It's hard to find fault with Ultracamp

Ultracamp is an easy recommendation. The flexibility of the system, coupled with the excellent support team makes for an easy win for our organization. We interviewed other vendors, but none provide the functionality, let alone value, that we have found with Ultracamp.

PROS

Ultracamp has a couple of must have features that we've been unable to find elsewhere. The flexibility of their registration system allows us to operate a camping program that is atypical of our field, but is still supported within the registration processes of Ultracamp. Secondly, Ultracamp has an exceptional set of accounting features, where cost codes, revenue tracking and the other types of financial requirements for a business are easily managed within the system. Beyond these mission critical systems, Ultracamp also provides a feature rich API integration, with allows us to expand beyond the boundaries of the user interface and to create tools specific to our business, but supported by the robust backend of Ultracamp's registration platform.

CONS

With the substantial flexibility within Ultracamp comes an administrative user interface that provides a lot of options. These options can feel overwhelming or hard to navigate for a new or unseasoned user. Therefore, the learning curve to become proficient in Ultracamp is steep. They balance this well however with a good online knowledge base and an exceptional support team.

Complicated Camp Registration? UltraCamp can work wonders!

We have been using UltraCamp for over 10 years and are so grateful for the time saving it has allowed for our office staff. They are very prompt on getting back to us when we need support services.

PROS

UltraCamp was one of the only companies that could accommodate selling camp by the day for over 40 different groups and all in real time.

CONS

I find it difficult to make my own reports - but UltraCamp will usually help me do this. I also have issues remembering how to set up each summer and wish there was a magic button which could just update each summer without recreating as much.

Reason for choosing UltraCamp

Real time was offered and we needed that in order to ensure our ratios.

Reasons for switching to UltraCamp

Our old company started to have poor customer service response times and instead of getting more and better features for camp, it was moving away from the camp industry it appeared.

Do not even consider it!

I will give them credit for their customer service - they are always helpful and responsive, and can usually answer any question. However, half of our customer service requests/questions are about how to use the platform correctly.

PROS

Although the customer service at UltraCamp is remarkable, that is about the only thing I could praise.

CONS

Its clunky user interface causes headaches! We've used this platform for 4+ years for camp registration. There are way too many options when creating sessions that it takes about a million steps. When creating sessions, one must create a session template, and before doing that, a session category. Not only that, but it's nearly impossible to understand the 'Editing Wizard' - it has the same problem - there are so many buttons, sections, and places to click in order to change the tiniest detail. There is no way to apply a bulk discount without altering the ones that have already been applied. They recently upgraded the interface of the main website to make it look modern, but the administration side of it is stuck in 1990. I suggest they seriously reconsider their approach to camp management if they want to remain in this business.

My Other Staff

My wife and I have been serving at children's camps since 1987. We experienced early versions of old camp software that took so much extra time we chose to do things by hand. When we started with UltraCamp in 2015 it was like having a second staff. Train it right and it does an incredible job and we don't have to worry.

PROS

As a small camp with a small budget, UltraCamp was EASY to step into when we did not have thousands of dollars to begin the venture. Then, the support for getting it started made for ZERO pain it getting it up and running. We still have questions when we make HUMAN errors and the UltraCamp team has been there to help. That is the best.

CONS

Occasionally I wish there were some drag and drop features, but after talking with UltraCamp I get why they have chosen to keep their ware smart phone friendly for making administrative changes.

We could not afford the other products up front and the per camper fee is extremely reasonable.

Excellent Camp Management Software!

Our cost of software went down by combining what we used to use 3 different programs for, now all being done by UltraCamp. In addition, any questions we have or problems that we need solved are always handled quickly and effectively. They are always looking to improve functionality whenever possible, and their service has been exceptional.

PROS

We love the functionality and ease of use on the admin side, combined with the ease of use on the user/parent's end. Other programs we looked at seemed to lean toward one or the other, but not both. In addition to being affordable for the functions, our choice to use UltraCamp was also reinforced by their phenomenal customer service which has continued throughout our three years of use. The reporting features are good and give us what we need. Also, the fact that our donor management and registration system are integrated has been wonderful!

CONS

It took us a while to figure out custom reports, but that is one of the reasons we went with UltraCamp over other providers: others were even more extensive in setting up custom reports.

UltraCamp Experience (Small Specialty Camp with Year-Round Programming)

PROS

- UltraCamp has amazing customer service. Their technicians are incredibly thorough, responsive, and willing to go the distance to help us solve problems. - Most things can be customized relatively easily — the system is very flexible. Since we've had UltraCamp, we've had to make several rapid transitions from a day camp to an online camp to a residential camp, and we've been able to easily retro-fit the system every time.

