Helpful to streamline your practice

PROS

I like that Stripe is automatically connected to the biller to easily transfer payments from patient to practice. I like the automatic texting and emailing to patients to confirm appointments.

CONS

This software contains codes for all insurance billing purposes; however, if you are cash-based practice and entering in supplements to sell, the manual process by which this is done is clunky and inefficient.

great when it works

PROS

It's great when it works, the system randomly goes down and then you cannot practice or see patients or see your schedule and it happens too often. They need a back up system but don't have one. Support can take weeks to respond to a ticket and this too is infuriating. i like the templates and ease of billing but if i was looking again I would choose something else

i made the change due to improved templates and built in questionnaires i need like phq 9 gad 7 and being able to SALT a note (same as last time) and billing is easy but support is VERY lacking they take a long time to respond and the system down time is random and infuriating because you literally cannot work

Be careful--- for medical practices

I would never recommend this software, unless you have a billing company that you trust, and is willing to bill though it. Beware went they send you to collections.

Interface works and easy to navigate the windows to bill

CONS

Very difficult to terminate services. Cannot do on-line. When you phone, they state it is terminated, but .... then they say it is not and continue to bill and send you to collections. It was terminated because we could not find an outside biller that was competent that would use the software. We contacted them, and they gave us three names. We tried two, but lost a lot of time and money. Eventually did the billing in house until we could change software and get an outside company to bill.

wishing I would have gone with a different program or just sucked up the expensive costs of the one I had, which had no issues

Claims reports are good. Clear and easy to understand.

CONS

Where to start? Billing is a joke - each claim line counts as a claim in the total you get each month - not per patient date of service as described and indicated multiple times by the sales person. Training was supposed to be weekly checkins, and actually training time. Our trainer literally did one session, and then we never heard from her again. When we were approached by customer service to see how we were doing, we flat out explained all the issues, no training, any time we did reach out to the trainer we were told to go look online when we already had, enrollments had not communicated an important step and it cost us nearly $1000 more one month due to their errors, etc. Supervisor took notes, explained how training should have been and was sorry that did not happen, yet specifically made mention how the trainer would not be reprimanded or counseled in any way on this issue, no one time adjustment on fees since we did not get the training we were promised in writing. Did suggest filing a case with accounting to see if we could get some of the submission fees refunded - that has been going on over 6 months now with no response - don't exepct one at this time Reports overall are missing - cannot get a detailed A/R report to print that shows both insurance and patient on the same print out - I can do patients, or I can do insurance but not both on same report System likes to lag when trying to change screens - IT has been out and its not our systems, its Tebra Not being able to do everything in a cloud based system is frustrating - apparently front desk and providers live in the cloud based side, billers and accountants live on the desktop side - this should be fully cloud based by this point in time - other systems have figured it out years ago

Worst Customer Service

Even our billing service had excessive response time from customer service. The calendar has limited ease of use. Putting in charges and EHR work fine.

PROS

Onboarding was spot on and customer service was responsive initially. Integration with current processes was fairly seamless.

CONS

Once we completed onboarding, customer service took weeks to respond with answers leaving us in limbo without answers for weeks. The calendar is easy to put in a client appointment; however, it is a cumbersome process to schedule a meeting or time off event. There are 7 clicks to schedule a meeting or time off event. The only thing you can schedule by clicking on a time slot on the calendar is a patient appt. Also there is no waiting list to fill in canceled appts so we had to use a paper list to keep track of patients waiting for a cancellation.

PatientPop's quality has decreased becoming Tebra

Initially it was excellent. With the change to Tebra, I have new charges popping up on my account for Blog revisions that were written incorrectly to begin with. Also, the customer care has dropped off now that they have farmed it out to Costa Rica.

PROS

The quality was great until about a year ago when it became Tebra. Now it is farmed out to Costa Rica and you can't get any changes for a week or more to the site.

CONS

Initially the website and customer service was great. When it merged with Kareo and became Tebra, the customer service dropped off. the IT support is now in Costa Rica and is taking a week to get a response and support. I called them today, and the operator was saying that they are 8-9 days behind responding to the requests in the system.

PatientPop made more sense at the time. It was awesome 3 years ago, but their service has dropped off.

Kareo Review

The support team is usually very helpful. We appreciate the ease of use of the clinical and billing (besides the issues with the medication portal). The only issue we have now Kareo and our other EMR system was having issues working together and getting a issue we were having resolved (its been 2 months). I had to get involved and now it seems as though both parties are working together to resolve our issue we is much appreciated.

PROS

Scheduling, Billing and ease of use with the EMR system (except for one issue).

