The biggest advantage is how much you can manage from one platform. Tasks, projects, deadlines, documentation, and team responsibilities can all be centralized, which gives us much better visibility across ongoing projects.

There is definitely a learning curve. Because ClickUp offers so many features and customization options, the interface can feel overwhelming at first. It also takes some time to build workflows that are simple enough for the entire team to actually use consistently.

We have leveraged Clickup extensively to improve work management and operational visibility across our real estate business.One of the biggest advantages has been it's reporting and dashboard capabilities, which allow us to monitor key metrics such as sales pipeline, project completion rates, team productivity and overall business performance. It also provides us with a centralized digital workspace that has simplified data management by consolidating property listings, contracts, client communications and supporting documents in one location, making retrieval easier. Workflow visualization tools including Kanban boards, gantt charts and calendar views help us map sales activities, manage marketing campaigns , monitor deadlines and keep priorities visible to the team. Collaboration has become more efficient through builtin tools such as Docs, whiteboards,task comments and real time chat that make it easier for business teams, agents and brokers to coordinate without losing context across conversation and deliverables

There are no many major issues, but one area that requires additional attention for our business is security governance. Clickup's security controls are strong on paper,however because we manage sensitive business information such as property documentation, financial records and client identification data, we found that stronger security measures were necessary to align with our data handling standards and had to reinforce permission structures and tighten access management practices by adopting other security tools.

Well, my overall experience has been exceptional. I was blown away by an AI that cares and can help me organize and automate my work: Task management is 100%. The only problems have been the interface and the learning curve. It takes a while to get used to.

Overall, my experience has been great. The price point is fantastic for all that I get with this tool. My operations are now more organized than ever, and it's easier to collaborate on projects with my team without having to spend an excessively heavy amount of money adding seats to my specialized accounting CRM for team-members collaborating on projects with me. For a growing firm, this is a big deal. I can set permissions in ClickUp appropriate for what I need, communicate seamlessly, and track every little idea that pops into my head and keep those organized rather than in a million different phone or sticky notes. It's a backend of operations dream and now replacing my other lead funnel software now that I'm having it professionally built out for me and I couldn't be more excited to use this software to its fullest potential.

ClickUp has been a massive game changer for my business! I love the ability to organize every aspect of my business and keep it in one centralized location. Having separate workspaces for different departments aka "hats" (even as a solopreneur) is instrumental in keeping things running smoothly- such as an area for Marketing Planning (as well as tracking campaigns and promotions), Operations planning, Networking tracking, Referral partners, memberships, and even a lead tracking pipeline. The team collaboration aspect is also incredibly helpful and well-built. It's very neurodivergent friendly and although can be a bit overwhelming to set up by yourself, there are numerous free templates, as well as an array of professionals who have dedicated their businesses to helping get this setup and streamlined. Automations are also fantastic and the number of integrations available really goes a long ways to truly being one centralized hub of operations. I also use a different account to help with homeschool planning and it's amazing even on the "home-front". I could talk about my favorite features for a long time- to sum it up: automations are fantastic, the layout is as well, variety of views from kanban to list, etc. It has something for every sort of person. I also love the meeting recorder ai function so I can streamline my tech stack.

If I had to pick on one thing (ok, maybe two things) I would say that what I like least is the limitations on sub tasks in the lower tiered plans. Having them be a set amount permanently and not renewable is not ideal, however there are alternatives in setup so it's not too massive. The only other challenge I have is just how involved setup can be to get it running smoothly- it can be overwhelming if you're not the type of person who has experience for this. That said, it's still fantastic and better than other similar programs I've tried in the past. I really love the layout and features so these things can be easily overlooked.

I love it. I was put on to it when I was a VA. And I switched from notion. I love how everything connects together, and how you can keep everything in one place. I love the native automations too. It helps me a lot and how you can customize ClickUp to how you work.

We began using ClickUp years ago and now I can't think of how I handled all our tasks for our maintenance people without it. It's basically my partner that sends out work orders, keeps me up to date with what was done and what was missed, and has every option you can think of for keeping track of issues.

ClickUp keeps our Operations department humming and organized. Every task I think of goes into ClickUp whether it's a one time task or a recurring one.

#### Cons

Sometimes I think it's TOO powerful. Haha. It has so many options for how you handle task management, it's sometimes overwhelming. But I think that's actually a good thing.

#### Reasons for switching to ClickUp

Trello did not have the flexibility that ClickUp had.

I have had a really good experience since starting to use ClickUp in October 2025. I came from a role which had never used a system like this and after a few weeks it all felt very natural to use. I used customer support once and got an answer i was after straight away too.

I like how seamless it works between desktop, mobile and tablet. I also like how I can set tasks for people and have different views for field staff, invoicing etc. Depending on the view only suitable information is displayed without information overload.

#### Cons

That some of the ClickUp AI features aren't standard. I really liked the automatic notetaker which recorded and gave a summary of notes even when i wasn't active in the meeting. It would go on my behalf.

Overall, my experience with ClickUp was that it’s a really powerful and flexible tool once you get the hang of it. It’s easy to start off with for basic tasks and setting up your week, and you can get a good flavour of it with the free version. That said, it does have a bit of a learning curve because it offers so many features. And like many users have noted, you really get the most out of it if you decide to go all in and integrate it fully into your processes. The free version is more of a starting point, and you’ll eventually need to commit if you want to unlock its full potential. So in summary, it’s a strong tool if you’re ready to embrace it fully.

While ClickUp was easy to set up for the basics, its wide range of features could feel a bit overwhelming. In other words, its strength was also a bit of a weakness, because there were so many layers that it took some time to really get to grips with how everything worked. Another downside was running into paywalls fairly quickly. You’d see what you wanted to do, but then you’d hit an upgrade prompt, which could be a bit limiting.

It makes it easy to manage tasks, to-do lists, and priorities across a whole team. As we collaborate together on our project, ClickUp keeps everyone on the same page. I don't just have my own list, but I can see my coworkers' lists and keep tabs on upcoming items I can start if I have time. I can prioritize and organize with flags, custom tags, and the ordering of tasks. It also helps us keep up with our calendar as we can set deadlines and see our progress on that front.

Sometimes the process of moving tasks around within the site is tedious. I'll be trying to move a task within a section and it gets sucked into being a subtask instead. The subtask tracking is something I want to like, but I don't, because the subtasks end up with less visibility and some confusion about what's done or not done.

Since it houses the files in one place, I’m not having to dig through 500 emails like a lunatic. I can visually see how much work the creative people are doing and whether or not they are drowning. It’s nice I no longer have to manually repeat the same tasks each Monday morning because the automation actually works.

#### Pros

It was very fast to set up for our group of ten people. The person they sent to teach us was relentless and so everybody eventually figured it out. Connecting to Slack wasn’t as bad of an experience as I thought it would be either.

#### Cons

The entire screen will freeze while I’m moving cards around sometimes and it gets me to the point where I want to throw my mouse across the room. I also wish that the proofing add on would allow me to do frame by frame review, as right now, it’s not detailed enough for the video team. There are far too many menus to google through.
