Immediate impact on our community and our nonprofit
(1) We now a user friendly client system that will allow us to rapidly obtain client information (2) We are able to identify clients who are using different names or visiting multiple agencies to get services. (3) All agencies in our county are now working more closely together to help clients.
PROSThis software has helped our county set up its first system for tracking clients and assistance. Within the first few days it helped our ministry identify people who were using different names to receive duplicated services. We are also able to identify clients who are reporting different levels of incomes and different family members to the various agencies in order to obtain more services. Charity Tracker is having a big impact on our churches and small agencies who do not have trained interviewers or extra staff. As our ministry loads clients, it allows the smaller agencies to see all of the client information that they would not normally have access to.
CONSThe initial start up is time intensive as we have to load every client that comes in. With 14,000 assistance cases per year it will take us some extra time to get everyone loaded. Once they are loaded the first time this problem will go away and it will be much easier.

Best Practice Decision
-the ability to update/change/customize the software at-will -the responsive staff whenever I have questions -the ability to run my own reports and pull-data quickly without having to interact with a support person.
CONSWhat bothers me the most is that it is not fully HMIS integrated​ into the HMIS software that our county uses. It is vastly easier and more intuitive than HMIS and I wish we could use this instead of doing double entry on some cases.

The support staff is super friendly. It is unfortunate that we have not been able to work out a highly effective use for this database with our current needs. However, it has been of some benefit.
PROSI think the software is pretty user friendly and for the most part, self-explanatory for the functions we have on our account.
CONSUnfortunately, we are not able to pull solid reports from the software which significantly impacts our ability to share statistics and overall impact. Also, there is a pretty high jump in cost from one user to the next in regards to having multiple users at the same time. It is understandable, but not the best fit for our program's needs.

Great for social workers
We use this software daily and for several ways such as case management and client demographic reporting
PROSI like that others agencies I work closely with can be in my agency network and that I can keep notes and assistance private or share with others
CONSOnce a user is created with an email address, another account with that email address cannot be created.

A tool for moving clients towards self-sufficiency
As mentioned above, my organization is not a direct service provider. Therefore, we do not actually input information into Charity Tracker - because we are not providing any rent, utilities, food, etc to our clients. However, it is an extremely important tool for us to use as we assess the level of crisis that our clients are in when they come to us.
PROSThis tool allows me to work towards the goal of our organization - moving individuals and families from dependency to self-sufficiency. A simply glance on charity tracker allows me to see the depth of their dependency on other local organizations and then move ahead with setting goals and finding solutions.
CONSThe software is amazing - but only as good as the number of organizations that use it. In our community, we need to see more "direct service providers" using this tool. There is no way to know of the services they are receiving throughout the community unless those organizations participate by sharing their information in this incredible tool.

Gets the job done :)
We are easily able to track the last time guests came in as well as what addresses they are coming from, which is the most important thing for us. It works for what we need it for which is why we continue to use it :)
PROSIt is overall simple to use and organizes the information in a way that makes sense when you need to go back to it.
CONSIt feels a bit dated, but I can't say in what ways it needs to be updated either.

Communities Need Charity Tracker
Makes for stronger community partnerships and more viable collaborations.
PROSAllows higher level of collaboration and data sharing among community organizations that help the most vulnerable. Allows us to see a bigger picture of our client situations (relationships, demographics, and history) Excellent program for tracking detailed information about services rendered to community members--a true blessing to small organizations.
CONSInitial reticence on part of smaller churches and organizations to take the time to learn and use the software. Age of their volunteers/staff is usually a big factor.

The sales people were wonderful, kind, patient and answered all my questions. The customer service representatives as well. It is user friendly and overall will add to the work you do, which is the purpose of a data tracker, sadly it doesn’t always improve your work, but charity tracker does and that is its genius.
PROSIt is VERY user friendly on various levels. I am a social worker with over 10 years of experience and have never encountered a better data base system. Really fantastic!
CONSThe scheduling of appts was a bit confusing, but overall okay.

