OneNote: a great foundation for collaboration

OneNote has become central to our documentation at our organization. Especially after the integration between OneNote and Office 365 Groups and then Teams, the addition of the Collaboration Space and Documentation Library has helped us create central repositories that can be worked on simultaneously and frequently. Administration can collaborate and share materials and use the private spaces for groups members to take their own notes or have individual content distributed to them to work on or reflect upon. I love this product and since growing with it in my career have also expanded to use it in my personal life for notetaking, organization, and planning.

PROS

The notebook structure was very appealing to me when I first started using OneNote. Once I unbound myself from the concept of creating everything to translate to a printed letter size piece of paper it really took off. You can create your notebook and its contents to directly translate to what if it had to be printed. But you can also transform it to a fully interactive collection. With links to various other locations in the same notebook, other locations and materials on the internet, and even embedding videos and other documents directly in the pages of the notebook you can make the reach of the content presented to extend beyond the boundries of the document itself.

CONS

The different versions - When OneNote transitioned to the web, it was during the focus on the Metro UI in Windows 8 and it suffered for it. The simplicity of what the web version could do was crippled by the ability of the internet browsers at the time. Over time it has increased in parity between the desktop version and the web, however - the Metro UI designed app has lingered and its design has stayed truer to the web version than the original desktop version. It is getting harder to find the desktop version that has content central and navigation to the left, top, and right sides. The web, mobile app, and "for windows 10" versions make navigation subjectively more complex when you have extensively robust notebooks.

It proved to be the most logical and user friendly to translate hierarchical structures of documentation, collaboration, and communication the way we needed to get the most buy in and participation from the community.

Effective note-making tool

My experience has been exceptionally easy, intuitive, and user friendly. This is a great solution for excessive and environmentally conscious note takers!

PROS

OneNote is truly the only alternative to paper and pen that I’m happy to use! I love to make notes by hand but this results in a huge amount of paper that needs storing, is not very sustainable, and leads to me scanning each page to find the one reference I’m looking for. The search function in OneNote is great for this reason, and the ability to store multiple notes in one area that essentially digitalises a ringbinder is so much more effective than separate Word documents.

CONS

I often have trouble saving and existing the platform. This means I will usually keep OneNote open in a tab while I wait for it to save, but I do sometimes lack confidence that it will save and update my work. Often this seems to be down to an unstable internet connection but my wifi is strong in all other respects and I have had this issue in different locations and workplaces.

The best choice for notetaking

My overall experience with OneNote has been positive. It does exactly what it's supposed to do.

PROS

OneNote is incredibly easy to use and the interface makes it extremely simple to add to my notes as well as search them. I have to use OneNote constantly every day and it is my preferred notation program thanks to ease of use.

CONS

When notebooks are shared via email or SharePoint invitations it does not automatically add the notebook to the users list of notebooks. I have had several users looking for notebooks which were essentially hiding under the "More Notebooks" button.

One Note is my Number One App

10/10. All the way. Its an amazing app and I love to use it.

PROS

I use OneNote every single day. Between my phone and my laptop and my ipad I use OneNote the most over all my apps and programs. It keeps track of my finances, my school work and all of my personal information. Its organized, easy to personalize and great at security.

CONS

Im going to be honest, I have yet to come across anything about OneNote I dont like. I know nothing is perfect and it may have some issues but I dont have any complaints.

Great tool for taking notes

Versatile and Easy To Use

PROS

I like how versatile and customizable it is in terms of creating different folders to take notes and keep documents. As someone who isn't a manual note taker, I like that I can keep my meeting notes organized and on a digital platform while keeping recurring documents I need to access on a regular basis easy to find.

PROS

Easy to copy from webpage and edit it along with I use to review the document in different languages and can also hear it properly as well as I use pen tablet to write different mathematical equations and solve it.

A Great Tool for Meetings

Overall experience with Microsoft OneNote has been very good. I would highly recommend it to other businesses.

OneNote Experience

PROS

Helping people to keep their notes and align on the business objectives, including meeting agenda, records, and next step actions.

