Vagaro is a cloud-based salon, spa and fitness business management solution that allows professionals to book appointments and manage various facility roles. It offers an integrated solution to manage bookkeeping, payroll, client databases and inventory management, as well as featuring email and text notifications to clients and automated email marketing.

Users can list available appointment slots, and customers can then look for salon facilities nearby and book appointments through Vagaro’s website or the Vagaro app. VagaroPro, the business app, is available for Android and iOS smartphones.

Users can create customizable promotional web pages to showcase upcoming events and special offers through Vagaro’s website or connect with their customers through email and social media platforms. Customers can also create personalized profiles with their contact information, booking history and feedback. Users can keep records of their customer service histories and generate customizable reports with graphs and charts to track business performance, customer retention and more.

There are many great features. I love the texting reminders and confirmations. I also like the app, we can schedule clients from anywhere and I have never had a problem with it not updating between devices. There are a few features I go through other sources to use (such a credit cards), but it is nice to have the options.

Cons

The visuals can be a little busy and hard on the eyes. I would like to it to be a little simpler in design. Also- I cannot stand the configuration of the calendar on the mobile app. Instead of having the regular calendar we are used to, it moved the date you're seeing to the front. It really makes for more room for error when rescheduling clients.

I love Vagaro, I absolutely could not imagine going back to doing everything on paper, this program is a LIFESAVER for me and my small business, less time doing paperwork and more time I get to spend with my family

*I can book appointments from anywhere (cell phone, desktop, tablet)
*It's easy to find the information I need
*It sends my customers reminders about their appointments
*Website for online booking, I can set it to show or hide certain services or prices
*Saves me so much time when I'm doing my taxes, any information I want is readily available
*I love that I can change appointments or rebook clients, make notes about what services they had done, and it keeps track of previous appointments and how much they paid

Online Booking is difficult for some customers to figure out, but most people love the online booking option

With everything being said Vagaro is awesome. They have marketing emails and inexpensive adds. I am very happy despite having problems. Nothing is perfect and Vagaro customer support is very good. In addition they have training videos and webinars.

Pros

I love Vagaro it is user friendly and streamlines my entire business. My whole business life in one system. Clients love it because of ease of booking and appointment reminders which is great because of obvious reasons but it also is good if there was a miscommunication between myself and a client and we can correct it before a mistake in appointment time and day. It shows me so much data and allows me at a click of a button to see what is going on and see my results. I love it.

Cons

There have been once or twice where a client booked online and it did not show up. I've also had clients show up for an appointment they booked but because I was so busy I did not realize they were coming in. With that being said the Pro's out way a few hiccups. However I have been highly dissatisfied with there mag swipe it is finicky and sometimes doesn't work and I have to key enter a sale which costs more and wastes precious time. Then I bought the blue tooth chip reader but it won't stay connected. So customer service has been very helpful and I am waiting for a docking station for the chip reader which is supposed to keep it connected. I have high hopes for this device. However I wish they would have explained that there was a docking station and that the chip reader would need to be paired after 30 minutes.

It's easy to use and to navigate through. Another bonus are the help videos that you can access from the Vagaro website or there is a Vagaro channel on YouTube that has all of the videos on it as well. And it's more inexpensive than Mind/Body.

Cons

I can't really say there are any cons to the Vagaro software that I've discovered. It takes a little while to get used to it, but fiddling around with it, you start to understand it.

Pros

Vagaro has always has been a reliable software to build a calendar based business and convenient for online booking by clients and potential clients.

Cons

Adding on credit card processing services seems to affect the overall calendar experience with glitches and delays. Let the businesses do their own credit card processing through another company please.

I had StyleSeat and was having a lot of technical errors, I love the lay out of this software, the text messages to clients, lay out of client info, the marketing materials etc

Cons

Setting up was a lot of work, setting up the services and client info, but once its done its great! There is additional 10.00 fee if you want to customize how your page looks which I discovered after spending quite some time customizing mine. Its not until you hit publish that it shows the additional fee to publish.

I love that everything I need to run the salon is in one easy app. Not only is it easy to schedule appointments and track inventory, but it can also process credit cards and do payroll! Being able to check schedules remotely from your phone is so convenient. Never forget an appointment again! Plus, Customer service is always available via live chat.

Cons

I wish there were more “shortcuts” - maybe I just haven’t learned them yet. There also seems to be a delay when entering in inventory. We have a new computer so I’m not sure why this happens. It’s only when using the Vagaro program that we have that problem.

Customer service can be spotty. Their support site is reasonable for the basic cases but is severely lacking in the actual nitty gritty of running the operations-- for example issuing refunds and voiding transacions is non-intuitive. Support team ignored my request for a demo. Support team dropped entirely off of my live chat and after ignoring half of my questions, and when they were responsive didn't actually address my full question. Their 30 day trial is a bait and switch since you can't actually test or try the billing flow from the customer's prospective without paying for the first month. I wouldn't go as far as to say that they are scammy but it certainly does not leave a good impression.