CONS

- There's a bit of a learning curve. The back-end interface is complicated, and it takes a while to get familiar with everything. - The database is hosted online, and navigating/administrating it requires clicking through lots of separate pages and sending lots of pings. The UltraCamp servers are always perfectly responsive, but if your camp location has very poor internet access (like ours does), it can take a long time to get anything done.

Amazing and Functional software

I love UltraCamp, the company, the software, their team. When we first started using UltraCamp it did take a while to get used to and learn but after spending the time and working so much with it I couldn't imagine using anything else for what I do. I love the flexibility and all of the tools they have integrated over the years. I love their team, I feel like I'm calling a friend who won't judge me when my question seems so basic. They take each question and each conversation as top priority and make sure I am 100% good before we end the conversation.

PROS

Once you learn the system you learn you can do just about anything with this software. We have been able to utilize UltraCamp for our Summer Camp programs, adult retreats, meal ticket sales, event check ins, etc. It feels limitless once you take the time to invest and learn. And anything you need their team is right there to help and answer all my crazy questions :)

CONS

I wouldn't say I like the least of the UltraCamp software as much as I am not as familiar with some portions of the software. I use the financial reporting and manage ok but sometimes it can be difficult to navigate. It takes me a minute sometimes because I don't work in that part everyday like I do for registrations.

We have had a fantastic experience with Ultracamp, from day 1... the conversion from another software was quick and painless, the service we get when we need assistance is out of this workd!

PROS

Ultracamp has almost everything we need all in one program! From summer camp registrations to managing our donor relations.

CONS

We would love to have the option to be able to import UC data into our Quick books.

You’re going to love it!!!

I have really appreciated working with UltraCamp. I have worked with them in 3 different camp settings and they have streamlined our camper registration process at each camp. The support team is amazing! They have never made me feel bad for needing their help. I believe they truly want their clients to be successful and it really shows in their customer service.

PROS

Once the programming of camp sessions is completed, I love the way the registration process is self explanatory to the person registering a camper or for an event. The reporting portion of UltraCamp is amazing and so helpful to keep a camp program running smoothly and safely. UltraCamp is continuing to add more tutorials which has been helpful as well.

CONS

When I run into areas that I have a question with, or need additional assistance with, the UltraCamp team is able to help in a timely manner.

UltraCamp Upgraded our Registration Experience

From day 1, the people at UltraCamp have been wonderful. They provided us with extensive, one-on-one training to get us going, and I have their very responsive support staff to help me along the way.

PROS

I love the fact that a member and their family can manage their account on their own and not need to call me to get an updated account statement.

CONS

The Reporting is very flexible, but I needed some help to learn how to use it effectively. UltraCamp provides wonderful training, so whenever I need help, I have it at no extra cost.

Reason for choosing UltraCamp

We chose UltraCamp for the extensive functionality and the ability to customize our user interface to reflect our organization, and not have a campy look. We are a performing arts organization, not a summer camp, so we did not want to look like a summer camp.

Reasons for switching to UltraCamp

The cost was basically the same as our previous registration and tuition management systems. However, UltraCamp offers so much more flexibility with the way we want to communicate with our students, manage audition and member sessions, and automate almost all administrative functions we would do with paper files. We needed more flexibility and function and that is what we have with UltraCamp.

We have been very pleased with Ultracamp over our years of partnership. We have components of this software grow and develop in ways that have added great value to our programs.

PROS

The commitment of the Ultracamp development team is consistently one of the most impactful positive attributes of the Ultracamp product. I have seen many occasions over the past 11 years where some type of functionality that we require has been effectively added as a direct result of our request.

CONS

Due to the complexities of a number of aspects within the registration of process, there are some areas within ultracamp that are still difficult to navigate on the administrative side, though these have been communicated as areas of concern and focus.

Everything you need for Conference Centers for less

I had a wonderful experience with Ultracamp following a few years of using a big name camp management software. A personable sales and customer service team and they had all of the features a camp or retreat center would need all at an affordable price that was scaleable according to how many registrations you process. The onboarding process was fantastic -- we had scheduled meetings and trainings to learn the system at my pace and in bite sized portions.

PROS

UltraCamp offers everything you need for hospitality software for camps and retreat centers: Point of Sale System, Online Store, Donor Management, Registrations for Events, Facility Rental Management System and even First Aid management in a cohesive system. There was even a way to to manage onboarding for volunteers and staff to track important paperwork like contracts, clearances, etc.

