Zen Planner is a member management software for gyms, affiliate gyms, martial arts schools, MMA schools and fitness studios. It includes integrated payment processing and automated billing, a self-service kiosk iPad app, both a member app and staff app for Android and iOS devices, scheduling, automations, workout tracking, belt and skill tracking, site templates and more.

Zen Planner's pricing is based off the number of active members and includes payment processing, and there are no contracts or startup fees. New customers have access to one-on-one training sessions with an onboarding coach who will help train them and implement the software for their gym. An in-house customer success team is available by phone and email.

ZenPlanner

Zp helped me create and manage clients and billing them monthly. I've been using it since about 2008, so 10 years or so. It has gotten better over time and I've only had trouble with once or twice. It's a solid system

Pros

When it first came out it was ahead of everyone else. It still has a lot of features but it needs a facelift

Cons

The scheduling system needs to be reworked and overall it needs a facelift. There are many excellent alternatives to ZP out there that can do everything ZP can and then some with a much more user-friendly interface

Great customer service but not user friendly at all

Pros

Customer service was readily accessible by email or phone. Technically speaking, Zen Planner has a lot of features. That's should be a good thing, however....(see cons)

Cons

While Zen Planner had a lot of features, it was terribly difficult to use them. The software was not intuitive, and in many instances required 3 or 4 steps to complete a task when only 1 or 2 should have been needed. It also wasn't attractive in appearance on the business side or customer side. The app was terrible and lacked most of the desktop functionality. Having come from Pike 13, who's app could do it all, it was a big let down to have to go to desktop to complete most of my tasks.

Looking for a switch from MindBodyOnline? This is it!

Pros

Zen Planner is much, much easier to use for the type of business my husband and I run. As a business owner, my husband needed an app that helped him stay focused and was easy to use and that's exactly what this switch has allowed him to do! I personally love it because it connects with MailChimp and allows email subscribers to directly sync with ZenPlanner and vice versa. I could go on and on but the summary is, this app has improved the way we track client data, retention, our schedule and even our employees. (The clock in and clock out function is so helpful!)

Cons

I think emailing clients out of the ZenPlanner could be a bit better designed. The function itself works but it's not as simple to use as the rest of the system.

Don't User ZenPlanner. It's terrible.

Pros

I found nothing but problems. The only useful thing I found for this, but yet it was very difficult to work, was the ability to add knowledge pieces to a person, per individual rank.

Cons

I don't even know where to begin with this company. The POS system is crap. It's very difficult to do discounts on anything. Their front house version of their software is crap. Their customer service is terrible, they basically tell you that there isn't a way to do what you are asking. Mind you, I'm not asking things that are really random, but things that most martial arts school owners need to do.

Then when you cancel, they require a 30 day notice and then steal one more month of cost but don't give you any service for that last month.

Got to be something better out there

Horrible. Stay away.

Pros

Great advertisements. The ZP people really think a lot of themselves.

Cons

The employees sell the product well and seems to be behind it but lets be real. If you have to sit through several sessions of live online training to learn the system, it is not user friendly. Part of the problem is that it tries to do everything, rather than trying to do a few things well. Email function does not work. After sending several email out to my clientele, I discovered today that all they were getting was the title and no body. What an embarrassment. Today, I spent 4 hours trying to send one email. Eventually had to export each address manually to my google account to get the email out. Took me 20 minutes. I was using google mail before ZP and it looks like I will be going back.

Needs a better app

Pros

Support team is great, and really helps in the on boarding process. They are very fast in response time and give many options for helping solve situations.

Cons

Scheduling ahead of the current week is a little confusing. The calendar keeps jumping back to the current week whenever a new appointment is added ahead. Also cannot add appointments within the day. A little confusing and not the most efficient.
The app is terrible. No ability to schedule clients (at least as far as I have been able to do) and is pretty overall useless to me.

Great for coaches!

Pros

The front desk mode is extremely easy to use and looks good visually. It makes the coach's life much easier because they can check members in easily while still managing the class.

Cons

There's a vast selection of reports that you can run but it can be difficult to get the exact data you're looking to capture. It would be helpful if there were more help documents regarding the process of creating reports.

Way less complaints than other owners

It’s been positive. It’s better than previous software, I’d like more, but from other conversations I’ve had and things I hear about other apps I am not sure that there is much better.

Pros

It’s makes a lot of sense to use. Some things aren’t obvious necessarily at first, but once you get there it all makes sense.

