Rubberstamp Software


 

Rubberstamp is a standalone, web-based Procurement system. It aims to help automate the entire procurement process for businesses in many different verticals, from pharmaceuticals to electronics to office supplies. It is compatible on many different platforms, including Windows, Mac, Android and iPhone/iPad. Users can access the system and work from anywhere, taking advantage of real-time updates. 

Reports can be run and exported quickly, and are secure – Rubberstamp relies on the same security infrastructure as most banks do. Team members accessing the system are first prompted to set up budgets, and invite their colleagues to review them. Next, any purchase orders can be submitted. The team managers are then notified and can approve the PO. Lastly, everyone who has collaborated on that budget can review and export any necessary reports. Rubberstamp offers a free 14-day trial, and can be set up in minutes.

The system has a clean interface, is user friendly, flexible, and does everything it promises for a good price. With that said my favorite feature is the IM Message feature between the Purchase Requestor and Approver for every individual PO. This is a HUGE time saver and a feature I have only seen on systems that were much more expenses.

I wish they had 2 or 3 training videos on YouTube and wish the system was a little more flexible in creating individual Approvers for budgets.

Recommendations

Don't be fooled by the small size of the company or it not being a Silicon Valley Company. Rubberstamp offers a "topshelf" product and excellent customer service.

It's incredibly easy to use and saves so much time. No more trekking around with bits of paper looking for signatures, each user has an authority level and requests are all made and approved electronically.

Likes Least

I haven't found a downside yet, the interface is great, simple for the most basic of users but resilient enough for professional use.

Recommendations

Have a look over a few sites that offer more of what you need and ask for a product demo, seeing the products in use made it a very easy decision for me to make.

Cons

Changing over to a new system can be tricky for some. Remembering how to log in/access the site process is different to our previous system.

Better control, easier access to the information, update information, control on budgets, tracking on each requirement (PO's and RFQ's),

Pros

The control that we have nowadays versus our old process and easy access to the info before it was too hard to get information about our purchases. Right now we can see information by the user, cell, department, account, vendor, etc.

Cons

Some bugs when we create items. At the moment to submit the PO the SW delete some information (prices, codes, etc)

I LOVE that we can comment on the Purchase Orders to communicate, rather than emailing. It's way easier to locate conversations!

Cons

I dislike that you cannot alter a PO once it has been approved. Many times we have to estimate prices and when the invoice comes in we can't change the amounts (or the budgets!).

A reliable paper trail that captures all relevant information necessary for our organization's important purchases.

Pros

It's intuitive. Pop down menus are perfect for our needs. Multiple users have access to the purchase request features. The confirmation replies sent to the requester gives real-time status reports.

Cons

At least for our server system, this software is not accessible through Microsoft Explorer. We can only access it through Google Chrome. This is a minor inconvenience.

Rubberstamp is really easy to use, and not one of our people struggles with it. The best feature is that you can use it anywhere because it is web based, which suits us down to the ground as many of our team travel & work in remote locations. The customer support is excellent, so when we find we need a new feature the Rubberstamp team usually sort us out very quickly.

Cons

Now that we have been using it a few years the data base has grown quite large and so we would like the reporting features to be enhanced, with more filters prior to data dump rather than sorting the spreadsheets afterwards.

The software is amazingly easy to use, and I can approve purchase orders that have been submitted without even opening the application on my computer - just by clicking a link in an email.

Cons

Purchase orders that need to be cancelled can still be approved, and can't be deleted by team members.

Rubberstamp is an excellent solution for managing PO's coming from multiple accounts. We are using this for a large international school which manages lots of different accounts and it really helps each account holder and the accounting department see budgets in real time. It also helped us cut down on a huge waste of paper by switching to this online solution.

We got Rubberstump to handle the approval process for a 150-employee sized company. We were looking for ease of use and fast implementation. Since the adoption of Rubberstamp we have been able to increase the control over purchase approvals (we have not overrun budget since then), we have eliminated bureaucratic forms that required physical signatures (and most times would be incomplete) and we have streamlined the approval process.
