Asana Review 2023

Great platform as our organization recently started to scale. Easy to collaborate, automate tasks, and integrate workspaces like Slack. Not recommended for smaller organizations though, as requires proper management.

PROS

Very simple, straightforward user interface. But, amazing integrations possible with it. Easy to manage tasks with the team - especially the reminder feature!

CONS

It is expensive. Plus, it takes time to manage and keep updated. If you happen to be a small team, go for simpler tools like Trello.

Awesome Project Management

A great project management system for anyone from entrepreneurs to large enterprises.

PROS

I love pretty much everything about Asana It's easy to create tasks, projects, and manage them together. From calendar management to bringing in resources, everything is really easy to use.

CONS

Honestly, there isn't really anything I dislike about Asana. I haven't had any issues with it at all.

Easy to use and quite straightforward

The first thing I find it very useful is that it helps a lot to manage my time and set priorities for different tasks. Because of its ability to be in different projects features, it will be quite handy for the ones who involve in different teams of a company like HR, Project Management.

PROS

It's quite easy to use and it has helped me a lot to keep track of my daily tasks. I find it very satisfying to complete the tasks right after i finish them. It is also handy for the management team to review everyone's tasks and how they're doing at the end of the day. It has already got essential features for task management even in free version, but I'd love to go premium later.

CONS

I hope it could provide more features like insights and trends in free version. But it is still okay to see the general insights of your work.

Asana is the best software I have ever used in Project/work management field .

After years of using Asana, I can say that my experience with this software is generally positive, Simply it is an effective tool for managing tasks and projects.

Asana is the best tool for managing projects

We use Asana to manage our projects and track process. It is a good tool which serves the purpose well of project managemnt.

Good and very simple tool to manage your Team and Tasks

Asana helped me and my organization in resolving daily issues when assigning and managing tasks over Projects and Teams. We are an IT Service/Development company where the tasks and resource tracking is the base of billing. Asana helped us in tracking tasks in a very good capacity. However it is seen that the lack of customization ability was given a burning problem increased over days with growing requirements.

PROS

Implementation easiness saved a lot of time. User provision and giving them the access to play with Asana was a great advantage when it came to a full-stacked IT Development Company like us. Simple and elegant design was another plus mark.

CONS

When it came to the day to day functionalities in use users found it little difficult to take the full potential of the assigned tasks because of lack of details captured. Asana should focus on least functionalities to allow end-users (administrators) to customize data/information capturing fields. If the feasibility is there to add some more data driven fields it could have been a great advantage.

Reason for choosing Asana

In terms of professional look and feel Asana was in the top of the list even with Trial environments. Lack of customization was a common issue with all these three products, however Asana with standard implementation, covered most of our requirement at that time. That lead us to select Asana over other alternative trails.

Simple and easy task management

I use this as a quick way to jot down ideas, suggestions and tasks when communicating with clients and then I can come back and expand on the tasks with more details when I have more time. Adding in sections to distinguish priority and time-frames is nice as well.

PROS

It's so easy to setup a project and add in tasks when in a rush. It's extremely easy to invite people to join your organisation and being able to have up to 15 for free is amazing. I find the option of being able to view tasks in both a list and board view very useful.

CONS

I use it in a very simple manner just to manage ideas and tasks on different projects so currently there are no cons. A few years ago I did find it to load slowly but they have fixed it and increased the speed.

For my use case Asana is a lot simpler and easier to manage.

I preferred the layout and having the list view.

Intuitive Collaboration and Project Tracking Tool

I have been using Asana for close to two years now to track my day-to-day activities, project cutover tasks and tracking support tickets. I like the design and the layout of the tool and how intuitive every action is. Would definitely recommend it.

PROS

Ease of Use - The tool is intuitive. No learning curve needed. Organized User Interface. Automated Email Notifications. Cloud Service - Can be accessed using thin client. Search feature works well and is fast. Adding Tags.

CONS

Unintentional clicks sometimes triggers actions. Configuring the automated emails was a bit confusing - Emails were sent out to the whole project team whenever a new task was created which we didn't want. We eventually configured it properly.

