Great Software for Child Care Centers

We love this program. It provides us with one place to quickly find out so much information. Log-in and see total enrollment, enrollment by classes or ages. Tracks child information without searching through files or looking in multiple places. Tracks employee attendance and any other info you might want to add like: Date of Hire, schedules, vacation time accrued or used, etc. Many things a pre-programed, but you can personalize it yourself or request assistance from a fantastic customer service person. This makes my job so much easier, especially with continual changes to State Day Care Licensing regulations. You do have to enter each child's information when they enroll, but once and it's done. Can update any information with only a few clicks and everyone that you assign a role can see everything.

PROS

Simplicity of use. Saves paperwork. Can be used to create reports. Easily see everyone who is still in the building (children and staff members). Records many different types of information (attendance, immunizations, medicals, state required paperwork, Food Program info for the USDA CACFP, tuition fees, and other misc info.) You can program it to add user specific information such as allergies, restricted pick-up, authorized individuals for pick-up, etc. We even have a door unit that stores fingerprints of authorized individuals for pick-up and then allows the door to unlock for entry.

CONS

W e have had to replace the door unit after someone cracked the screen and someone just chipped the fingerprint reader which may need replaced (it is still working). This is the result of individual user misuse though and not an actual flaw of the program or hardware. There is an annual update fee, but it is well worth the cost for the time and paperwork it saves.

This product best met our needs, allowed us to personalize it, was not as costly, (didn't have a monthly fee, and was not limited to the number of clients or users. We tried a few others but this was our favorite overall.

We love Procare!

Procare has changed how we bill for childcare. I can access the child's attendance, billing/payments, and communicate with parents in real-time. It has changed the game!

PROS

I love that Procare Support is there to help promptly whenever an issue arises. Procare has simplified billing for over 500 students!

Happy Customer

It has helped our enrollment and paperwork upkeep a lot. The few times we've needed customer support they were helpful and nice. It has been a game changer in our program.

Procare Solutions use with Preschool

We don't have problems. Procare offers so much for us to input and use. I find it very useful as do most of our families.

I feel that this is a great software with alot of potential. I feel that customer service needs to be more available at the time for users. I like that when we submit suggestions, Procare listens and will have the things that we need tested for availability

PROS

ProCare Solution is very user friendly and has real time functionalities such as text messaging and daily updates which makes it super easier to keep in touch with the school

CONS

I wish this software allowed for parents to submit photos to the daycare providers and I wish it was no service fee to paying with electronic checking. However, if this is a must please include this on the receipt for tax purpose.

BEST INVESTMENT FOR MY PROGRAM!

Prior to Procare, my scheduling took a big chunk of my time and now it is a done in no time! I can easily track tuition, absences, immunizations, physicals, training requirements for my staff, and so much more. Previously I had to track these in Excel and they were daunting tasks but now everything is up to date and easy to access.

PROS

I have been using Procare Software for a little over two years now and I can't imagine going without it! I like that everything I need is literally wrapped up into one software program. This has been such a time saver for me for scheduling, keeping records, and every day tasks!

CONS

The cost was a big commitment in the beginning but it has been so worth it! I started out with a few of the modules that I needed to get started with the help of a grant and have added on since then. Another thing is that it does take time to learn the system but I think that is with any software and Procare has some amazing tutorial videos available as well as live webinars that have been extremely helpful.

I had heard so many positive things about Procare from other Directors and when doing trials with other software programs; Procare just seemed to be the right fit for us. It was what I was looking for and seemed to have more features than others. I don't regret it and can't imagine going without it!

Everything I need, anywhere I need it.

Kinderlime has been with me since day one, from the moment I was licensed. Everything was in one place no need to have rosters and billing spreadsheets and have to enter formulas and hassle with paper sign-in sheets. It is always one of the first things I introduce parents to when they tour our home. I can't say enough great things about it. After the parents start using it they tell the family and friends about it and how they can see what the kiddo is doing, eating, learning, they truly love it. I get to share the milestones and happy faces from the daily activities in a way that it makes the time they spend on the phone all about their little one. Invoice Billing is one of the top things I love keeps me super organized.

PROS

I can access Kinderlime from my desktop, cellphone tablet. and so can my parents. It is super easy to use. It is designed to be paperless and it allows me to run my Home Daycare with ease, even when I am not in the office.