OneNote - Unified Resource

Overall, using OneNote for our team document/process library has been helpful because it's a central place for a wide variety of information and documents that were formerly in many different places. It can sometimes be tricky to decide how to organize the notebooks because there are so many section and page options, and sometimes content is relevant to more than one section - however, the search function is usually quite reliable.

PROS

The search features of OneNote are very useful. I like using OneNote for my meeting notes, as they are easily searchable and I can organize them in various ways. It's also nice to use OneNote for our team process manual/helpful notes/new hire checklists/etc. We use OneNote as a centralized document library because it is easy to search and share content.

CONS

We run into frequent sync issues with shared notebooks, so it can be challenging to know if all team members are seeing the same content. Not sure if this is a PC issue, a security issue or a OneNote issue - our IT help desk offers various solutions that work for some users but not for others. It would be nice if the sync error notification was more obvious to let you know you're viewing outdated content.

Easy to use Microsoft OneNote

When I transfer my note-taking data to Microsoft Word or Outlook, either it's a miss or a hit. Sometimes it is the services area where the bad connection may work adequately. This will cause frustration, but overall, I still use it every day because it became my friend most time when I need to jot down and don't have paper and pen ready. This app will always be ready when I need to use.

PROS

OneNote beats Evernote in numerous ways, on account of its wide exhibit of highlights, including optical person acknowledgment (OCR), sound and video accounts, ink-to-message transformation, and directing. One of the most disappointing parts of this program was the deficiency of data. Yearly program updates would lose information from the earlier variant to the refreshed adaptation. Having difficulties integrating with Outlook when need to transfer data.

Microsoft OneNote - Handy note-taking tool for personal and professional use

Overall, I love Microsoft OneNote to keep track of important things to note throughout the day, everyday--whether personal or professional. It is also a good way to keep study notes for topics that are interesting where you don't necessarily to access the information from a website.

PROS

I like that I can copy and paste from websites and it can keep the same format as the website. Sometimes it doesn't copy it the same and it doesn't look that great. It is around 95% accurate in my experience in keeping the same format.

CONS

Even with many sections, I have too many pages. The search feature does help and alphabetizing the page names does help. It seems alphabetizing works on the desktop but not mobile.

OneNote for Tutors

Overall, I would like to recommend everyone to use this app to prepare your notes. It's very handy and versatile.

There are may features of Onenote which makes it useful like: 1. Clippers, which allow to move data from any browser to OneNote. 2. Can be used in multiple devices simulatneosly. 3. Allows to add Multimedia. 4. Doesn't have formatting contraint. 5. Document Management , division on basis of subject, Notebook, Pages. 6. Flexible formatting option. 7. Works very well in laptop, pc, android tab and mobile. 8. Can use Digital Pen.

CONS

The Synchronisation with cloud features lags a lot. Many times doesn't works properly. Have to click sync many times and have to wait if internet is slow.

I have used limited version of other notemaking softwares but was not at all satisfied with them, so decided to try OneNote and yeah it was a good decision.

OneNote for every note!

I use onenote for business meetings for note taking, tracking takeaways and sharing them with the whole team. We all have access to the same notes, same takeaways and can all add to the meeting notes. I also like to use it for keeping track of information I might come across that I want to follow up on at some point, putting my ideas down so I don't forget them. Clipping articles/webpages so I can refer back to it. Create to-do lists.

PROS

If you are working in the Microsoft eco system OneNote is a must. Taking notes and keeping track of information is simple since it is tied into every Office/O365 application; Sharepoint, Word, Outlook even when browsing the web. Can be used for note taking during business meetings, training/school, planning vacations, shopping list. Uses are limit less. Best of all you can do it from what ever device you have with you and your notes will be available to you everywhere.

CONS

Onenote is such a powerful tool that it can be overwhelming to get a grasp on all that it can do and how to best use it for your situation.

CONS

Lack of Customization - It's not possible to customize any of your notes or notebooks in OneNote which can make it difficult if you want something more advanced than what it offers out of the box. Microsoft OneNote doesn't have any open APIs or integrations with third-party apps like Evernote does.

