### About Microsoft Teams

Microsoft Teams is a cloud-based group chat solution that helps teams collaborate on documents. Its key features include messaging, conferencing and file sharing. Microsoft Teams has replaced Skype for Business as Microsoft's online meeting solution.

The solution helps users store files online, manage documents, create groups and receive notifications. It is customizable for each team and users can communicate through instant messaging, online meetings, calling and web conferencing. The collaboration tool can be used to work on files within Microsoft 365 apps such as Word, Excel, PowerPoint and Sharepoint. Additional features include open application processing interface, assistant bots, conversation search, contact search, and multi-factor authentication.

Microsoft Teams integrates with third-party applications such as GitHub, Microsoft Office, Power BI, Delve, Planner, Trello and more. The application is available on a one-time subscription and support is available via phone and online help desk.

## Microsoft Teams Pros and Cons

We analyzed 11,078 verified reviews for Microsoft Teams to find out what actual users really think.

Select to learn more

Integrated Team Communication Hub

Teams brings together messaging, calls, and document collaboration, allowing users to communicate with colleagues and clients in one platform. Persistent channels, cross-platform access, and integration with Microsoft 365 keep information centralized and help teams stay aligned on projects and tasks.

Virtual Meeting Organization Tools

Microsoft Teams streamlines virtual meetings with easy scheduling, calendar integration, and instant access from multiple devices. Users can host webinars, record sessions, and invite internal or external participants, making it simple to coordinate across locations and keep all meeting details organized in one place.

Centralized Chat And Channels

Teams offers structured chat and channels for quick messaging, file sharing, and collaboration. Group chats, threaded conversations, and integrated apps help users keep discussions organized, switch between topics, and find past messages easily, supporting both informal and project-based communication.

Complex Account And Permissions Setup

Managing accounts, permissions, and guest access in Teams can be cumbersome. Users face frequent logouts, confusing authentication, and difficulty switching between organizations or tenants. Admin controls, app restrictions, and permission settings often require extra steps and can frustrate less tech-savvy users.

Video Call Reliability Issues

Users report frequent audio and video glitches, connection drops, and device compatibility problems during video meetings. High resource usage, microphone access issues, and inconsistent controls can disrupt calls, especially in large groups or when switching devices, impacting meeting quality.

Screen Sharing Usability Challenges

Screen sharing in Teams can be confusing, with limited options to share specific sections or multiple screens. Users experience navigation issues, lag, glitches, and difficulty managing permissions. The interface sometimes obscures content, and presenters may miss chat messages or audience reactions.

Reasons for switching to Microsoft Teams

Wanted an application that provides a more reliable experience with fewer issues, significantly better functionality as well as a User Interface that is pretty straight-forward and also provides ease of use for the user and is also packed with MANY more useful & handy features that other similar applications just doesn't offer.

The gold standard for businesses

4

Overall for businesses its understandable way it's the standard. Functionality wise, it works as needed for instant private/group messaging and video conferencing. Pros:

Comes included with every M365 subscription/plan and allows chat and video conferencing. The overall meeting function works as expected and UI is pretty straightforward and easy to navigate. During a call you can screenshare, chat, or transfer files if needed. Chat UI is pretty clean and has all of the most common functions. Ton of 3rd party app integrations available which is nice.

Cons:

Teams channels are the worst thing ever. Its confusing to manage and buried under a separate section that you have to dig into to get to that chat. It's kind of confusing when you want to start an ad-hoc meeting and customize the meeting settings ahead of time. It's also supper annoying that it always ask you how your Teams experience was after every single meeting/call. The active/away status is unreliable.

Reasons for choosing Microsoft Teams

Slack was an additional cost and Teams is already included in your M365 subscription package.

Great for team communication, but multi-tenant switching needs work

4

I use it regularly for my daily standup with my team, where we discuss our daily tasks and share information. I also have one-on-one chats with other people across the company that I need to contact to resolve specific work-related matters. It's very useful for my day-to-day tasks, as well as for sharing my screen live when needed

Pros:

The main benefit is communication, both for team channels and one-on-one chats. It's a very useful app for maintaining workplace communication, you can schedule meetings and share files, which are stored directly on the platform, keeping information always accessible

Cons:

Personally, I have two profile tenants, and this can sometimes be a bit annoying. Since I have conversations in both, I periodically have to switch from one profile to the other, which is a hassle. Additionally, on several occasions I need to contact someone for the first time, and I have to check which of the two tenants I appear as available on in order to message them, which sometimes means I can't reach that person efficiently

The platform that kept me connected while building my career in Canada

4

Microsoft Teams became one of the first professional collaboration platforms I regularly used after moving to Canada. As I was preparing for my physiotherapy career and participating in online meetings, training sessions, and group discussions, Teams helped me stay connected with instructors, colleagues, and healthcare professionals. Since everything was available in one place—video meetings, chats, file sharing, and announcements—it made communication much easier. As someone adapting to a new country and a new healthcare system, having a reliable platform for learning and collaboration gave me confidence and helped me feel connected even when working or studying remotely.

Pros:

What I liked most about Microsoft Teams was that it brought everything together in one platform. I could join virtual meetings, communicate with colleagues, share documents, and collaborate without switching between different apps. During my learning and professional journey, it helped me stay organized and never miss important discussions or updates. I also appreciated how well it worked with Microsoft Word, Excel, and PowerPoint, making teamwork much more efficient.

Cons:

When I first started using Microsoft Teams, I found the number of features and menus a little overwhelming because I was new to the platform. It took some time to understand where everything was. I also noticed that video calls could occasionally lag on slower internet connections, and notifications sometimes became overwhelming during busy periods. However, once I became familiar with the platform, it became one of the tools I relied on regularly for communication and collaboration.

A little rough around the edges but hard to replace

4

Teams has become a core part of how we communicate day to day and for the most part it delivers. Meetings are reliable, channels help keep things organized, and it plays nicely with the other Microsoft tools we're already using. It's not perfect and there are definitely moments where it feels bloated, but the alternative of stitching together multiple separate tools sounds worse. Once people get comfortable with it, most of them don't want to go back.

4

Functionality

Pros:

Having calls, chat, file sharing, and meetings all in one place has genuinely cut down on the back-and-forth of trying to track down conversations across different apps. The integration with the rest of the Microsoft 365 suite is seamless. Being able to pull up a shared Word doc or Excel file mid-meeting without leaving Teams is something we use constantly. For a distributed team it's made staying connected a lot more manageable day to day.

Cons:

The app can be a resource hog. I's not uncommon for it to slow down older machines, which is a real issue when you have staff on hardware that isn't exactly brand new. Notifications can also get noisy and the settings to manage them aren't the most straightforward to configure. And honestly the search function still isn't great. Trying to dig up an old message or file from a few months back feels like more of a gamble than it should be.

Overall, my experience with Microsoft Teams has been very positive. It’s become an essential communication and collaboration platform for both remote and hybrid work.
