### Most mentioned pros

- Robust Automation Features: Smartsheet allows for powerful workflow automation (e.g., automated alerts, update requests, and approval processes) without requiring coding knowledge.
- It is a highly versatile platform that works well for a wide range of business functions, including tracking, estimating, project management, and scheduling. While it does have some limitations in handling more advanced calculations and data relationships, it has still been a great tool for our overall workflow.
- It supports governance, compliance, reporting, workflow automation, and client-facing services, helping approximately 1,000 employees work more efficiently while enabling innovation, operational excellence, and recurring revenue generation.

### Most mentioned cons

- During exporting my final PDF (to send to my sponsor), the font sizes would get distorted and you could not even modify the text format in the preview screen.
- Smartsheet cannot completely manage a project, meaning you will have to incorporate other tools (like budgeting software) to fully monitor and analyze the profitability of a project.
- I didn’t like that it wasn’t as customizable with exporting data when I needed to show management and my team progress.

Our overall experience with Smartsheet at LearningBrick has been positive. It has helped us organize projects, track tasks, manage timelines, and improve visibility across teams. The platform makes it easier to keep everyone aligned and accountable. However, the cost and the time required to fully set up and manage more advanced features can be challenging as the organization grows.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

Smartsheet helps LearningBrick organize projects, track progress, and keep teams aligned. It provides better visibility into tasks, deadlines, and responsibilities, making collaboration more efficient.

#### Cons

The biggest downside of Smartsheet is the cost, especially for smaller teams that need multiple users or advanced features. It can also take time to fully learn and configure the platform, and some of the more complex features may require additional setup and training.

#### Reasons for switching to Smartsheet

We use both but our government clients use Smartsheet more so we decided to move to this.

### Smartsheet Review: The Power of Excel Meets Project Management

The best part is being able to enter data into a spreadsheet as usual and convert it into a Gantt chart or Kanban board with just a single click. When team members say 'I can't read spreadsheets, it's confusing,' I show them the board, and when management wants a report, I switch it to a Gantt chart. Also, automated reminders are a lifesaver; when a task's due date approaches, the system automatically emails the responsible person, so I don't have to chase after them.At first, I thought it would work live just like Google Sheets, but that's not the case. After making a change, you absolutely have to hit the 'Save' button, otherwise your teammates can't see your updates. If you are managing big-budget, multi-step projects and are used to the logic of Excel, it definitely makes your job much easier. Just be ready to remind the team to 'hit the save button' for the first few weeks!

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 3/5
- Functionality: 4/5

#### Pros

It's powerful enough to run massive, complex corporate projects, but because it looks and feels like a spreadsheet, the learning curve isn't nearly as steep as traditional project management software.

#### Cons

It is an incredibly robust tool built for serious project management, which just means it trades a little bit of simplicity and modern flair for pure power.

### Flexible but Complex Project Management Tool

Overall, Smartsheet has been a powerful tool for project and workflow management. It’s highly flexible and great for organizing complex processes, tracking tasks, and building reporting dashboards. However, it does take time to learn and set up properly, especially for more advanced automation and customization.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

What I like most about Smartsheet is its flexibility and customization. It works like a spreadsheet but can be built into powerful workflows, dashboards, and reporting tools. It’s great for automating processes, tracking projects, and keeping teams aligned in one platform.

#### Cons

The biggest downside of Smartsheet is that it can feel complex and not very intuitive, especially when building advanced workflows or dashboards. It also has a steep learning curve and some features are locked behind higher pricing tiers.

#### Reasons for choosing Smartsheet

We chose Smartsheet because it offered the best balance of flexibility and structure. It feels familiar like a spreadsheet but is powerful enough for complex project tracking, reporting, and automation. It also scaled better for managing multiple teams and workflows compared to the other options.

### **Smartsheet Review: Resourceful Automation That's Worth the Setup Grind**

Overall, Smartsheet is a great tool if you need to automate a lot of moving parts, but it is way too much of a grind to set up for basic projects. Here is my takeaway on it: * **The Good:** When it’s actually set up right, it cuts out so much manual clutter. Being able to pull data from different sheets into one live report and automate those annoying follow-up pings saves a ton of time and energy. * **The Bad:** The learning curve is steep, and it feels total overkill for simple tasks. Dealing with their rigid column formulas is frustrating, and it takes a lot of tedious upfront effort before you see any real benefit. **The Verdict:** It’s incredibly resourceful for complex, messy projects where you want to eliminate busywork. But if you just need a quick, flexible way to stay organized, the administrative headache up front isn't really worth it.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

What I like most about Smartsheet is how much manual busywork it cuts out. It basically takes a familiar spreadsheet layout but automates all the tedious, repetitive parts so you can focus on actually getting things done instead of managing the tool itself. Here is what really stands out to me: * **The Automations:** You can easily set up rules so that when a task status changes, it automatically pings the right person or moves that row to a completely different section. It eliminates all those unnecessary "hey, I finished my part, your turn" follow-up messages. * **Switching Views:** You aren't locked into looking at a massive, overwhelming wall of data. With one click, you can toggle the exact same project between a standard grid, a Kanban card board, or a calendar view depending on how you need to visualize it that day. * **Live Reports:** Instead of copying and pasting or messing around with complicated formulas to share updates, you can pull data from multiple sheets into one clean, live report. It lets you see the big picture instantly without the operational grind of updating everything manually. It's just a much more resourceful way to track projects without wasting time on the clutter.

