Vincere is an all-in-one, cloud-based recruitment platform that aims to benefit recruitment agencies of all sizes. Vincere presents its client and customer workflow in pipeline form to facilitate the monitoring of relationship management and applicant tracking processes.

The Client Pipeline helps users obtain jobs and turn prospect companies and contacts into clients. The Candidate Pipeline allows users to manage candidates in any given stage of the recruitment process, from shortlisting candidates to placement and invoicing.

Additional features include advanced search capabilities, email integration, instant data importing and analytic dashboards. Vincere allows users to conduct contextual, table and text searches. Gmail, Microsoft Exchange and Office 365 work with Vincere’s plugins.

Vincere can be purchased by businesses at a per user per month rate. Users can also get online support or even one-on-one training sessions with dedicated account managers.

Pros

I have tried many CRMs like Avature, Zoho, Salesforce, etc. However I find Vincere more holistic and applicable to our business needs. I like that it’s a 2-in-1 system - a CRM & ATS.The Search function is also the best of all other ATS I have used.

The system is also quite flexible and we can configure it to suit our needs instead of us having to adapt to it. You can customize fields on candidate profiles and it can be fully searchable. In fact, almost everything, is searchable within Vincere - this to me, makes it an excellent ATS.

The Auto Triggers saves me a lot of time. It basically captures your activities and connects up to your client company, contacts, jobs and candidates automatically, which means no more manual updates! If I were to create an ATS/CRM it would look exactly like Vincere.

Pros

Support is also great, very responsive support team.

Cons

It would be even better if we can fully customize the chevron or statuses to be more specific for our business. I would also like to see more detailed trainings especially on customizing back end features like, formatting resumes, candidate sources, etc.

We were previously using Jazz but Jazz was more of an ATS and advertising/job posting isn’t a good sourcing method for us. Since most of our roles are work from home, we have to fight for the work from home space. There a lot of business opportunities but due to the stereotypes that exist about work from home jobs like ‘businesses’ that aren't really business, candidates we speak to are generally apprehensive so quality candidates generally ignore the work from home model. We do get referrals from our current workers - they recommend their friends and family but what we really need is to get through the noise about work-from-home - not so much on job posting. Our best investment is in active sourcing so we what we needed was a better CRM - calling people, keeping them warm, building relationships. Glad we found Vincere.

I had an absolutely nightmare trying to find something that I can actually use. We were originally using Salesforce to manage candidates. I also used Jobscience, I tried to adapt myself to the system but no matter how I tried, I still didn’t like it. It just wasn’t what I needed. For the amount of time that I will spending inside a system, I have to be able to like the look of it and not get confused. One more other thing I found was that the functionality of Salesforce wasn’t what I wanted. There was just too much inside Salesforce, and it wasn’t built for recruiters.

Also, I wanted to go with Bullhorn but I couldn’t even get a chance to use the system. They gave me a run through which looked good so I was thinking of using them. It seemed OK but I told them I wasn’t ready to commit yet due to my travel schedules. I signed the contract eventually saying that I would only would like to start using it next year. I also didn’t have any training on how to use the system - it’s not like Vincere where you can actually go in and take a test-drive. I have not had any time to use the system at all and I got nothing, no access - nothing from Bullhorn and they started chasing me for payments. They wanted me to pay for the month I signed up for, cancel the account and then sign another contract...it shook me, so I started looking for something else and then I found Vincere.

Pros

What I really do like about Vincere is your support. I can just send a really quick email and get a response. When I signed up for Vincere,it didn’t support the currency I needed (Nigerian Neiro) & so then I just sent a quick email, and then within a couple of days, it was in there. All the other different functionalities that I asked for was also taken into account and added to the product release roadmap. The product works well for me and when you have that kind of support, that’s a really good thing.

I particularly like how quick and easy it is for me to add a candidate. Basically the whole seamlessness of everything - that’s what I really like. I don’t believe I have used all of Vincere’s functionality but from what i’ve seen so far, it works for me.

Cons

Vincere is configurable but not fully customisable - this is especially so on the candidate profile view. There’s a lot of fields that are not relevant for me right now (e.g kana for Japanese names). I don’t need to see that - I’d like that to be hidden. I'd also prefer if I could rearrange custom fields and put it on a different tab instead of it's own 'Custom Field' tab.