We tried it within our team for a couple of months before making the decision. Everyone liked the layout and how easy the tool was to learn.

JIRA wasn't designed for the purpose we were using it for. Asana suits our needs perfectly.

Asana is the tool of choice when managing digital media projects

Asana is the tool of choice when you want to manage digital media projects. The ability to implement strictly Scrum , Kanban rules is up to you without any restrictions set from the software - and you can be as versatile as you want.

PROS

- Asana is a really intuitive project management tool with a really small learning curve comparing to the likes of Jira, Monday and Airtable. New team members can easily get onboard without much training. - Really flexible as well as it lets you create all kind of project boards based on your needs. Does not restrict you to a specific logic i.e. Jira ; while at the same time gives you tools to organize and shape your project plan as you like eg. with the use of Custom Fields - really cool!

CONS

- The Portfolio functionality being on the Business tier - Having to enroll ALL team members to Business tier and not just some members of the team i.e. just the line Managers. Not everyone needs to have access to the Business tier features and tools.

Reason for choosing Asana

- Smaller learning curve for new team members - non project managers - Good value for money - Nice intuitive UX/UI - Support and community with forums where you can find alternative solutions/usages and also get an idea of how everyone else is using the tool - Nice templates offered out-of-the-box so you can kickstart any kind of project

Reasons for switching to Asana

Trello is a cool tool as well but rather insufficient for bigger digital projects. The ability to create tasks and subtasks in Asana and assign them to different users/team members is unique. Also the ability to have a task be a part of different boards/projects. Also the filtering/reporting ie. Tasks that are un-completed etc give a nice overview on how the team proceeds with the tasks at hand sprint by sprint.

Great Baseline Project Management Software

Overall, we've been very pleased with Asana for our agency. While working remotely during the pandemic, it's been an invaluable resource to make sure our team is all on the same page across clients and projects. Custom fields, statuses, and comments have kept us all connected and allowed us to continue work just as if we were in the office together.

PROS

I love Asana because of the easy to navigate interface, visual organization, and ability to create custom fields that allow my agency to get the most out of our project setups. The ability to perform advanced searches is invaluable to our team. We create reports based on those searches to allow us to better track progress on certain projects and initiatives.

CONS

One major pitfall of Asana is the "Template" feature. With their templates, you have to create an entirely new project within a team in order to use a template you've created, drag the tasks to an existing project, and delete the new project you just made. It's essentially rendered this feature more of a hassle than a help. We would love to have the ability to choose a template and insert it into an existing project with ease. Also, a simple task template would be helpful, so that for routine tasks you perform for different clients, you could go to templates, tasks, and apply just ONE task to an existing project.

Asana is my ABSOLUTE GO TO for task and project management

I switched from Trello to Asana and I truly enjoy using Asana almost because I feel there is a gamification feeling in getting my daily wins accomplished. I literally look at Asana at least 5 times per day and almost always before I end my day to see what my plan of action will be for tomorrow.

PROS

The fact that I can manage my daily tasks seamlessly both on my desktop computer and on my iPhone mobile application.

CONS

Sometimes the copy and paste function doesn't work as I would like it to to take a similar task, copy it and then modify it. Perhaps I'm doing something wrong.

Reason for choosing Asana

I really like the layout of the tasks management section both on the web browser and the Mobile application. Mainly I like the tasks being organized in a vertical fashion in Asana as opposed to the card fashion in Trello which I didn't like as much.

Reasons for switching to Asana

To be honest, Trello was having a server issue one day and I was locked out from seeing my tasks and I felt lost that day. I immediately switched to Asana which I had also used in the past but it wasn't yet my main daily task manager.

My opinion on Asana

PROS

Asana is undoubtedly one of the most significant project management tools available. I appreciate that you can not only establish a project and delegate subtasks to coworkers and designate deadlines. This guarantees that everybody understands their roles and when their obligations are due. Additionally, the task dependencies feature facilitates workflow by allowing you to identify a job as awaiting completion of another. This feature helps keep complicated projects on track by ensuring that the excellent work is completed on time and that no job is holding the project back. Timelines, bespoke layouts, and custom fields are also appealing to me.

