Zen Planner is a member management software for gyms, affiliate gyms, martial arts schools, MMA schools and fitness studios. It includes integrated payment processing and automated billing, a self-service kiosk iPad app, both a member app and staff app for Android and iOS devices, scheduling, automations, workout tracking, belt and skill tracking, site templates and more.

Zen Planner's pricing is based off the number of active members and includes payment processing, and there are no contracts or startup fees. New customers have access to one-on-one training sessions with an onboarding coach who will help train them and implement the software for their gym. An in-house customer success team is available by phone and email.

    ZenPlanner has been very reliable and does what we want it to except for the odd issue. Sometimes I get so frustrated I want to switch providers but then realize that the other providers still aren't as good as ZP so I just have to stick it out. If they increased their speed at which they fixed bugs and/or simple features then I would be a very happy customer.

    Pros

    It's a great CRM for a small fitness facility. From reviews from competitors, it appears to be the best however I haven't personally tried the others. The Chat feature is great to be able to quickly message with employees when I have questions or concerns.

    Cons

    They are very slow to fix bugs and/or simple features. It's almost like they don't even have tech employees to fix these things.

    Endless , independence and function. Being a small business owner it allows me to run and automate many things such as financial reports, workouts, attendance. Reservation, automations of emails for customer retention , sales funnel , customer support, technically forward thingkong woth use of apps for iPad and iPhone to allow me to function on the run , away from the office, in the field, and manage coaches.

    Pros

    I love zenplanner. They started out with few features and no apps but they promised to improve regularly and they deliver. In the short 4 years I have been using they have incorporated a staff app for the iPhone, a users app to reserve, keep track of workouts , PRs, billing and much more. an app for the front desk to use as checking in, reserving, adding new clients at ease. On each of these products they improve and incorporated new needed features faster than any software I have ever used. Their customer service is truly second to none. Helping you not only in the set up stage but anytime you need help and they work to resolve your problem immediately. The software not only is packed full of great functions for financial, workout writing and publishing, emailing automation, reports of attendance, finances , and mass email intervention but it does it with a sleek appearance that is not only visually appealing but with an easy of use that it's simple and powerful.

    Cons

    Software is still growing and some features , not many anymore, can be improved. This is truly the worse thing I can think off as I have tried many many others do never been so satisfied and impressed with them delivering a great product and on a regular bases truly adding features to improve it without making it more complicated for the user.

    This software is very easy to use!

    I love how user friendly the app is! I have an easy time navigating through it and picking and choosing the things I want to do. I also love that I can sync it my calendar

    I don't have any negative things to say about the app. It has only helped me keep organized. I haven't come across anything I didn't like.

    I liked how easy it was to get set up and running. It even interfaced with my website. I could advertise services and clients could be directly through the my business website.

    What I liked most about this product is it gave you the correct times and dates of multiple fitness classes at my gym.

    Cons

    What I did not like about this app was that sometimes it had glitches where we were required to contact the administrator, but it did not happen often.

    Have been with Zen Planner since 2015, it is very user friendly. Costumer service was not bad up until something started to go wrong.

    Cons

    Unfortunately they have some flaws that for some reason sometimes they multiple charge my students or don't charge at all. It will happen once in a while and when that happen, their customer service become very slow and dismissive, they will send you to the processor and the processor will send you back to them. For instance, now, I have been asking to talk to a supervisor for days and they simply don't call and when I call to reach someone no one is ever available. It is very unfortunate because as I said the system is very user friendly, but they are not trust worth.

    Following up:
    Zen Planner gave me notice of cancellation after I refused to remove this review. Based on the problems I have had with them, I already had in mind and was searching for a more reliable system. Unfortunately I was forced to do it rushed, I have been trusting all my billing transactions and contacts to Zen Planner, and this transfer process does take a long time. one of the supervisors dealt with this situation very unprofessionally, focusing on make me remove my review rather then fix the real issue, treatned a few times and finally just gave me notice. I have never seen this before... I can't stress enough that you can't trust such important information for your business in such hands.

    Zen Planner is exceptionally easy to use and accessible from any device. My parents could even use it with no problems.

    Umm, that's a hard one being a user I haven't had any issues with it, other than the occasional log in issue.

    The customer service reps are very nice and helpful. Unfortunately you will get to know them on a first name basis.