Their software is feels designed for salons with a minimal attempt to hamstring it into a fitness scenarios. It can work ok for a sole proprietor in this sense but for anyone who is running a gym with more than one instructor you're stuck between a reasonably good looking piece of software lacking in many features for a reasonable(ish) price and other dated alternatives which checks for more boxes but comes with it's own baggage.

It pains me to says that I'm with this company despite all of their shortcomings. Interactions with support can be pleasant punctuated by frustration. Fairly basic things which are missing is, again frustrating. Choosing Vagaro over the competition is like choosing Comcast because the only other option is get dial up.

Pros

Vagaro is bette price than competitors and has a pretty up to date UI. It makes online reservation reasonably which is a must when trying to attract millennials. It tries to bring everything in house which could create opportunities for tighter integration. There is some hope that the software will improve as there is a lot of low hanging fruit and their CEO/Head of product has a clear strategy on how to take on the market. Support can be pleasant and responsive if you encounter the right staff. They have a lot of advanced features (though they are missing a lot of polish an finesse-- see below)

Cons

Some of the ui is non intuitive but with creative searching of the support site you can find the answer. It's better if you can get someone to handhold you through the process--- and that's a big if. Software is missing some pretty basic features:
1/ Unable to link directly to a service provider, class, workshop, package, etc. It makes it very difficult to promote these things via ads or social media
2/ E-mails lack calendar reminder attachment for people to add to their calendar
3/ Lack of a list for classes/workshops. Older populations have difficulty finding or seeing the search bar for the classes.
4/ Lacking HIPAA support despite having SOAP note support
5/ Inability to customize new client email, appointment reminders etc.
6/ Inability to run new client discounts.
7/ Inability to actually see how the customers will actually interact with the platform as documentation / demo is woefully inadequate.
8/ Workshops feature is pretty haphazardly put together. It's just a class that runs over a series of dates. No options for early bird pricing. No options for custom dates. You're better off handling workshops through eventbrite or eventbee.
9/ Inability to provide detailed feed back such as this. I'm a customer who's paying _despite_ their shortcomings. I may have even conducted more user testing on Vagaro than the employees. They seem content in having their dirty laundry aired in a public medium.

Loving it! Was using millennium for 13 years and Vagaro transferred all the data we wanted and set up was much easier than anticipated!

Pros

Easy to train, easy to use. Literally getting rid of our front desk after 17 years. There’s no need for it. I have already reduced my front desk hours by 25 hours a week due to online bookings. My practitioners are now checking out their own clients and Prebooking before clients leave the room.

Cons

Missing a couple functions in the payments function. Not a big deal though.

The program is decent. I really didn't use the program so I can't comment on the software.

Cons

If you don't use the Vagaro system they make it difficult to cancel! I canceled my membership in May and the continued to charge my credit card! There was no cancel option on my account like they advertise, so I had to call them. Told them I had canceled in May and asked why I was still being charged. They told me that I clicked on the account and it reactivated it and they were not sure if I could get my money back! I clicked on the account to make sure it was canceled, it was still active and I was concerned. I had no idea that would reactivate Vagaro to charge my account again!

We are truly sorry that you had a negative experience. We reviewed your Customer History with us. On 05/07/18, you called in to cancel your account and spoke with one of our tenured Customer Service Representatives who noted that he personally took you through the cancellation process. At that time, you cancelled your account, but reactivated it not knowing that you were reopening the account. Then on 07/03/18 you reached out via our online chat and asked to cancel your account. We again sent you the cancellation instructions. Fast Forward to 07/20/18: You contacted our Support Team, and we agreed to refund you in the amount of $25.00 for the confusion, reimbursing you for 1 of 3 Months you were charged. Again, we are sorry that you didn¿t have the time to take advantage of our wonderful Training, Weekly Webinars, and 24/7 Support. However, our Cancellation Policy is very straight forward, easy to access, and as we mentioned you initially cancelled your account in May.

I use Vagaro to schedule my haircut - or rather, my hair stylist uses Vagaro for her scheduling, and I use it to make appointments with her. It's easy to use, I can choose from a list of options, and I've never had a problem scheduling anything.

Cons

Honestly, I've never had a problem using Vagaro.

Vagaro was great to use when I was working for a salon

Cons

As an independent hair stylist it isn’t really cost effective

easy to use, all the features you need built into one. I like that you can use on multiple devices, computer, android, iphone.

Cons

the only con I see so far is that the credit card processing currently does not use the chip feature that others have.

I love that it always has real-time information & scheduling is done at my convenience. It is definitely improved access to appointment scheduling

Cons

I don't like the interface. It is definitely not the most seamless. Given the advancements in app design, I would like to see an interface that is less bulky.
