Very Good Accounting Software for Small Businesses

It is a good business tool that helped me get a handle on mostly all of my expenses. It has a few buggy integrations which was frustrating. And I really disliked the non batch tagging system. Other than that, I have found it very useful and have used QB for the past 3 years for my taxes. I do not use it to file taxes any longer, as I now have an accountant and I prepare everything in QB first and then work with my accountant to file the taxes. Great for small businesses.

PROS

I like that QB is easy to use and that I can connect mostly all of my accounts to it. However, I was unable to connect my Home Depot credit card for some reason. I have used QB to prepare a profit and loss statement for my accountant. I have painstakingly used this software. I have used it almost on a daily basis, as it helps to give me a clear financial picture of my small business. I can't see myself managing my e-commerce business any other way, since I have many transactions.

CONS

The fact that I cannot group tag transactions. In a business like mine that has thousands of transactions throughout the year, the biggest gripe I have with QB is that I cannot batch select and change the tags. The tags are so important, especially if running multiple businesses, which I was. Since then, I have closed two of those businesses for the very reason that I cannot properly manage it all with one quickbooks account. I thought it would be easy to tag things, however, it truly sucks to have to go one by one. Also, I dislike the "rules" it auto creates because for any new transaction type, it pops up and really slowed me down when I was already having trouble with my tagging and categorizing.

QB is simply the most comprehensive and overall the easiest product to use to account for my small business. I didn't like the other options that I explored and felt that for the money, it was a good way to do all of my business and personal accounting.

Best Software QBs

I have been a QuickBooks user since 2005 and would not trade it. I am currently training to become QuickBooks Certified so that says alot. I love this software. Desktop and Online.

PROS

It is extremly user friendly, I like that if I make a mistake it will prompt me, that I can put my receipts, or pictures in as attachmetns. That I can email from the invoice section and that I can do an audit trail to find any and all mistakes prior to visiting with the CPA.

CONS

I don't like that changes are made to often and then you need to reset yourself.

I wanted to simplify my life. I needed a better tracking system as I am human and I am not perfect.

'Enterprise' Appellation Undeserved

The unfortunate fact is that a QB Company file can become corrupted at any time for numerous reasons, and once corrupted your primary option is to submit the file to the Intuit Data Recovery team, who inform you that their repair effort will take up to three (3) business days, during which time your business operations are effectively suspended. My advice is to consider carefully whether your business can recover from such a disruption before betting its future on QB as a business operations platform.

PROS

QuickBooks does a fine job with basic accounting functions, is relatively easy to use, and the report suite is more than adequate for small businesses.

CONS

QuickBooks Enterprise Manufacturing & Wholesale version simply does not work as advertised, as two examples among many will demonstrate. QB offers 'Advanced Pricing' functionality which enables the user to define and apply pricing rules across their client roster and inventory items list. These rules are intended to allow the QB user to apply a 60% across-the-board discount for clients Ajax and AAA, while clients Acme and Consolidated receive that same discount plus custom pricing on items X, Y, and Z. However, after the pricing rules have been applied and those clients are being billed, changing the invoice or ship date results in the deletion of the shipping cost line-item, and changes to the pricing of items on the invoice. Research with QB support revealed that Advanced Pricing suffers from a bug that was known to Intuit for at least 1 month prior to when I invoked the Advanced Pricing functionality, and a full month later Intuit has been unable to remedy the bug. After invoking the 'Advanced Inventory' feature-set, which automatically creates a drop-ship warehouse site, I learned that product being purchased from a supplier and shipped directly to our client was being removed by QB from the count of physical inventory resident on our premises. Intuit tech support rep's response was (paraphrased) "That doesn't seem right, but I don't know much about Advanced Inventory - you should call back tomorrow morning, as the day-shift staff have more tenure and are more knowledgeable".

Easy to Use and Excellent Information System

Excellent in terms of process and output. A bit expensive.

PROS

Setup not difficult and easy access on a day to day basis to keep track of all expenditures and income. Reports are excellent and easy to set up for your needs.

CONS

I dont like a subscription. Not practical for a business of our size and not necessary. I don't like having to log into intuit all the time either. I feel it's way too expensive for our needs, but probably fine for a larger organizations.