CONS

Med Portal. Kareo uses a 3rd party at that controls how providers are allowed to send medications. We are a Pain Management Practice and at times need to be able to send pain medications outside the parameters that the Kareo 3rd party sets (1 pain med per 24 hours) this caused us set backs during clinic and we had to change to a different EMR system. We did not want to change but were forced to due to the parameters set by this 3rd party controlling the Medication Portal.

Our billing company uses Kareo Billing and they suggested it. We would have only stayed with Kareo if it didn't have the restrictions with prescribing pain medication as we were impressed with the ease of use and having all in one system (Scheduling, EMR and Billing) was very helpful.

Disappointing

I am deeply disappointed with the agency's services for web development and patient scheduling applications. Despite their promises and advertisements, they failed to deliver on their commitments. The web development work was subpar, lacking key functionalities and design elements we had discussed. Moreover, the patient scheduling application was never completed, leaving us in a lurch without a crucial tool for our operations. This lack of follow-through and professionalism has led to significant setbacks for our business. I would caution others to be wary of engaging with this agency based on my negative experience.

Kareo Billing Software

Overall we've been pretty happy with Kareo. There are a few features we miss from our old software but some of the features we gained by switching to Kareo mostly make up for the difference.

PROS

The main reason we were drawn to Kareo was it's API. It helped that it is cloud based and user friendly but our focus was on the ability to get the data out for use in reporting and our proprietary software and we were able to do that with Kareo.

CONS

The canned reporting is okay but most of the reports export to excel in an unusable format (or at least a difficult to use format with filler cells and merged cells).

Mainly for the API and familiarity as a few key members of our staff had used it in the past.

Easy to learn and use

When we first went to Kareo, we were coming off a system that had brought us to our knees: nothing worked right, clients were frustrated and we had no faith in things reported in the system. Kareo changed all of that for us--we were able to have reports we could trust, true transparency for the clients, and so many functions we were able to do more efficiently.

PROS

We love that the software is intuitive, and we can teach a clinic how to use it (on a basic level) in about an hour. The reports are accurate and easy to use. We can set up favorite reports, and generally get help whenever we're "stuck"

CONS

Enrollments--getting providers enrolled properly and getting assistance with those enrollments. Also, we really dislike that they offshore their help desk. It's challenging to get someone who can help us when we get an offshore rep. We also wish there was a better defined collections procedure/status in the system which would help us better monitor what's gone to collection. We cannot bill UB04 charges for facilities out of Kareo.

Pricing and system flexibility. We ultimately ended up with both to be able to accommodate the UB04 billing we need to do for some clients.

It was a horrible platform for us. Reports were inaccurate, and the system was hard to use. We couldn't file corrected claims, couldn't see the path of a claim, etc.

Not designed for a medical practice

This brief trial of the product has been revealing. My practice is simple, and my requirements are simple. I need to prescribe medications to sick patients. This organization cannot meet the most basic requirement of an EHR in the 21st century. It is a billing platform. That is the priority. THE HEALTH AND WELLBEING OF YOUR PATIENTS does not enter into their business plan. This is a corporation. Their goal is to make lot of money. Period.

PROS

There are no advantages to this EHR vs other comparable EHR's.

CONS

This corporation has not prioritized clinical practice. It is essentially a long-standing billing platform that threw together an EHR to get more money from clinicians. You can not reliably and consistent order medications with this platform. There is always some sort of failure in the system, either electronic prescribing, or electronic prescribing of controlled substances, or both. There is no meaningful customer support. A physician, or even the owner of the company, is unable to explain simple issues to IT. Instead, regardless of who you are, or what your status in the organization is, you must call customer support and waste an inordinate amount of your valuable time only to have, essentially a low-level telephone operator tell you THEY will "escalate" your issue to IT. There is no follow through, nor accountability. Nothing will be fixed or addressed. You can not speak with anyone who is capable of actually DOING anything.

My biller uses Kareo. That was THE ONLY REASON. It was to facilitate billing. Bad decision. .

Similar IT/Support issues. Customer service/satisfaction must be first - in any business. That's Business 101. They get an "F".

Kareo has only improved with time!

I utilized this system when I was billing for my physician clients several years ago. Recently recommended Kareo to fill an interim need where I currently work. Very different situations and practice types but Kareo product still works -- has only gotten better and the customer service from the start has been great.

PROS

The implementation and initial training were very easy. I appreciated having an assigned trainer to help me throughout the process. Kareo has allowed us to start billing for our physicians during an interim period and immediately generate revenue that most people thought was months away!