Powerful digital notebook for teachers and students

As mentioned, OneNote is an exceptional digital notebook resource for educators, making it easy to curate course materials, organize them into sections (or units), and share them with colleagues and students. The application is easy to use, and the onboarding learning curve is quite friendly - most of the features are intuitive. There are so many additional functions that more advanced users can explore to customize their notebooks. Especially with stylus functionality, OneNote replaces paper course materials as an interactive digital notebook that students can edit and keep forever without worrying about losing any paper. This has become an essential teaching tool for me as an educator and my preferred notetaking tool as a student.

PROS

OneNote is an amazing digital notebook for teachers and students. Teachers can create a living course workbook filled with learning resources, including diagrams, videos, and links to online sources. They can also create worksheets directly in OneNote or import an existing Word or PDF document into the notebook that students can edit. One of the best features of OneNote is how smoothly it works with tablets and tablet laptops. With a stylus, students can write and draw in their OneNote notebooks, making it feel like a paper notebook. OneNote also includes a suite of drawing tools that make it easy to draw and label diagrams and even graphs for math. The Class Notebook add-in makes it an even more powerful tool for teachers to manage their classes. A teacher can quickly look into each of their students' notebooks to assess work and leave feedback. Students can sync their OneNote notebooks and receive feedback immediately. With Teams, entire OneNote notebooks can be easily shared between colleagues, and collaboration is seamless.

CONS

The current OneNote desktop app no longer offers the ability to export pages as .one files, which makes it more difficult to send or attach individual pages. Rather, sharing can only be done through links, which sometimes run into challenges with sharing settings and others not being able to open the page. The inability to rename students at the teacher level also makes the "Review Work" function a bit less user-friendly when teachers try to mark them in alphabetical order. Finally, I would love to see more integration possibilities with other learning management systems.

Message to Self: Use Microsoft OneNote for Messages to Self

Whether I’m at home, or somewhere out in the wilds, Microsoft OneNote allows me to record all the things I need to remember, by text, speech, or photo. Because my memory is awful, I appreciate any tool that mitigates the pain of having lost my thoughts, and my mind, in the process. Having convenient folders in which to sort and store my thoughts, while creepy, is also pretty handy. But the best part is having a cloud connection between my phone and desktop. If I need to snap a picture of a research item and label it while I’m out for a walk, I can be sure I can retrieve it on my desktop when I get home. This requires having the downloadable app on my phone, of course, but when it’s free, it’s worth it. Because I already have it installed on my desktop (through my Microsoft Office 2013 suite), I don’t have to pay to use either. Not having to pay extra for an item I already own is always a good thing.

PROS

Folders can be labeled, so there’s no risk in confusing items. All notes are also labeled, so it’s easy to identify which note is which (as long as you give it a label you can identify). This makes categorizing notes simple and efficient. Files can also store text, photos, and audio recordings, so you don’t have to think on your feet when trying to record a note. Just use whichever input is most relevant to your situation. Cloud transfers from mobile to desktop are pretty smooth.

CONS

Compared to other notetaking software, it’s pretty basic. Sometimes notes are dumped into a global pile where you have to manually sort them. This isn’t a big deal, but it can add to your organizing time. (It’s also possible I’m using it wrong, but that in of itself is a con if auto-sorting isn’t intuitive.) Retrieving pictures for posting or editing is also more trouble than it’s worth. For the average user, the simplicity OneNote offers is fine. For dedicated researchers, a more robust platform like Evernote may be better suited.

I keep a few main pages and have them broken up into broad categories, and then spilt the categories into pages to have a more streamlined way of keeping track of notes, links and files. It's really helpful for keeping track of tasks you don't do very opften, or if you are helping to onboard a new coworker too. I even keep a daily to-do list running, it's such a great help for staying organized and ahead of the game.

PROS

What I like most about OneNote is it is my one-stop-shop to staying organized and on track without having to open a bunch of tabs/folders &/or documents. My favourite feature within OneNote is the ability to search, so if i can' remember where i stored some text or a document it just takes a second to find. Super easy & very efficient!

