Overall my experience with Zoho Books was good. I mainly used it to manage and track company expenses, and the automatic bank connection saved me a lot of time. Being able to see transactions in AED and have expenses automatically pulled from the Wio company account made managing the finances much more convenient. I could keep track of all my business expenses in AED in one place. The bank connection with Wio was especially useful because it automatically tracked expenses from the company bank account so I didn't have to enter every transaction manually. It made it much easier to keep an eye on where the company money was being spent. #### Cons It can take a little time to understand all the features when you first start using it. It handles the daily grind like sending out invoices and matching up bank statements incredibly well. Plus, if you already use other Zoho apps like their CRM, everything connects perfectly right out of the box. They even have a free plan. I use it for making sure I am paying bills, getting the money I gave people. #### Cons Zoho puts strict caps on how many invoices and bills you can log each year, meaning you might be forced to upgrade to a pricier plan even if you don't need the extra features. No incentive was offered We tried it out for this year, as we were already paying for Zoho One but already 6 months in I can't wait to move sideways to a different system within the same cost bracket. Its made by people that have not had to use it as an accounts manager/financial controller, or worked in accounts practice. If the developers just tried out Xero and Quickbooks for a bit they would instantly see where theirs lack, but seeing comments in the forum some improvements just get ignored or shut down. #### Ratings breakdown - Ease of use: 3/5 - Value for money: 2/5 - Customer support: 1/5 - Functionality: 2/5 #### Pros It links to Dext so it can auto import invoices and there is possibility to import and export most information in bulk (works well for chart of accounts, and stock items, invoices you can't bulk overwrite but can only import). Using a separate AI, you can write scripts to bulk update invoices (which wouldn't be a problem if you could bulk update every line). #### Cons Honestly there's a lot (39 reason to be exact, but I can't list them all). The bulk update tool is really frustrating - you can only do 25 items at a time, and it doesn't even show you the transaction details, just the gross value so you end up having a separate spreadsheet open just to check what you're moving which is difficult. Not only that but some things can't be bulk updated, some you have to do manually (like project!) Invoice numbers sort as text not numbers too, so your list goes 1, 10, 2, 21, 3 instead of actual order, which sounds minor but is so annoying when you're trying to find something. Reporting is another headache. I have already set up a power query excel sheet that reformats the detailed general ledger they give you, because numbers come out as text. VAT amounts and codes don't show up on transaction reports, and there's no report that just shows sales line items with the nominal, VAT, project and description all together - feels like such a basic thing to be missing. There is Zoho Analytics that might be able to combine all our company's general ledgers but it's not user friendly at all, still not managed to work it out 7 months in. If you want a project cost breakdown for all projects, it isn't possible, you have to run the cost summary and then click into each project separately (as we want to see materials and installs split out) - check out what Xero's does as an example. I don't know why it can't just run a general ledger for all unique lines with all possible fields. You will find on invoice, bills etc lists some fields you can't have shown on the main page, and some fields can't be shown on reports when theres absolutely no reason why it can't, so you end up creating custom fields just to be able to show the field. It also doesn't handle some UK accounting stuff the way it should. Vendor (aka Supplier - another point is everything is American!) payments sometimes post to prepaid expenses instead of trade creditors, and if you post multiple lines to the same nominal in a journal it groups them into one line on reports instead of keeping them separate, so you lose visibility of what's actually happened. Then there's just loads of small annoying things - you can't apply a credit to an invoice in a locked period even though it doesn't touch any actual transactions, you can't relink a bank payment to a different invoice once it's reconciled, and project search only works if you type the name exactly right in the right order. There's no ability to bypass lock period say if you are in a reviewer position so have to unlock it for everything! Oh and smart matching of bank items, is non existent except maybe where a payment matches an invoice exactly - you can't tick multiple at once and it doesn't learn from you put things or take an educated guess. #### Reasons for choosing Zoho Books The other two were far more expensive and we couldn't warrant those yet. I particularly use the Zoho Billing app they have to bill customers automatically each month and the results are auto-recorded in Zoho