Email Parsing: Vincere is able to parse documents but not the email itself.

Recruitment is a process-driven business. To help your consultants, you need to have visibility of the what’s happening in the process and visibility into the database. Vincere gives my team a very good overview of what’s happening to all the jobs and candidates at any one time. To have a CRM system that supports my business process, and to have that data captured systematically is crucial for us. A lot of the software I’ve tried are great databases that allows you to store, search and access CVs very easily, but I didn’t like how the CRM module worked in those systems.

Pros

You can just tell that Vincere is designed by ex-recruiters. You get a great combination of the true elements you really need for recruiting: visibility, process-focused and a good database. A close competitor to Vincere is Bullhorn, but when I first tried Bullhorn, I thought it was just trying to do too much. Over the years, Vincere has brought in a lot of improvements which I think are fantastic.

Cons

The task feature is good but a couple more tweaks to tighten it up would make Vincere perfect. I'm seeing a lot of improvements and I hope that Vincere will continue to enhance its CRM module, not just database functionalities.

Advice to Others

One more thing about Vincere is that I appreciate how hands-on the management team is and how they much they value customer feedback. As owner of a recruitment business, I like that I can grow with a tech company that is doing things a little differently.

I am based in the UK, working for a global executive search firm. We are using Vincere across the entire company as our CRM/ATS. You can tell that the business is growing really fast because there are updates every few months.

Pros

Talent pools- a nice bit of functionality that I am really enjoying inside Vincere. It's quick and easy to tag candidates into the appropriate talent pool, a nice way to manage things.
The team at Vincere have been very responsive. The CEO is very hands on with the product and the team there are willing to take on new ideas and act on feedback quickly.

Cons

Some of the functionality in Vincere might make sense for a high-volume continegncy recruitment or temp staffing firm, but it doesn't really make sense for an exec search firm like ours. I'd like the option to hide these features completely from view, which, at present, I cannot do. We've told Vincere about this and, to their credit, it looks like we'll be able to hide these in future.

Advice to Others

This is a good system that is evolving fast. Certainly does the job for our business, give them a try.

I run a recruitment firm team of 6. We are growing fast and need a CRM to support that growth. Vincere is the only CRM that I’ve used (and I've used a few in my career) which really works the way recruiters do. It’s easy to use, intelligent and analytical.

Pros

Definitely the fact that it improves efficiencies. It focuses on what needs to get done, no mess, no time wasted. If I had to a put a number to it- I’d say Vincere has helped us save up to 40% of our time and is 30% more efficient than other recruitment systems I have tried.

Cons

None so far. Literally, only good things to say at this stage.

Advice to Others

This is groundbreaking stuff for the recruitment community. You should have a look, speak to them, get involved in the webinars. Their team are extremely responsive- they even added my currency- Mongolian tögrög- at my personal request...it's touches like that that make the difference. Brilliant service and product that delivers tangible business results.

I’ve been in recruitment since the 1990’s working both as an agency recruiter and at in-house companies so I’ve used many different ones including the big names. All too often you use these systems, they work perfectly well, but the overall process is still overly clunky and a chore to populate data. Vincere is clearly developed with the recruiter in mind. The structure and process flow works really well and there are plenty of features that enhance a recruiter’s ability to deliver a great service to all and maintain the right level of communication with candidates and clients. I like that the workflow exactly matches how recruiters work - well, at least for me and my business, and that is the most important thing.

Pros

I used the data import tool extensively for the first time yesterday and was able to add about 4000 records in less than 1 minute with no hiccups - that’s really really good. Like really good.
I also appreciate the function which allows me to parse people’s linkedin profile - so quick and easy. The support articles and help videos are useful; it’s got just the right level of instruction to help you get going and get the job done. That said, I’m sure there will be many other features as I explore and continue to use the system.

Cons

I think two key things have posed problems when it comes using recruitment systems; firstly, the implementation has to be handled properly. I’ve seen instances where the set up and training of a new system has been left down the list of priorities or not been given enough resource – starting badly isn’t a wise move.
Next, too many recruitment CRMs haven’t got the right feel and flow; whilst they’re impressive pieces of software they don’t reflect the way a recruiter operates and end up becoming a chore which then affects user adoption.
Vincere completely avoids these 2 scenarios. Getting started has been easy and the whole flow of the system feels very natural to me as a recruiter.