CONS

I'm being very honest here, i can't think of anything that would make OneNote better, it's truly something I couldn't do my job without!

Managing tasks and To Do List along notes in one Place

Overall I found OneNote a very handy tool and the use of OneNote is very effective in an organization where they have to constantly make notes of things and keeping the track of the information.

I have worked with OneNote for over 4 years now and I have been really impressed with the way it handles the data, Creating Workbooks and sheets, and sub-pages, and manages the sync with the cloud on all devices. It is very handy to keep note of every little detail and manage the To-Do List. Search functionality is great as it can scan through all pages and exporting the data is very easy.

CONS

OneNote should use Addin to extract the information, sometimes formatting with text from various sources/platforms develop issues with the OneNote and the format changes.

OneNote is the app I didn't know I needed

I never used OneNote. As the IT team member who gets systems ready for people, I actually always uninstalled it, not seeing the point - I mean, why bother using this when Notepad works or, in a pinch, sending an email to myself, for note taking. Then I saw someone else at the company using it to very effectively keep his day and week organized. The organized way he was able to keep an eye on everything he had going on, the ability to look back at previous weeks' notes "frozen in time" so he's know what the thinking was then...it turned me completely around. I now use OneNote to keep track of my day-to-day. I'm constantly being interrupted by people needing help - which is fair, that's my job after all - but it's hard to remember every little thing that comes up every time AND it makes it easier to pick back up where I left off on other tasks. This also will come in handy at review time, since this will basically have a record of everything I worked on over the year.

PROS

The tabbed notes and ability to group them together. It's a super easy to use and manage application that makes organizing my notes a lot easier (and I don't end up with a bunch of sent-to-self emails and random notepad documents kicking around).

CONS

As an active user I have no complaints, nothing I like least - it does what I need it to do. Historically, though, it seemed pointless. If I needed to take notes, I'd use Notepad or email myself whatever notes I had. Just seemed like an unnecessary application, given all of the other options I have for note taking.

Reasons for switching to Microsoft OneNote

OneNote makes it a lot easier to keep all of my notes organized and in one place, instead of scattered through emails and notepad / txt documents in random places.

A centralized location for all your notes

Currently, I used OneNote to organized my meeting's notes and to attach them into an email so it's easy for me to send it to my colleagues. This is sometimes very useful when you are in hurry and wanted to inform what are the points were discussed in the meeting. Secondly, it is also very convenient to use it on all the platforms whether I wanna use it on my phone or my computer. I am exploring more ways as this is a powerful tool and has very few limitations which make it value for money.

PROS

it gives you the ability to create your notes as you create on a physical notebook, moreover, this notebook can be accessed from anywhere as long as you have access to the internet. The most unique part of OneNote is you can add multimedia and create your documents as much presentable as want. These documents can also be shared with others like your friends or colleagues, it would make this software as a one-stop solution for most of the writing and editing of your notes. I used many older versions of OneNote and then after upgrading to new versions of OneNote I came to know that your older note will not get erased. you can also use OneNote app for your smartphones which makes easier to modify your changes or to view any documents on the go.

CONS

One thing I would ever want in OneNote is the integration between various platforms, Currently, Onenote allows you to create notes or documents to share it with only OneNote users, whereas if I want to share it with Evernote users it will not give me an option for that. Moreover, I can not even import Evernote's documents notes into OneNote or vice versa. There are other ways through which you can do it but for that one has to download a migration tool. The security is also one of the issues which I always take into consideration when creating any personal note where I wanted it to be encrypted with a password. There should be some ways into OneNote where you can have a personal space which can be used for those secure documents.

Would suggest OneNote over Notion and Evernote

I love the fact that it has a similar interface to that of Microsoft Excel and Word for being part of the Microsoft Office suite. It makes it easy to get familiar with the tool.

PROS

It is pretty simple to use over other Knowledge Management Tools like Notion, and Evernote. The best part is that one can get all his notes just by logging in to his Microsoft account and can also share access to specific pages.

CONS

It is difficult to navigate over a page with a lot of information. Also it can be confusing to navigate through the pages while using the search and filter feature.
