This is truly an enterprise level of project management tool. The feature sets covers the whole life cycle of the project management, from roles responsibility, planning, scheduling to task level management. The user interface is rich and easy to use once you are used to it. The collaboration functions are nicely designed and works very well.

The price is quite higher than other project management tools. The learning curve is bit steep if you want to use it efficiently.

Recommendations

Start with the trial and get familiar with the UI. Use the more advanced features, like APIs, only after you have a good understanding of how the system works.

Logging hours is not painful, there are several choices to input them.
The collaboration features are very good: comments, sharing if documents, approvals...
Work requests via assignments are clear and provide accountability.
Integrated document proofing and versioning is a must for any creative department and this one works really well.

Reporting is a bit limited; while basic reporting is completely fulfilled and you can present the information in clear graphs, when you try to create complex relations (historic vs forecast, capacity vs demand) things get more complicated, there are limitations and you need workarounds to obtain the desired (or closest to the desired) information.
Sharing of information is cumbersome; although you can send automatic reports by email, it's difficult to distribute more elaborated pieces of information.
Resource management is limited; there are tools in the system, but they are not intuitive and are a legacy of previous versions of the system.
Learning curve is steep, it doesn't take much time to get familiarised with the common request-collaborate actions (which most of the users will do), but it needs much time and training to carry out actual project management processes within the system.

Recommendations

Working in an in-house marketing department, we have been using Workfront for three years to manage our projects and operations. We need overall visibility on all the activities of our department, plus a powerful collaboration platform.
Our main aim using Workfront is to manage the capacity vs workload of our department and to be able to forecast the demand.
Workfront is fulfilling our basic needs, but we feel that there is a lack of ability to create clear dashboards or to have a better visibility of critical tasks between multiple projects at the same time (which happens when several campaigns overlap).
There are other points to improve, as specified in the what I like least section, but it seems that folks at Workfront are committed to improve those areas and correct the product weaknesses.

Workfront offers one solution that caters for nearly any issue you want to tackle in your organisation. Ranging from the basics of project management, issue tracking, change requests, process alignment, program management, ... . Looking for something that's not available in Workfront would be a hard nut to crack.
We've been using the Workfront for a couple of years now and the product keeps adapting features requested by the user community as well as upgrading their existing features continuously.

I would have said the way permissions are handled. However a couple of months back with the new release this small point was resolved as well with a new and far easier way to set things up and have the project owners / users handle access on their projects in an easy, non admin intensive way. So I guess I just turned the thing I liked least into a plus as well.

Recommendations

Start with the basics when evaluating the product and add/integrate features in your processes as you need them. Contact Workfront as soon as you're even thinking on exploring the options. You'll be able to play around in a sandbox environment in no time and the system is pretty much self-explanatory.

It is easy to learn the basics and simple to use. The interface is clean and works very well in any setting. The customization of reports and views are key differentiators as well as they have some amazing people who are genuine and want the best for you.

1) The amount of information and customization can be overwhelming if your foundation is not well established.
2) The agile storyboard and process lack intuitiveness and can be difficult for a new user, however I have been assured this will be changed.

Recommendations

Since there are an enormous amount of options with this solution, it is important to know your requirements and processes. Once done then stick with a foundation and add additional functionalities afterwards.

The vendor provide clear focussed definition sessions, shaping the solution and the business requirements, but where they excel is their quick delivery approach, spinning up your environment quickly, and a 2 to 3 week consultancy later your up and running.

The product is flexible, and becoming more flexible by the release, tailor to your specifics but utilising standard functionality which is user friendly and easy to use.

They could probably provide some more advanced tutorials into supporting resource planning, and portfilios but the initial training provided through their sites are good.

Recommendations

Have a look at it and see for yourself. But it is a quick solution to some basic problems in the office. It will also support a staged implementation of functionality, which works well for companies slow to change.

This product has fantastic reporting, customization and is easy to pick up quickly. The education and support are also fantastic! I typically get an immediate response whenever I have an issue which is rare! The education and training portion of Workfront helps get people up to speed on the tool quickly. Trainers will address any ongoing pain-points that may come up that are relevant to how your group uses the tool.

Talk to as many others as you can find who use the tool to get their candid feedback.

I do get a lot of email alerts and its hard to keep track of all of them. I wish there was a way we could flag important action needed emails.

Take the time to train your team so everyone is on the same page. This tool can really help out the communication with your team when used properly.

Reporting is not suited to our needs particularly where multiple assignees to one task. It is difficult to project properly without this type of reporting being available and broken down by assignee.

Recommendations

I think you need to understand the system properly BEFORE you start using it. You need to understand what it is capable of doing so you know how to set up a project and understand it's capabilities.

I absolutely love the user interface and the ability to customize layouts to display exactly the information my users need to get their work done efficiently. Allowing field editing inside views and dashboards is pure genius. Creating custom forms is easy and gives me the flexibility to collect all of the information needed for tasks, issues, projects, requests, etc., and the ability to update these as my company evolves. Reporting is very powerful and we are now using charts and graphs to quickly identify projects and tasks that need attention.