CONS

There is not much more I can ask of the features and functions of Kinderlime. I do participate in the Child Nutrition Program and I have to go to different software to enter my meals and attendance, it would be nice to integrate Kinderlime with the programs like KidKare.

As I was just starting off with my new home daycare, Kinderlime price and features were the essential basics that I needed. Going on 1 year using Kinderlime they have added so many more functions. Customer support is always quick to help and the new webinars are a great way to be interactive with learning how to better use the software.

Great Program worth the price

When I first took over in the childcare office I was under the impression that Sandbox would not fulfill what we were looking for in a software program, but after doing more research on my own I discovered that Sandbox was able to do everything that other programs do. I've enjoyed working with the Sandbox program and their customer service.

PROS

This software has the same functions as many of the more expensive software. Without have any formal training on it I was able to figure it out pretty easily and being able to call, email or chat with customer support has been a huge help. Everything that we were looking for in a software program Sandbox has with being a fraction of the price of others. Sandbox is simple and clean looking and is working on updating to keep up to date resources available to parents and teachers.

CONS

Some of the features that it has such as with child daily logs is not as concise as I would prefer it to be as an administrator, but over all it is simple to use and easy for parents to navigate.

We were closely looking a Brightwheel but when we compared them side by side Sandbox does the same thing as Brightwheel but for half the price. Brightwheel is more visually appealing but I appreciate the simplicity of Sandbox

We love Procare!

Overall I have a great experience! We have a large center with kids infant up to 13 years. We also are unique in that we use it for our swimming programs too. These range from 2 years old up to adults and the customer support to help us set this up was fantastic!

PROS

Procare does a lot for our center! We also love how there are additional features you can add on. It is great for tracking families, payments, and even adding activities. Overall we have had good experiences with the customer support. We also love the cloud so we can access this anywhere! The customer support is usually great as well. The people are willing to help and teach you learn more about Procare's capabilities!

CONS

Procare does a lot but some of the features are a bit updated. The texting feature isn't great. It still uses phone emails to send these and we always have problems with it working correctly. The emails are also not great. It can't be customized, images can not be added unless it is an attachment and it can only come from one email administrator unless your company uses Outlook. I also feel like the customer support overall is great but sometimes, I get someone who doesn't seem to know what he is talking about. After a long wait, this can be very frustrating.

Sandbox is a breath of fresh air in childcare management software!

PROS

This program has dramatically changed our billing procedure. It is so simple and easy to use while still having all of the features we need to successfully operate our large childcare program! We love that it can be accessed remotely, parents can access the app, teachers can sign students in and out from the ipad, and so much more! If we ever need help, the customer service team gets back to us very quickly! We also LOVED that the Sandbox team helped us add all students when we started with them so we did not have to manually move everything over!

CONS

This may be a problem unique to our program. However, when we have parents complete a new registration form (needed for our license) each year, it duplicates the parents in the child profile which can cause billing or parent portal issues. We have not found a simple way to correct this on our own. Other than that, everything has been smooth sailing.

Make your job easier

I cannot imagine doing my job without Procare!

PROS

I love that it is cloud based. I can sign on anywhere to help my customers and staff. I like that all of my files are paperless. It is good for tracking when a something is coming due or is past due. It offers good reports. I like that everything is in one app. I also use the Kid Reports app for and I love that all of the data is transferred automatically.

CONS

I have been using this software since 2010 and there is always improvements that help make our job better.

Reason for choosing Procare Solutions

Our management team researched several Procare competitors. Our team attended webinars for other products, but there was not any software that was able to provide us with everything that is offered with Procare. Other companies seemed good, but they were always lacking one or more of the platforms that are included with Procare. Our center uses the Family/Accounting, Employee Data, Vendors/Expenses, Time/Attendance Tracker, and Food Modules. The family communication Kid Report app is also used by our center. There is just not another software available that can provide the all in one service that Procare offers. I highly recommend it!

Procare Solutions Software Review

My overall experience with Procare Solutions has been amazing. I think this is a great product to use. Especially if you are a large center. You want to take the time needed to set everything up. The beginning is very time consuming. But so worth it. I do not think Procare would be as great as it is if I would not have taken the time to customize it to my center.

