pros

Ease of access of court, client, and opposing counsel information, as well as calendar and diary reminders (critical for a one-horse show such as mine). Plus, the customer support branch is the best I have ever encountered for any kind of software, ever.

Cons

Too many features that are not important to me and get in the way. It is sometimes difficult to get to the task I want to perform without having to navigate around features that are unnecessary to my small practice.

I am a very effective in my billing using this software.

Pros

When using Abacus to manage cases, the process is as simple as doing the client work, then billing the time, and finally creating an event to either follow up on what was done, to perform an additional task, or to appear in court on a specific date. I can then move from client to client, not have to remember anything because I will always know the exact status of each client's matter. And if a client calls, I don't have to pull a file to update them on the status of their matter.

Cons

With the most recent version we have had an unusual number of things that are not working the same way they worked prior to the update. While the support staff seems capable, they are on the West Coast and I am on the East Coast, so I end up staying at the end of the day to resolve issues.

I like the ability to learn about the software at my own pace and being able to use a variety of methods to get the information.

Cons

The amount of time it can take me to make changes. I have had formatting issues that were discussed in the videos and had a lot of difficulty setting up the same new formats in my own program.

Designed for lawyers, easy to use, and powerful. The calendar coordinates well with my Outlook and mobile device.

Cons

The accounting side is rigid, which can be frustrating, but the rigidity also helps avoid errors. Generally the system is well balanced.

Abacus has everything we need for our daily functions and makes basic accounting easy. We can access our client's many different ways (i.e.: name, matter, ID). I love the way the top bar is set up. The icons are used daily. I can print out reports for the partner within seconds. Easy transfer of funds from one client to another.

Cons

Sometimes when updates are made, there are problems with the monthly billing and client payments. After inputting the time tickets, sometimes the program freezes up and we need to shut down the system a couple of times and even need to call customer services for help. Also, when printing the invoices, even though I put them in alpha order, when they print out, they print out numerically or even one time recently just printed out (255 bills) in no methodical way. The same thing happens when inputting client payments. Instead of allowing me to input what I want to input, if I mark an invoice or invoices.

This software allows me to run my small law firm without having to hire full time assistants and automates about 80% of my administrative tasks.

Pros

1. Affordable: Having purchased similar software years ago and having paid an amount for it, I knew that the cost of a new firm management software that handled both front office and back office matters was going to be a major obstacle for me. Particularly if I wanted the software to be resident on my computer as opposed to web-based. But, with the monthly payment plan that Abacuslaw offers, it was very easy to sign up.
2. Complete management solution. There are very few programs around that offer both a full management software and a full accounting software to attorneys. Most of the software out there offers a billing component, but not a full accounting solution. With Abacuslaw, I can have both for the same price. I don't have to have another accounting software like QuickBooks pro to handle the accounting of my office.
3. The software is very easy to use. Most of the time, I can figure things out by myself without much training. But, to the extent I need training, I can find videos on YouTube or worst case scenario, I can sign up for their affordable one on one instructions.
4. Really good support staff: My questions or problems are usually answered and resolved on the same call into the office. Very responsive and knowledgeable support staff and extremely cooperative and helpful.
5. I've done lots of research. Not too many companies with the same level of service and features for the same price. Highly recommend it.

Cons

1. Glitches. While support staff is very responsive, the number of glitches is at times distracting. I would say that I average about maybe one glitch every three months or so. But it is dealt with very soon.
2. Data migration: The only major problem I had with Abacus law was their data migration. I was migrating from Amicus online and they could not transfer my data. Finally, the only thing they were able to migrate was my case information. I had to reenter my financial data myself. My suggestion is to make sure that they understand what format you are migrating from and get a firm commitment from them that they can handle the migration without problems.
In the end, though, the drawbacks are so small, compared to the benefits that the minor complaints I have don't even register.

Being able to pull the necessary documents quickly, efficiently for each client. Like having another assistant in the office with you.

Pros

Remote capabilities, secure file storage, ease of file retrieval, customizing feature set.

The software is easy to navigate once you get the hang of it. Custom additions are easy to make to on the fly. The security of the cloud is important and with the scanning of files, all your documents are safe and retrievable from anywhere with remote access. Staying on top of important matters and being able to pull down documents and forward them, can put your office at ease.

Cons

Integration with other media for Mircosoft, Outlook, email integration doesn't seems to work very well. Work on the integration piece.

peace of mind with the rules based option

Pros

I love that a can either print a report based on certain dates or certain cases and that I can name or rename certain fields. I also like that all of the county rules are updated automatically. When you are busy like I am -- so often forget until it's too late

Cons

My least favorite thing about the cloud based option is that I have to constantly change screens. I will remedy that with installing another monitor side-by-side so that I can keep Abacus open in the case that I'm working in while working on another document at the same time.

For sure tech support and more advanced features. WE do not need a lot of the features but comforting knowing we can add some features later.

Pros

Very user friendly and great feature to be able to customize the software to our needs. I like the way the date calculator works.

Cons

I wish it was displayed like Amicus as files. That was very clear and client files stood out more.

I've used it since it was first developed. I've never blown a deadline, or lost client info. Can't recommend it enough.

Pros

I've learned how to craft my queries and the flexibility that allows in the flow of my case management is awesome.

Cons

Hard to say, but if anything, I'd like improvements to the functionality of the mobile versions only

The particularly am benefited with the billing diary and the ticket review.

Pros

I like the way it captures billing in several venues and how it links names to matters. Opening of new cases are very easy.

Cons

I like everything about the software. I do not like the issues which arise with MS Word and Outlook in Office 365. Also that the software tends to freeze up a lot.

Easy to use, and great functions. Love all the report options and billing is a breeze. The overall look is great also.

Cons

Sometimes takes a little time for a call back from tech support. I hardly ever call, but when I do, it is usually needing a rather quick fix and I hate to wait!

I really like the integration between case management and accounting software as well as the ability to coordinate the calendar with Microsoft Outlook.

Cons

Statute of limitations dates in personal injury forms cannot be locked or secured to prevent accidental or potentially malicious changes by any employee. I have requested a change in this regard but I have not yet seen it implemented. I also wish our private cloud software had a more automated update option.

The most beneficial part of Abacus was being able to customize our program to match our specific practice areas.

Pros

Having a case management software that can be customized to how we run our practice is important. Abacus allows us to implement our ways of doing things into our software. It's very convenient and has made our jobs much more efficient.

Cons

The cross over from our old software to this new software was a bit of a hassle, but the Abacus staff was there to provide us with support every step of the way.