CONS

My company has been using Asana for over 2 years, and it's been nothing but phenomenal for us. It's been fantastic all around, dramatically increasing my team's productivity by making our team communication simple. In all honesty, I can't think of anything negative to say about Asana. It is simply outstanding software.

I can manage my daily task better with Asana compared to the Evernote Business.

Literally the most important product that we use at work!

Asana has been a game-changer to our organization. It has helped our team grow in the way we work together, it makes sure that everything gets done, it helps with flow management, and best of all, it helps us track even simple ideas that come to us out of nowhere to tackle later one. Nothing gets missed

PROS

There is so much I love about this software that it is hard to put it together into one review. By far the best part about this is how it helps to facilitate collaboration from every angle - idea generation, project completion, etc.

CONS

Would love more variety in templates, especially for things that don't specifically function the best as tasks.

Reason for choosing Asana

Asana had all of the features (or maybe more) than any of the competitors but the pricing was way better and the UX was just completely intuitive. There was also a great opportunity to try everything out under the free plan until we were ready to upgrade.

Our current solution just became too cumbersome when projects started to get complicated and needed details, attachments, and dependencies.

Asana makes my life easier

I have been using asana for at least six years now. Before, I used Excel for complex projects (I worked as a consultant) and to-do list applications for other matters (including, personal.) Since I got asana, all my projects are in one place. In Asana I basically have my life project. I've had a great experience with the application, and I'm glad it now has a desktop application.

PROS

First, I would be delighted with the interface. The projects are on the right, and I can switch between different layouts at the top. I use List and Calendar. I like that in that same view, I can see my labels. I use the labels to prioritize tasks across projects. I like how intuitive it is to navigate through the projects. Second, I like how easy it is to enter information. I can schedule tasks from my email. I can save notes under each task. Third, I like how easy it is to collaborate with others.

CONS

There is no plugin to convert links into tasks when using Firefox. That is so far my only negative point.

Asana offers everything I was looking for: a cloud solution, robust enough to collaborate with others, and intuitive. Asana has exceeded my expectations.

Awesome software but we couldn't get people to adopt it.

It's a great piece of software and in another organisation I think I could have happily adopted it. However, it wasn't the right fit for our organisation or our users.

PROS

Asana's free plan is very generous, and would have covered our main needs. Their commercial pricing is also fair and provides good value for money. As an organisation, we work across multiple offices and countries and good project management was always a bit of a gap. I was very enthusiastic about Asana and loved the depth of features, particular the granular tracking, and the good integration with external tools (we have worked hard to try and connect our workflows together). The ability to communicate at multiple levels within projects was also something I found very appealing.We spent quite a bit of time setting up projects as part of the testing process, and I enjoyed the ability to do it properly (compared to the very complicated set of google sheets we had been using prior to this)

CONS

The biggest gap we found was that for users not steeped in project management or project management tools the learning curve was too high. They either used it superficially, or avoided using it all. It was not a criticism of the software per se, as the UI is well-thought out and there are lots of support resources. However for an organisation like ours, we needed something far simpler for our users, as technological resistance is always a challenge. WE may not have used it to it's full extent, but it would have been useful to have the ability to simplify some of the viewsm as not all users needed or wanted the depths of controls presented to them. I also found the reporting slightly frustrating. It wasn't actually a core feature we needed, but the reports that did exist were sometimes frustratingly incomplete.

We ended up going with Trello rather than Asana due to the simpler learning curve and the ability to use it at multiple elvels.

Long time user

I've been using Asana for years- I think starting in 2010 or 11. I've used it so long that many of my accounts started as the free version and I've watched them slowly and effectively roll out added, useful, functionality without hassle or interruption. I've introduced over 10 nonprofit organizations to using Asana, and everyone has loved it.

