Great software at a great price
Knowing that membership renewals and invoices and event reminders are automated means I can focus on what matters most, member engagement and retention.
PROSI'm a part time Executive Director of a membership organization. Before Wild Apricot a lot of my time was spent on billing and administration and event registration. Wild Apricot does all of that for me, so all I have to do is address specific questions or issues.
CONSThe email functionality is not great. That is literally my ONLY complaint about the software.

Friendly Website Design and Membership Management System
With Wild Apricot's assistance, we are able to easily add new events and maintain our website current with our ever-evolving needs. In addition to keeping tabs on emails and contacts. All of the personnel and volunteers of the several non-profit trade associations we oversee are constantly busy. Making a living in this industry is exciting and challenging, and there is never a dull moment.
PROSI appreciate not having to ask anyone else to help me run the website or set up events. If you have a basic understanding of computers, you should have no trouble getting about. You can customize your page and report generation in a number of ways.
CONSWhen I have a question about how to use the site, I wish I could talk to a real person. It would be fantastic if there was a real assistance line.
Reasons for switching to Wild Apricot
Use this software to create your own own website, or start with a premade template. The membership application and event calendar are included right onto the site, which is something I really appreciate.

Not Customer Friendly
Our non-profit has approximately 1500 members we are managing and this was our first attempt at using a membership management tool. The implementation went well and our first year was generally positive. The features they offer are functional but pale in comparison to standalone services. For example the newsletter tool is extremely limited compared to our previous service, MailChimp, to the point where we are considering going back to MailChimp. After the company switched owners recently, the customer service quality has dropped dramatically. A recent forced change of payment systems resulted in our members' automatic subscriptions being canceled without warning, which was not expected or documented. We tried to engage customer support prior to the change but they were not helpful at all. This will likely result in a loss of members and thus income.
PROSIt offers a large selection of features and can be a one stop shop for membership tools. Although most of the features are not nearly comparable to equivalent stand-alone services, they are functional.
CONSCustomer support has been quite poor. They dropped telephone support in the last year and did not provide any guidance or assistance to us when they forced a payment system change that affected our members.

A Sinking Ship
I have been a long time client of WA (7 years), but we are unlikely to renew. 3 years they ago they had a 40% price increase, but they allowed you to renew for up to 2 years at the previous rate. That increase was somewhat understandable because they had not raised fees for the previous 4 years we were clients. 2 years later they had another 40% increase but did not offer the same renewal. Neither increase coincided with major functional additions other than normal enhancements to existing functions. Today they announced a new 20% penalty if you don't switch to their payment processing system (US/Canada only). We have no intention to switch from PayPal so this was the last straw. We will be looking for an alternate option. They were acquired by a larger company and subsequently and equity firm. These increases are obviously cash grabs from current clients without considering the impact to the organizations. My suspicion is the company has a major cash flow issue and this is a way to get money now. I would be very leary of the stability of the company as they will lose many clients over this. This is really unfortunate because their tool is excellent!
PROSWA has a great feature set that includes a lot of the functionality we need to completely manage our membership, communication, and payment collection. I especially like that we can have bundle memberships and can create saved searches for email distribution or member management.
CONSThere are occasionally issues with some of the search fields that can only be resolved by logging off and back in. I would like to have group texting capabilities.

Multiple increases in pricing, but support and development are horrific
When we first got the system, it was very comprehensive. We were able to get a trial to set up everything before we went live
CONSThere are two different mail systems/clients. Very fractured. Support is non-existent. There has been zero product improvement, in spite of multiple large price increases.

Best platform for membership sites
We use Wild Apricot on several of our membership-based organizations. Very helpful with membership management, event billing, and event management.

Math Teachers Uses Wild Apricot
We have found that using Wild Apricot has simplified our membership and database system.
PROSI like the fact that the software includes a membership area and an event area. Members are already contacts within the system, so they find it easy to register for conferences. We're also able to send emails to all contacts or to just our members.
CONSI'd like to see a way to set up sessions and a conference schedule in the system with each session having a QR code in order to keep up with session attendance.