Cons

It feels pretty limited in reporting. Not because it actually is, but more because the options for them are too specific.

Workout tracking is kind of a joke. It hasn’t been updated since it premiered and it’s not “fun” for members to use at all. We’ve since switched workout tracking to sugar WoD.

Great System

ZenPlanner has been very reliable and does what we want it to except for the odd issue. Sometimes I get so frustrated I want to switch providers but then realize that the other providers still aren't as good as ZP so I just have to stick it out. If they increased their speed at which they fixed bugs and/or simple features then I would be a very happy customer.

Pros

It's a great CRM for a small fitness facility. From reviews from competitors, it appears to be the best however I haven't personally tried the others. The Chat feature is great to be able to quickly message with employees when I have questions or concerns.

Cons

They are very slow to fix bugs and/or simple features. It's almost like they don't even have tech employees to fix these things.

Excellent product with futures that are practical, easy to use, and visually appealing

Endless , independence and function. Being a small business owner it allows me to run and automate many things such as financial reports, workouts, attendance. Reservation, automations of emails for customer retention , sales funnel , customer support, technically forward thingkong woth use of apps for iPad and iPhone to allow me to function on the run , away from the office, in the field, and manage coaches.

Pros

I love zenplanner. They started out with few features and no apps but they promised to improve regularly and they deliver. In the short 4 years I have been using they have incorporated a staff app for the iPhone, a users app to reserve, keep track of workouts , PRs, billing and much more. an app for the front desk to use as checking in, reserving, adding new clients at ease. On each of these products they improve and incorporated new needed features faster than any software I have ever used. Their customer service is truly second to none. Helping you not only in the set up stage but anytime you need help and they work to resolve your problem immediately. The software not only is packed full of great functions for financial, workout writing and publishing, emailing automation, reports of attendance, finances , and mass email intervention but it does it with a sleek appearance that is not only visually appealing but with an easy of use that it's simple and powerful.

Cons

Software is still growing and some features , not many anymore, can be improved. This is truly the worse thing I can think off as I have tried many many others do never been so satisfied and impressed with them delivering a great product and on a regular bases truly adding features to improve it without making it more complicated for the user.

Easy to use program

This software is very easy to use!

Pros

I love how user friendly the app is! I have an easy time navigating through it and picking and choosing the things I want to do. I also love that I can sync it my calendar

I don't have any negative things to say about the app. It has only helped me keep organized. I haven't come across anything I didn't like.

This App kept me organized when planning my workouts

Easy tracking when finding my workout classes

What I liked most about this product is it gave you the correct times and dates of multiple fitness classes at my gym.

Cons

What I did not like about this app was that sometimes it had glitches where we were required to contact the administrator, but it did not happen often.

Very disappointing

Pros

Have been with Zen Planner since 2015, it is very user friendly. Costumer service was not bad up until something started to go wrong.

Cons

Unfortunately they have some flaws that for some reason sometimes they multiple charge my students or don't charge at all. It will happen once in a while and when that happen, their customer service become very slow and dismissive, they will send you to the processor and the processor will send you back to them. For instance, now, I have been asking to talk to a supervisor for days and they simply don't call and when I call to reach someone no one is ever available. It is very unfortunate because as I said the system is very user friendly, but they are not trust worth.

Following up:
Zen Planner gave me notice of cancellation after I refused to remove this review. Based on the problems I have had with them, I already had in mind and was searching for a more reliable system. Unfortunately I was forced to do it rushed, I have been trusting all my billing transactions and contacts to Zen Planner, and this transfer process does take a long time. one of the supervisors dealt with this situation very unprofessionally, focusing on make me remove my review rather then fix the real issue, treatned a few times and finally just gave me notice. I have never seen this before... I can't stress enough that you can't trust such important information for your business in such hands.

Frustrating, super buggy, unfulfilled potential with good customer service

Pros

The customer service reps are very nice and helpful. Unfortunately you will get to know them on a first name basis.

Cons

This is the buggiest software I have ever used. There is always something going on making what you can potentially do a hassle. It actually increases what you have to do relative to not being able to use the functionality and having to constantly call in to customer support. Not to mention having to put out fires with your members when the bugginess effects them.

A great program...when it is working properly

Pros

Zen Planner makes scheduling and paying a breeze. It has a beautiful user-friendly interface that is intuitive for guests to navigate.

Cons

Zen Planner has its fair share of bugs to work out. It constantly crashes when I use it, or slows down to turtle speed.