I looked at other Sage products as I was familiar but it was TOO EXPENSIVE!! Online subscription for QB also too expensive.

Great Invoicing product to use

Great and very convenient system to use for client invoicing and for generating reports.

PROS

I like the different views you can have within the system. How easy it is to convert to different types of templates with just one click of a button. How you you can modify reports to your liking is super convenient.

CONS

The lag time in switching between the menu items could use some help. There are times, I have to refresh or click another menu item for it to start working on my desktop

I have 14 clients and they all use QBE, I push the product, not because I know it ,but because it a great product. I do the set up of their accounting system and training. My experience has been great with this product.

PROS

As a accountant and working with my client the reports are very easy to explain and review with my clients.QBE,is bmvery detailed and easy to use and set up for my clients.

CONS

There are no cons from me. My client has not came to me with anything bad to say about the software.

The Small Business Software of Choice

Since using QuickBooks vs. batch processing software, the time I have saved doing my work is exponential.

PROS

What I like most about the software is: 1. The flexibility of it in that there are several different ways to do the same task. 2. The drill down feature in the reporting that allows you to drill down from any report to the source document and also make changes to that document in real time, and update that report in real time without re-running anything. 3. Real time updating of the software vs. batch processing. 4. Ease of use, easy to train employees, super easy and clean to fix mistakes. 5. Value for the money 6. Makes payroll processing very easy.

CONS

Cons: 1. If you are not using the enterprise version, customer service is not good. 2. If you let a person who doesn't know what they are doing use it, they can mess it up really bad, pretty quickly.

Since QuickBooks virtually owns the small business space in accounting software, there weren't really any other options.

I was using Sage 300 software for a small company, I didn't really need all of the extra features it had, and could not afford the yearly maintenance fees for the software.

QuickBooks Review

I used to provide support for this software in a tech company, I am accountant and IT, net frameworks is not a good idea to run this but other than that is good for small and medium sized business, good for the price, have in mind may take some resources if you will use in a portable device like a windows tablet.

PROS

It is good for people that runs a small business but does not know book keeping, if you do know book keeping or accounting, is not recommended as you know double crossing accounts and not being able to see that process gets on your nerves, you are better using something similar to sage or what used to be peach.

CONS

I did not like that uses Microsoft. Net framework to run, if framework brakes, you are and you need to clean install windows, you have to back up, format, install, set up and restore everything, also in have seen cases where they do not support software after just four years which really sucks as you have to buy the newest version.

More suitable for clients not familiar with book keeping running small businesses.

The only accounting software I'll use

Quickbooks has helped me be able to stay a solo-entrepreneur and not need to hire a bookkeeper, accountant or assistant because I'm able to save time and keep up with it by myself!

PROS

Quickbooks just makes it so dang easy to run my business. When I was starting out, I had NO idea how to manage my money, balance my books or split my business income from personal expenses. Quickbooks makes it simple to categorize, upload, split and balance my money. I have saved so much time on taxes and bookkeeping in the last four years. I truly don't know how I would have figured all this out without software like this.

CONS

I do wish that there was a built-in time tracker of some kind. I want to be able to send clients invoices based on time worked on a project and it would be really nice to have that built into the software itself without paying extra or using a third-party app.

Accounting Without a Financial Background

When I became the Executive Director at our home care agency, my list of responsibilities went from strictly operations (my background) to include every component of the company. Without any experience in accounting or finance I was somewhat nervous about being responsible for overseeing our finance division as well. QuickBooks is so user friendly, that with some basic training from our Financial Manager, and some time spent on YouTube, I was able to quickly gain an understanding of where our agency stood from a financial standpoint. The fact that I could understand this so quickly is a testament to how user-friendly QuickBooks truly is. I'm able to easily monitor where our company is with regards to Accounts Receivible, Accounts Payable, Payroll, and Profit and Loss. Our agency has grown significantly over the past few years, QuickBooks is one of the reasons that we've been able to scale up so easily. I highly recommend it for your business!

PROS

-I really like how easy it is to navigate the dashboard. I can quickly go in and find whatever I'm looking for at that time. -QuickBooks' ability to interface with Apps such as Expensify, that allow us to keep everything in one place is a great feature as well.