Good Product for Non-Profit Management
The selection of Wild Apricot has allowed a small non-profit working with a hodge-podge of cobbled together "free" solutions to move into the 21st century. Volunteers and board members can work from a unified database rather than multiple, out-of-sync, task-specific spreadsheets. Tasks can be distributed without dis-integrating this data. Web site integration and payment processing allow members, donors and event participants to interact with the organization online, rather than the previous limitation to paper forms and checks. Implementation was straight-forward, if not exactly "simple". Years of old and inconsistent data always complicate a migration. The choice to integrate with the organization's existing WordPress web site rather than fully implement Wild Apricot's built-in CMS also provided some challenges. Support was mostly timely and helpful during the migration and implementation phases.
PROSProduct is full-featured and the least expensive for a small non-profit on a limited budget. Of particular interest were membership management features, including self-service join, renew, and update. Also critical was event management and integration with membership, since the organization's main publicity and fundraising activity is a large bike ride. Web site integration was also attractive. Good platform for communicating with members and event participants. Payment processing integration for memberships, donations, and event registrations.
CONSLacked QuickBooks integration, although the organization's treasurer at the time did not consider this a needed feature. Lack of volunteer management, though that was not considered an essential feature at the time of review. Web site integration works best when using the built-in CMS. Integration with WordPress, the organization's existing CMS was largely successful. However some issues did arise with the forms for things like memberships, donations, and event registrations, especially on Apple devices.
Reason for choosing Wild Apricot
WA's focus on membership management was more aligned with the organization's goals and requirements. LGL, while a capable and very cost-competitive candidate, was more focused on donors and fundraising.
Reasons for switching to Wild Apricot
Wanted expanded features without having to do custom development. Also wanted a vendor-supported product rather than having to rely on the vagaries of volunteer availability and expertise.

Wild Apricot is perfect for recreational clubs
I would definitely recommend Wild Apricot for any organization with a membership and events that require registration. They manage this amazingly well!!. I love the fact that it is so easy for both admins and users to use. Most of my admins and membership are not technical so this is important to us. It's easy to enable blogs, forums, and photo galleries to create community pages -- somewhere that members can connect to the club and each other.
PROSWe are a recreational tennis club with 70 members. I created a great website with a customized membership application form in just one day with no coding required. Within a week, we were live, with online applications and online event registration for tennis tournaments and even electronic payment. I have ALL contact information plus player rankings available when it is time to do the draw; it is so much easier than taking paper entry forms which are not filled out completely or legibly. Thanks to customized event registration forms, I can solicit volunteers at the time that they register. No more calling people at their homes trying to find someone to help!!! I appreciate the security measures too -- I am able to provide club newsletters and photo galleries to club members only. My membership is very pleased with the functionality and everyone says that the club feels more connected this year. The Wild Apricot support team has been responsive to all questions and problems.
CONSThe finance side of Wild Apricot is a little weak as their reports do not take into account the finance fees that Google Checkout and PayPal deduct. And you can't modify the numbers manually to reflect actual amount received, either due to finance fees or if someone sent in a partial payment. They are aware of these issues and are working on them. The other enhancement request that we have is to have users be able to see who else is signed up for tournaments. That's because we are a social organization and because we make use of changing volunteers to help with every event. Wild Apricot is working on this but it was not an early priority because professional organizations that were hosting seminars, for example, had no need for participants to see who else was attending and did not necessarily use any volunteers.

Wild Apricot: A Quick and Efficient Event Software
Our component school district staff members and members of the public who register for programs understand intuitively how to register for our programs. The function most used by staff is the Excel download. Staff are able to easily sort and filter data to invoice schools and other agencies for multiple registrants through our agency finance system as required by law rather than through Wild Apricot's invoicing system. Our Wild Apricot website was once very robust. We have been able to simplify it while using the same template so the site is easier to use and looks much more like our agency site making the flow from one site to another nearly seamless.
PROSOur agency hosts many repeated events not only multiple times during the school year but that also repeat year after year. The ease with which events can be duplicated and edited for specific dates allows staff to set up a year's worth of events in just a few hours.
CONSWe have many users creating events and Wild Apricot has only one events manager. We do have a very talented group but there is still a bit of nervousness since events are unable to be compartmentalized by a user or a department. PayPal payments are collected into one bank account and have to be parsed out after receipt by registrant as to which account the funds need to be deposited. We would like to have payments tied to department accounts for each event and pass that info through PayPal to our Fiscal Department.
Reason for choosing Wild Apricot
We needed a well-designed product with a predictable annual cost. I REALLY liked the auto-set reminder emails - those saved my sanity!