PROS

Easy to learn, attractive and simple interfaces, easy to make it your daily home base. Great for both new and experienced computer users. I love that you can have task/project-related convos and attachments. This is excellent if you are like me and frequently need to show people where they made decisions in the past in an easy way. I love that events can be recurring on almost every pattern I've ever thought of. I use it for grants tracking, so I can assign out pieces to different team members and easily gather pieces back to me. I love that I can hyperlink to previous years notes, attachments, etc. for easy reference, which is really helpful with donors. I also use it to plan editorial pieces, social media, communications campaigns, nonprofit programs, board meetings, household tasks and chores, etc. Previosuly I used it for large books/projects to break large academic projects into smaller pieces. I've used it with large and small groups aged 18-67. I've set it up for over 10 orgs/groups and it is fast and easy. Everyone loves how easy it is to just start using it. Great email functionality and it has a ton of add-ins you can use to link to other software (like time tracking, invoicing, etc.) I LOVE ASANA.

CONS

I love their free version with a firey passion, but once downside is as they have grown, the free version has lost some searching/reporting capability. However, using their paid product gets you everything you could want. So if you are piloting the free version to get a sense, there is a lot more out there.

Easiest Way to Manage Your Team Work and Tasks Handling

We have many promoting enactments spread over different time spans and over numerous brands we own. Having the option to arrange the entirety of this successfully and keep everybody on time has been a huge assistance and has spared us endless long stretches of time. We utilize this apparatus day by day to keep everybody on target, and I was unable to be more joyful with the outcomes. We have seen an improvement in announcing guidelines since we began utilizing Asana. Colleagues are straightforward and it is anything but difficult to see everything and help those that are having difficulties finishing ventures.

PROS

It's anything but difficult to actualize and to installed new clients. The interface is alluring and instinctive. New highlights are showing up at regular intervals - the as of late included Portfolio/Workload include is splendid. Presently I get the Gantts I have to screen my group's remaining task at hand and our numerous undertakings. Incredible labeling and search capacities make it exceptionally easy to monitor our horde promoting enactments and all their related expectations. Including subtasks and including teammates errands makes it extremely simple to monitor who needs to do what and by when. Different perspectives like records, schedules, and kanban sheets make it open to everybody in the group who thinks and cycles data in an unexpected way. The UX is perfect and basic, and the 'my undertakings' and 'inbox' highlights help us all monitor what's going on in our allocated zones.

CONS

Overall, asana is incredibly flexible, but that can also be it's downfall

PROS

Asana is flexible and easy to use. When we first implemented asana, the biggest change was the drop in internal emails we were receiving. Having the inbox feature is nice because there's somewhere you can go to see if anyone has commented or updated any tasks you follow or if they've added you to any new tasks. The use of emojis and the ability to like a comment or action are very small things, but they can make monotonous things like checking off tasks or seeing that someone completed something feel a little bit nicer. You feel good when someone likes your comment or task completion. It's a small way of saying thanks without having to actually type it out every time. Being cloud based means it's super easy to access from anywhere (except when the internet is down i suppose) I do like the fact that you can also create a personal account and throw task lists in there that are totally separate from work tasks, but still easy to access. I haven't used it a ton, but it sure came in handy for wedding planning!

CONS

There's too much flexibility. Even with templates set up, everyone sets up task lists differently, so no two projects are the same. Unless you implement a rigid system or process around how employees should build out a project and task lists, or have only a few people allowed to create tasks, it can easily get confusing. This makes it hard to find things. Thank god for the search bar, but when you can't remember exactly what you named something, it's difficult to track things down. It's also hard to know where a project is at by looking in asana. All tasks you've completed are hidden by default. I sometimes turn on their visibility so I can at least see what has been completed and what's left, but it's not a great picture of how far along the project actually is, as there are sometimes tasks that either haven't been entered yet, or tasks that contain large lists of subtasks, so even though it looks like one task, there's actually 12 steps to it. Basically, the task list doesn't give you any indication of how much time is estimated that each tasks needs to complete. It's really easy to get lost with subtasks inside of subtasks inside of subtasks.