Advice to Others

I have no doubt in recommending that you give Vincere a try. I feel like I've stumbled on a really well kept secret- their profile in the UK is still quite low so I feel like I'm ahead of the game!

I’m based in New York and I'd class myself as a fairly seasoned user of quite a few CRMs in my time, including TargetRecruit and, more recently, JobVite.
I like the visual pipeline that Vincere gives you- it’s different but I like it.

Pros

The Outlook integration is a nice value-add.
In app training is helpful too, I found the webinar sessions so helpful.
Obviously, pricing is a big advantage too.

Cons

None so far, although we are quite new customers so ask me in 1 year!

Advice to Others

We are a small but growing boutique recruitment firm based in the Greater New York area. We’ve collectively used a few different systems in our time, Bullhorn being one, so we had a good idea of what we need in a CRM.

Pros

Good customer service. We've had Eloise be very proactive at helping us get up and operational. For example, we had a few questions specifcally around getting our email synced with Vincere: my account synced fully straight away but my partner's needed some tweaking. We let the team at Vincere know about this and they were on to it straight away.
Data import function: what a handy tool to get bulk data into the system without incurring any additional costs.

Cons

So far so good. We are new users and just in the early days of onboarding everyone fully but we're impressed so far.

Advice to Others

This is a pretty low risk solution compared to other options on the market. They offer a free trial for 7 days so you get to actually see what you're getting into! Plus, they offer month--to-month billing if you prefer to take that before committing to an annual plan (we signed up for annual right out of the gate as we'd fully explored the platform during our trial)

-Responsive customer service. The team have been proactive at helping us get up and running. We had a few hiccups getting our email sorted. We let the team at Vincere know about this and they managed to get things fixed quickly.
-We also like the data import function: it took a bit of wrangling but proved to be a good way of getting our existing data into Vincere in bulk and at no additional cost.


Cons

It’s early days but so far no issues. We’re looking forward to a long relationship with Vincere as our tech partner.

Advice to Others

A big plus is that you can try Vincere on a trial period with no financial commitment. It’s a great way to really asses the platform before committing to it.

We came over from Bullhorn to start using Vincere about 6 months ago. The data migration was something we dreaded but, now we are over the transition stage and are actually using Vincere as a team we are glad we made the decision to switch.
I like that we can co-own jobs as well as the visuals which identify how the jobs and candidates have progressed. I am also impressed that the team at Vincere are always available to help and guide users whenever they require assistance.
Also, we are on the Vincere monthly licence plan. Ideally we’d like the ability to have a core team of users on the annual plan with the option to add in monthly users as and when we need them. We are cost conscious so this would be the ideal way of getting maximum value- but we are already saving significantly compared to what we were paying with our previous provider so this is a definite ‘nice to have’.

Certain small things like the chronological reordering of employment history when a candidate record is updated, this could be tweaked to improve.

I like the pipeline process at the top of the screen, it makes it easy to track where I am with business development as well as in placing candidates. The integrated email and LinkedIn features are also extremely useful, allowing us to keep tabs on the situations and stand in for the team without needing to do an extensive handover.

Recommendations

The resume formatting tool: we'd like more sophistication around this. Functionality is decent but is limited right now. Apparently this is being improved in their October release so I am looking forward to seeing that.
-Will be interesting to see also more integrated solutions with external software providers (e.g. Text Kernel) which could provide us a stronger platform as a whole in one space.

The big thing for me is ease-of-use. Too many systems are over-engineered, it’s like they try to do too much. Vincere does everything they do but it seems to flow so much more organically.

I like the process flow of the Vincere pipelines which help keep me focussed on what I need to do to bring in new business. The CRM pipeline is genius for me. I’m starting my business from scratch so it’s critical I have an accurate heads-up display of what I need to do to bring new business in but also to get the most out of existing accounts.

-One feature that I love is that I can easily flip Clients into a Candidate. I firmly believe that your Clients should ultimately become your Candidates….and if they’re not, you’re doing something wrong. Vincere totally gets the Client > Recruiter > Candidate dynamic. I can easily flip a Client record into a Candidate record. You’d be surprised how many ‘recruitment CRMs’ systems get this simple workflow so wrong.

