Reliable Financial Reporting and Data Linking, But the Interface is Showing Its Age

Overall, it’s a reliable tool that does exactly what we need it to do. It bridges the gap between our backend accounting systems and our final regulatory reporting. While the platform feels old-school and lacks the slick ease of use of newer cloud tools, its ability to centralize expense tracking data from different ERPs into one secure place makes it a huge asset for risk management. The automation saves our finance team a massive amount of time during the close process.

Pros:

The direct link between Excel and Word is amazing and gives great value for money. Instead of manually copying and pasting raw accounting data or expense tracking numbers into our 10-K drafts and stressing over typos, we just update the source spreadsheet. It automatically refreshes every table and text block across the entire document. This completely eliminates the manual tie-out drill, drastically improves our reporting accuracy, and serves as a major risk management control by keeping our data airtight and secure.

Cons:

The software is starting to show its age, which hurts its overall ease of use. The interface can feel pretty sluggish during peak filing weeks, and the mandatory check-in/check-out process for individual report sections adds annoying overhead when you just want to make a quick edit. Also, while their technical customer support team is great with XBRL tagging, their backend administrative and account teams can be slow to respond when handling contract renewals or licensing updates.

I love how easy it is to use this product after some basic training. My favorite aspect of this software is that it allows us to link an Excel file and quickly refresh numbers, tables, and text within the Word document (10-Q or 10-K financial statement file). We have Hyperion retrieve formulas in our Excel files and have had no issues refreshing our Certent Word file with Hyperion formulas. We also utilize Certent's XBRL tagging service and have been very impressed with the Company's knowledge. We've always been able to have our questions answered quickly. We are able to quickly upload our files to the SEC website through the software, and we've never had a delay in our filing due to using this software. We have been very happy with the software and the services provided by the XBRL tagging and formatting staff working at Certent.

Cons:

When renegotiating contracts, the Sales team took a very, very long time, often forgetting about us, lost our contract, etc. But we work with them very infrequently.

Reasons for switching to Certent Disclosure Management

Certent has the ability to link an Excel file into a Word document. At the time of our switch, very few other company's were offering that. Some companies required you to copy and paste your tables into their software which added too much time to our filing process. Certent was also 3x cheaper than Wdesk which was the other software that we narrowed our choices down to.

Long time user of CDM

Overall its been a significant time-saver when comparing to the traditional method of producing a reporting pack where everyone shared the same Word document. However it has been showing its age in recent years where we've started to notice performance issues.

Pros:

Microsoft Word/Excel integration makes it fairly easy for new users to pick up. Also a big time saver being able to split a report into different sections which can be updated by different team members at the same time. The integration with our EPM system (OneStream) also works pretty well & is fairly quick to refresh multiple views.

Cons:

The existing CDM is showing its age now and sometimes just opening/closing individual objects can take a fair amount of time. Formatting can also be a fairly time-consuming exercise as what you see on the page isn't always how it will appear until you generate a full report. And linking external Excel documents involves uploading these to an Insight-hosted website before they can be consumed by CDM which adds an extra step into the process.

Pros:

After setting up the original workflows, we have saved hours of time from our preparation process by quickly rolling forward our documents and have had to spend much less time reviewing for smaller items related to dates and tie outs as these are automated. This allows our team to focus on analytical procedures and perform a higher level of review.

Cons:

Setting up a new document will take some time. Also, spacing between pages can become a constant issue (space appearing at the top of the page where it is not needed) and is more difficult to fix than a typical word document.

Great solution for simplifying financial reporting!

\[sensitive content hidden\] is our account representative, and we had him come over to our office to train us on the system, including navigating the user interface, creating variables, linking variables, setting up objects, and ultimately creating the reports. It was quite time intensive as there was a steep learning curve to the system. But once we were trained on the system and had all the objects configured and variables set up everything chugged along smoothly for over 7 years now. The rare times we needed help we were able to have it resolved within hours (with tickets) or within the hour (with \[sensitive content hidden\]).

Pros:

This tool really simplifies financial reporting massively! Before using CDM we were using Microsoft Word to prepare our financial statements and we would spend more time double checking, formatting, footing than actually writing the statements. This solution alleviates that and put my focus where it should be - the content of the financial statement.

Cons:

For workflow purposes you have to break the financial statements into multiple fragments (objects) so multiple people can work on different sections of the statements at the same time. To edit those objects, you have to check them out which takes 10 seconds or so and another 10 seconds or so to check them in once done editing. Overall it's a very small annoyance but an annoyance nonetheless.

The two features our team has benefited from the most are the automation features related to both wording and amounts and the variance checks. Both have allowed our team to be more efficient and accurate when preparing financials.

Cons:

The desktop app can be overloaded and crash, leading to issues with objects that have already been checked out. CDM's checkout feature works great if only one person needs access but can cause issues if multiple team members need to work at the same time. Formatting can become a headache as it takes experience and knowledge to know what corrections are required.

This tool has greatly streamlined our financial reporting! Prior to using CDM, we relied on Microsoft Word to prepare our financial statements, which meant we spent more time double-checking, formatting, and calculating than actually drafting the statements. This solution takes care of those tasks, allowing me to focus on what truly matters—the content of the financial statement.