    Cons

    This is the buggiest software I have ever used. There is always something going on making what you can potentially do a hassle. It actually increases what you have to do relative to not being able to use the functionality and having to constantly call in to customer support. Not to mention having to put out fires with your members when the bugginess effects them.

    Cons

    Zen Planner has its fair share of bugs to work out. It constantly crashes when I use it, or slows down to turtle speed.

    The user interface is so simple and easy to use. It also has mailchimp integration which is great! Also emailing clients is a breeze.

    Cons

    I wish there was a way to drag and drop on the calendar. Also, when navigating the calendar it can send you do different dates. Hopefully just a bug.

    Gym and yoga studio management that is easy to set up and customize. Customer self-service module limits the amount of time your staff spends on data entry. Good calendar setup, email automation, and flexible reporting.

    Cons

    Mobile apps are still under development, and some clients of Zen Planner customers complain about inability to schedule classes on their phones.

    I'm not a huge fan of the price to use Zen Planner, nor the overbearing sales reps that constantly email or contact you once you show the slightest interest in the software.

    It does not force you to input all information; also, its automations functions comes handy when you are overwhelmed with everything else.

    First setting up is hard; you have to import every single data. And import process was quite hard.

    It has a clean and simple user interface. Creating and managing clients is very easy. The automation is nice.

    I wish there was a way to drag and drop on calendar. Sometimes the calendar acts funky while clicking, ie, it will change the dates on you. The automation editor needs some simplication.

    ZP lets us schedule and bill clients in one place. It spits out reasonably useful accounting summaries and can handle some email automations.

    Cons

    This software is the worst part of my job. Do not be fooled by their slick sales staff: this cannot perform most of the functions advertised. It can, but only in a perfect world where you gym runs exactly as ZP imagines it. In this imaginary perfect world, you'd need a team of administrators working full-time to keep your database up-to-date and functioning.

    Our gym runs about 250 sessions per week. That's either classes or PT. They're all different. ZP's workout builder does not work for this. We were spending ~3 hours per day inputting workouts. It could not scale. So now we do not track workouts in the software.

    We see 100 leads per week and run free trials to get them into the gym. ZP's various 'prospect' systems cannot handle this. They are not manipulatable enough to handle the different types of trials we'd like to offer. Doing so, again, would take a team of administrators. We now use a separate sales software for everyone on trial.

    ZP goes down most days for 1-2 hours. 5-6 days per week. Just no software to run the gym. No attendance tracked, no bills processed, no member questions answered.

    ZP's calendar never works on the first try. Literally. When I click on a staff member's calender I wait 15sec for the software to reload the full gym calendar with no changes. Then I click the staff member a second time, wait another 15sec, and only then am I rewarded with his/her calendar. With 28 staff this is not working.

    Love how it helps make my job and tracking athletes along with our inventory so much easier. I'm able to see who of my athletes have been gone for too long. I'm also able to see who had an error with payments so we can solve them right away.

    I wish it would send us a notification that we're low on a product so we can order more before they run out.

    I went through their entire onboarding process and with each session discovered more and more things that did not work. At best they have nice color schemes to pick from... No one's selecting their software for the color schemes, so that is essentially the biggest pro there is to Zenplanner.

    Cons

    Extremely limited in use. You can't have more than one 'drop-in' on an account, you can't take a deposit for an appointment without becoming a member, you can't attach a waiver to an appointment despite the variety of appointments that may exist from a gym to a yoga studio to all the other 'fitness' businesses they boast being able to manage. You can't have a group membership, therefore every single person--children included have to go through a ridiculous process of that is in no way streamlined. It can't differentiate in membership options. The list goes on and on. Basically, they hired a good marketing company and told their sales team to 'make the sale' no matter what... The needs we stated for our business was simple and we were assured that Zenplanner could perform them. Going through the onboarding process was like repeatedly being told "no it can't do that" and "oh sorry, no it can't do that either". We ended up canceling before we even started and then they refused to refund the inital payment AND to the real treat: CHARGED ME FOR AN ADDITIONAL MONTH despite the fact that I had clearly been unhappy with the product. The point being they could care less about your satisfaction and so once you sign up--they've got you...

    we are now able to do all of our member, cash flow, and fitness management all from a centralized place.

    Pros

    It has made managing our affiliate mush smoother. From both a gym management side and a customer engagement angle it has been simply excellent.

    Cons

    The staff app still needs a little work, but it's pretty solid as well. I'd like to be able to see the whole week of workouts and edit them from the app if need be.