Managing Charitable Activities Made Easy with CharityTracker
CharityTracker has been a valuable tool for our non-profit organization. We are able to track and report on our assistance programs in a streamlined and organized manner. While the user interface can be a challenge, the benefits of using CharityTracker make it a worthwhile investment for any non-profit organization looking to streamline their operations.
PROSCharityTracker provides a centralized location to track all client information and assistance provided. The software's case management feature is particularly useful in tracking assistance over time. The reports generated by CharityTracker are customizable and provide valuable insights into the services provided.
CONSCharityTracker's user interface is not very intuitive. The software can be difficult to navigate, and some features may require additional training to fully utilize. Also, the software's mobile app is not as robust as the web application.

Stay connected with Charity Tracker !
I like that this software keeps me connected with other non-profit organizations. When an organization posts, I am immediately notified, and vice versa. When I have information or a family who needs immediate help, Charity Tracker is where I go to first! It is an invaluable resource and tool!
CONSI have experienced a difficult time posting a flyer that is 2 sided - my operational knowledge level may not be up to par - but that may something that should be looked at in a future update of the software.

Charity Tracker For a Network of Providers
We are attempting to address a multiple issues by implementing Charity Tracker: 1. Provide a useful tool for our non-profit, government and faith-based partners to track the assistance they are providing in our county. 2. Providing them a simple way to report on the assistance they are providing in our county. 3. Connect organizations to each other, across a network, to better serve clients with varying needs in a more holistic way. Organizations can make direct, electronic referrals to each other across the network for assistance they are not able to provide. 4. We are asking all organizations using the system to input program-level detail to ensure that the referrals that are made are "qualified leads". 5. Offering organizations a way to better goal-set and track outcomes with their clients, with multiple organizations having the ability to assist/participate in the goal-setting and outcome tracking. 6. We are seeking to understand gaps in assistance as well as reduce duplication of service. 7. We are streamlining the intake process by setting a minimum level of information that organizations must record during intake, which will also ensure that all organizations assisting a client have the information they need in order to do so. 8. We will utilize the collective data to bring more dollars into our county to help support the organizations in our county that are providing assistance.
PROSWhat I like most about the software is that is easy to use, user-friendly for a variety of skill levels and intuitive. Also that the system is web-based, because that means I have access virtually anywhere.
CONSWhat I like least about this software is that it can take upwards of 15 minutes or more to pull a CSV file report. Also, while I like the variety of reports available, the amount of options/combinations can make it confusing to know which information to pull and how to pull it.

Charity Tracker makes networking with other organizations quick and easy.
The collaboration with other agencies assists clients better. Donor and funders like to see that partnerships happen because of this program.
PROSCharity Tracker is easy to use, regardless of your computer skills. Someone who has very little knowledge of computers and data entry can easily be trained on this software. This is very handy as a non-profit, because many times an unpaid team member is using the system, and they are not always well trained. Charity Tracker makes tracking of services for clients very easy as well. It is great to see what services the client has already received in the community. This helps to better assist the clients overall, and makes connecting them with services much more efficient. Also, Charity Tracker's tech support is fabulous. Anytime I have a question, or need help running a report, I call their help desk. Within minutes, I am in contact with a technician, and they stay on the phone until my issue/need is addressed. The value for the amount you pay can't be found with most software.
CONSAlthough Charity Tracker can run reports, the reports are not as sophisticated as I would like to see them be. We use the data collected by Charity Tracker to assist in grant writing, and there are times that I can not manipulate the data in the manner needed to get exactly what I need. Also, the data is only as good as the quality that is entered. I would like to see a feature that tells you when data is missing in a client's file. For example, if entering a new client, if you miss the DOB box, I would like to see a box pop up that says "You forgot the DOB for this client. Would like you to enter it or ignore it?" I know that sometimes it's not possible to enter ALL the information, so an ignore button would be nice. If this popped up every time you enter that client's file, it would be annoying enough that you would enter it to not have to have the box pop up anymore!