CONS

The primary improvement I would like to see is better functionality when entering multiple days/units of the same CPT code. I am currently billing for providers who see patients daily in an inpatient setting. I would like to bill more than one day at at time per charge entry line. For example, provider sees a patient from June 1 thru June June 5 -- same level of encounter, I would like to enter CPT 99232 X 5 units w/ the date range for these 5 consecutive days. I inquired about this and was told that I must enter only day per line. Just a thought!

Maybe Try Again in a Few Years

Poor experience. ALL EHRs have glitches and issues, but this is terrible.

PROS

The product on the app is ok to use once you set it all up.

CONS

Customer "Support" - Kareo has a vast support section, but you have to know EXACTLY what to type in to get results that are not buried in 30 other pages of key words. When you try to get answers to your questions, the support people try to assist, but the answer invariably is: here's the link to submit input for upcoming changes - changes that are NEVER implemented. Billing: Kareo does not even have a basic way to create an invoice for patient copays that were collected. Patients complain that there is not transparency - and they're 100% correct! The statements don't track the patient payments along with the insurance payments. Unapplied balances sit in a patient's account for months even though payment was received and processed. This created all manner of problems for paying our providers and our ability to close-out year-end. Overall: Kareo requires a browser interface mostly for scheduling/provider SOAP notes and a desktop interface for billing. These are NOT integrated nor synched often enough and you have to bounce between the two to provide patients information about their billing. There's ability to task in the desktop, but not in the browser. You receive EVERYONE's patient confirmation messages regardless of your role. There's no way to search your messages or even to categorize them or keep them in folders for locating them. There was no onboarding training for our staff and so NONE of these issues were identified before we started.

Our records show that you did have an implementation period from September of 2020 to February of 2021 where you had direct access to one of our implementation coaches. We do offer a variety of webinars & training videos through Kareo University & our customers are given access & asked to complete them upon signing up. For clarification, there absolutely is an active integration between our Practice Management & EHR system. Regarding patient payments, we'd like to discuss this further with you to find a workflow that helps account for patient payments/visits. In addition, If you do not want to receive messages from patients replying to appointments with other providers in your practice, you can turn off the "Office Staff" role for your user account. Kareo for ParkerPT

It is a wonderful product to house medical billing information. You have easy access and may reports and tools to access when managing patient accounts. I love the on-boarding. I felt it was helpful and very comprehensive. I wish there were opportunities to work with this group to learn what is new or old that I could benefit from knowing. There is so much this system can do and I just don't feel like I am taking advantage of all the features because I don't use or remember to use from our initial training sessions.

PROS

The software is very intuitive and I like all the options you have but don't have to pay for unless you use. Being a small business we are always looking for ways to increase productivity and save money.

CONS

Posting of ERA. This has not been improved since we began using 10+ years ago and if it has then I missed the memo. You have to address each individual date of service verses reviewing and have post automatically. I would even be happy to setup default selections to make posting quicker. Also would like a resource to assist with rejection error messages that would provide suggested issues. Current messages can be very cryptic.

Billing Softare Tried and True

I have had an amazing experience with Kareo. Of course like any software program you will have hiccups and bumps in the road but after working in the medical billing industry for almost 15 years I can say that Kareo has been the best software program I have used!

PROS

The feature I like most about Kareo is the built in eligibility feature. Not having to login to numerous portals to check eligibility makes my job 10X easier!

CONS

I wish Kareo would not make you get out of the pt insurance info area to check the pts eligibility. This happened with the newest update and it is not very efficient at all. Also the same with adding a new Medicare policy, you have to get out of the insurance area and go back in to check hospice, the drop down box won't work unless you do this. Not efficient at all. I would also like to see Kareo automatically capitalize pt demographics when you are entering them, all other software programs I have used have this feature built into them.

Great EMR

Overall the telehealth platform is easy and straight forward.

PROS

The system as a whole meets all of my necessary needs. As a medical provider and previous Medical Biller I chose the product for the ease of billing and integration. It is a money saver when you begin to think of billing hours vs trying to make corrections to claims! Such a streamlined process and the support is right on.

CONS

I wish the platform had EMDR integration or tools that would support EMDR delivery over telehealth.

Extremely frustrating, very poor functionality. After 1 year I left the company.

From Kareo: no significant benefit, mainly frustration. From your program to review Kareo: this was easy, helpful and productive. You know how to keep a person on-point.

PROS

Initially, the electronic software (EHR) was free, which allowed considerable forgiveness of the product. I initially appreciated the technical support from people who cared about their product and service. Unfortunately, the most common replies to questions from I.T. were apologies for not being able to provide what customers wanted and needed the most, see below.