#### Cons

What I like least about Smartsheet is that it can honestly feel like a bit much when you just need something quick and straightforward. Because it tries to be a spreadsheet, a database, and an automation tool all at once, it comes with a few frustrating pain points: * **The Learning Curve:** It’s not the kind of software you can just jump into and immediately know how to use. Setting up the formulas and automations takes a lot of trial and error, and the interface can feel pretty overwhelming and cluttered until you get the hang of it. * **Formula Frustrations:** If you're used to regular spreadsheets, the formulas in Smartsheet can be incredibly annoying. You can't just click on a random cell and type a formula; it forces you to apply formulas to entire columns. Plus, referencing data across different sheets requires a bunch of extra, tedious steps. * **It’s Not a Real Database:** Even though it has database features, at the end of the day, it's still restricted by row limits. If you're trying to track a massive amount of data over a long period, it starts to lag, and you run into caps that force you to archive your older work. * **The Price Tag:** The free version is incredibly limited, and once you start needing better reporting or want to add collaborators who can actually edit things, the subscription costs add up fast. It definitely takes a lot of time and effort to set up properly, which feels like an unnecessary grind if you're just trying to manage a basic project.

I started using Smartsheet to manage sales activities and track customer follow-ups more efficiently. Before that, I was relying on spreadsheets and notes, which became difficult to manage as my workload increased. Smartsheet made it much easier to organize leads, monitor progress, and stay on top of daily tasks. I also appreciated being able to collaborate with colleagues by sharing updates and keeping everyone informed about project status. The platform was reliable, easy to access, and flexible enough to fit different types of work. While there was a bit of a learning curve initially, it became much easier with regular use. Overall, it has been a valuable tool for improving organization and productivity in my day-to-day work.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 4/5

#### Pros

What I liked most about Smartsheet was how easy it was to organize customer information, sales tasks, and follow-ups in one place. It gave me a clear view of what needed attention and helped me avoid missing important deadlines. I also found it useful for sharing updates with teammates without having long email conversations.

#### Cons

The interface can feel a little overwhelming at first because there are many features and customization options. It took some time to get comfortable with everything, and some advanced functions have a learning curve.

Overall, its improved visibility across projects and made it easier to stay aligned on priorities and deadlines. Its a good tool for managing projects that involve people inside and outside the organization.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 4/5

#### Pros

Pretty good tool for keeping projects organized and on track. Pretty flexible, makes it easy to manage tasks, timelines, and team collaboration in one place. I find the admin and user management to be intuitive, i can deploy or add collaborators easily. If you've used any other Gant chart or PM tool, you can get going quickly without extensive training.

#### Cons

Overall it's a great tool - I guess the more advanced features can be difficult to learn / configure. The reporting its a bit limited compared to full blown business intelligence tools. Managing permissions can be a little tedious. Also, I think it's pretty expensive for what we're using it for - purely a project management and collaboration tool.

Overall, I had a very good experience with Smartsheet. I used it for project tracking, surveys, dashboards, and automations, and it gave me a flexible way to organize a lot of different work in one place. My main concerns were the cost and a few limitations that could make copying or reusing projects more cumbersome than expected.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 3/5
- Customer support: 4/5
- Functionality: 5/5

#### Pros

What I liked most about Smartsheet was how flexible it was. I used it for project tracking, surveys, dashboards, and a number of different automations. It gave me one place to organize a lot of moving pieces, keep people updated, and make the information easy to understand without having to build a completely separate system for every need.

#### Cons

The biggest drawback for me was the cost. There were also a few frustrating limitations where the familiar layout made certain actions seem like they should be simple, but copying and reusing projects, formulas, formatting, or dependencies could be more cumbersome than expected.

Our company has migrated our project lifecycle management 100% to SmartSheets. After the initial phase in period, everyone wonders how we ever survived without it.

#### Ratings breakdown

- Ease of use: 5/5

#### Pros

It is a great collaborative workspace to manage projects. Previously, we used Excel and Word to track projects, but now we don’t use them at all with our assimilation of SmartSheets into our company.

#### Cons

The “visual” is not particularly appealing, but easy to get used to. Meaning, it isn’t flashy and very “Excel” like, but we adjusted.

#### Reasons for switching to Smartsheet

Word of mouth from colleagues and it did not disappoint.