PROS

I love the support from the software/account management team the most. The only time I had an issue with getting a response and assistance I needed was when my account manager had to take a leave of absence. Which is obviously not a common thing. I am always responded to within the same day and Procare Employees have always gone above what is typical in the way of customer service. Starting a new childcare software is time consuming and a learning curve. They made it less daunting and easy to get familiar with the software.

CONS

-Filtering lessons doesn’t save the chip, so the user can’t select a category and then use the search bar to filter/find a lesson-With lessons, Backend doesn’t seem fast enough to be fuzzy searching on every keystroke (over 4000 lessons)-Seems like the “source of truth” is the classroom, and then you can add lessons to that classroom (which makes sense in a day-to-day sense). However, if the lesson itself was the “source of truth”, then it can be assigned zero to many classrooms and that would make lesson management easier. Classroom management seems like a one-and-done process, while lesson management seems like it’s an ongoing, multiple edit process

Improvements needed

We are making it work, it is just not very efficient in several areas. It would be great if Procare could sit with centers and see what features need some changes, what needs to be added etc.

PROS

Newsletter creation etc is nice. Some of the reports are better than what we used previously

CONS

It doesn't always make sense. Too cluttered / not organized how I would prefer. Not always easy to set up. Some features don't align with what works for our center. Staff timecards - the system not allowing someone to punch in if they forgot to punch out can make things more complicated. Too many steps to be able to modify a timecard when someone is currently on the clock (having to go to the function batch post time card). Not being able to punch in or out if time for a future date is entered. Restrictive. Too many steps for what should be simple processes. etc.

We were using EZ care for billing and Tadpoles for attendance and parent communication. We liked tadpoles a lot, but tadpoles was not set up to handle subsidy billing at that point so we could not transition fully to tadpoles. But we did like their system for communications, daily notes etc. If they had a billing feature for subsidies and not just private pay we likely would have used them.

ProCare Review for Child Care

Overall, it has helped with time sheets and is a consistent database for basic information about children that we share administratively. We have not liked the Food Program component and have chosen not to use the Tuition Express, since all of our Accounts Receivable is in QuikBooks, which works well for us. This also means double work, when we thought it would reduce our workload. The immunization information is fabulous, as we need to do annual reports for the State and this can be done with the click of a button.

PROS

We like the Time Card reports and the Immunization Reports work pretty well.

CONS

It is really clunky to use. For example, if we want to change a time in/out, we have to do three different strokes: the hours, the minutes or a.m./p.m. This is time consuming. We purchased the Food Program component, but because it doesn't separate children in different classrooms, we don't use it. ProCare is not compatible with Teaching Strategies Gold, which is our curriculum and assessment system, so that we have to enter demographics twice. There is no place for demographics, which we need several times a year for multiple funding sources. Everything takes too many steps. Unless we input a child's schedule, that child will not show up as being enrolled. If you put in a withdrawal date before the effective date, the parents cannot sign the child in or out: the child disappears instead of waiting for the effective date.

We thought it would be more efficient and compatible with the work that we do. We have not been totally satisfied with ProCare. It is very clunky to use.

Lori - We're glad to hear you like the time card and immunization reports. As to the Food Program component (known as Meal Tracker) you may record meal counts and sort/filter by classroom. Regarding Teaching Strategies Gold, the ability to record state standards is part of our KidReports app and currently available for 22 states (although not yet for Maine). As for demographics and enrollment dates, there are various ways this information may be tracked. We'll have someone from our team reach out to talk through the best approach for your situation.

Procare Review

I really like that parents are able to log into myprocare.com and view their account balance, payment history, and make a payment without my assistance. It saves me time and energy and gets us the tuition payments quickly. Overall, I have had a very positive experience. Tech support is stellar!!

PROS

It is easy to use. When I have a question or an issue, customer support is very responsive and helpful both via the phone or online chat. I really like the online wait list module that allows prospective families to contact us. It allows the prospective family to enter their information and it is automatically integrated into the client database with a few easy steps, no re-entry necessary. I also really like the myprocare parent portal which allows parents to log into their account ledger, view and print statements, make payments and more. The payments made their are automatically posted to their ledger card and deposited into our account. It is slick and easy and saves me time! I also really like that I am the one that processes the ACH payments each month. This makes my relationship with my parents much easier versus our old system where a 3rd party processed them making error resolution sometimes a nightmare. This system gives me the flexibility to change the amount to reflect more accurately the amount owed as well as stopping payments easily when a family unenrolls from the program..