Books. There is no way to handle that other than doing manual entry for each transaction. For a retail business with 1000 transactions a day, doing this is really bad. It also gives a good overview of your profits/expenses/gross profit. #### Cons It was a bit more complicated to navigate than Quickbooks and automating recurring invoices felt a bit fiddly and over-complicated. Another small problem is that it doesn't import your bank transactions until the day after the transaction has taken place, despite refreshing the feed. I like to log my income/expenses the moment the transaction goes through to keep on top of my books. #### Reasons for choosing Zoho Books I thought that Quickbooks was over-priced. I switched to Zoho Books from FreshBooks a little over a year ago when the cost of FreshBooks became unmanageable and free options, such as Wave, did not serve my purposes. I was also looking for a cloud invoicing/expense-tracking system that was less glitchy and easier to use. Zoho Books is all of that. As a sole proprietor, the price suits my budget perfectly. Clients have told me that paying me through Zoho is much easier than paying me through FreshBooks or Wave. At tax time, it's easy to send my Profit & Loss report to my accountant. I also like that I can attach receipts to my expenses. They've given me positive feedback about their invoicing experiences. It's also affordable, which was a huge deciding factor when I switched from another cloud invoicing program. #### Cons I wish I could see when a client has "viewed" my invoice. Also, I didn't realize that listing vendors on my expenses, such as Amazon, would count as "Contacts" and use up some of my slots. I'm glad I know now and I'm rectifying it. #### Reasons for choosing Zoho Books Although both Wave and And.co offer free versions, I found them harder to use (particularly Wave). Clients found Wave a bit glitchy and the software was not intuitive. #### Reasons for switching to Zoho Books FreshBooks raised their rates to outrageous levels and gave little advance notice about it. The software was glitchy and my clients were complaining about having difficulty paying. Their system went down at least once a week, which has fortunately not happened to me yet with Zoho Books. Although FreshBooks touts their live customer support, I encountered some rather cranky people there (they were probably fed up with getting calls about the humongous price increase). My overall experience with Zoho Book was positive. I switched from Zoho Books to Bill4Time because I wanted a program that would keep track of time and expenses for hourly clients, track contingency fee clients, provide trust accounting, and generate invoices. Zoho Books would be able to do all of those tasks with the exception of contingency fee tracking. There was no easy way in Zoho to keep track of projects that were not hourly, flat, or on a set budget. In terms of accounting software, this product does just about everything. I also liked being part of the Zoho suite of products, all of which are quite good. The product is stable, and the company offers solid tech support. #### Cons I purchased Zoho Books to use in my small business after using Zoho Invoice. I wanted a product that would do more than just invoice clients, such as track projects and accounting. However, I am not an accountant. The thing I liked least about Zoho Books is that, if you are not familiar with accounting, the product may seem unnecessarily complicated. No incentive was offered Currently, Zoho Books is not capable of handling volume entries. You will be blocked if you go too fast, as I do. Then you have to wait hours before you can get back in. I created several users to be able to do my work. Also, the batch import feature does not work, since it does not pick up the product code on multi-line invoices. Our pricing went up last year, but Zoho's recurring invoices didn't pick up the new pricing, and the customers were invoiced at the old price, which caused massive service problems. Because of this, we are moving to another software, and I cancelled the auto-renewal with Zoho. Our access was immediately blocked (despite paying for the remainder of the year in advance), and now nobody has access to our own accounting. Currently, there is no one available in support to assist us, so we are waiting for a callback. It's beyond frustrating. The system is terrible, and the support is even worse. It has a sales portal that customers can access online and view their invoices and payments. That is the feature that sold the program to us. #### Cons The debit and credit side is the wrong way round as it follows the Indian system. For example, in the UK a sales balance of -£100 means that the customer owes £100 pounds and has to pay. In Zoho however, it means that the customer is in credit by £100 and would potentially need a refund. Blocks you if you type and click your mouse fast. There are problems with batch invoicing, and it takes a lot of time to review invoices one by one. The system does not extract more than 100 statements at a time. You really should find another system if your sales ledger is large. #### Reasons for choosing Zoho Books It has a sales portal that customers can access online and view their invoices and payments.