Nothing yet, I'm a new'ish user. Hoping they don;t go sown the path of making the interface too busy and making the product do too much...this is an issue I see with a lot of the recruitment CRMs on the market right now.

Recommendations

I've used quite a few of the big names recruitment vendors over the course of my career: Bullhorn (on two separate occasions, most recently 2015), Bond, plus in-house systems. So when it came to choosing which CRM to go with for my own business I knew that I had to make the right choice. I’m a small business, I lost sleep over choosing the right CRM. This decision is an important one and I took it seriously.

-My advice: Having the right CRM in place is absolutely vital to getting your recruitment business right. It’s much more than just a database or a list of names, it becomes the heartbeat of your business operations and infrastructure. It’s about giving you the ability to quickly add in notes- the names of your Clients kids, or the fact that they just got married or back from holiday- it’s about making those human interactions more frictionless. Having the quick comment boxes and auto-save functionality inside Vincere makes adding in and accessing vital information so easy, totally frictionless.

If you’re spending time worrying about your CRM or getting frustrated with it…then you’re not using the right software. Simple as that.

After assessing a number of options, we chose Vincere to be our systems partner when developing the domestic recruitment business. Vincere offered us a user-friendly Japanese interface and Boolean based search capabilities, which we felt were a distinct advantage they had over their competitors in this area.
Importantly, Vincere have continuously sought feedback in order to improve the product to more closely match our requirements; a key asset especially since our business needs are constantly evolving.

The in-app training is great in theory. However, when you’re managing a team it’s difficult to know how far consultants are along in completing the training videos and tutorials.
Regular upgrades are a generally a good thing but the downside is that there are often new features that, unless you complete the webinars or in-app help tips, you wind up missing.

Overall, we have been happy with our decision to choose Vincere and look forward to having a good working partnership with them into the future.

This is a very comprehensive product, lots of features to go at. I have worked in recruitment for 30 years so have seen a few systems in my time. One only needs to take the trial to see how packed with features Vincere is. The price is the real kicker.
What impresses me also is the support team. She exhibits a sense of urgency and good project management skills, and her team delivers to her words. In short, I am a happy customer.

I personally really enjoy the features around email functionality: my email is synced with my Vincere account and this means it is very quick to get candidates from my inbox into my pipeline. It also makes it quick and easy to parse documents directly into my account without having to first save them as an attachment or drag or drop anywhere.

I also like the fact that we see regular upgrades and releases. It shows that the product is evolving and that the team want to constantly move forward.

There are so many options to configure the system that it is probably overkill for what I need. That said, one thing I would like to customise is the view I see at log in. I mentioned this to Vincere and they are already working at improving this. The channels to give feedback are quite open, this is a good thing.

Great UI, very easy to use straight away. Good reporting and analytics component and I like the ability to download reports as Excel if I need to. Also, the search is super- very fast and easy to use.

Nothing, very good product at really good price. The only thing it lacks right now is the ability to do radius search but this is coming in September so all good.

Recommendations

Definitely check out Vincere if you want to get a CRM and and ATS on the one platform. I'd say this is the best choice for you if you want something that's easy to use but still has loads of features, especially reports.

Been using Vincere for about 18 months, we are very active on the ATS side of the platform and don't really touch the CRM portion.

I personally love the calendar and task management part of Vincere. It's really easy to set reminders and assign tasks to colleagues, for example reminders to contact a candidate after a designated time period. Before we missed so many opportunities to reconnect with candidates, things tend to slip through the net when things get busy. With Vincere I find that tracking candidates and making sure we communicate closely with them is so much easier.
It's also a very data-driven system which appeals to me: I can see exactly how many candidates are active or need action at each stage of the recruitment process.
Other big plus for us is that the product is dead simple to use. You can log in and start using it straight away without much fuss.

Recommendations

You want to go with a company who are continuing to invest in their technology, rather than one that just stays still. Our previous ATS stayed stuck in 2010 yet still increased their prices year-on-year! With Vincere we've seen lots of product updates and regular feature enhancements. We've seen the platform develop significantly since we signed on back in 2014. Great too to see our suggestions on how to improve the product actually be incorporated.