CONS

Creating certain reports, like a waiting list by age, can be tricky and took me some time to get set up. In a previous iteration of this software, pre V10, there was a labeled report already created that you just set date parameters of "waiting list" enrollment and voila, a waiting list was created for you. I also wish you could add a stand alone field to the client profile that designates a funding source for each client. It would help for enrollment and budgeting purposes. The only other draw back is the cost of the financial transactions, but those are inline with the rest of the retail industry. Just hard on the non-profit budget to spend money on convenience for the parents.

Using Kinderlime with Our After-school Program for New Americans

Using Kinderlime in our after-school program has been beneficial in the following ways: - It's allowed us to ensure that our staff to participant ratios are always met - It's allowed us to better know each and every one of our kids. We see over 120 children each week. The program allows us to more easily remember faces and names, siblings and parents! - It's given us peace of mind knowing that student emergency information is right on hand if needed. - It's given us one single platform to manage participant attendance and volunteer attendance. - It's allowed us to use one platform to manage our particpantion in the CACFP program and complete our meal tracking in one, easy place. - It's given us the ability to quickly pull student and program data for grant writing purposes and for logistics. For example, in seconds we ewre abel to get a list of student names and addresses for our new van driver, making pick up a breeze.

PROS

What we like most about the program is that it allows us to connect more meaningfully with the parents of the New Americans children we serve in our programs, through the messaging features and newsletter features. It's provided our parents, who are often not invited to participate in their children's care or schooling, with an accessible way to stay engaged with their children and with our program.

CONS

So many of our parents and children are English Language Learners, and are new technology users. It would benefit our program greatly if there were more opportunity to directly engage with parents and participants through the app. Specifically, allowing us to direct and mass message and text them consistently! This is because our parents are more apt to use a texting feature over an emailing or app feature. We've found this to be the truth with our grandparents as well. Our program provdes full transportation to participants, we pick up and drop off kids at home. Having the ability to text parents a notification when their child is on the bus, or about to be picked up, would be fantastic for our logistics, parent engagement and participant safety.

Reasons for switching to Procare Solutions

We needed something that was more user-friendly and had all of the features we needed, with a focus on parent engagement and meal tracking.

Procare Review

Overall, I really enjoy using the app and out families love that the can get real time updates about their children throughout the day.

PROS

What I really appreciate about Procare is the effortless way that my childcare center can communicate with our families on a daily basis. Parents are able to have access to all the activities, photos, videos, notes, and messages directly on their phone or device. It is a great way to keep track of which children are here (signed-in) in the morning and who is absent. This feature comes in handy when moving children between spacing with the name-to-face feature or in emergency situations as well.

CONS

So far there hasn't been anything that I don't like about the app. Our center has been using Procare Solutions for more than 3 years now and nothing sticks out. There are a few features we don't use but, that wasn't due to us not likely those features we just have a different system in place for those already.

ProCare FTW

It's simplified down to the advanced features we require to run our business. The updates truly do honor the feedback that our users require and they follow quickly after challenges arise. ProCare uses the same between phone, iPads, and desktops and my teachers of all ages and abilities use it with confidence. This was the closest software to our every day technology that we operate with on a personal level. The development of this software is just beginning and we are very excited to think of how far it's going to go. Being in the executive leadership side of [sensitive content hidden] "Kelle" AI, it's so impressive to see the feedback and changes happening in such speed- faster than some other tech companies I've experienced in action.

PROS

All of my teachers, admin, and parents are such advocates. It elevates our program to be more organized, established, and advanced. I love the team behind its development and how receptive they are to each of my users. I love the admin user interface and how deep it *can* go for our team, but how simple it stays until we are ready to unpack more and more functions. It's simple, clean, and really up to date with featuring what actual schools need to operate. Coming from someone who would rather float between 3-4 programs that I know will work than trust a new software to "have it all" I am proudly all-in with PCS. We are their biggest advocates at Reggio & Co.