We looked for a simple Cloud application to decentralize administration tasks and found it.
Database that is accessible for any of the administrators of the club. Members can self manage accounts. Automatic upgrades and easy to manage Web content. Automatic billing through predefined time periods etc. Ease of use. We were up and running in a few weeks. Data import was easy as well.
PROSThe primary driver was to find something that was intuitive to use. Our staff are all part time volunteers and needed to be able to use the software with minimal instructions from their homes. Wild Apricot provided this by making the import of data simple as well as creating a new Web site that had same look and feel of existing site. Also migrating the DNS was easy. There are plenty of tutorial and FAQ pages to guide you along. Once you under stand the basic concept everything else becomes easy. Best part is being able to grant limited admin access to certain pages for updates and changes. Also by letting users update their own information we saved a lot of time updating Membership data. Creating Events proved very popular as well with Members now being to sign up on line and also remit payments. Integration with PayPal was easy as well. The application packs enough features to make it much easier to manage the Swim Club without making it too complicated to use. Everything beforehand was Excel driven and therefore never synchronized or up to date. I also like the mobile app a lot. Easy to take a look if new members signed up, paid or if member are delinquent without going online.
CONSWe have encountered some minor issues we wished were a little different but nothing to deter from the overall functionality. I think that would be the case with any software packages. So no major cons to report. We like the software. It is easy to use and has powerful reporting etc capabilities.

Flexible software but needs some tweaking
I manage the memberships for a club that has over 15 teams and 240 members, so it is not the easiest thing to manage. I went through a few different programs and Wild Apricot seems to be the best fit for the numerous needs the Club has! It is easy to track payments - overpaid balances and balance due, I can enter manual payments, add extra line items to keep track of fundraising credits, and easily email families or certain individuals from the software. There are workarounds for some of the limitations that the software has, which has been helpful.
CONSThere are a few issues that I have with this software: 1) it does not allow group invoicing so if I need to add an invoice to all members on one team, I have to go into each account and manually create; 2) it is not intuitive when it comes to families with 2 or more players, as it does not allow two different memberships to be linked to one account - I end up having to create a unique account for those families; 3) it does not allow partial payments. As with most membership sites, I have found the website portion to be somewhat clunky and limited, so I have the actual website on a different platform, which is unfortunate.

Daily user of Wild Apricot and developer for new Wild Apricot websites and setup for organizations.
I have participated in moving 20 organizations over to Wild Apricot and use it daily for administrative purposes. It is an awesome platform and would not recommend another to anyone. Hoping they can keep this excellent service going for a very long time. Also, the support team and responsiveness has always been great!
PROSEasy, quick, and efficient transition over to Wild Apricot from other website types such as WordPress, Weebly, and other member platforms. Excellent for small to mid-size organizations to consolidate all needed features and tracking/reporting in one place.
CONSThe only weakness is the choice of new "themes" to help speed up a new website. You can certainly do almost anything you want with the templates... but the ready-made themes make it so much better (and easier). Just need to keep the sample themes up-to-date and competitive with WordPress... so the organizations are happy with the basic choices available when they are deciding to move to Wild Apricot.

Gave us control of our web-presence (finally!)
I like this product so much, after setting-up the site for AGO-Milwaukee, I convinced my church to switch from the service supported by our Denomination to WildApricot and it's much easier to use. We're just getting started, but already our site is far better at serving our needs. I would highly recommend WildApricot for any small to medium organization which cannot afford to hire a full-time computer-geek webmaster but needs an attractive and functional website. The learning-curve was gentle and we were operative in a very short time. I am completely satisfied that WildApricot has allowed us to meet and even exceed our goals for our new website.
PROSOur goal was to maintain a constantly-updated website, but we were working thru a vendor who designed our old site from scratch and one needed to know html to do any updating. Our events calendar was constantly missing events and full of errors which were difficult to correct. WildApricot allowed us to assign people who were only slightly computer-savvy because no coding was needed. The site is incredibly intuitive and easy to use and takes only minutes a day for people to update. We can assign multiple administrators with different duties and everything doesn't need to go thru a webmaster who may or may not get around to meeting our needs. The site looks wonderful and the membership is responding very positively to its features.
CONSThere is almost nothing I don't like. I wish Safari was supported (and I hear they may be working on that) but it is not inconvenient to use FireFox and it's free, so that's just a very minor annoyance. I would like to see a little more flexibility in the forms-templates -- we had trouble getting the membership categories in the order we prefer on the screen, but all-in-all our experience has been trouble-free. There may be some people out there who will feel constrained by the available templates, but there are enough that our problem was more of which to choose, and I understand that even the templates are customizable (if you know how to code). The standard ones met our needs.