Love CharityTracker
CharityTracker has been wonderful to work with. They have great customer service and have always responded quickly.
PROSWe have used CharityTracker for several years. I love that we are able to share information about how we have helped people in our community as well as see how other organizations have helped too. The alerts and notes are great tools. I can't imagine running a ministry that assists approximately 40 families per week without CharityTracker.
CONSNothing. We love CharityTracker and would recommend it to any organization or church that is doing benevolent ministries in their community.
Reason for choosing CharityTracker
The number one reason we chose CharityTracker was to be able to share information with other benevolent ministries in our community. The second reason was to keep accurate records of our ministry in an easy to access format. Before CharityTracker we kept our own information internally, but we had no idea what the other ministries were doing. CharityTracker not only opened the door for communication with other organizations, but it also made tracking our ministry more effective.

I cannot say enough about how helpful Charity Tracker has been to our community!
Ease of retrieval, all information available at the touch of my finger, people are able to access the information from their offices rather than calling me all the time, it is very hard to take advantage of our program now that we have Charity Tracker.
PROSPreviously, we were keeping all our assistance applications in notebooks and carting them around in a big cart from place to place so we could refer to them when clients applied for assistance. They were big and bulky and not always dependable. With Charity Tracker, everything is accessible with the touch of a finger and all involved can access it from various places at the same time. The ease and dependability of this program has revolutionized our Caring and Sharing program. I value the Notes section greatly because we can include information that we could never pull from memory down the road and it has saved us from being taken advantage of many times.
CONSActually, I can honestly say there is nothing that I dislike about this software. It fulfills all our needs and more. People from various organizations have visited my office to check it out.

CharityTracker is a phenomenal tool to help bring a community together.
It helped bring our community together as we serve those in need and help them move forward. We can track progress, collaborate and provide updated information to the community efficiently and effectively.
PROSCharityTracker is very user friendly. Most people can use the software. The HELP desk and customer service are amazing and provide everything you need. It has an excellent reporting feature and the flexibility of customized reports is very helpful. The data it can provide has helped our community make many program decisions. The Bulletin Feature provides a very efficient and effective way for us to communicate community information. It can be used during a disaster to get information out to the community about where services are available. It has an incredible capacity!!!
CONSI believe there is much more we could do with CharityTracker. It would be great to see how other communities use it and what features have been created for them.

Charity Tracker
This software is very benificial to our Personal Ministries department and is used daily in our office to check on Food pantry assists given as well as for new client information. We use it everytime someone applies for assistance to determine if they have already received their yearly allotment and also on intake days to inform clients of their eligibility before they begin filling out the applications.
PROSCharity tracker enables our department to safeguard the effective use of our resources to meet the needs of our community because we can easily accessthe information regarding how we have assisted a client in the past as well as important information on the resources which have already been provided by other local agencies.
CONSThe search process is not as effecient presently as it has been in the past making it necessary to sometimes search through 15-20 pages of names to find a name which should have popped up when the name was typed into the search box.

Biggest time saver for us in 6 years
I have been working with my agency for six years and nothing has saved us more time than converting our paper file system into our online database. The training seemed overwhelming and scary to staff and all 170 volunteers but when the time came, it worked fine. We had most volunteers comfortably trained within a month. (Around 25% of these volunteers had no prior computer experience.) We had a few kinks along the way but Charity Tracker staff has always been easily accessible and willing to help. We couldn't have had a better experience.
PROSEverything! Couldn't ask for better quality service from Simon Solutions.
CONSOver the past several years we have suggested small changes and the changes were made. So I don't have any complaints. But I wish we could get everyone in Transylvania County on board. If all agencies were also inputting data into Charity Tracker we could get better statistics about gaps in services. I think the price is a barrier for some of the smaller non profits.