CONS

-We initially had a difficult time syncing it up with our bank account. We were able to eventually set it up, but it took some back and forth to figure it out.

Quickbooks Online Review

Overall QB Online helps me run my two business from anywhere, I can process any amount of suppliers bills, make payments, run reports etc etc ... from my armchair if I wanted to. The 3rd party apps that sync up are great , you need to be prepared to put in some leg work to understand how this all hooks up but once you have it all set up it works a dream. I reckon I save 1.5 admin salaries per year using QB Online and all the other apps Overall...its worth 10 times the cost

PROS

We have been using this web based software for around 5 years having used the desktop version for 10 years prior to that. The main advantage is easy access anywhere with no concerns on backing up your data. These alone are worth the very reasonable monthly costs. I chose QB online as its market share attracts a lot of 3rd party integration App developers which help me streamline our processes and save a stack of cash on administration costs

CONS

Some years ago the UK based support was non existent, over the last 3-5 years this has been massively improved with a UK based support team. Can be a bit laggy when the USA wake up, this can be overcome by using the desktop application that somehow sync's with the Web based platform. I've never tried this, but can see how others might

Comprehensive functionality, but obscures your books

QB is a solid accounting package used by many. My experience is that it is very stable and suitable for those at either end of the spectrum of needs and experience. Novices can just use each of the modules as is and ignore the extra functionality. The poweruser may need the many different features. However, if you are in the middle ground with a good understanding of bookkeeping, and want some flexibility in your entries, I find there are two many icons, menu choices, and options for each task I want to do. Example, printing a standard financial statement means selecting from 3-4 menu options, following by a dialog of options. Really I just want a date range and get the statement.

PROS

QB is rock solid, never had an issue (defect). It is comprehensive and has functionality for every operation and looks after a lot of 'behind the scenes' stuff such as tax reporting (automatically capturing your tax credits and customer charges)

CONS

The overall feature set makes it hard to see a clear picture of your books. Everything is done through a series of modules (sales, purchases) and it automates from there. A normal sequence is; Sales, then deposits, then bank reconciliation - works fine. However, if you have a deposit that is not from a sale the dance to make the entries seem obscure. Or if you pay for a purchase directly, you still have to enter a payable, then pay it in a separate step. Not big issues, but I use other accounting software that gives me much more flexibility without the double steps. (Note: in the example of the payable, you can do a direct journal entry, but then it does not show up in the supplier history for some reason.)

Good, not great. Getting better.

Currently, I use waveccounting.com but needed 1099 support and the ability to support and the ability to have an independent contractor account. As of now, this is not an option forcing me to do a lot of double entry. I started using QB online after reading the reviews and speaking with a customer service representative. She was excellent at answering my questions and making sure what I needed would be present in my account. Execution - This was far more frustrating than I anticipated. I have a background in programming so I am not on to give up on software easily. I found the controls set in place to help you often hinder you. I feel that I should have had a better set-up option to allow for more choice in what would be automated. All of my categories were changed upon importing. The automation routinely got it wrong despite it's ability to "learn" from past choices. Go Zen - What I have learned. You really need to start from scratch. Don't import until you have clicked every button and set-up the account in a way that is most efficient for your company. I am currently in the middle of my new set-up and I am beginning to see the benefits of QB and I feel it will be a more efficient choice going forward. One of the top reasons for choosing QB was their integrations. Specifically, Zapier. My brokerage runs on AI's and a lot of data automation. Adding the ability to add customers, invoice and payment follow up potentially saves me hours of work each week. IT also allows me to have my CRM talk to myI took the time to look at all the integrations available and it is an impressive collection that is growing. As of now, I would recommend this software but with a healthy dose of patience. With a better on boarding solution, I think a lot of the frustration for those of us in the middle of running a business and a need to get up and running quickly would help a great deal. Overall, it's a robust system. It has a lot of option for every type of business.

PROS

The ability to integrate it with my current apps via Zapier. 1099 creation is huge. Great for working with independent contractors. I really like that I have a phone app for updates on the go. I can do my accounting while on the subway.

CONS

A little confusing to get off the ground unless you have time to really sit with it. Would prefer better onboarding. More options to edit the statements and invoice look to better match my company and stand out.