### Smartsheet will lock you in and increase your subscription for worse service - AVOID

Poor, even though we were locked into paying the extra annual subscription I will not be using them and transitioning to other software. They have also made many of the Pros such as collaboration paid only features, greatly limiting the capability of free users/collaborators and hence made a lot of the benefits I enjoyed redundant.

#### Ratings breakdown

- Ease of use: 2/5
- Value for money: 1/5
- Customer support: 1/5
- Functionality: 2/5

#### Pros

I initially enjoyed it's ability to upload documents and create forms which made handling contractors and onboarding new hires easier. It also was similar to use to Excel with conditional formatting, formulas, and a similar layout which made learning quick. -

#### Cons

It's shady and unethical use of the "Negative Option Rule" in its renewal process, which has already been outlawed by the FCC in 2025 but still included in old contracts. Essentially they inferred that a lack of action by the user infers consent, and used this to try to force my company into an additional contract year, in addition to trying to increase the paid members count and "upgrading" our package, resulting in an extra 4K of costs.

#### Reasons for switching to Smartsheet

Manager at the time liked Smartsheet and brought it on.

Smartsheet is more than a project management tool; it is a scalable business operations platform. #### Ratings breakdown

- Ease of use: 4/5

- Functionality: 4/5

#### Pros

1. Highly versatile and scalable Smartsheet supports a wide range of use cases, from workflow automation and reporting to governance, compliance, project management, and client-facing solutions. It scales effectively from individual teams to enterprise-wide deployments. 2. Strong business value and user adoption The platform is intuitive for business users, reducing reliance on technical teams while improving visibility, collaboration, operational efficiency, and decision-making.

#### Cons

1. Administration can become complex at scale As deployments grow, managing permissions, WorkApps, governance standards, and platform architecture requires dedicated ownership and strong administration practices. 2. Some enterprise features lack maturity Certain capabilities, such as WorkApps administration, group-based sharing, form draft saving, and large-scale governance controls, could be further developed to better support enterprise-scale environments.

Thank you for valuable this program! It really keeps things running efficiently! I especially enjoy the different news in which to make a sheet. It helps that each sheet can be easily viewed in a few different ways. This way, if I enjoy it in grid style and my co-worker likes list style better, we can still follow and collaborate in a most efficient manner.

#### Ratings breakdown

- Ease of use: 5/5
- Functionality: 5/5

#### Pros

Smartsheets is a program I find useful in many ways. Firstly, it helps keep tasks organized. You can organize sheets to be viewed a few different ways, ie grids, lists, tables, etc. It also offers lots of differentiation with color and calendar dates. All these great features make Smartsheets extremely user friendly and easy to navigate. You can set up a sheet based on your preferences and style. Most of all, Smartsheets offers fast and smooth collaboration between colleagues. Anytime I need to notify a coworker with a specific explanation, I can simply do so by mentioning the name in the notes and it will notify. We can then conduct a conversation and it will be recorded right there.

#### Cons

At this point, I am very happy with Smartsheets. It keeps things well organized according to my preference and style. I can only say-keep it up!

Before using Smartsheet, my work was all over the map (in terms of organization) in various spreadsheets and lengthy email chains, I was always chasing after updates. Every morning, I lift my sheets and check in on the status of each project deadline, update the status myself and fire off a comment right there from the row.

#### Cons

Overall, my experience with Smartsheet has been positive. It is a flexible and useful platform for managing projects, tracking tasks, and keeping team updates organized in one place. The spreadsheet-style layout makes it familiar and easy to understand, especially for users who are already comfortable with Excel or similar tools.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 3/5
- Functionality: 3/5

#### Pros

I like that Smartsheet supports different ways of managing work, including task tracking, automated alerts, shared sheets, dashboards, and project timelines. It helps reduce scattered communication and gives the team better visibility into deadlines, responsibilities, and project progress.

#### Cons

That said, it can feel a little overwhelming when setting up more advanced workflows, automations, or reports. Some features take time to learn, and smaller teams may find the higher-tier plans or add-ons limiting. Overall, Smartsheet is a strong project management tool, but it works best when there is a clear process and enough time to set it up properly.

The best thing is its dashboards, very helpful for getting an overview of project status. It is very helpful when multiple people are working on same project so everyone can see progress in real time. I can create sheets, tasks and build repots with Smartsheet.

#### Cons

There is nothing to dislike but setting up advanced workflows, formulas and dashboards can take some time to learn.

#### Ratings breakdown

- Ease of use: 5/5

- Customer support: 5/5
- Functionality: 5/5

#### Pros

The main advantage of Smartsheet is its simplicity. You quickly recognise the Excel-style logic, which makes adoption much easier, even for non-technical teams. You can create sheets to track projects, approvals, internal requests or operational calendars, and everything remains clear and easy to follow. I also really appreciate the ability to automate certain actions (alerts, reminders, assignments). It saves a considerable amount of time.

#### Cons

At times, certain alerts can get mixed in with other notifications, which can reduce visibility on the genuinely urgent matters.
