Quicken is a well-known personal money management software platform, operating for over 30 years. While QuickBooks Online manages small businesses’ finances in the cloud, Quicken products are used by individuals managing personal finances via on-premise, desktop software.

Quicken Home & Business is for the small business owner who wants to manage personal finances and business finances in one desktop application. Users can connect the software directly to personal and business accounts and categorize personal spending and business expenses accordingly.

Users can view financial reports, such as profit and loss statements, create and send invoices, manage expenses and keep track of IRS Schedule C tax deductions. Additionally, users can boost accessibility with the Quicken mobile app and sync data between their home computer and mobile iOS and Android devices.


Xero is a cloud-based accounting solution designed for small and growing businesses. Users can create invoices, pay bills, manage income and expenses and track sales and profitability.

The solution is sold in three packages with functionality growing more advanced as packages scale. The options include:

  • Starter: Create and send five invoices, pay five bills and reconcile 20 bank transactions.
  • Standard: Unlimited billing and invoicing capabilities, plus timesheets and payroll for five employees and the ability to create customizable purchase orders.
  • Premium: Includes all the features from Standard, plus payroll for up to 10 employees and the ability to create invoices and reconcile accounts for over 150 currencies.

Each plan includes unlimited users, file sharing and access for accountants and bookkeepers and various financial report options. Additionally, each version of Xero offers conversion services and data import directly from QuickBooks Online.

FreshBooks is another cloud-based accounting solution geared toward small business users. However, FreshBooks focuses on its users’ billing and invoicing needs and does not offer some of the more advanced functionality—such as core accounting and inventory management—found in QuickBooks Online.

FreshBooks is sold in four packages. Capabilities include:

  • Sprout: Unlimited invoices, expense management and time tracking. Users can bill up to five clients.
  • Seedling: Everything in Sprout, but users can bill up to 20 clients.
  • Evergreen: Everything in Sprout, but users can bill up to 200 clients.
  • Mighty Oak: Includes Sprout functionality, but users can bill an unlimited number of clients. They can also add staff, track team timesheets and monitor expenses and revenue by team member.

Every plan includes financial reporting, file sharing with accountant/bookkeepers and integrations with services such as Gusto and Basecamp.