CONS

Our Reggio Emilia philosophy is a reflective practice for our educators and requires them to be in a constant state of observation and documentation. Historically they have been seen with journals, notebooks, and iPads to continuously track the status of the vine assessment standards that they have come to memorize. This collection of a teacher's observation of each (20 children) child's learning process is then produced to parents at the end of the year to showcase growth. Currently, PCS offers an ability to "assign" an "observation" to a child's name which parents can see. This feature isn't helpful as it's an isolated, random statement with no context. We would love the ability for teachers to documented observations of each child continuously throughout the year in draft form (essentially like "therapist notes" that are better left unseen until the trends and themes are identified) and able to be published at the end of the year. This would create HUGE relief for our teachers who are now giving themselves 2-3 weeks of trudging through hand written notes to evaluate each of their 20 students. By having these ratings non stop and in real time, teachers will have their collection handled organically and it truly will change the way we can show up in the Reggio Emilia Philosophy (because right now it's burning us out)

Lifecubby was going out of business and we loved [sensitive content hidden] and knew of her recommendation so we took it. Lifecubby at the time of conception was EVERYTHING to us admin who were just entering the digital world of project management. It was not able to evolve with the ever-advancing needs of leaders.

Just so you're aware, there is a way to record observation activities in the app with an assigned assessment that does not immediately share to parents. Instead, these observations are recorded and documented within the child's portfolio until you are ready to share the portfolio with a complete overview of child assessments with their parents. Your staff can also make notes and even include images with these observations that they can see and will be visible to parents only when they view the portfolio PDF generated by Procare. Why choose Procare over other Childcare Management Software?

We have used Procare for over twenty years now, and love it! Have we looked into switching? Absolutely, because you always want to ensure that you are using the best product for your business. In researching other childcare management systems, there is no childcare management sytem out there that can do everything that Procare does. I have never had a negative experience with Procare either. I love the Tuition Express feature and I use Procare to process our payroll, which saves our company so much money from having to outsource this. We love Procare and wish them continued success as that helps our business' continued success!

PROS

I love how easy it is to use Procare and all of the capabilities of Procare.

CONS

I wish that Procare could be used on an Apple product. We have to use Procare desktop due to the size of our school, but there is not an option to use Procare Desktop on an apple product. I wish that Procare Cloud could be used for our size of school. There are some features not on Procare Cloud that are on Desktop and vice versa. The app.procaresoftware.com interface could use a huge overtaking as well. We have to use this on our phones being as we cannot use Procare Cloud.

Reason for choosing Procare Solutions

No other childcare management system offers everything Procare does. The easiest question that gets me off the phone with other childcare management system reps is, "Does your system allow me to process payroll/direct deposit?". Not a single other childcare management system offers that. For me that is huge because I use Procare to process our payroll and this saves us so much money versus having to outsource this. Other companies offer similar capabilities, but none have anything Procare cannot do.

Why we use Procare Solutions.

I am very pleased with the staff any time I need to call and ask questions or when using the chat option online. They are always helpful and polite and respond quickly, which I value.

PROS

Procare Solutions is an easy way to organize the children and their families in one convenient place. It allows us to archive children and yet still connect them to currently enrolled children. It helps by tracking monthly tuition payments and sends reminders to families to pay their tuition on time. This frees up my time as the manager of monthly payments. It helps me stay organized with my billing and payments allowing me to run any report I may need. I love that it gives parents the tax information as well.

CONS

I enjoy working in Procare but, sometimes I find it difficult to explain to our parents how they need to set it up on their Cell phones. You they are not a very tech savvy person we have to physically show them on their phone which in turn takes up times . This could be my fault, there may be an easy hand-out that Procare has ready for us to give to families that I may not have seen. All in all , I am very happy with Procare especially what we use it for.

Again, I am not sure why the preschool chose Procare, but I am glad they did. I used Procare in my previous position in a large school district and thought it was a good program then also.

PROS

We have used procare for over 20 years. We have been apart of the advancement and it truly has made our business simpler. I think that there are ways that procare can improve in a more simple way. We love the check in and out system through the app and how it correlates to the desktop. It has made out attendance 100% more accurate. The sales team you have is also amazing and very helpful.

CONS

The features are awesome but the software team could make it more accessible for all users. It has been a disappointment to see our current rate increase solely because we do not want to do the all in one platform. We wish you had simple online forms for registration every year with our parents and a payment portal that does not cost us or our parents to do ACH.
