eSpace is a cloud-based facilities and maintenance management suite. It caters to schools, churches, offices, and the property and hospitality industries. Primary features include service and resource scheduling, equipment cataloging and tracking, inventory control, vendor management and asset management.

eSpace offers work order management and life-cycle calculator capabilities within a suite. Other features include work-order email notifications, reminders and alerts, data migration, depreciation schedules, tracking a resource’s remaining useful life and capital-reserve budgeting.

Users can manage events, maintenance activities and work orders. eSpace offers integration with Outlook, Google, Eventbrite and other COOL SPACE software modules such as HVAC scheduling and wifi monitoring.

eSpace is available with tiered monthly subscription pricing. The software also offers mobile apps for iOS and Android devices. Customer support is provided via email, through video tutorials, website wiki forums and over the phone.

eSpace- Friend or Foe?

The functionality of the program depends largely on what your administrators put into the program. If the program is not properly set up to begin with, it does not function well for the user.

Pros

It is simple to learn and appears to be highly customizable for our organization.

Cons

The mobile app is not easy to read, especially the calendar feature. I end up using the full website even on my smartphone.

We have been able to distribute reservation functions throughout workforce and maintain management control. Improved efficiency. Looking to add work orders next.

eSPACE has allowed us to consolidate calendaring, event scheduling, and work order / setup requests into one unified software. Streamlining has saved our organization time and energy, and optimized communication channels.

Pros

As a department leader at a large, multi-site organization, eSPACE has been the most effective tool I've used to date that allows for efficient calendaring from multiple departments and locations. The easy categorization and color-coding features make for a visually satisfying experience. The work order portal is also a powerful tool that has changed the game for our IT, Production, and Facilities staff.

Cons

The learning curve and transition from previous software was modest, but not too challenging.

It's been great. I feel like an expert now. It helps me train the rest of our staff.

There are settings that I would like that aren't available. (Ex: I would like to display more then 30 days worth of upcoming events and it doesn't allow more than 30)

Pros

I work for a large church with many moving parts. This allows me to see everything going on in our buildings so we do not over book.

Cons

The dash board is a little confusing at times. I also never know if I'm truly updating the correct thing.

Better than what we had

Might be helpful to have a final screen with the entire set up. Location, support materials, etc. I've sometimes left off details.

Pros

The large scale usage. The ability to see multiple events by all users.

Cons

The many screens you need to complete for particular needs. I worry that I haven't fully completed my setup needs.

Very User Friendly

Overall eSPACE has made calendaring a multi-site church much easier and more organized. The ease of using the software has made the transition for our staff smooth and simple.

Pros

The ease of this software taking you step by step through the calendar and scheduling software makes it very user friendly.

Cons

It often slows or does not update in a timely manner. Sometimes the email alerts are delayed and conversations or notifications are missed.

Like a lot- but issue with two features

So much easier than the previous software we used, and with higher capabilities (even if we don't utilize them). I like it a lot.

Pros

It's intuitive, and moves you step by step through the process. Making room reservations is easy. I really like eSPACE a lot.

Cons

1. Have to navigate back to Dashboard before searching for another event. This is a waste of time, they should put a Search option at the top of every screen, not just the Dashboard. This also seems super intuitive, not sure why they haven't done this yet. They must not ever have to search and look at multiple reservations back to back. It's annoying.

2. The "email me one month before event ends" reminder option DOES NOT WORK. I have brought this to their attention several times, but it is not fixed. This is crucial for the work I do, and it is ridiculous that this doesn't work.

My review

I love how fast and easy it is to contact support. They are always quick and polite with responses. I love the conversation option within events which is very helpful especially with staff turnover to have the notes all in one spot.

Pros

I like the calendar view and for the most part the ease of use with setting up an event. Some details are harder to remember to include with my events especially when I don't enter events often.

Cons

Some of the reporting is quirky and incomplete. For example: An event that spans over 2-3 days consecutively only shows the first day of the event in the set up report so I need to be extra careful to look in other places to make sure I have all the info. I would love a report that shows all the info of an event in one spot as I export this info to a PDF to share with my team as our tasks are split up per event.

Revolutionize your workflow!!

It expedites the flow of maintenance requests and gives us an audit trail of the requests.

Pros

eSPACE has completely re-written the book on how we accomplish maintenance tasks. It's easy to use and it gets maintenance requests into the hands of those who need them almost immediately. It was a great move for our company!!!

Easy to do.

Pros

It was easy to see what rooms were open and closed. But also love the dashboard where I can see all the spaces I have reserved, the dates and times and whether there are conflicts or any of my requests that might need approvals. We have spaces that require approval and others that do not. I can view all the events scheduled on the calendar to see what spaces are being used and if there might be conflicts. A great product.

Cons

The print is small not easy to see for my eyes.

User friendly and comprehensive

Pros

eSpace was easy to learn and is incredibly user-friendly. It walks you through each step of the process to make sure all the details about your event are included in the event reservation.

Cons

While complete and comprehensive, it does feel like a lengthy process to go through for every single event or reservation. I wish there was a quick way to simply reserve a conference room for a meeting versus reserving a large event space when I would want to specify furniture, food, and other requirements.
