Zen Planner Software


 

Zen Planner is a member management software for gyms, affiliate gyms, martial arts schools, MMA schools and fitness studios. It includes integrated payment processing and automated billing, a self-service kiosk iPad app, both a member app and staff app for Android and iOS devices, scheduling, automations, workout tracking, belt and skill tracking, site templates and more.

Zen Planner's pricing is based off the number of active members and includes payment processing, and there are no contracts or startup fees. New customers have access to one-on-one training sessions with an onboarding coach who will help train them and implement the software for their gym. An in-house customer success team is available by phone and email.

I like how the dashboard was very easy to navigate. Everything was laid out very clearly. I don't schedule a large number of classes yes, but I can see that becoming a lot easier with an app like this. I appreciate the free trial which allows you to identify how useful the app could be to your company before any commitment. Their customer service is OUT OF THIS WORLD. Seriously, I've never been so pleased with a customer service experience in my life. And not just once but every. single. time. Their employees are well trained and extremely caring, professional, & personal. Add an easy-to-use software on top of it...amazing!

Cons

There are a a lot of restrictions on things I wish I could do. Example: I can't have a free trial option as well as an option to pay amount for a drop-in. Why would I need this? We do not charge a local that is looking for a new gym home a drop-in fee. An out-of-towner, on the other hand, is charged.

ZP lets us schedule and bill clients in one place. It spits out reasonably useful accounting summaries and can handle some email automations.

Cons

This software is the worst part of my job. Do not be fooled by their slick sales staff: this cannot perform most of the functions advertised. It can, but only in a perfect world where you gym runs exactly as ZP imagines it. In this imaginary perfect world, you'd need a team of administrators working full-time to keep your database up-to-date and functioning.

Our gym runs about 250 sessions per week. That's either classes or PT. They're all different. ZP's workout builder does not work for this. We were spending ~3 hours per day inputting workouts. It could not scale. So now we do not track workouts in the software.

We see 100 leads per week and run free trials to get them into the gym. ZP's various 'prospect' systems cannot handle this. They are not manipulatable enough to handle the different types of trials we'd like to offer. Doing so, again, would take a team of administrators. We now use a separate sales software for everyone on trial.

ZP goes down most days for 1-2 hours. 5-6 days per week. Just no software to run the gym. No attendance tracked, no bills processed, no member questions answered.

ZP's calendar never works on the first try. Literally. When I click on a staff member's calender I wait 15sec for the software to reload the full gym calendar with no changes. Then I click the staff member a second time, wait another 15sec, and only then am I rewarded with his/her calendar. With 28 staff this is not working.

Love how it helps make my job and tracking athletes along with our inventory so much easier. I'm able to see who of my athletes have been gone for too long. I'm also able to see who had an error with payments so we can solve them right away.

Cons

I wish it would send us a notification that we're low on a product so we can order more before they run out.

I went through their entire onboarding process and with each session discovered more and more things that did not work. At best they have nice color schemes to pick from... No one's selecting their software for the color schemes, so that is essentially the biggest pro there is to Zenplanner.

Cons

Extremely limited in use. You can't have more than one 'drop-in' on an account, you can't take a deposit for an appointment without becoming a member, you can't attach a waiver to an appointment despite the variety of appointments that may exist from a gym to a yoga studio to all the other 'fitness' businesses they boast being able to manage. You can't have a group membership, therefore every single person--children included have to go through a ridiculous process of that is in no way streamlined. It can't differentiate in membership options. The list goes on and on. Basically, they hired a good marketing company and told their sales team to 'make the sale' no matter what... The needs we stated for our business was simple and we were assured that Zenplanner could perform them. Going through the onboarding process was like repeatedly being told "no it can't do that" and "oh sorry, no it can't do that either". We ended up canceling before we even started and then they refused to refund the inital payment AND to the real treat: CHARGED ME FOR AN ADDITIONAL MONTH despite the fact that I had clearly been unhappy with the product. The point being they could care less about your satisfaction and so once you sign up--they've got you...

we are now able to do all of our member, cash flow, and fitness management all from a centralized place.

Pros

It has made managing our affiliate mush smoother. From both a gym management side and a customer engagement angle it has been simply excellent.

Cons

The staff app still needs a little work, but it's pretty solid as well. I'd like to be able to see the whole week of workouts and edit them from the app if need be.

using this program is so easy for yoga students!

Pros

I go to a yoga studio that uses zen planner. It makes it so much easier to make payments, check schedules, and view information about the classes. I would rather use this program than having to fuse over making payments at the studio.

Cons

I once had a problem where I paid for a special class, but it did not show up at the studios end. But they quickly resolved the problem.

It helps me automate and streamline my systems and processes. I only wish it had the capacity for me to plop in all my expenses. Then, It would be golden! I would be able to replace my accounting software and have everything all in one place.

Pros

It's ease of use. It is laid out in a simplistic format that is easy to navigate.
The customer service team is outstanding. They always go above and beyond to ensure my satisfaction with the platform.

Cons

The lack of text feature but that has now been rectified for Cdn customers.
The only other less than desirable thing about the platform is the tiered billing. Personally, I truly don't see a need to have different billing if I have 50 students or 75. It should be one flat rate straight across.

The applications give you the all of the details that you need. Navigation is easy once you have worked it.

Cons

Must study the training to grasp it all. Customer service is great to help with this. The cons for this is so small compared to the pros!

I would like the reporting aspect to be more dynamic as I'm used to Crystal queries/writing. I continually find the Customer Support from ZP makes up for this. The always have an answer for any reporting hurdles I run into.

Best Support Team!!! they seriously rock and has helped me trouble shoot all issues I've had over the phone or over quick emails. Anything i didn't know how to do they were super helpful and worked so hard to help me implement their software and making things very easy. Allows me to filter my classes, students and programs very easily. Beautiful Website integration (similar to mindbody but easier to use for customer) Keeps track of how much a client owes me and allows me to create a parole for my employees. I own a Holistic wellness center that does everything from Yoga and martial arts to acupuncture and energy work and zen planner allows us to manage everything smoothly while keeping track of all of our clients with ease. If your looking for a scheduling software i highly recommend this software. Has really taken a weight off my shoulders as a business owner and let me focus on more important thing.

Cons

The initial set up of the program is a little difficult, it was hard to navigate through at first but again, awesome support team that explained it very well.
Only other con is that the website integration is a little difficult and not as pretty on mobile.

The system does everything. I have a lot of free time now, and a peace of mind that all the bills and products are being tracked properly. What I like a lot is the Kiosk for iPad.

Cons

Is a lot functionality, I can't say is a cons. I need to lear more about the new features that the system can offer.