Customer support and other services like training, webinars, consulting, user forums, etc. are all top rate. LEAP 2015 was truly impressive and I highly recommend attending LEAP 2016 (I know I'm looking forward to it!)

Nothing major comes to mind. There were a few UI-related features that I felt were missing, but the most important ones (to me) have been addressed. Occasionally there are some minor bugs after a software upgrade, but they are always fixed very quickly.

Recommendations

Ensure you have someone who has the time to learn the system and administer it properly. The software is very configurable and spending some time optimizing it for your business processes will increase adoption and value. The software is great, but it's important that everyone uses it properly, which means a good understanding of requirements, use cases, etc. should be made before implementation.

A great end-to-end solution which is very customisable. We have created a workflow that goes from initial client request, through scoping, costing, delivery and post-project reporting on customised metrics.

It is a US-based company, and being in the UK, access can sometimes be a bit slow, though European located servers should be up and running soon which should help.

It is not perfect, but it is the most fully-featured, easy-to-use and customisable work management software that I have used. Take it for a test-drive, I highly recommend it :)

I don't like that there are some things so hard-coded in the product that we can't turn the feature off. Example: commit dates.

Recommendations

Don't limit yourself to getting a system that solves your immediate product needs... think through how the product can grow with you. We initially bought the software for one team to use, and now we've almost got 5 other teams working with us in the software.

Recommendations

Buy it. Workfront is far better than Function Point or Basecamp. I've used both of those and am a complete convert now that I've used workfront.

To be honest, I really don't have any complaints. As with any new product, there's always a big learning curve. Most things with Workfront are pretty self-explanatory. I dig have to dig around or ask our traffic manager for some assistance on a few things.

Recommendations

Ask around first. Then take Workfront for a trial run. After a week, you know you'll have a winner.

I did a lot of research and had a lengthy list of needs and wants for a creative trafficking software- WorkFront was the solution that met most of our needs. Their online proofing is top notch, they allow unlimited users, and for setup, you're given a consultant who helps with the nightmare of installing and implementing brand new technology.

There are a few things about the system that can't be custom tailored to our needs that would be really nice to change, but that's how it goes for any non-proprietary, off-the-shelf software. Particularly the automatic assigning of due dates for submitted issues. Also, the automatic numbering system needs work. We started in the 1000s back in June, and in less than 4 months, we're already to 5 digit numbers when we haven't even completed a thousand jobs in that time. Within 6 months, I'm worried we'll be at 6 digit numbers for cataloging requests. Who knows where we'll be in a year. The coding for that needs work sooner, rather than later.

Recommendations

Make a list of functionalities you need, functionalities you'd like, and functionalities you might want in the future. If you're a nerd like me, make a spreadsheet and use this to determine which software is the best fit for your company.

Workfront is very intuitive and it's relatively easy to learn the basic functionality. It takes some time, but you can set-up the system with customizable views/settings and create custom reports to make it better meet your needs (which is important considering the 'vital' information on a project can vary by role). Overall, the system does its job.

There are some fundamental issues that Workfront is aware of yet seems to be slow to address. You can easily work around these issues (like manually updating dates) but it can be tedious as it requires extra time and attention from Project Managers (not ideal considering a workflow system is supposed to make things more efficient).

Recommendations

When evaluating your options, be sure to think about your specific needs and overall goal or functions you'd like to achieve. Come prepared and ask lots of questions. It can be easy to get wrapped up in the variety of bells and whistles, but if the system doesn't meet your basic needs on a functional level, you're not going to be happy in the long run.

The product is very easy to use and most of tools provided are easily used or ignored if your companies processes and workflows don't need them. The Workfront consultants we've worked with so far have been great. They're all accommodating and want us to be successful. And the resources we can look at on our own without needing to talk to someone are also pretty great. The videos or schedule training sessions are helpful in giving high-level overviews of the software and how things work. The company also pushes upgrades to the software on a regular basis. I've seen several great improvements come across that tweak how easy it is to do things in the system.

Lot's of small nit-picky things. There are bugs here and there but they've been pretty minor and solved by the Workfront teams pretty quickly. The help articles are less helpful as they're fairly generic and don't specifically describe what fields will do/won't do. A lot of that has come through trial an error. Example, there's a required field for Group when you set up a project in the system. The Help Article alludes to this helping share access to the project with that group. Come to find out, this field doesn't do anything at all. The tool has just been upgraded and improved a couple times and the help articles aren't up-to-date to tell you any of that.

Recommendations

Workfront is definitely not going to be the cheapest solution for you. However, of the 25+ different vendors we looked through in 2013, this was the best choice for adoption across the agency. That was more important than getting a cheaper product that would require more training and support time. Definitely evaluate other products and see which ones provide you the tools you need and will be adoptable across your company.

The best thing about workfront is all the levels of customization you can implement whether it be through the website writing reports and creating dashboards for different groups of employees or using the api to connect with our DB and connect multiple levels of our company at once.

The last year or so there have been many performance issues and sometimes it feels like new changes that havebeen previously tested have unexpected changes to your current reports or layouts.

Recommendations

To evaluate of many employees you have and if this is necessary, our company has been downsizing over the last few years and this software if wonderful but as we get to become a smaller group it may not be entirely necessary to have such an extensive product.