Great Software

I just received this product, and I am furious for two reasons. 1) The outside of the package said that I had to scratch off a label to reveal the license number. My fingernail was not taking it off easily, so I continued to work at it, trying to peel it off. I finally was able to gently scratch off and reveal some of the numbers, but whatever adhesive they used on the label TOOK THE REST OF LICENSE NUMBER OFF WITH IT. You can't install it without a license number, so this rendered the disk unusable. Is it really necessary to make someone have to go through that? All they had to do was insert a regular scratch off surface on the package or inside the package, and there would be no compromise of security. This is just incompetent package design, period. 2) It gets worse!! After going through Phone Menu Hell trying to get a live Customer Service person (outsourced overseas) to speak to me, I was informed that this product will not upgrade my old data files from QB 2011 because Quickbooks only supports upgrades within 18 months after the old product is replaced with the next version. Assuming that is true....the ad presentation MUST MAKE THIS PLAIN AND CLEAR UP FRONT!!! I have looked and looked again, and NOWHERE does it say that this will not update old files. If it did say that, then I would not have bought this product, which obviously is of no use. According to QB Customer Service, I can have THEM install the program for $299 and they will convert the files. Now instead, I have wasted incredible amounts of time on a product that I cannot use...and now have to work out how to be refunded. So this is not so much a review of the software itself, but rather a warning to others who are upgrading from anything older then QB Pro 2014 that you may have a lot of difficulty retrieving your product code and you may not be able to convert your existing files to work with the new program. DO YOUR RESEARCH BEFORE YOU BUY!!! ]

It's been great because of the online aspect. I can work from any computer and even work remotely. I've connected to some great apps like "Business Importer" or "Billpay" where i can import data into the system and have taken full advantage of the bank synching feature.

PROS

We use Quickbooks Online and below are the pro's: 1. It's online and comes with cloud storage for attachments and other 2. Great admin management controls. Not super sophisticated but very useful indeed. 3. GREAT GREAT apps that work and synch with QBO 4. Bank synching that allows you to match expenses and income to the bank to help reconciliations go quicker

CONS

1. Limited reporting formats. It has several custom reports that you can customize but sometimes it does not have the option for specific reports you would like to see. For example P&L by transaction detail. 2. Customer support is limited, hard to get a hold of, and not the most helpful all the time. A lot of times they refer you to a link 3. Would be nice if you could also customize columns in the entry side of things with customs menus or dropdowns. You have the basic and essentials but would be nice if it was more customizable.

Industry Standard but wish it wasn't

PROS

It works with tracking US bank accounts really well. It integrates decently with so many different software systems that it almost makes it a no brainer for US based businesses to use this. It also enforces proper double-entry accounting practices that other "accounting" software packages frequently don't. However, if you aren't familiar with proper accounting, this is going to throw more at you than you might be ready for.

CONS

They are the industry standard and act like it. They sacrifice customer experience and service for their own convenience and advertisement. They are so large they don't care if they anger a small segment of their clients. The system is cumbersome, sometimes broken (their bank system stopped working for several weeks last year), and throws ads for other products in your face all the time.

Accounting made easy

I would recommend quickbooks to small to medium sized companies, as it can be a very useful tool.

PROS

Quickbooks makes it easy to look at everything you are doing financially, from sales to tax reports. It also helps me send files to my accountant, in a way I can continue working while he makes necessary corrections (usually aren't any needed)

CONS

The only thing I disliked about this software was the fact that it sometimes got the next check number wrong and I had to manually type in. Nevertheless this a small inconvenience.

New Lows in Customer Service

Quickbooks is really great piece of software. Intuit the parent company has unbelievably bad customer service.

PROS

Unfortunately, Quickbooks is unbeatable in its functionality.

CONS

Every time I am stuck dealing with intuit it is both frustrating and maddening. They are the top accounting software with no real competition, and they act like it. They make no effort to accommodate simple requests that would be easily taken care of and they provide no means to speaking to those who shut down reasonable requests. In fact, they are rude about it. I have been a QuickBooks user for over 25 years. If I could find a piece of software that was remotely as good, I would gladly go through the headache of switching. If you are a small business getting started I would stay away from all Intuit products.