CONS

1. Creating progress notes frustrating. Must save notes before changing screens, otherwise all information LOST. No auto-save. Saving data prior to change in screen, must save and CLOSE the document. Multiple steps to re-open again. Always inefficient. 2. Doctorbase is an "answering device for providers" to provide caller's phone number. The glitch for NEW callers: NO NAME provided, no message recorded. 10-15 "unknown" callers by end of day: 1/2 -3/4 were salesmen or bankers wanting to give loans. 3. When I changed companies, unable to transfer data in bulk. Had to transfer every patient individually. Other companies ALL had ability for bulk transfer. Would have to transfer emails individually, all 15,000. 4. Limited & unsophisticated ability to create progress notes to limit key strokes. 5. Requesting program upgrades: infrequent, rarely helpful, never quick or responsive even for minor change requests. 6. Initial support staff NEVER heard from again. I had to sort out problems by trial and error . I had 10 years prior experience in sophisticated programs before this disaster. 7. This is only a few of the problems I had before leaving. 6 months later, I received a call from Kareo asking how I would like to improve my experience & upgrade the system. They apparently did not know I was long gone. 8. Working with pharmacies never smooth or easy. 9. Many more issues, unfortunately, that I have suppressed.

Communication SUCKS

It is easy to access patients and to schedule them. It looks pretty

CONS

The communication, or lack of it I should say. We have asked them to let us know once they have our statements ready to go so we can make sure that only the right statements are being sent. In the last 6 months we have been told once, (each month we ask and they tell us that they will do it next month, or they passed the info onto the team) In June they finally let us know... But in July again it was sent without letting us know, and once again we are dealing with upset patients who received statements. The issue goes even deeper than that. Kareo has been messing up on posting payments to our “at time of service” accounts. We have had to double check to make sure that things are being entered correctly, and yet some statements have gone out with payments due, that had been paid, but Kareo did not credit it correctly if at all. The other issue is the communication when letting us know that an MVA insurance is turned down. So that we can get the right information, instead they just let it go for 2 or more months before an internal follow up. That is another issue. There can be 2-4 months between follow up on some of our accounts. We have encountered stuff being sent to the wrong clearinghouse and they keep sending it only to find it being rejected. Rather than calling WA State LNI, or printing paper billing to send, they keep sending it and getting it denied... We only found this issue when we called WA state LNI to see why we had not been paid for a client, to find out that they had not received a bill. We then called Kareo and asked them and they let us know that the clearinghouse denied it repeatedly. I could keep going on with issues, but I think you get the idea. Because of their mistake, it has almost closed the doors of our practice. And I have not even started on the Credentialing issues we had with them doing it for us. It took us well over a year to get Medicare - and the only reason we got it is that we took over submitting the paperwork and such. They told us we where credentialed with LNI of WA and we were not. When we asked them to clean up the mess, they stopped talking to us. So we had to take over and get credentialing with multiple providers after paying them to do it for us.

KAREO bankrupt my business

You cannot prescribe controlled substances. The EHR has not been updated in at least five years. The technology is very old. They only integrate with two major labs. You cannot get anything to integrate with KAREO. The customer service is nonexistent. You might as well not even try

PROS

Anything good about this software is overshadowed by the company's policies. The company does not care whether you make money or not. They only care that they get their cut. Do not go with this electronica medical record.

CONS

KAREO Bankrupt me on one occasion and I almost let them do it a second time. Do not use KAREO. You are putting your business at severe risk of bankruptcy. Absolutely do not let KAREO do your credentialing. It took them 16 months to credential me and I lost $40,000. They did nothing to help.

Reason for choosing Tebra

It makes a nice looking note. But that's all you get. Get ready to shell out a lot of money and maybe even lose your practice if you decide to go with KAREO

e prescribing is an excellent option however sometimes in kareo when prescribing one medicine it will delete another medicine off the chart

Horrible EMR system, it went down for three weeks, thats right three weeks in May and no one responded from the company other than "we are working on it", we were left helpless, we couldnt send medications or even practice medicine. It jeopardized patient safety and Kareo stated afterwards "it was fixed, sorry we switched vendors" When we tried to leave the contract due to this issue they stated NO, they demanded we stay or I would be sued leaving our psychiatric practice stuck with Kareo. Fast forward to now and the system went down again for the past six days, thats right our psychiatric practice that takes care of 5,000 patients has NO EMR system, no access to records, no ability to prescribe or render care and we are completely helpless and stuck during a pandemic with very emergent patients. This forces very unsafe care yet they still demand the contract be abided by. I would NEVER use Kareo even if it were for free. The customer support is horrible and nonresponsive as well. LOOK elsewhere ad be aware of their fake reviews on other sites.