CONS

I would say stylistically its a little limited in terms of customization or embedding into your website.

UltraCamp Makes Camping a Breeze!

Moving to online registrations from paper packets has completely changed our camp ministry. It has saved so much time, and we can now more easily access and categorize our data from year to year. UltraCamp has made a huge difference for us!!

PROS

UltraCamp was our camp's first experience with online registrations. And since we have moved online, there's no going back! You can easily customize the registration process to fit your camp's needs, and it takes a ton of pressure off when it comes to registering your camper. There are so many customizable reports you can take advantage of, and the features for discount codes and medical needs have been a huge help.

CONS

The only bad experience I have had with UltraCamp was when their entire server went down right in the middle of our camping season. That created a bit of a headache with some concerned parents, but overall this product has been nothing but a blessing to our camping ministry.

Up your game with Online Registration

We are collecting pertinent information that makes it easier to run our summer program. We collect payments online, making our bottom line much more easy to achieve. Ultracamp interfaces easily with Microsoft Office making it easy to run reports and share information with our team. And when we need help, the tech support is awesome!

PROS

Ultracamp is versatile enough to match your camp needs and detailed enough to cover important information that you need to collect in your registration process.

CONS

It might not be as intuitive as it could be but the technical support makes up for that.

If there is a problem, the staff at UltraCamp are very knowledgeable and so very helpful. They make the difference for me. They are very helpful and make sure you are taken care of.

PROS

Overall, it is easy to use and has all the functionality that I need.

CONS

I struggle some with the Report Builder. I don't use it often, so I am not well versed in using it. Again, staff is always willing to help when I need it.

UltraCamp was the most complete and versatile program. The staff made it very easy to set up by walking us through that and offering great training.

Saves staff time!!

Overall, the team at UltraCamp was great to work with, the product is the best I've seen, and it totally turned around the way our team thinks about registration (no more instant headaches when summer camp sales come around!) As a manager of a registration team, this product cut administrative time roughly in half compared to other tools I have used.

PROS

UltraCamp is intuitive, easy to use, and displays relevant data readily so you can quickly understand where registration and sales stand. If we ever ran into an issue, the staff team were extremely responsive and patient.

CONS

UltraCamp's use case is pretty exclusive to camp or class registration.

UltraCamp

I would strongly recommend UltraCamp to any other organization looking to move to fully digital and streamlines registration, record keeping and payment processing.

PROS

UltraCamp has completely changed the way that we operate. We are no longer carting around boxes of paper forms on our tour buses, our staff has easy access to important information, and our tuition collection process has been substantially streamlined, resulting in a large increase in on-time collection of tuition dollars.

CONS

We have had to "force fit" UltraCamp's processes to meet our pretty unique needs. There is also a substantial learning curve when first getting set up. However, UltraCamp's phenomenal customer service made working through these as easy as possible.

The ability to customize is endless. You can make it exactly what you need and want. The price is amazing, and the customer service is second to none! These people are honest, hard working and will always be there!!

The software is really good and the customer service is fantastic. If I ever encounter a problem with Ultracamp, I am confident that knowledgeable support staff are just a quick call away.

The online support database is still being developed. It is increasingly robust, but still has holes here and there

Ultracamp has helped improve my life as a small nonprofit camp director! All of our information is in one place, families can manage their own payment plans, and many other great features. We are extremely grateful to the Ultracamp Team.

Amazing Program

I used two other registration systems over the last 14 years and this is by far the best. Great value for money and does everything I need it to do. Amazing customer support as well.

PROS

Families are able to print out their own statements, set up payment plans, have their information saved from year to year and make changes to their own enrollments

CONS

It's a great software. I don't have any complaints.

View from a camper trying to register for a camp session, bad experience. Not streamlined, confusing. Told unable to customize per camp - ie child camp vs adult camp....different needs and words need to be on adult camp. Note: We do not have this product...we have to use it for our campers from CTL. This is a rating from a user with feedback from our campers, not an owner.

PROS

Enables the camp to offer online registration for campers.

CONS

Had to use 2 different emails trying to register for a camp, now need to delete one but unable to that I'm aware. Unable to customize and streamline the application process and steps....and wording on the program.

Upgraded your registration experience

PROS

I have to say that UltraCamp is the best registration experience I have ever had. The process was so easy and quick, and it helped me save a lot of time. I also loved how there were no hidden charges or fees that popped up afterward. The price was clear from the beginning, which is something you don't get with other companies.

CONS

I did not find any flaws with this software.
